n the current business situation, two determining factors come together: the macroeconomic situation at the international level and

the maturity of a set of technological advances that have been noticeably evolving since the beginning of the century. there will be determined actors who quickly take advantage of these resources to negotiate the juncture with increased competitivenss, achieving better positions for facing the times to come. and there will be those who adopt an expectant position, observers of the evolution of their circumstances and of how the adoption of new technologies turns out for others.

there are trends today that are clear and mark the path of those who take the decision to move forward. What’s interesting is identifying how they are linked and harnessing these trends to form a consistent whole. much has been said about cloud computing, the coming paradigm that is to condense internet phenomena around the needs of organizations - public or private - and also those of individuals. Because we’re not just talking about having a flexible and scalable infrastructure for optimizing profitability or the fulfilment of management’s goals, but also sustaining new forms of work that people prefer and companies accept. This year is extraordinary amid the arrival of a set of products and services that make it possible to bring these trends to fruition: Windows 8, Windows Server 2012, Windows Phone, Windows Azure, Office 365 and the next version of Microsoft Office, among others.

there are two more elements to emphasize. One is the expansion of ‘social computing,’ given the success that social networks have had, put at the service of business in very different ways. Finally, both the availability of technology and the cloud paradigm allow many entrepreneurs to start new projects that breathe new life into the way we work, how we communicate with each other and entertain ourselves.

so far away. Planning any changeover, with budget forecasts, application compatibility, evaluation of hardware replacement, prioritizing business continuity and maintaining budget constraints demands prudent foresight.

Windows xP is an operating system that has given great results, but in the last ten years the technological and business situation has changed a great deal, opening up new possibilities and posing different challenges. Desktop virtualization is key for an infrastructure oriented toward the flexible work-style. the microsoft vDi (virtual Desktop infrastructure) technology allows companies to multiply the return on their hardware investment, and lets users access a secure desktop that is adapted to their needs. the basic vDi concept is storing and running desktop workloads - including the Windows operating system, applications and data - in a virtual machine in the Datacenter, allowing users to interact with the corporate desktop on their own devices, through the Remote Desktop Services set of technologies. With this last solution, from Windows Server 2008 R2, the virtual desktop is delivered to the user in the same way as a Remoteapp application.

accessing them, such as through cloud services, organizations can choose a type of infrastructure that best suits their business objectives (public, private or hybrid cloud). With this flexibility, it’s possible to set up meetings that would be impossible without these tools, which improves productivity both for each individual and as a whole.

access to the virtual desktop from a laptop or tablet is now incredibly simple for users, and allows them to have the configuration and the applications from their workstation at anytime and anywhere they want, by pressing the corresponding remote access icon. On the other hand, many employees now have smart phones; it is estimated that this year the penetration of these devices will be 50% in Latin America, and will be the majority by 2013.* Phones are great productivity tools for corporate users, who can access Office 365 applications, synchronize exchange accounts, publish in the company’s SharePoint and communicate with their coworkers through Lync, which includes videoconferences. Windows Phone 8 naturally incorporates Skype and lync and synchronizes the entire contents of the user’s cloud account.

the company’s it department acquires a central place in this paradigm, redefining the role of the it manager, which is now in a close relationship with the Human Resources department. But the variety

of devices and the possibility of working from anywhere and at any time do not necessarily complicate administration, because there are adequate solutions for flexible work styles. system center Configuration Manager 2012 lets users virtually manage any device from a single console. it is designed according to a user-based model, so that each device is associated with a particular employee, providing detailed control over the resources to which it gives access. the IT department must configure policies according to the types of devices and user profiles, which are automatically applied to all devices in the environment. this means that levels of access to applications can be simply and automatically established according to the role of each employee through provisioning directives. By integrating microsoft Forefront with System Center Configuration Manager, an efficient security management is carried out of the entire infrastructure, avoiding the administration of a parallel platform for antivirus software.

