1 Introduction This document outlines the necessary procedures to install the Spanish Language version of the P2000 system for P2000 Version 3.8.

2 Software Requirements The Spanish Language installation procedure has the following prerequisites:

1. P2000 Version 3.8 is already installed and operational. 2. The Windows Operating system that the P2000 application is loaded on is already

configured to support Spanish language characters and text. 3. The ZIP file P2000 V30800 B[xx] ESP [yyyymmdd].zip containing the P2000

Spanish Language files, where: a. [xx] references the build number that matches the currently installed build of

P2000. b. [yyyymmdd] references the build date of associated language DLL file, in the

format Year, Month, Day.

3 P2000 Server and Workstation Installation Steps The installation steps below should be executed on both the P2000 Version 3.8 Server, as well as any P2000 Version 3.8 Workstations (if applicable).

1. Create the subdirectory resources\ESP within the P2000 BIN directory. This is usually located on the primary hard drive, typically under the following folder structure: C:\Program Files\Johnson Controls\CARDKEY P2000\bin\...

2. Extract the contents of the ZIP file P2000 V30800 B[xx] ESP [yyyymmdd].zip

(see section 2 for the definitions of [xx] and [yyyymmdd]) into the newly created directory (e.g. C:\Program Files\Johnson Controls\CARDKEY P2000\bin\resources\ESP\ ).

3. Launch the P2000 Version 3.8 application. 4. Determine if the P2000 Application is displaying the Spanish language. Under some

Operating System configurations, the P2000 System will launch in Spanish by using the default system settings. If Spanish text appears to be displaying properly, continue to step 10, otherwise if text is appearing in English, continue to step 5.

5. Navigate to the P2000 Local Configuration application from the P2000 menu by selecting the System Local menu item.

6. In the Local Configuration application, change the language to Spanish.

7. Click the OK button to save the changes and to close the Local Configuration application.

8. Reboot the computer.

9. After reboot, launch the P2000 Version 3.8 application.

10. Verify that the application is now displaying in the Spanish language. Below are some sample screenshots demonstrating some of the P2000 components loaded with the Spanish Language.

4 P2000 English Support on a Spanish Operating System In order to ensure the proper display of the English Language interface of P2000, where P2000 is being operated in English mode but installed on a Spanish Operating System with a Spanish version of SQL Server, it will be necessary to install a separate English Language DLL pack into P2000. When installing the English language DLLs on a P2000 system, where the intent is to run P2000 in English mode on a Spanish OS/SQL environment, it is imperative that only the English DLLs be loaded. P2000 does not fully support a hybrid language system where both English and Spanish DLLs would be loaded. In order to properly display Spanish database records on reports under the English mode, it will be necessary to convert, maintain, and load English language versions of the P2000 reports using appropriate font types / sizes. Please refer to section 5 of this document, which contains instructions on language support for Reporting. English reports should be stored in the \reports\ENU\ folder on the P2000 server. The installation steps below are very similar to Section 3 of this document, and should be executed on both the P2000 Version 3.8 Server, as well as any P2000 Version 3.8 Workstations (if applicable).

3. Launch the P2000 Version 3.8 application.

4. Navigate to the P2000 Local Configuration application from the P2000 menu by selecting the System Local menu item.

5. In the Local Configuration application, change the language to English. DO

NOT accidentally select English (United States), as this will not properly display the P2000 application in a Spanish environment.

6. Click the OK button to save the changes and to close the Local Configuration application.

7. Reboot the computer.

8. After reboot, launch the P2000 Version 3.8 application.

9. Verify that the application is now displaying in the English language.

5 Spanish Language Reporting

5.1 Loading Spanish Language Reports

1. Create the subdirectory ESP within the P2000 REPORTS directory. This is usually

located on the primary hard drive, typically under the following folder structure: C:\Program Files\Johnson Controls\CARDKEY P2000\reports\...

2. Copy the entire contents (all of the rpt files) of the P2000 REPORTS directory into

the newly created directory (e.g. C:\Program Files\Johnson Controls\CARDKEY P2000\reports\ESP\ ).

3. Select the Reports menu from the P2000 Toolbar, and select Load Language Reports

4. Select Spanish as the report language, and click OK to load the reports.

5. Once complete, launch the reports window and verify that the Spanish language reports have been loaded.

6. Select any report and click run.

7. After entering any filter parameters, if any, verify that the report runs.

5.2 Translation of Spanish Language Reports

A majority of P2000 Standard Reports incorporate a feature which allows translated P2000 text strings to be passed into the report object during runtime in the appropriate foreign language. Developed using Crystal Reports version 9.0, these report files rely upon a group of parameter values passed into the Crystal Reports runtime engine from P2000 which include the correct language version of the report text labels (e.g. First Name, Last Name, Badge Number). Due to technical limitations with the Crystal Reports engine, some Standard P2000 Reports do not support this dynamic translation feature of P2000, and instead are delivered with hard coded text labels. Accordingly these specific P2000 report files must be edited with the correct language text strings for the desired foreign language. Below are instructions on how to edit, save, and load these limited report files for the Spanish language.

