• Inputs to design team for all your requirements• Estimate of reach – No of eyeballs

Promotion team
• Most Imporatant • Identify and list all the spaces within college
where we will gv sponsors branding• What all will we use– Like standee, flagpole, banner, poster, flyer, stalls
to name few
Sponsorship Team• Creating a Impressive Proposal (PPT & PDF) of Sponsorship
– Theme – in details– What all we will offer– Slabs (Rate Cards)– Details of events/ flow of event– Our Promo efforts– USP of fest – if any
• ‘Super Exhaustive’ List of companies to be approached– Companies already having Green/ Environment related
campaigns/ CSR/ PromoNGO’s and environment related organizations
– Small scale, new entrants – Condoms, food joints, coffee joints, movie theatre companies, pizza joints, preparation INSTITUTES of all sorts - (all youth related products)
• Most Important collecting all the present contacts from– Members of our class/ depts/ college– Sponsor list from Alumini– Any spcl approach in any organization – if any
Sponsorship Team
Press Team• Detailed List of all the :
– Print – newspaper, magazine etc– Electronic– Web blogs/ reporters to be invited.
• Ready the Press Releases with the available info.• Press Team gives input to Sponsor teamas estimation of
above list.• Media Mileage value • Also contact radio’s/ news channel to be promo partners as it
is a very social THEME & NAME• Find links of people in college/ alumini who could help with
PR partners and better media coverage.
Treasury Team
• Create a new account with Central Bank for college fest – sponsorship money, cheque book, ATM card etc
• Get all the estimations costing from logistics in terms of spend required
• Create a system to track all the expenditure that will happen during the course of fest
• Get required locker, almirah, stationery to maintain all the slips, bills, estimations, etc for record.
Food & Beverage
• List off all the items we plan to make available• Vendors we intent to bring on board• Best if we get sponsor for all the respective items
and drinks• Identify space and stalls for those vendors in campus• Create a know how to manage storage/ preperation/
serving etc equipment needed. • Most Important – Any licence clearance needed from
Fire Dept or MCD. And NOC from College
Logistics• Very Critical: need estimations on– Eyeballs, walk ins, footfalls– Detailed costing for rock shows
• Band• Lighting • Sound• Setup etc
• Clearances from College, Fire Dept, Police, MCD• Security arrangements• Contingency plans – for emergency• Decoration of campus – in sync with design team
Logistics• List of all stuff required – with qutations– Stationery costing and vendor– Website designer– Printer - for all promo material– Tent wala – quotations– Identify manforce – from college staff – Mic, speakers, handfree mic etc for respective
events - in sync with design team.