In line with the concept of flexibility, solutions such as System center Configuration Manager let users manage even devices that don’t use Windows, responding to the vision of interoperability that microsoft promotes in the development of its products.

he arrival of Windows 8 has important features for business use. Besides the standard desktop edition and the Pro version, there will be

a special Rt edition for tablets that opens a world of possibilities for executives who travel frequently and for employees who are always on the go. an important added value of this new Windows version are the batteries, with a longer duration in ultra-light equipment, renewed technological foundations for a new generation of touch-screen apps ready for the cloud and connected to the web. Windows 8 also includes advanced security features using data encryption, administration, virtualization and connectivity to corporate domains.

Other features include the incorporation of advanced improvement for multi-screen support to manage team tasks and a renewed Windows explorer 10. […] Windows 8 comes with support for IPv6 and new benefits for remote connection through private virtual networks with or without smart iD cards. Windows to go is an innovative feature to start Windows from

an external unit connected via uSB, using the same image that the organization uses for its portable and desktop equipment.

as for virtualization, new technologies are incorporated to provide a new user experience – an experience that lets users change devices while they are working without experiencing any differences. this way, if a task is running on the desktop and the user needs to exit suddenly, the contents can be immediately recovered on a portable device or tablet, including smartphones, so that users can quickly continue working through a vDi session by using installed apps or executing a virtualized app.

Regarding security, microsoft has developed new features that simplify and automate device encryption and the creation of reports on fulfillment of standards and cost reductions, by enabling the automatic service to recover information easily, reduce the time required by the operating system to protect the devices and transversally integrate encryption tools with the user’s current resources.

Preliminary adoption testsOver the past few months, there were three versions of Windows 8 so that users could learn more about its features, test compatibility and measure the impact on users. One version was for software developers, with 3 million downloads in five months, which promoted an expanding universe of apps that are ready to be executed in the new environment. The other one, known as Consumer Preview, demonstrated the interest and expectations of the public, with one million people downloading it on its first day of release. Finally, the Release Preview version allows users to experience what will become the final version.

Small or medium organizations with complex IT infrastructures are able to perform proof of concept, pre-designed by Microsoft with the support of specialized business partners. They are designed to help understand the most important features of a flexible working style and take advantage of all the investments in technological renewal. The tools to determine the return on investment and calculate the cost savings that could be achieved with the migration are especially valuable.

In summary, Windows 8 has been redesigned focusing on the user, knowing that he or she will be working at several locations, whether at home, the office or on the road, moving from one place to another. Users will be able to perform all their tasks from desktop equipment and mobile devices and new touchscreen technology will make everything more intuitive. Windows 8 was created to increase productivity, improve communications of workforces that need access to their companies’ sensitive information from any location, securely and privately.

Windows StoreAlthough Windows 8 will have everything included, there is a world of apps waiting for you at the Windows Store. Businesses, teamwork, communications and leisure blur the line between obligation and pleasure. Who hasn’t had the need to quickly find a nearby restaurant to have a work lunch or close a business? This is why hundreds and thousands of developers around the world are thinking of those needs, creating new apps that solve each new requirement demanded by users.

Users can find and review thousands of apps grouped in easy-to-find categories at the new Windows Store. They can all be downloaded securely, free from viruses and threats. Users can also use their apps on different Windows 8 devices, so they only have to buy or download the app once. With Windows 8 and Windows Server 2012, company IT managers can deploy a solid group of policies to protect users, communications and information.

he world is going through a crisis that puts the option of investing in technology back on the table as a way of

reducing costs, optimizing profitability and laying the foundations for the next cycle of growth. after years of adding features and benefits, anticipating industry trends and the changing needs of organizations, comes Windows Server 12. it is a tool that consolidates the new technologies that businesses need to implement to overcome the current situation by looking forward: virtualization, private or hybrid clouds, flexible work models, intelligent storage volumes of information that tends to multiply exponentially, simplified administration with high levels of automatization, granular security management and versatility. it also comes with a new, substantially simplified licensing model and optimized ROi.

