PURPOSE

1.2. Initiates and coordinates policy through organizational approval process.

1.3. Prepares a draft of the policy using the approved format.

1.4. Initiates and coordinates adequate input from relevant parties/departments; makes revision to

requirements are being met.

2.2. Ensure that proper Job Safety Analysis (JSA’s) is being addressed.

2.3. Propose changes as appropriate.

3.1. Reviews all policy or procedure drafts and revisions for content and format, to ensure

compliance with policy guidelines.

3.2. Propose changes as appropriate.

3.3. Approves policy or procedure following review

PROCEDURE

1. Paper

1.1. The paper to be used is white plain paper standard Letter size (8.5 by 11 inches). The Paper

Size Orientation is Portrait.

1.2. Use Type Size 11 points and above, to enhance readability.

1.3. Use standard Times New Roman font that is easy to read.

1.4. Decorative or unusual fonts should be used sparingly and only when consistent with the

message or the tone of the publication.

1.5. Bold face and italics are intended for emphasis of selected words and phrases and are to be

used sparingly.

1.6. Screens or shaded areas behind text can limit readability and should be used sparingly.

1.7. Use sufficient line spacing (leading), unjustified left align paragraph formatting, and suitable

paragraph widths to enhance readability.

2. Writing

2.1. Writing must be clear and suited to the reading skills of the audience and as free of jargon as

possible

2.2. Minimize use of abbreviations. On the first reference, always write the full name, with the

abbreviation in parenthesis. The abbreviation alone may be used in later references.

2.3. Writing in present tense is preferred.

3. Assigning Policy Number

3.1. Identify what category the policy or procedure will fall under

3.1.1. If it does not exist in any current categories then one must be created

3.1.2. Make sure a proper identifying letter is used and not repeated

3.2. Identify which general set the policy or procedure will fall under and pinpoint where the new

General Set number will be relative to existing ones

3.2.1. If a corresponding general set does not exist then one must be created

3.3. Identify which subset the policy or procedure will fall under and pinpoint where the new

General Set number will be relative to existing ones

4. Submitting for Approval

4.1. Final draft of policy or procedure must be submitted to safety manager for evaluation

4.2. After approval is received by signature or similar means then the file is submitted to highest

authority necessary for implementation 4.3. Once all requirements are met it is essential that it is inputted into corresponding data base

5. Revisions for Review

5.1. When revision is deemed necessary any amendments are submitted to policy or procedure

writing personal.

5.2. The writing personal will review appropriate changes

5.3. The policy or procedure will be amended

5.4. Same procedure is followed based on Submitting for Approval
