Introduction The Replibit Licensing Portal is the central management point for licensing and hardware orders. The first step in the process of becoming an eFolder Replibit Partner is to gain access to the Replibit Licensing Portal which allows you to manage all of your Customer licensing and accounts. eFolder requires that new partners complete a short training session on how to access and use the Licensing Portal prior to receiving your login credentials.

The Licensing Portal will enable you to:

• Create and manage customer accounts with their associated site locations, • Assign endpoint-based or storage-based licensing to backup Appliances, • Order an eFolder Replibit BDR Appliance and have it preconfigured for a specific

customer and location, and • Request an eFolder hosted Vault to replicate your customer data to the Folder cloud. • Additionally, you are also able to replicate to a Vault hosted at your own datacenter if

you prefer.

Note: Before you can configure and deploy a new Replibit Appliance on-site for a customer, you must have already created a customer and defined at least one site location in the Replibit Licensing Portal.

If this process is not completed, you will not see the customer or location as an available choice when you are provisioning the Appliance.

The following guide and included screenshots pertain directly to new eFolder Replibit partners, and existing eFolder BDR for Replibit partners. Pre-merger direct Replibit partners will be referred to as Legacy Replibit partners throughout this guide. Most of this guide is applicable to Legacy partners though Notes have been included to call out differences in how Legacy Replibit partners interact with the Licensing Portal.

Accessing the Licensing Portal

To access the Replibit Licensing Portal, use any web browser navigate to https://licensing.replibit.com To log in to the Replibit Licensing Portal:

1. From the License Management window, • In the Username field, enter the

Partner Account Username.

• In the Password field, enter the Password that was assigned to you when you completed your initial Replibit Onboarding training session.

• Note: your Username and Password are case sensitive.

2. Select the Logon button.

Important Notes: • If you have not yet taken your initial

training session and received your Licensing Portal credentials, please contact your eFolder sales representative to schedule your session which will enable you to obtain your credentials.

• If you have misplaced or forgotten your password, from the License Management window,

o Click on the Forgot Password link below the Login button.

o Your password will be sent to the email address that you specified when you created your Partner account.

First Time Login

1. The very first time you log in to the portal, from the Replibit License Management left pane, click the My Account drop-down menu.

2. Select Profile Details.

3. From the Profile Details window:

• Enter your Address, City, and Zip Code in the corresponding fields.

• From the drop-down menu, select your Region, Country, and State.

• Enter your Email address and Billing email address for your company.

• Click the Update button to complete your Profile Details updates.

4. After you have updated your Profile, it is highly recommended that you change your password at the same time.

Note: If you do not change your password during this initial logon process, changing it later will require you to update all deployed Vault devices with the new Partner login password.

5. From the Replibit License Management left pane, click the My Account drop-down menu.

6. Select Change Password.

7. From the Change Password window:

• In the Old Password field, enter your Old Password.

• In the New Password field, enter a New Password that is complex, highly secure password for your Licensing Portal account.

• In the Confirm Password field, please enter this new password again.

• Click the Update button to complete.

The Replibit User Management Pane will appear after logging on to the Replibit Licensing Portal.

Adding Customers Overview

• To deploy an Appliance at a new customer location so that you can begin backups, you must create a Customer account within the Licensing Portal.

• Add Customer accounts by clicking on User Management and follow the step-by-step instructions presented in the next section below.

• Each Customer account must have one or more Locations.

• When deploying an Appliance, it must be assigned to an existing Customer Location that is not currently in use by any other Appliance.

Notes: ○ Each Location may contain only ONE Appliance. ○ You may create as many Locations as necessary for each Customer account. ○ Do not create multiple accounts for the same Customer. ○ Instead, create multiple Locations. o During the initial provisioning process when deploying a new Appliance at a Customer

site, if there are no options available when you select “Get Customers,” them there are no remaining unused Locations. In this instance, you will need to create a new Customer, or add a new Location to an existing Customer account.

Creating Your First Customer

1. Click the Add User button to create a new Customer account.

The Customer Details window appears. 2. Complete the fields on the Customer

Details popup window and then click the Submit button.

Notes: o The Customer\Username and

Locations fields may not contain any spaces or special characters with exception of using a comma to separate multiple locations.

o Enter multiple locations separated with a comma if needed.

o Make a note of the Customer Username and Password. These credentials will be required when logging in to any Vault to recover data for the Customer.

o If you want to allow your Customers to perform self-service file restores from an off-site Vault, you may provide this login credential to your Customer.