and development tools that conform to industry standards and include encryption, certificates, and authentication, so that sensitive information is protected and backed up, and can only be accessed by authorized personnel. as a complement, BitLocker encrypts hard disks on different computers, adding even greater protection in extreme moments such as loss or theft of units, even with removable drives. in Windows Server 2012, Hyper-v evolves the Live Migrations feature, which lets users migrate a virtual machine to another server without making users losing access.

microsoft’s customer service and support (css) operates around the world, 24 hours a day, 7 days a week; it handles more than 3 billion interactions with microsoft customers each year. this team takes about 30 million phone calls from clients and 1 million commercial phone calls each year. they also give email assistance, and many times their representatives go on site for their business clients.

the global support services (gSS) website (support.microsoft.com) is the main self-help portal, which has a knowledge base of more than 250,000 articles. Millions of people use it each day. in the previous issue of management today, we reported on other channels for getting help, including online services, technical and business communities, outstanding professionals and the business partner network.

incorporated in the products Windows error messages and the customer experience improvement Program are very valuable for collecting concrete evidence regarding features that are not working as expected in certain scenarios. When this happens, Windows displays a pop-up window that allows one to report errors; information on the computer configuration and a first diagnostic are sent to technical teams for review.

the ability to receive feedback covers all aspects of the software: interfaces, drivers, behaviors, usability and even licensing forms. from their employees’ equipment. they thought these apps distracted them from their tasks, giving time to personal issues during work hours. With the appearance of social networks and technologies, such as smartphones connected to the internet, this logic no longer makes sense. not only would it be impossible to control the use of social networks in the company, but it could be inconvenient!

Social networks are a fast and flexible means of communication with a strong, interactive and dynamic focus.

these qualities are the ones we look for in employees’ way of working, which is why social networks have become a good tool. microsoft identified their potential years ago, and started developing products and services aimed at connecting the company’s employees in a more dynamic fashion.

For example, the predecessors of Lync as an instant messaging solution already included information on users’ status, his or her workplace, and the groups that he or she belonged to in the organization. With the arrival of lync server, each user has an online profile. of Microsoft exchange. Lync telephone service is a strong trend; it even beats iP telephone services, as it does not require special devices to communicate.

Outlook Social Connector is another tool that has shown the usefulness of social networks for organizations. through this Outlook feature, any employee can quickly see the profiles of the social networks that they share with their contacts from their inbox, whether they are business or personal networks. Let’s suppose two employees have profiles in LinkedIn and Facebook. When opening an e-mail from the other employee, they will be able to

see the status update in all social networks, their chat history, their shared agenda and even the changes they make to their social profiles will be seen in their contact info. Of course, this tool respects the privacy options that users set in each social network.

the it department of each company can use, through group directives, the control of social networks with which it can –or not- have connections. it can also choose and customize which features will be synched (for example, exclude photos for bandwidth consumption and storage), and specify time periods to synch corporate users’ social networks. this way, based on the needs of each company, there is a total control of the company’s social content.

So far we have talked about the connection between a company’s employees. But the power of several tools, such as Outlook Social connector, also relies on the possibility of opening new channels and establishing better relationships with current and potential clients, as well as business partners. Planning the use of social networks with a specific purpose is the key to take advantage of them for the benefit of the company.

inside the organization, sharePoint server is a great collaboration tool; this is why its “social” potential is obvious. in this sense, it allows creating user profiles, personal sites or work groups, using theme labels and managing Rss channels, blogs and wikis. SharePoint Works under the

to enhance this proposal, microsoft announced the purchase of the business social network Yammer last June, for uS $1.2 billion. this purchase projects the total integration of collaboration technologies, including Office365, SharePoint, Skype and Microsoft dynamics with the social network. Yammer allows users to access a safe and private social network for free. this way, two main solutions in the market complete each other; right now, there are more than 66,000 clients using SharePoint, which means more than 125 million licenses sold; 200,000 companies in the world use Yammer, reaching 5 million users.

