Why the Policy Change?

• Ensure graduate thesis students remain registered until they complete all the degree requirements of their program.

• Comply with student visa regulations for international students.

• Mitigate liability concerns.

• Allow students to continue with their research at the University after their initial thesis submission and during the period when thesis revisions may be necessary.

• Provide access to services (e.g. Student Services, Libraries, Athletics, CAPs) after their initial thesis submission.

• Reduce the financial impact of registration in additional session and once the initial thesis is submitted.

Additional Session Fee Changes

• Additional Session fees will be assessed over 3 terms instead of 2.– Currently, students registered in Additional Session in the Fall, Winter, and

Summer terms pay fees in the Fall and Winter terms only.

– As of the Fall 2011 term, students who register in Additional Session will see their fees split over 3 terms instead of 2. (See chart on next slide)

• Fee information can be found online at http://www.mcgill.ca/student-accounts/fees/grad/– Updates to the website will be made once the 2011/2012 fee schedule has

been determined.

Registration Changes• Students must be registered up to and including the term before they

graduate.– Previously, Canadian students who submitted their initial thesis by the August 31st

deadline and expected to graduate in February had the option to register for the Fall term. This is no longer the case.

• New registration status – Thesis Evaluation – effective Fall 2011– A full-time status.

– Once students have made their initial thesis submission, their status will be changed to Thesis Evaluation for the next term and all subsequent terms up to and including the term in which they make their final e-thesis submission.

– If the student makes his / her initial and final thesis submission in the same term, they will have a registration of ‘Additional Session’ for that term and will not have a ‘Thesis Evaluation’ registration appear on their record.

– Students are not permitted to register for courses with this status, but may register for a double program; special student or another degree program (formal admission required)

– Double program registration for Postdoctoral and Doctoral thesis evaluation status not permitted

• Thesis Evaluation fees will be assessed.– Students registered in Thesis Evaluation will be assessed the same as students

registered in Additional Session less the specific ‘Additional Session Fees’ (See chart below)

The new schedule of dates will take effect for initial submission as of June 7th, 2011 for PhD students and June 14th, 2011 for Master’s students.

• Master’s students who make their initial thesis submission by June 13th, 2011 and their final thesis submission by October 5th, 2011 will graduate October 2011

Transition Plan• Effective Submission Dates

– Doctoral students who make their initial thesis submission by June 6th, 2011, and their final thesis submission by October 5th, 2011, will not be required to register for the Fall 2011 term.

– Master’s students who make their initial thesis submission by June 13th, 2011, and their final thesis submission by October 5th, 2011, will not be required to register for the Fall 2011 term

– Students who fail to meet the final thesis submission deadline will be required to register for the Fall 2011. The registration will be for a ‘Thesis Evaluation’ term.

• Time Limitation as of Fall 2011– Doctoral students who make their initial thesis submission by June 6th, 2011, and their final thesis

submission by October 5th, 2011, will graduate October 2011. They will not have a registration for Fall 2011.

– Master’s students who make their initial thesis submission by June 13th, 2011, and their final thesis submission by October 5th, 2011, will graduate October 2011. They will not have a registration for Fall 2011.

– Students who make their initial thesis submission by the June 2011 deadline dates but do not make their final thesis submission by October 5th, 2011, will have a registration of ‘Thesis Evaluation’ for the Fall 2011 term.

– Students who do not make their initial submission by the June 2011 deadline dates will be subject to the new schedule of dates for thesis submission.