Creating Your First Customer (continued)

o Each customer within your Partner account must have a unique username. You cannot create two customers with the same username within the licensing portal.

o Passwords may only be recovered to the email address entered here.

o This email address cannot be changed later, so please make sure that it is correct.

o Replibit highly recommends that you use an email address or distribution list at your company, and not the actual customer.

Using the Licensing Portal

eFolder Replibit Licensing Model

There are two distinct types of licenses available for use within Replibit:

1. Endpoint licensing, and 2. Storage licensing.

• Each type of license is described in more detail on the next page.

• All eFolder Replibit licensing is based on a monthly recurring Per-Device or Per-Storage-Size model.

• Licensing charges are prorated, and billed based on the date they are assigned or removed.

• Note for Legacy Partners: Legacy Partner licensing charges are prorated from date of purchase or return. All charges are calculated based on total license count PURCHASED, regardless of whether it is assigned to a customer or not. To avoid charges for licenses not in use, return unused licenses by:

o Clicking on User Management,

o Select Reduce Licenses.

• Specific pricing of Replibit licensing will not be covered within this guide, except in general terms. Please consult the latest eFolder Replibit Pricing Guide for current pricing on all eFolder products.

Endpoint Licensing o Each Endpoint license provides the right to back up a single workstation or server,

referred to as a Protected System. o Endpoint licenses come in two classes: Workstation, and Server. o Endpoint licenses are assigned to a Location, and are consumed automatically by the

Appliance when an Agent is installed on a Protected System. o Workstation operating systems, like Windows 10 require a Workstation license, and

Server operating systems, like Windows Server 2012 require a Server license. o All Endpoint licenses, Workstation or Server, include a Replication license. o Replication licenses provide the right to replicate the associated Protected System to an

off-site Vault.

Note for Legacy Partners: All new Endpoint licenses purchased through the portal will be bundled licensing with replication. Existing Server-Only and Workstation-Only licensing will continue to function as they do today, and will be billed at the existing rates.

Storage Licensing o Storage licenses provide the right to back up an unlimited number of Protected Systems

to a single Backup Appliance, up to the storage limit. o Available storage sizes are: 1TB, 2TB, 3TB, 6TB, 9TB, 12TB, 15TB and 18TB. o In addition, each storage license comes bundled with unlimited cloud storage in the

eFolder datacenter, with a fixed retention period. o Cloud retention options are 3 Years or 10 Years.

− For example, when purchasing Storage-based licensing for an Appliance, you might elect for 1TB of local storage with 3 Years of retention in the cloud, or 2TB of local storage with 10 Years retention in the cloud, etc.

o Storage licensing may be assigned to both eFolder branded BDR appliances, and Build-Your-Own appliances.

Endpoint or Storage Licensing? • One of the most frequent questions on licensing is: Which Licensing Model is better? • This answer depends upon the number and size of devices that you want to License. • With eFolder Replibit, you are free to combine both licensing models in any way you choose

to bet meet your needs. • Additionally, you can choose to change licensing models at a later point in time; you will

have the ability to simply remove the current licenses, and reapply the license you would like to assign.

• Endpoint Licensing is best suited for Customer locations that have fewer Protected Systems with large storage requirements.

• Storage Licensing is best suited for Customer locations that have many Protected Systems with small storage requirements.

Managing Licenses

Once you have created a Customer with a Location, the next step is to assign Licenses to that Location. From the Main Menu in the left pane: 1. Click the User Management drop-

down menu, 2. Select Licenses.

3. To assign licenses, locate the Customer and Location within the main window. 4. Click on Manage. 5. Alternatively, you can search by customer name or location from the Search field in the

upper right side of the window.

Note: Customers with more than one Location will appear in the list multiple times. Ensure that you have selected the correct Location when managing licenses.

Note: The Used field indicates whether a location already has an Appliance registered, denoted by a “Yes” or a “No” as illustrated above.

To clear an Appliance from a location, you will need to perform a Factory Reset of the Appliance from its Settings menu. For instructions on How to Perform a Factory Reset of a Device, consult the eFolder Replibit Administration Guide.