5.2.1 Prerequisites

Editing of the limited set of Crystal Report files that do not support the P2000 Language Translation feature requires the purchase of the Crystal Reports software package. Crystal Reports XI (version 11) Standard Edition is available directly from the manufacturer Business Objects, and can be purchased for download directly from their website for $220 USD as of February 12, 2008: http://store.businessobjects.com/

5.2.2 Affected P2000 Standard Reports

P2000 Standard Reports that must be manually edited for foreign language text label support are contained within the foreign language report directory of the P2000 installation. This is typically found at the following location (for Spanish): C:\Program Files\Johnson Controls\CARDKEY P2000\reports\ESP\

Only those files in the specific language directory (e.g. ESP) should be modified!

It is necessary that the files identified below must have their properties set to

Read/Write (instead of the default Read Only) in order to save the updated file.

5.2.3 Flowchart on identifying and editing Crystal Report Files

The flowchart below outlines the necessary steps required to open, modify, save, and update P2000 Crystal Report files that will need to be manually modified with appropriate Spanish language text. These steps require that they are taking place on the same machine as where the Crystal Reports software package has been installed, and on the same physical machine as where the P2000 server installation resides. Please see section 5.1.4 for more detailed instructions on modifying a Crystal Reports file.

5.2.4 Instructions on Editing P2000 Crystal Report Files

Using the Crystal Reports editor, navigate to the P2000 \reports\ESP\ directory, and open the Crystal Reports that needs manual editing to update the necessary text labels to Spanish.

Utilizing a printed copy of the P2000 report that contains non-translated strings, find and identify fields contained in the Crystal Report file that are made up of hard coded English text. If a text field requires manual translation, this can be identified with the value of the text field containing hard coded text, instead of a parameter value. All parameter values are preceded by a question mark (?), while hard coded English text begins with a letter or number. For example, a text field containing the value Menu Item must be translated. Alternatively, if a text field contains ?menuitemlabel then this field is automatically translated by P2000, and does not need a manual translation. Once an identified field is selected, double click on the field to edit the text, and replace the contents of the text field with the appropriate Spanish language text.

In some cases, hard coded text strings may be contained within Formula fields. These can be identified with the @ character at the beginning of the text. In the case where hard coded English text may be appearing in a Formula field, the formula field must be edited. This can be done by right clicking on the Formula field, and selected Edit Formula from the pop-up menu.

Once the Formula field is open for editing, identify any hard coded text contained within double quotes throughout the formula (e.g. Badge Resync). Modify the text contained within the quoted with the appropriate Spanish language text.

Finally, in some cases, hard coded text strings may be contained within Subreports. These are identified as stand alone objects which are embedded report files. Right clicking on these objects will bring up a pop-up menu indicating that the object is a Subreport. Right click on the Subreport object, and select Edit Subreport to open the Subreport in a new tab. Then follow the same instructions above to identify and correct any text that may need updating to the appropriate Spanish language text.

5.2.5 Special Notes on Manually Editing Crystal Report Files

5.2.5.1 Changing the Date/Time format on reports for Spanish

It may be desired on some reports, where specific date/time related fields are being displayed to use a custom format, to change this format to a syntax that is more desirable on a Spanish language system. While a majority of P2000 reports utilize the default system format for date/time, some reports, such as the Timezone Report, utilize a custom format to facilitate a specific need when the report was created. In order to change the date/time syntax on a specific Crystal Report field, the designer will need to edit the report using Crystal Reports, as outlined in section 5 of this document. To change the date/time syntax of a specific field, open the appropriate Crystal Report (rpt) file in Crystal Reports Designer, and select the specific field(s). Right click on the field(s) and select Format Objects. Note that Crystal Reports does permit multiple fields to be changed simultaneously. Figure 5-8 below demonstrates the selection of multiple fields, and right clicking to access the menu.

In the subsequent Format Editor dialog that opens, navigate to the Date / Time tab, and select the appropriate syntax that is desired. Note that selecting System Default Time permits the field to display the same syntax as is configured on the specific OS that the report is running on. Figure 5-9 displays an example of the Format Editor.

Once the change is complete, be sure to save the report file, and load it into the P2000 database.

5.2.5.2 Operator Permissions Report

Note that the Operator Permission labels are sorted on the report alphabetically. Accordingly, labels that have been translated into Spanish will appear in a sort order native to that language. In the case where some labels have been translated to Spanish, while some remain in English, the Spanish labels may be at the end of the report after the English list is complete.

5.2.5.3 Preprocessed Reports

There are several Crystal Reports in P2000 that depend upon database tables that are automatically populated on a nightly basis by the P2000 PNTPeriodic service. These are temporary tables that are utilized by these preprocessed P2000 reports. Under the Database Maintenance utility of P2000, there is a feature called Update Preprocessed Report tables that allows a user to manually trigger the preprocessing of these tables.

