1. Introduction: All lifting equipment has to be identified with function location and to be registered. This is a legal requirement. In case of an incident the authorities need to be able to carry out an investigation. Maintenance- and inspection records shall be traceable and available for review. By registering/maintaining records in SAP COMPANY fulfils its obligations.
2. Purpose: The purpose of this specification is to provide a structured approach for lifting equipment SAP registration.
3. Scope: The scope of this specification is to explain the methods and steps that shall be followed during lifting equipment registration in SAP and to differentiate between the different types of lifting equipment.
4. Responsibility: It is the responsibility of the asset custodian or project team to ensure the SAP registration of lifting equipment. For this, the necessary information shall be provided to Asset Registration and Verification team (UOI31) by filling the required templates. The necessary support shall be obtained from the COMPANY Maintenance Strategy & Support team (OXO6 and GGO6). Lifting Technical Authority is responsible to review and approve the Z6 and the attached templates.
5. Functional Locations - The Functional Location shall be contained a number of fields that comprise
information about the item such as object type, class manufacturer, serial number etc.
- Additional information shall be held in classification for the functional location e.g. is it a SCE (Safety Critical Element) where a functional location has equipment installed the details such as manufacturer etc shall be held in the equipment record.
- A workshop, camp, warehouse, fabrication workshop, supply area and marine area shall also be considered as a functional location.
- A Z6 notification shall be raised for any removal, additions or changes to existing data and shall be done by the asset custodian or project team and the templates shall be reviewed and approved by COMPANY Lifting Technical Authority.
- All items that require inspection / certification shall have an inspection plan to generate work orders for the inspection activities. The inspection frequencies can be found in PR-1708 Inspection, testing and certification of lifting equipment. COMPANY lifting team and COMPANY approved lifting inspectors can provide advice.
- All items that require maintenance shall have a maintenance plan to generate work maintenance activities. SAP work order schedule shall be defined the maintenance frequencies. COMPANY lifting team can provide advice. The maintenance plan shall be specified for each equipment separately.

- Those items that are identified as SCE shall have the additional integrity solution requirements to be satisfied i.e. results recording in SAP QM module.
- Motors and Control panels that associated to the lifting equipment shall be registered under lifting equipment L4 as L5s. For SAP structure refer to section 14. The registration of LE Isolation switches is optional.
6. Equipment Equipments in SAP shall have a unique number that is system generated in SAP. Where there is potential to replace part of equipment that installed in the functional locations (e.g. lifting appliances such as chain blocks and trolleys) then an equipment record is also need shall be updated in the functional location of SAP. The maintenance/inspection of the replaced part shall be covered by the existing equipment plan for that they installed in.
7. Permanent Items Items in table below that remain essentially in one location and that require regular inspection and maintenance shall be registered in SAP as functional locations. The naming convention for these is controlled by a standard that Asset Registration and Verification team (UOI31) apply to maintain consistency across the COMPANY. It also contains the class for equipment.

8. Non Permanent Items Items in table below shall be considered as consumables and these shall not be added to SAP as the administrative burden of keeping SAP up to date given the quick turnover of these items is not workable. At local level a register shall be maintained by COMPANY lifting inspector to keep track of these items. This is a legal requirement and therefore mandatory.
The only thing that shall be in SAP is a preventative maintenance plan at the station or area level to test / inspect these items at the required interval and the existing system of testing and colour coding etc carries on as it is with the work order as only the trigger for the activity.

Authority
Shall mean the COMPANY person that has the legally delegated or invested
authority, capacity, or power to perform lifting function duties.
Equipment An assembly of components that has a specific function
Tag
A label assigned to equipment to identify a function in a facility, e.g. pumping. In SAP terminology a tag is synonymous with Functional Location.
Area Subdivision of a site
Area Code An unique method of identifying a geographical plant area
Class Term used to classify things, e.g. a class of an equipment type could be a “pump”.
Shall The word 'shall' used throughout this Specification indicates a mandatory requirement.

10. Lifting equipment SCE categorisation: 10.1 Lifting Equipment SCE Classification:
All lifting equipment shall be followed the requirement of SP-1992 (SI003). In general the lifting equipments that installed permanently over hydrocarbon areas and at Drilling rigs and hoists shall be considered as SCE. All Motors associated with Lifting Equipments at Hazardous Zone shall be followed IC003. The SCE Classification shall be assigned at the equipment functional location (L5) only.
10.2 Lifting equipment SCE group and group counter: The group counter of all lifting equipment that categorized as SCE is OMLAQ0 and the group counters shall be as follows: - Group counter 6 for lifting Equipment Maintenance Power. - Group counter 7 for lifting Equipment Maintenance Manual. - Group counter 8 for lifting Equipment inspection. - Group counter 9 for lifting winch maintenance.
10.3 Lifting equipment NON-SCE group and group counter: - The group counter of all lifting equipment that categorized as NON-SCE is OMLA00

11. Asset & Sub- number Asset and asset number allow a straight link with the financial Asset Accounting (Asset Register). They shall be populated in the Z6 templates by the Z6 initiator. For more refer to PR-1344.

