The activity reports are used in different fields and cover different situations. They are a basic tool for anyone who is going to be replaced in a particular position. This person must inform the replacement person about what has happened and what needs to happen in the future in order to ensure a smooth work transition. It can be a shift change or a report for the incoming person. It is important to keep in mind the goals, duties and any information that the successor needs to complete his work competently. The ideal activity report will ensure that there is no unforeseen or unnecessary problem during the transition. The main objective of this document is to present a summary of the activities carried out by the chapter so that the new officers of the chapter give continuity to what has already been done and based on this propose new activities. It is also important to emphasize that it is very important to present this report to the SPIE officials so that they can follow up on our activities. And let them know that the support received is used in a good way. This report is a summary of the activities carried out by the Instituto Nacional de Astrofísica, Óptica y Electrónica Chapter in the period from august 2017 to august 2018. And it is divided in four parts: indoor activities, outdoor activities, financial report and future activities. One important remark is that our chapter works in collaboration with the

OSA chapter from our institution, the chapter Women In Optics and the

Science Communication department of INAOE.

This kind of activities is called "indoor activities" because it is realized within our institute. Some activities are organized by the chapter and it is directed for students and workers. And others activities are co-organized with INAOE and it are directed for elementary, high schools and general public. In this report we have some activities missing because of the lack of photographs, but we have also done our annual recruitment activity where we gave pizza and did networking activities, worked with Tecnológico de Monterrey within “Week I” as previous yearsgiving talks to students from thir university, we gave talks for visitors of our institute coming from different schools and institutions around our country, we have done bonding activities for members such as board games, sports activities and “Optodrinks”, a session for students to talk about their projects.

Tardes de café (Afternoon coffee) Attendants: Around 20 people per session. At least once a month, we organize short lectures for member of our institute, where topics related to optics, photonics, general knowledge and even outreach activities are presented by teacher or students. We give the opportunity to all students to give an informal talk about their thesis projects or topics related to optics and/or photonics. In these sessions, the chapter offers cookies and coffee.

Coffee Science with Glenn D. Boreman and Erik Mazur Attendants: Around 30 people per session. Within the MEXICAN OPTICS AND PHOTONICS MEETING (MOMP) that took place in our institute on September, our chapter had the chance to interact with former SPIE president Glenn Boreman and former OSA president Erik Mazur. The joined us in a series of coffee science, which is an activity where students can interact with prefessors without the boundaries of formality. It is just a casual conversation where students can ask about any subject. For each session, members of the SPIE BUAP chapter joined us.

21th August Eclipse

Attendants: Around 40 people.

Thanks to the support of SPIE, we developed an activity where members of the

student chapter and our community were able to observe the eclipse with the

filters provided in San Diego last year. We served pizza, chips and soda and had

board games. We also explained how the eclipse worked and how one could

watch it in different ways.

5th Photography contest (Concurso de Fotografia) Attendants to the awards ceremony: 300 people. Number of participants: 33 people. On December, the chapter organizes a scientific photography contest. Students, workers and professors are invited to participate. The topic for the photo is “Capture a physics phenomenon”, Where the only restriction is that it should be a homemade experiment. We choose the first three places from all the pictures sent and during the award ceremony there is a people’s choice award. The awards ceremony takes place at the Christmas Festival at our institute and the winners receives a cash awards.

National Meeting of Chapters Attendants: 80 student chapter members. Our chapter for the third time in a row has hosted a national chapter meeting. In this event we have gathered members of up to 6 chapters of the SPIE and OSA from all Mexico. The main objective of this event is to encourage collaboration between members of different chapters. In this event thanks to the Travelling lecture grant, we had the opportunity to invite Prof. Greg Gbur from Charlotte University.

There are activities that it is realized in the exterior of our institute, these activities we called "Outdoor activities". We heeded the call of various public and private educative institutions asking us to give workshops, lectures and demonstrations of experiments in general outreach activities. In some cases, in these activities we needed transport us out-city.