Social networks make sharing information of any project faster, strengthen interpersonal relationships and facilitate collaboration. it is a great ally as a complement of communication and collaboration business technologies. in another article of this edition of management today, we talk about the flexible work style; social networks are also part of this new paradigm. as these new trends become more popular and new devices aimed at mobility and connectivity are launched, it becomes increasingly necessary to plan the adoption of practices within the company that accompany this movement in order to take advantage of their productivity potential for the benefit of the business.

Success Storieslooppa is a company that developed a social network platform for others, especially for media companies and for those who use their websites to interact with their communities. all the development was made with .net technologies and is executed in a Windows Server and SQL Server environment. One example is guaridaazul.com, a website with several social features, aimed at the fans of an mtv series, with over 300,000 registered users, nearly 5 million visits and around 5,000 people simultaneously interacting to publish over 1.5 million pieces of content.

Intel created a social network -100% with microsoft technologies- through which intel interacts with over 200,000 technology professionals in Latin America, providing courses, different contents and a fluid and dynamic communication. it uses a management platform from communities developed in .NET and SQL Server that allow the management of strategy and digital marketing campaigns in an integral and synched fashion. Sojabook, MarketingLand and Efactor are other examples of sectorial social networks that allow the deployment of marketing and pre-marketing activities, inter-company linking and collaboration, and even the coordination of socially responsible business initiatives.

is also the core of other key concepts, such as efficiency and service quality. Just as with companies, great volumes of information are managed and there are complex structures, with many employees, where it is essential to have communications and collaboration tools to facilitate procedures, reduce times and revalue public employment.

the pillars that support microsoft’s value proposals for governments are based on an information-based economy, future public management trends, the opening to interoperability of diverse technologies, the optimization of infrastructure with a rational use of resources, all of which is integrated with aspects derived

from corporate citizenry and socially responsible businesses. Joint work with national, provincial, state and municipal governments, state companies and autonomous organizations demands understanding of the particularities of the public sector in order to adapt the software benefits and online services.

Over the past few years this has changed, and there is an increasing awareness of the need to have a modern systems infrastructure that is connected and citizen-focused. in microsoft’s vision, a service platform that integrates communications apps is needed. they facilitate the exchange of information and the resolution of queries in real time with systematized repositories of documentation and search tools that simplify the quick location of what is required with precision; self-query websites and interactive applications that eliminate paperwork, avoiding having to move offices, geographical systems information that faster and more efficient actions, and apps for the integral management of relationships with citizens.

all microsoft technologies and services in the cloud, such as Windows azure, Windows Live and Office 365 have specific adaptations to attend to the needs of governments and have been developed with an open philosophy in order to be able to interoperate with other technologies that each government decides to use. many business partners of the company have developed specific apps to attend to the needs of executive ministries, secretariats, justice departments and legal departments. concrete experiences begin to multiply and clearly express how it is possible to create modern and efficient governments based on technological innovation.

Key areasBeyond the use of software tools and services for each government area, there are special contributions by microsoft in areas considered essential because of their social, economic and cultural impacts.

in this sense, one of the dominions that particularly occupies joint work teams is information security, which also has different lines of action. On the one hand, based on the access of Windows and Office source code, the profound knowledge of security policies that guide the development of software and the management of information in microsoft and training are used to protect the privacy of citizens and sensitive public information. there are also quick action mechanisms when massive it attacks, pedophilia networks or certain viruses occur and become critical problems for a nation.

an area of the public sector that fascinates those working at microsoft involves . multiple initiatives aimed at education institutions, teachers and students highlight the preparation of future generations based on the reduction of the digital gap and the strive for creativity and innovation. Over the past few years, incredible work with innovative teachers has taken place. teachers brought into classrooms proposals based on the use of technology, systematized through the . in the university environment, specifically in the training of future technology experts, the experience of is amazing; thousands of students around the world are developing new apps with high social impact. Several Latin American teams have reached the finals of the competition in its last events, showing their capacity and vocation.

in several countries in the region, special programs have been developed for the of software, based on recognizing cultural diversity. this way it was possible to have Windows and Office versions in Quechua and Windows in mapuzugun (of the mapuche people).

environmental sustainability, job generation, management transparency, the development of the local software industry, the integration of social networks into the interaction with citizens, the freedom of technological choice and the development standards are other areas in which microsoft is working and are part of the strategic agenda for the future.

