UNRESTRICTED EDUCATIONAL GRANTS The New Zealand Sexual Health Society Conference is primarily dedicated to promoting objective medical, scientific and educational activities and discourse. The conference is of an educational and scientific nature and is being conducted for the genuine purpose of promoting scientific knowledge. Educational grants will be used towards the bona fide costs in conducting the conference and shall not be used directly or indirectly for any other purpose. The organising committee will have complete control over the conference programme.

Exhibitors and partnering companies are asked to adhere to the guidelines of the Medicines New Zealand Code of Practice 16th Edition.

GENERAL INFORMATION

Accommodation Exhibitors will be able to book accommodation at Chateau on the Park, a Doubletree by Hilton, the conference venue. More information will be distributed with the Exhibition Manual. Catering Morning and afternoon teas, lunches and the welcome function on Thursday evening will take place in the exhibition area. Catering for exhibitors will be served 30 minutes prior to delegate breaks. Compliance Where compliance documentation is required to be completed by the Conference Committee and/or Exhibition Managers, no partnership or exhibition entitlements will commence until a signed Partnership and Exhibition Application Form or written confirmation is received by the Exhibition Managers, ForumPoint2 Conference Partners, [email protected] Exhibition Floor Plan The floor plan can be found on page 9 of this document. Removal of side walls can be arranged if required. Exhibition Location Camelot Room, Chateau on the Park, a Doubletree by Hilton Exhibition Manual On confirmation of your stand(s) allocation, you will be sent an Exhibition Manual in June 2017. This document will assist in your preparations for the conference. The manual will enclose details of the following:

Terms and Conditions Exhibitor Personnel Registration All company representatives must be registered for the conference, including complimentary/inclusive registrations. Each exhibiting company will receive one (1) complimentary registration per stand purchased. All other stand personnel must register. The registration form will be circulated with the Exhibition Manual on 7 June 2017. How to book partnership and exhibition space Complete the accompanying application form and return to the conference organisers. On receipt of your application form, a GST invoice will be sent. Payment is required to confirm your Partnership and/or exhibition space. Networking The welcome function will be held at Chateau on the Park, a Doubletree by Hilton on Thursday evening in the exhibition area. The conference dinner will be held at Sixty6 on Peterborough on Friday evening. Insurance It is the responsibility of each exhibiting company to ensure that their display materials are insured for theft or damage. You will be required to forward the name of your insurer, your policy number and its renewal date – this will be requested in June 2017. Programme Information Conference programme start and finish times are subjection to confirmation. For the most current information, refer to the conference website www.nzshs2017.co.nz Stand Allocation Stands will be allocated on 7 June 2017. They will be allocated in order of partnership level and then in order of receipt of application. Major Partners are advised to confirm before 7 June 2017 in order to guarantee preferential location. Stand Application Application for exhibition space can be made on the accompanying form. On receipt of the form a GST invoice will be issued. Payment will confirm your request.

HEALTH AND SAFETY The conference managers, ForumPoint2 Limited, in conjunction with the New Zealand Sexual Health Society (NZSHS) Conference Organising Committee and venues are morally and legally responsible to provide a safe and healthy environment for all attendees at the conference. This commitment extends to ensuring the NZSHS Conference operations do not place the local community at risk of any injury, illness or property damage. All measures within our ability will be undertaken to ensure that attendees are as informed as possible about any potential hazards they may face whilst attending conference. All attendees will need to: • listen to the health and safety briefing onsite and/or read the health and safety document at the

registration desk • ensure that all health and safety concerns; and all accidents or near accidents are immediately

reported to the health and safety officer on site. All attendees are encouraged to be responsible at all times, and to promote a safe and healthy working environment for the entire conference duration.

SECURING A PARTNERSHIP OR STAND SPACE

Secure Your Partnership or Stand Space The preferred final date for receiving a commitment to partner or exhibit at the New Zealand Sexual Health Society Conference 2017 is 7 June 2017, at which time stands will be allocated. This will allow time for logo acknowledgement on conference material available, including the conference handbook and audio visual acknowledgements. If you would like to benefit from a Partnership, or to secure a stand space, please complete the attached Partnership and Exhibition Application Form. Please remember to keep a copy for your records and forward the original to ForumPoint2 Limited, the Exhibition Managers. Payment An enclosed cheque, credit card details, or notification of payment by direct credit, for full payment is appreciated to secure space. If payment is not received with the application form, a GST Tax Invoice will be sent and the space will only be confirmed when payment has been received. PARTNERSHIP AND EXHIBITION PACKAGES TERMS AND CONDITIONS

To secure your preferred Partnership package, please complete the Application Form attached to this

prospectus and return this with full payment to the Project Managers, ForumPoint2 Conference Partners.

All pricing quoted in New Zealand Dollars and is exclusive of 15% GST.

The Application Form may be emailed or mailed to the Project Managers – please see details on the form or the contact details in this document.

A Partnership agreement confirmation and GST Tax Invoice will be supplied on confirmation of the Partnership and payment of the full amount.

Full payment is required at the time of submitting the booking either by direct credit, or credit card.

The deadline for submitting the Application Form to ensure your company logo is included in the Conference Handbook is 7 June 2017.

Partnership confirmation will be on a strict “first bookings and payment received” basis. A submitted booking form without the full payment will not be deemed as a confirmed.

No partner/exhibitor shall assign, sublet or apportion the whole or any part of their partnership package, stand space or registrations without the approval of the Project Managers.

The Project Managers and Conference Convenors reserve the right to decline a Partnership or Exhibition space application.

Cancellation: If notification is received prior to 21 June 2017, 75% of your investment will be refunded. After 21 June 2017, no refunds will be made.