Yearly/4 Yearly inspection/ load test plans shall be linked to L4 or L3 and shall be generated automatically by SAP with the reference to correct inspection procedures/standards.
Six Monthly / Yearly maintenance along with the specific MCP shall be linked to (Level 4 or L4a) and all (L5) function location comes under it shall be linked to it for each area individual and work orders shall be generated automatically by SAP. Maintenance plan shall be separated for each equipment.

12.4 Function location tag format (Lifting Accessories ): Lifting accessories shall not be added to SAP, refer to section 8, but general function location shall be created for each area individually for six months inspection ( station, workshops, warehouse, ......etc) refer to (Appendix3).

13. WBS Elements A WBS element shall be linked to a Functional Location, whereby a Work Order raised against the Functional Location will automatically link the costs to the relevant WBS. The settlement rule applicable for the WBS will assign the costs to the Cost Centre. This way OPEX related costs shall be captured at the right WBS.
14. Planned Maintenance and inspection: - With the registration, planned maintenance routines shall be added. For details please
follow the requirements of Lifting and Hoisting PR-2114 Maintenance Strategy of Overhead Travelling Cranes and associated equipment which might have to be supplemented with information from the manufacturer.
- All lifting equipment inspection shall be carried out as per PR-1708 INSPECTION, TESTING AND CERTIFICATION. All inspection work orders shall be generated automatically by SAP for each area individually with reference to PR-1708.
- Lifting equipment maintenance shall be carried out by competent staff and history shall be entered for each function location, individually for maintenance and inspection.
- All lifting equipment MCPs (Maintenance Craft Procedures) shall be specific, not general and shall cover all disciplines (Mechanical and Electrical).

- All lifting accessories history and inspection reports shall be controlled by the custodian and COMPANY approved lifting inspector.
15. Level 4 and 5 function location structure: 15.1 General requirements
- Level 4 & 5 Function locations shall be followed SP-2152, 3.8 Lifting Equipment. - L3 for LE shall be created only once per location. - L4 for movable LE shall be created only once per location and all MV equipment L5s
shall be linked to that L4. - AAA: Appendix 2 “Tag Function Code” - PU: “Process unit code” for lifting is 05. PU for Electrical Motor shall be same as its
driven equipment. - NNN: numeric code (0~99). - BB: Appendix 2 “SAP Suffix Code”, LE for lifting and ME for Crane Motor.
Level 4: - Lifting equipment L4 tag shall be AAA-PUNNN e.g. if PEDESTAL CRANE is tagged as LPC-
05001 OM.MAR.00281.LE.LPC-05001
Level 5: - Lifting equipment L5 tag shall be AAAPUNNN-BB e.g. if PEDESTAL CRANE is tagged as
LPC-05001-LE OM.MMA.LPC-05001-LE
- Lifting equipment motor tag shall be derived from LE tag number e.g. if PEDESTAL CRANE is tagged as LPC-05001-LE then its motor shall be CM-05001-ME. OM.MMA.CM-05001-ME
- If we have more than one motor for crane, then it shall be described with A, B, C etc. - If we have more than one beam for crane, then it shall be described with A, B, C etc. - Long travelling beams, cross travelling beam, crab, motors, CPs and ISs shall be
registered separately in SAP for all Electric Overhead Travelling Crane (refer to section 14.2).

16. SAP registration templates: Below are some of the requirements that shall be followed when filling out the registration templates.
- UOI31 approved templates shall be used for any lifting equipment SAP registration. - All LE SAP templates shall per approved by Lifting Technical Authority. - Function location structures shall be followed section 12 in this SP. - All Function locations descriptions shall be clear and specific. - The related ABC indicator shall be used as per equipment SCE calcification (SP1992). - Asset (AMR) and Asset Sub Number shall be added and if it does not exist, approval
shall be obtained from Lifting Technical Authority. - Lifting equipment weight, manufacturer, manufacturer country, model number, and
manufacturer serial number shall be added. - For monorail (beam) the Size/dimensions shall be mentioned. - The correct object type (SAP TOT) shall be used as per Appendix 2. - Related and active WBS shall be used. - Maintenance / inspection related main work centre shall be used. - Maintenance related planner group shall be used and inspection planner group shall be
TAV. - Equipment class templates shall be filled with all the available data. - SCE class shall be added for categorised SCE lifting equipment. - Maintenance/inspection Plans Text and Maintenance Item text shall be clear and
specific. - All L5s shall be added to MP and IP object list. Motors L5s are excluded. - IP object list shall not be more than 15 L5 flocs. - A specific MP with group (OMIC3Q1) and GC 5 shall be added for SCE LE motors. - Maintenance/ inspection correct group and group counter shall be used (refer to
section 10 of this SP). - MP main activity type shall be PSE and authorise group is OMMT. - IP main activity type shall be PIM and authorise group is OMIN. - The correct MP and IP next package to start and due date shall be mentioned.
Note: All other data that are not mentioned in this SP shall be filled following SAP requirement.