Panama’s 311 service operates on a platform based on cRm microsoft Dynamics, which instantly allows users to solve over 80% of open query cases, suggestions or complaints from citizens. call time decreased from minutes to seconds. Basically, all state organizations are linked to this platform, which substantially facilitates management, including quality service to citizens. the Managua Mayorship, in nicaragua, created a complete communication and collaboration infrastructure with exchange Server and Lync Server for the use of over 1,000 employees distributed in 10 different offices, with advanced levels of administration and security. the Judicial Branch of the Province of Buenos aires, in argentina, reduced by 25% the amount of servers with Windows Server 2008 R2 Hyper-v, System center virtual machine manager 2008 and System center Operation manager 2007, saving physical space and electricity by simplifying the tasks of the support department, and has the flexibility to increase resources when the work load demands it.

Response times among users were too long, affecting the company’s productivity.

In December 2010, the company identified the need to improve how it was managing communications, and started an evaluation process of several platforms that led it to adopting the Microsoft Office 365 solution.

Before, it was nearly impossible to send images of projects, attached documents, information and stock market analyses to current or potential investors due to the size of the documents. contacting people was very complicated.

The company was 90% Linux Red Hat enterprises. Some projects regarding application integration both with desktop equipment and mobile devices started to emerge, and they could be done on Linux, but its administration and implementation is too complex.

“We had the zimbra collaboration suite platform, but we began implementing Office 365 gradually with some users, starting with management, as microsoft, through its variety of solutions, allows us to fulfill our communications goals. The company first migrated it e-mails, then the instant messaging services and finally standardized to Office. Now, the company is changing some FtP sites into Share Point sites, but the platform is stable and working.

the advantages of this platform go beyond e-mail, instant messaging services and Office. Users can manage shared calendars, contacts and tasks, and can have instant messaging on their mobile devices. Phone calls can also be forwarded to a cellphone, mobile device, a Pc or an iP phone.

The added value that Eco Oro finds in Office 365 is not only the number of services in the cloud, but the instant messaging services and the integration it has with other services, such as Exchange or Office.

Now, users are noticing the benefits provided by the services offered in the platform; for example, the use of Lync to make phone calls, the ease in verifying user availability, and the ability to manage all conversations they’ve had on instant messaging services. they can also carry out teleconferences and use telepresence services.

there are small groups that are already using shared calendars to organize their activities and SharePoint to share certain information.

“We created a SharePoint so that our current and potential investors know everything about our projects without having to come here, and with all the necessary privacy through the creation of a username and password,” márquez said.

“We chose Office solutions because of the standardization of Office and unified communications. Other platforms may offer the same, but at higher prices and with complicated administration,” márquez added.

Eco Oro went from managing inboxes of 25 to 30 GB, to handling inboxes of 15 GB; e-mail transactions dropped from 1,000 to 500 per day, as most of the company’s communications are made through Lync. This means more space in servers and reduced storage costs. this also saves on updating and the synchronization of accounts from the cloud to portable devices, since response times are shorter.

“the support microsoft has provided us has been invaluable and essential. it has solved problems and facilitated implementation. the next step is to create training mechanisms for final users so that they can take full advantage of Office 365, because at the beginning, we noticed a negative impact due to the platform change,” márquez noted.

The implementation of Office 365 is just one part of eco Oro’s great project. the next phase is the implementation of unified communications and the final stage is the integration of Office 365 and other unified communications into other company’s apps.