Note for Legacy Partners: eFolder Replibit customers have infinite licenses available for assignment, as depicted in the above screenshot. Legacy Partners will see the actual license count that they have purchased. To add additional licenses, click Buy Licenses from the Main Menu and complete the purchase as you do today. To remove licenses from your account, click on Reduce Licenses (shown above) to remove a previous license purchase order.

The Manage Location window appears. To assign Endpoint licensing to a Customer location: 1. Click on the Add Endpoint License button. The Add Endpoint License pop-up Window appears. 2. From the Add Endpoint License pop-up Window, enter the license count for Server(s)

and Workstation(s) licenses in the Allocated fields as shown below. 3. Click on the Submit button. Note: Endpoint License billing is pro-rated on a monthly basis, beginning on the date that licenses are Allocated to a Location, regardless of whether the Licenses are actually in use or not.

To assign Storage licensing to a Customer Location: 1. Click the Add Storage License button. The Add Storage License pop-up window appears. 2. Click the Select a license drop-down menu. 3. Select an available Storage license entry. 4. Click the Submit button.

Note: Storage licensing is prorated and billed from the date Licensing is assigned.

To remove an existing license, under Actions, click Remove. Notes:

• Endpoint licenses are cumulative; you may add additional license packs over time to meet your needs.

• Only one Storage license at a time may be assigned to a Location.

• To switch from Endpoint to Storage or vice versa, first remove all assigned licenses, and then add the desired new license type.

• IMPORTANT NOTE: If you are using eFolder Vaults, you will also need to delete the Protected System out of the Vault to avoid future billing.

o To delete the Protected System out of the Vault: − Log into your Vault − Select the Delete button next to the Protected System you would like to

remove.

Managing Users (Customers)

To manage existing Customers and Locations:

1. Click on the User Management drop-down menu from the left pane.

2. Select Users.

Click the checkbox to select the Customer account that you wish to modify, and select an action from the toolbar that you would like to perform:

• Edit: Edit the account Company Name field • Activate: Activate a deactivated account • Deactivate: Deactivate an active account. Deactivated accounts may not perform backups • Add Location: Add a new Location to the account • Remove Location: Remove location from the account. This will remove any assigned licenses • Delete: this deletes the account, including all locations. This will remove all assigned licenses • Email Password: Email the account password to the assigned email address • Add User: Create a new Customer account and Location(s).

Notes:

o To temporally suspend a customer account, for example due to non-payment, Click the Deactivate button. Licensing for the all Locations belonging to that customer will be revoked, without modifying the License Assignments.

o To allow a Customer to resume taking backups, Click the Activate button to reactivate the Customer’s licenses.

o To remove a location, click the Remove Location button. This will delete all Licenses assigned to that site. Any Appliance associated with a Removed/deleted Location will have to be Factory Reset and re-provisioned before it will be able to take any new Backups. If an Appliance has been lost, for example due to hardware failure, you may either delete and recreate the Location, or contact Replibit Support to have the existing Appliance association cleared from the License Portal.

o Customers with more than one location will appear in the list multiple times, one for each Location. Please ensure that you have selected the correct location for the Customer you are working on.

2. From the Replibit Licensing Portal main menu pane, select the Buy BDR drop-down menu option.

Select a Model

The Hardware menu appears.

1. From the Product Type drop-down menu, select the type of device you are interested in purchasing. For example, Mini Units, Pro Units, and/or Rack Units. Additionally, Upgrade Kits and Spare Parts Kits are also available for purchase from this menu. Note: Spare Parts Kits are available for all units; Upgrade Kits are only available for the Pro and Rack units.

2. Once you have selected your desired product, click Next to continue.

Choose a Warranty type

The Warranty menu appears.

1. From the Warranty drop-down menu, select the Warranty option you are interested in. For example, a “3yr” or a “5yr.” All BDR units include a standard 3-Year Warranty from eFolder at no additional cost included in your purchase.

Note: You may choose to upgrade your Warranty from a 3-Year to an extended 5-Year (at the additional cost displayed in the drop-down menu), however, this extended 5-Year Warranty MUST be purchased AT THE SAME TIME of your BDR Appliance purchase.

If you desire the additional two years of Warranty on your product, select “5yr” from the Warranty drop-down list to purchase at the same time of your Appliance in order to be eligible for the upgrade. This upgrade cannot be added after you have selected the standard 3-Year Warranty and completed your purchase.

