The importance of Deadlines and Communication
Have you ever planned an event? If so , you know that setting
deadlines is important for everyone involved! Setting deadlines
is important for the group that is organizing the event because
they need to make sure they can plan everything on time.
Deadlines help people think about what it will take to
accomplish goal, help them focus on priorities, and keep
momentum moving in a positive direction.
A classic example that most people can relate to is planning a
wedding. If no one RSVPs and they all showed up to the recep-
tion, there will not be enough food for everyone. It is safe to say
that at that point there are going to be some frustrated and hun-
gry people! This is just one example of how following deadlines
and communicating is extremely important. As you work with
your club, practice following deadlines so that you can make it a
habit.
A lot of things in 4-H take quite a while for adult and youth
leaders to plan, so make sure to respect their time and effort and
follow the deadlines they set so that they can plan and provide
the opportunities that you enjoy and value.
Have a safe and happy Fall!

4-H Year Calendar/ Insurance
Do you have 4-H activities and events to put on the year long 4-H Calendar for Pepin County?
4-H Leaders can submit 4-H programs such as project meetings, club meetings, or other 4-H events
that are planned for the year. All club and/or project meetings or other 4-H events for the October
2017– September 2018 4-H year must be submitted by October, 2017. (Club leaders, this is
submitted with your charter.)
As a reminder, any meetings held on personal property are primarily covered by personal home
owners insurance, and 4-H Leaders transporting youth in their personal vehicles are assuming
primary coverage under their personal auto insurance.
This is why it is a good idea to hold meetings at public locations, which also usually are accessible
to all members. This is also why it is a good idea to have families transport their own family
members.
It is also important to remember that youth who are not registered4-H members are not covered
under 4-H insurance.
If you are holding a meeting involving potential new 4-H members, please consult with Marie before
the event happens.
Call Marie at 715-672-5214 or email at [email protected] with any questions.

CLUB OFFICERS
This fall clubs will be electing new officers. Before your club holds its election, take time to explain the duties of each
office. The club officer team can play a big role in setting the pace of the club for the coming year. This tip sheet was
adapted from a Minnesota County 4-H Newsletter.
*Duties of President and Vice President — Presidents and Vice Presidents work together to determine the
specific duties that each will have in the club. They should determine “who will do what” from the following—as well as
add any items that may be specific to your club.
*Duties of the Secretary— Accurate club records help maintain orderly business from one meeting to the next.
These books serve as historical documents. Club secretaries and 4-H leaders need to determine what records are
important to maintain..
*Duties of Treasurer —- Club funds should be handled in a business-like way. The president should appoint an
auditing committee to review the books and make sure all is in proper order at the conclusion of the year.
*Club Reporter: Report to the community what the club is doing by sending articles and pictures to local newspapers
and other media.
*Club Historian: Keep record of group’s accomplishments and activities for the year and organize a club scrapbook.
Scrapbook should be durable and written with future generations in mind.
*Club Photographer: Tell your club’s story with pictures. Your pictures can appear in club scrapbook and local
newspapers.
-Keep accurate minutes of all club meetings.
-Keep a complete list of all members and call the role.
-Read letters to the club at meetings.
-Write the club’s letters.
-Notify members when and where meetings will be by
phone, postcard, or by person.
-Assist in deciding club goals and the annual club
program.
-Call meetings to order when both the president and
vice president are absent.
-Complete all club records and reports.
-Preside at all meetings.
-Prepare the meeting agenda with club leader and
other youth leaders of the club.
-Make sure that the meeting place is ready.
-Make sure that the program is ready and thank the
participants.
-Introduce and welcome guests.
-Appoint and work with committees.
-Arrange for elections of officers.
-Serve as chairman of club committees.
-Represent club at county or special occasions.
-Lead officers and members in planning interesting
programs.
-Keep an accurate record of all money received by the
club and all money spent.
-Make a report at each meeting including all money
collected, all money spent and the balance in the
treasury.
-Pay bills only as voted upon by the club and with the
approval of the leader.
-Turn over funds and accurate records to the newly
elected treasurer.

2017 Youth as Partners in Civic Leadership Conference: Love Empowers Action
Team registration is now open for the 2017 Youth as Partners in Civic Leadership Conference Love Empowers
Action at our website:http://fyi.uwex.edu/wi4hcitizenship/ypcl/ where you will find more details about what
our youth-adult team is putting together this year. The conference is Friday October 27-Sunday, October 29 at
the Upham Woods Outdoor Learning Center, Wisconsin Dells.
This event brings together teams of high-school-age youth and adults from across Wisconsin
who share decision-making roles in communities, schools and organizations. Our number one
goal is to create a community of diverse groups that believe in youth voice who can share the
work they are doing so others can be inspired and learn—whether they are focused on healthy
interpersonal relationships, substance abuse prevention, youth justice reform, mental health,
youth media, cultural issues, or anything else that engages youth in community issues.

September starts the new 4-H year and our
club jumped right in with a few extra activities
this month. On Labor Day weekend Stephanie
participated in a craft sale held at the Buttons
Bakery and Boutique in Rock Falls. She was
selling Christmas crafts that she made with the
help from her mother and aunts to help raise
funds for trips and camp that she will be
participating in in the coming year. Some of the
crafts that they made were pallet Christmas trees, painted holiday windows, bedspring
snowmen, and snowmen tree ornaments. She sold a few items and the rest will be available for
sale at the club's annual Christmas cookie bake sale.
The following week our club was asked to serve ice cream
at Brunner's Seed Customer Appreciation Dinner. We worked
out of the Dairy Promotion Council's dairy wagon. Many crop
and dairy framers attended the dinner so we were busy
scooping bowls of ice cream or making ice cream cones. Our
club enjoys doing activities for our community.
Then we held our monthly meeting on the 16th. After the
pledges were said and treasurer's report given we elected
new officers for the coming year. President - Stephanie
Brantner; Vice- President - Lauren Hendel; Treasurer - Emma Wayne; Secretaries - Abby
Weber and Aubrey Brunner; Sunshine Group - Tessa Auth, Elly Weber, Ella Traun and Hannah
Bauer. All members are to re-enroll online. Next we planned out meeting dates and community
service events for the next year. For our meeting project we filled out "My 4-H Friend..." and
"4-H Taught Me..." forms for our Achievement Awards program and we created a 4-H promo-
tional board to put on display for National 4-H Week at the Durand Community Library.
Brantner's were the Family In
Charge so the last thing we did
at our meeting was enjoy the
snack that they brought and take
time to visit with each other.
Our next meeting will be on
Oct. 15th at the Durand City Hall
for our Halloween party.
