Load-In and Load-Out procedures:Dock Yard:  Must unload trucks on tarmac and push gear up Ramp A into Hall Ain time to report for your scheduled warm-up time. After warm-up, you willmove out of Hall A at into Hall F staging.  Immediately following your performance, you will move out of Hall F and down Ramp F returning to the dock yard to load up.

On the Marching Festival map, ensembles will enter where it reads: "Roll Up Door."The door that says "Entrance" is for the spectators. (Note: the convention center misspelled entrance as “Entrance.”

Note: For the Individuals/Small Ensembles it will be easier to load into the front ofthe Indiana Convention Center off of Maryland Street.  There is a car-port /pull-up that can be used to quickly unload instruments if needed (No parking allowed, though). The docks can be accessed and used if needed.

Warm-ups:Interactive / Standstill warm-ups:  You need to abide by the scheduled warm up times. The warm up area will be in Hall A.   Hall A is located on the West side of the building and the furthest Left side ofthe dock area. In planning your day, please note that it should take approximately 10 minutes to move from the warm-up area (Hall A) to the performance venue, Hall F.

All Snares & Multi-Tenors warm up in Rooms 208 & 209.

In the Snares and Tenors warm-up room, participants must use padsor towels on their drums while warming-up.

All Keyboards and Small Ensembles will warm up in Room 124. Please note that Room 124 is connected toperformance room 120 and only separated by an air wall so that performers will need to be respectful of others andsensitive to volume while warning up. Room #124 will not have delineated warm-up areas. Please be respectful andaccommodating of others as you engage the warm-up process.

Inclement Weather Plan:All individuals and ensembles have specific, assigned warm-up rooms, so there should notbe any need to warm-up outside the Convention Center. Weather, therefore, is not afactor as it relates to warm-ups.

Equipment Truck:Equipment trucks should unload at the Indiana Convention Center loading dock tarmac off of West Street. There willonly be a limited space for equipment trucks on the tarmac. We strongly encourage you to stress to your students thatupon arriving or after their performance, your equipment truck must be loaded/unloaded quickly. With limited spaceand several ensembles competing, we need to be extremely efficient with our load-out procedure. After your truck isloaded, you MUST move it to a parking lot.

Buses:On Friday, buses should unload students outside the dock area gates on West Street. Buses cannot park there – theymay Un-load only. Please have your students/parents organized to unload/load quickly. For Thursday’sindividuals and small ensemble competition, the Maryland Street car-port /pull-up can also be used to quicklyunload instruments if needed (No parking allowed, though).

Indianapolis Parking Lot Map:Please see the enclosed downtown parking lot map. Each group is responsible for finding their own parking. Thereare five recommended open-air parking lots that are within a couple of blocks of the convention center. These arepay-to-park-lots.

Meeting and Walk-through:There will be a brief walk-through meeting at 7:45 am on Friday, November 12. Directors should meet and check infor this meeting in Exhibit Hall F. This will be an opportunity for you to walk through the load-in area, the warm-uparea, take a look at the performance hall, and discuss load-out and the flow of the competition floor. Please plan toattend or send a representative so that everyone understands the logistics involved for Friday’s activities. This will bethe time to ask any last-minute questions and double check that each group has all of their paperwork up-to-date.Remember to bring extra copies of your spiel sheet and copyright clearance forms. Please note: That you will not beable to perform if you do not have the proper copyright forms on file with PAS. This does not apply to individuals orgroups performing an original work.