Provisioning

Configure how you would like the device to be configured (Optional).

• BDR units will arrive preconfigured and ready to use! Therefore, you can plug any unit into the network and simply power on. You may even have them shipped directly to your customer site.

• Each BDR unit ships with an end-user friendly quick start guide describing how to connect it to the network. • Device Type: Select whether your device should be configured as an Appliance or Vault

• Timezone: Select the time zone to which you intend to deploy the unit.

• Hostname: Enter the Hostname for the unit. It is recommended to use a Customer-centric name for your BDR devices to simplify remote management identification of the unit. i.e MyCustomerBDR

• Network Configuration: Specify DHCP or enter Static IP address information.

• IPMI Configuration: Specify DHCP or enter Static IP address information

• Note: Only Pro and Rack models offer support for IPMI.

• Note: You may enter up to two DNS servers in both the Network Configuration and IPMI Configuration settings sections. Separate the two DNS server entries with a comma.

• Passwords: Enter the password credentials you wish to assign to this BDR unit.

Note: There are three distinct types of passwords on every Replibit device:

Root User Password The root user is the Linux operating system “Super-user” equivalent to Administrator on a Windows system. The password for the root user must be extra secure to avoid outside security threats to the appliance. The root user password must be at least 10 characters long, and contain at least one upper, one lower, one numeric, and 1 special (!@#$%^&*) character.

Replibit User Password The Replibit user is a limited access Linux shell account that may be used to perform some simple configuration tasks. Although this user has limited access rights, it should still be given a relatively strong password, since the Replibit account has the ability to reset the Web GUI admin password. This password must be at least 8 characters long, and has no other restrictions.

Admin (Web GUI) User Password The Admin account is used to log into the Replibit web management interface. This is the account that you will use most often, and it provides access to all of the features and services of the backup software. This password should be relatively strong to prevent unauthorized access to your customer’s Protected System data. This password must be 8 characters long, and has no other restrictions.

• Global Management Portal (Optional) The Replibit Global Management Portal is a separately deployed device that enables remote management and reporting of all your Replibit Appliances and Vaults. Optionally, enter the FQDN or IP address of your Global Management Portal, the user account, and API Key (Obtained from the Global Management Portal ‘Users’ tab.) If configured here, the BDR Appliance will register itself with your Global Management Portal and will be remotely accessible once your customer connects the device at their location.

Note: You may choose the Skip button on this window to bypass pre-provisioning, as well as several of the following configuration pages. If you elect to skip pre-configuration, your unit will arrive un-provisioned. Refer to the Replibit Administrator’s Guide for instructions on how to perform provisioning on a newly installed Replibit device.

To continue with configuration, click the Next button to proceed.

Assign Customer and Location

• Customer: Select a Customer and Location from the drop-down menus where you want to deploy this Appliance.

• Note: If necessary, you may choose to create a new Customer account, or add a new Location to an existing customer by selecting Add Customer or Add Location.

Once complete either selecting the desired Customer and Location, or adding a new Customer or Location, click the Next button to proceed to the next page.

Assign Licenses

Select the Licensing Type that you would like to assign to this Appliance and then click the Next button.

Shipping Information

Complete the Shipping Information. This is the address where the device will be delivered. Note: You may enter your own business address, or opt to ship directly to your customer site.

Select your preferred shipping method. Click Next to proceed to the next page.

Billing Information

Enter the Billing contact information. Click the Next button. Once the BDR unit has shipped, an email confirmation notification will be delivered to the billing contact containing the shipment tracking number.

Order Review

Review the Order Review window and verify that everything is correct. To make changes, select the Back button to return to the appropriate page and make your corrections. Once you are satisfied that your order is correct, select the Place Your Order button.

Order Conformation

The order confirmation is displayed. You will also receive an order confirmation email to the Billing contact email address.

Request an eFolder Hosted Vault • Once you have deployed your first Appliance to a Customer site, you will likely want to set

up an off-site Vault to replicate your customer data. • Having an off-site Vault provides an additional layer of protection for your customers by

providing a remote copy of their Protected System data in case of a local site disaster. • With eFolder Replibit, you have the option of building your own off-site facility, or using

one of eFolder’s world-class datacenters. • You may also opt to use a combination of both self-hosted and eFolder hosted

Vaults. Endpoint license pricing will be dynamically calculated based on whether the off-site replication data is being delivered to your datacenter or eFolder.