In order to run these preprocessed reports on a fresh installation of P2000, where the nightly PNTPeriodic service has not yet had an opportunity to automatically populate these tables, it is advised that the tables be manually updated through the Database Maintenance application. This will also be necessary when it is desired that the most current data be displayed on the preprocessed reports.

5.2.5.4 Report name vs. Crystal Report Filename

In order to facilitate the manual editing of Crystal Report files, a partial table listing the appropriate Crystal Report filename against the P2000 Report Name in the P2000 Run Reports application is displayed in table 5-2 below. This is a partial list for P2000 reports that may be confusing for the developer in identifying the correct Crystal Report file:

5.2.5.5 Report Files and Updated P2000 Versions / Builds

It should be noted that backup copies of all edited Crystal Report files should be kept in a secure place. When P2000 is updated to a new build, or a new version, report files kept in their standard location may be overwritten with an updated copy. Accordingly it is a wise idea to keep backup copies of these report files for the specific language (in this case Spanish). Furthermore, during a build update, or a service pack update, a standard P2000 report file may have changed. This will require a copy of the updated file to be obtained from the root P2000 reports directory, saved in the language specific directory, and re-edited to update string translations, font sizes, printer page sizes, and field size / alignments.

5.3 Support for Correct Printing and Exporting of Spanish Language P2000 Reports

In order to support Spanish Language characters for printing and exporting of reports to various different formats, it may be necessary for all fields in all reports to be changed to utilize the MS Gothic font, using a 9 point font size. This change will be necessary if the default font style and size delivered with the report files are found to not be displaying correctly when running these reports in Spanish. Figures 5-11 and 5-12 below display screenshots from the Crystal Reports editor, where a block of components have been selected and modified to make use of the MS Gothic, 9 point font size.

5.3.1 Changing Fonts Using the Crystal Reports Editor

Using Crystal Reports editor, you can select all of the fields in the report file by utilizing the select all command found on the Crystal Reports menu toolbar. Figure 5-13 below demonstrates the use of the Select All command.

This will enable all the fields on the report to be selected, and in the case of many reports, will permit the user to execute a global font type / size change. Alternatively, a user can select groups of fields manually by clicking outside a group of objects on layout page, and clicking - dragging the mouse to highlight all of the desired fields. Figure 5-14 demonstrates the highlight feature.

If the font type / size boxes are not enabled after highlighting a selection of objects, this is an indication that certain objects (such as subreports or graphical lines) have been selected, that are not subject to font rules. Accordingly, these objects must be unselected before a global font change can be executed. This can be done by holding the key down and clicking once on the object that you wish to unselect, which if done correctly, will enable all the other objects to remain selected. Figure 5-15 below displays an example where all necessary objects have been selected, with various subreport or graphical line objects unselected.

Also, when editing the fonts on the report files, while a size 9 font is recommended for most fields using the MS Gothic font type, it is suggested that a larger font size be retained for certain fields which may identify a particular section of the report (e.g. the Report Title). Finally, any objects within subreports must also be modified to use the MS Gothic font type, and 9 point size, as outlined in the steps above to support printing and exporting of Spanish characters. For instructions on modifying subreports, please refer to section 5.1.4.

5.4 Adjusting Report Page / Field Sizes

On a Spanish language system of P2000, the default page size for which P2000 reports are configured under are defined as the American Page standard of 8 by 11. However the default printer page size used in a Spanish language system may be of a different type (e.g. A4 [210mm x 297mm]). Accordingly, reports that are to be generated on the Spanish language system of P2000 must be edited to support the different page size. This can be done by opening the associated Crystal Report file using Crystal Report Designer, and setting the page size using Printer Setup under the File menu. Under the Print Setup dialog box that opens, select the appropriate printer paper size that will be used by the P2000 reports. Figure 5-16 and 5-17 display an example of selecting the A4 paper size for the Alarm History report.

Once the new paper size is selected, the report layout will be realigned for the new paper size. In some cases, due to the difference in paper size, some fields will be extended beyond the usable layout page of the report. It will then be necessary to re-align these fields accordingly. Figure 5-18 demonstrates an example of the Alarm History report that has been re-paginated for A4 paper, where several fields are now stretching beyond the usable area of the page. To re-align the fields, click drag the mouse to highlight all of the necessary fields that are extending outside of the page to select those fields. Figure 5-16 demonstrates an example of selecting the required fields, while Figure 5-19 demonstrates an example of the selected fields that will need to be re-aligned.

Once the required fields have been selected, click on one of the highlighted fields where the drag points have been enabled (see Figure 5-20 for an example), and drag the field so that it lies just on the usable area of the report. Figure 5-21 demonstrates an example of the re-aligned fields.

5.5 Special Notes on Adjusting Report Fields

After the report has been modified and saved, there may be cases where specific report fields may be either too small to accommodate the font size, or not aligned appropriately with other fields. It is recommended that as part of the foreign language update to the Crystal Report files, that these fields be identified during the testing of the reports, and resized, or re-aligned accordingly. Please refer to the text in section 5 of this document to become familiar with the process of resizing or re-aligning a report field.