SPIE Outreach Games

Attendants: 100 people

Last year at Optics and Photonics meeting, our chapter participated in the OOG

in San Diego, where we won the 3rd place with our activity called “What a

wonderful world”.

Visit to rural school in Nealtican.

Attendance: 250 kids in primary school

Nealtican is a rural community near our institute in Puebla state. The school

“Niños heroes de Chapultepec” allowed us to give small talks about light and

optics. In this school kids learn Spanish and have some classes in their native

language, nahuatl.

Educalia Science Fair

Attendents: 100 people

“Educalia” is a science fair organized by a private school. The chapter members are invited for to give workshops about optics and physics. Also, they are invited for act as judges in a experiments contest. This fair is directed for students of kinder garden, elementary school and high school.

Science in Atlixco Attendants: Approximately 25 people. Atlixco is a small town nearly to our institute. This event is organized by group local schools and we received the invitation to have a small participation in this event. We support with workshops and a small lecture about light where kids from 5 to 12 years old could see optics experiments. In the photos we can see two of our members helping the kids building their projector.

Humboldt School visit

Number of participants: 50 Students from high school.

This school is one of the most important schools in our city. Each year they

invite us to show experiments to high school students who are about to enter

university. We encourage them to pick science related careers and not to be

afraid of physics or math.

Noche de las estrellas (Stars night)

Number of participants: More than 200 people

Each year in November, many institutions in Mexico organize a science event

where people can do observations of the sky and can participate in many

workshops and outreach activities. Each year our chapter participates with a

hands on activity. This year we show them how to build a homemade projector

for cellphone.

Day of the women and girl in science Number of participants: 100 people In this activity, we helped the Women in Optics Chapter and presented optics experiment within the event organized by them. This event had the goal to promote participation of young girls and women in science.

International Day of light Puebla Number of participants: Around 300 people This year we participated in the International Day of Light activity organized by our institute and some other public dependencies in our city. We received around 300 people, and we showed them experiments regarding light behavior in our everyday life.

International Day of Light Cholula Number of attendees: 200 people This year, our chapter did its own “International Day of Light” activity. We contacted the local government of Cholula and asked for a gallery where we could display experiments and workshops. It lasted 5 hours and we worked with the chapter of Women in Optics. We received more people than expected. The commitment of our members was that big, that one member even gave a talk with his baby on arms.

Final remarks Our chapter is really committed with science communication within our community, we try our best to encourage people to not be afraid of science, especially optics. We try our best to develop new activities and new ways to transmit knowledge to people. We try to give our members the best tools and share our experience so the chapter can continue with its current level and even improve it each year. We might not have all the evidence for every activity we have done, but we can assure you that we are continuously working on being better, and to represent the best of SPIE whenever we can.

We have to remark that at the moment of the writing of this report we still have programmed activities, in which we are planning to use the money. Also we are planning to buy material in the next Optics Photonics congress.

For us, it is very important that when we change of chapter officers there is no lost information and that the outgoing officers provide all the required support to the new officers, so that there is continuity in some or all the activities carried out by our chapter. For this, the chapter officers (incoming and outgoing) have met and several activities have been planned.

The main goal is to give continuity to activities such as:

Afternoon coffee (Tardes de café). Coffee Science Photography contest (Concurso de fotografía). Recruitment event (Twice a year). Science and Technology week (Semana de Ciencia y Tecnología). Week “i” (Semana I) Chapters National Meeting International day of light activities Visits to rural schools And it is proposed to carry out new events such as: Experience Science. Programation workshops One project we are still working on, it’s the develop of a Dumpstair Optics Kit for teachers. We are planning how to present it and make it as cheap as possible, so every teacher or student have the opportunity to replicate it in its institution. Also co-organize more events with our institution, develop new outreach activities and participate in more science fairs.