• If you would like to replicate your data to

eFolder, you must first request that a new Vault be created for your Partner account.

• From the Replibit Portal License Management Main Menu, select the Request eFolder Hosted Vault option.

• Notes: This step is necessary only if you would like to replicate customer data to an eFolder datacenter. You are free to set up and deploy Vaults in your own datacenter at any time.

• Additionally, this process is only for requesting your FIRST eFolder vault. To request additional Vaults as your customer base expands, contact the eFolder Replibit support team at [email protected] to ask for additional Vaults.

Our engineers at eFolder will create both a Vault, and a Global Management Portal assigned to your Partner account. It typically takes 2-3 business days to complete this initial provisioning. Once completed, you will be contacted by your eFolder sales representative to schedule a new Onboarding session with our sales support staff. During this Onboarding, you will receive access credentials and instructions for using your new Vault and Global Management Portal. You will also receive a short training session pertaining to Vault and management portal operations.

Note: It is never necessary to provision additional Global Management Portal instances.

Managing Your Account

• From the Replibit License Management Main Menu, to view or change your Partner account settings, select My Account.

• Within this this section you can review the history of previously purchased eFolder Replibit BDR Appliances, and check on their delivery status.

• You may also make changes to your company profile, including Company Name, Address, administrative, and billing contact information.

• Finally, from within this section you may also make changes to your Partner account password.

• Note If you change your Partner account password within the Licensing Portal, you will be required to update the Partner password on every Vault from the Settings/Licensing page.

BDR Orders

To see the status of you BDR orders, select BDR Orders. Pending orders that have not yet shipped may be cancelled by selecting the Cancel button from the Actions menu.

Profile Details

Under the Profile Details page, to modify your company Profile information, select Profile under the Settings option. Enter any changes you would like to make to your: • Reseller Company Name, • Address, • Region, or • Country. You may also specify a separate (optional) billing email contact, or change your default administrative email address. To enter multiple email addresses, simply separate each address with a comma. Once you are satisfied with your changes, click the Update button to process them. To change your Partner account password, select Change Password under the Settings option. Enter your current password, then type your new password twice.

Change Password

To change your Partner account password, select Change Password under the Settings option. From the Change Password window, enter your Old Password, then type your new password, and enter it again to Confirm Password. Press the Update button.

IMPORTANT! If you change your Partner password, you must update the Licensing Portal password on EVERY VAULT. Replibit Vault devices synchronize account information with the Licensing Portal. To enable this synchronization to continue, you must visit the Web GUI of each Vault, Navigate to Settings -> Licensing, and update the password.

Legacy Partner Billing

Note: for Legacy Partners: You will still find access to your previous monthly payment statements under the My Account menu.

Additionally, you may manage your you credit cards on file under the My Accounts drop-down menu, under Settings.

To add a new credit card to your account, select Manage Credit Cards and then click the Add Card button.

Our Cloud or Yours

In order to provide the most flexibility possible to our Partner MSP’s, you may choose to replicate your customer data to either the eFolder Cloud or to your own datacenter.

When using Endpoint licensing, you will pay a higher rate for each license that is replicated to an eFolder hosted Vault. Consult the current eFolder Pricing Guide to determine the cost differences between Self-Hosted and eFolder-Hosted Endpoint licensing.

Each Protected System replicated to an eFolder Vault using Endpoint licensing comes bundled with cloud storage that is added to your available Storage Pool.

o You will receive 2TB for each server and 250MB for each workstation. o Storage Pool size is cumulative, and shared across all Protected Systems and Vaults within

the eFolder cloud. o Each Protected System storage size is not limited per device. You are only limited by the

total cumulative Storage Pool size to which you are entitled, based on how many Servers and Workstations you are replicating to the eFolder Cloud.

o With Endpoint based licensing, you are free to set any custom retention policy in the Vault, on a per-Protected-System basis.

o Storage based licensing comes bundled with unlimited storage in the eFolder cloud, for the specified retention period of 3 Years or 10 Years.

o You may elect to replicate Protected Systems from Appliances using Storage based licensing to your own datacenter, but there is no price reduction when doing so.

o Protected Systems that are using Storage based licensing will have a fixed, unchangeable retention policy in the eFolder Vault based on a 3 Year or 10 year schedule.
