Message from Management Paul Fleiszig

Welcome to the 2013 Oxford newsletter. This year has been another successful year for the Oxford Logistics Group. We have all met many challenges and taken a number of opportunities. This newsletter will cover some of the commercial and personal highlights for our ‘Oxford family’ for the year.

2013 has seen Oxford grow again. We completed

our 13B extension in October on budget and with

minimal delay. The new store holds about 23,000

pallets in two rooms. The 13B complex is built using

the latest energy saving & operating technology. The

key new feature is the implementation of mobile

racking. This is a first for Oxford. The

implementation gave us many challenges, which our

engineering & IT teams in conjunction with our

builders Vaughan Construction and racking providers

& contractors Dematic, Storax, Barpro & One Stop

Shelving overcame brilliantly. More details regarding

the mobile racking & the other new features built

into our new store can be found within this

newsletter.

We commenced 2013 with storage at capacity. We struggled to handle the storage volumes our

customers wanted us to hold for them. Our Store Management and Staff managed the ‘over capacity’ issues extremely well. We maintained high levels of service for all our customers in very difficult circumstances. It is a credit to the professionalism & dedication of all our staff. We ran most of our stores at near capacity for a large part of the year. Capacity relief only came in September when we opened up the first chamber in our 13B extension. Incredibly we filled this room in just over two weeks!

Our IT team has been extremely busy this year. In fact we should call 2013 the “year of the ‘EDI’”

(Electronic Data Interchange). Over the year we completed an EDI required for the Fonterra transition to their new computer system (SAP). McCain also introduced SAP into their business, requiring us to complete a new EDI for their system. Peters Ice Cream came off the Nestle system and went onto its own ‘M3’ system requiring us to complete a new EDI for them as well. We also completed EDI’s for Unilever (Streets) and Simplot Chilled, and updated the Nestlé EDI to account for its Movenpick business. Currently we are working on EDI’s for Modern Baking, Heavens Bakehouse and NQR.

In addition to all the EDI work, the IT team also changed how we manage our meat customers. We now

capture & report on the full bar code of every carton we handle. This turned out to be a much bigger change than we first anticipated, as it effects most operations within our WMS (Warehouse Management System). On top of all this the IT team also integrated the new mobile racking system into our WMS, to ensure that the racking moves automatically and seamlessly with the orders being allocated to the reach trucks.

On the systems side of the business we introduced a virtualised server environment, upgraded our SAN (Storage Area Network) hardware, upgraded our phone system, upgraded all of our thin client hardware, upgraded our email server software, and overhauled and upgraded our LAN (Local Area Network) hardware. These are huge changes in the hardware & software technology we use in our business. These upgrades were done with very little disruption. Well done to Mark Fleiszig, Anthony Walshe, Neil Campbell & the rest of the IT team in getting through this massive work load so well.

One of the big challenges for the year was to manage the introduction of the Carbon Tax. This tax has led

to a significant increase in our electricity bills. Our engineering & maintenance teams have continued to implement a number of projects to reduce our energy consumption on site. The new 13B extension has been fitted out with the latest energy saving LED lighting, which produces excellent light with lower electricity consumption. The new store is also connected to our water harvesting system, which has substantially increased the volume of water we can capture and re-use. As always, Oxford will continue to implement energy efficiency and cost reduction projects. Management thanks Gabor Hilton, Frank Verzaci and their teams for their great efforts in getting these projects off the ground and for ensuring our refrigeration equipment keeps on performing optimally.

Syd Cassidy & his team have continued their great work in keeping our forklifts and materials handling equipment up & going. We now have over 430 forklifts, reach trucks and pick trolleys on site. As the fleet ages, it has become a more challenging job to keep the fleet running. Well done to Syd & his team in keeping us all moving.

Oxford management congratulate Grant Keating on winning the Victorian nomination for the Frank Vale Award. Despite representing Oxford & Victoria brilliantly at the RWTA national conference in Sydney, Grant did not win the national award. We can all be very proud with how Grant conducted himself and represented our company to the rest of the industry.

Justin Anderson has now bedded in his new RTS (Radio Terminal Systems) team. RTS has continued to

provide an extremely high level of support to all its clients (including Oxford). Next year is an important year for the RTS, as it plans to introduce some new products, and release upgrades for the longstanding Pikker & Tracer models.

A business can only be successful with the support, hard work and loyalty of its staff. At Oxford we are

able to maintain our high level of service to our customers because of the great effort by all our staff. Management thank all staff for their continued loyalty and hard work.

The Fleiszig & Stern families wish all our staff and valued customers a very happy and safe festive season

and look forward to a prosperous & happy new year.

Rodney Fleiszig, our Human Resources Manager has this month

successfully concluded our Enterprise Bargain Agreement with Oxford Cold

Storage Staff.

The new Agreement which operates from January 1, 2014 for three years

was unanimously approved by all who voted.

The co-operation and goodwill of all involved is greatly appreciated.

In September 2013 Oxford completed our most technically

advanced freezer. The 23,200 pallet extension to Building 13

has consolidated Oxford Cold Storage’s position as the 22nd

largest cold storage company in the world (by storage

capacity - as ranked by IARW - the International Association

of Refrigerated Warehouses.

This store is the first large cold store in Australia to use

mobile racking. The 7,672 pallet mobile racking system was

installed in part of the new building. The area used would

accommodate 5,748 pallets of fixed double deep racking.

The mobile racking is arranged in 3 banks with one moving

forklift aisle in each. The high storage density mobile racks

move on rails embedded in the specially designed post

tensioned freezer floor. The pallet bays automatically open

when an RF signal is received from Oxford’s Warehouse

Management System. The single deep mobile racks provide

excellent product separation with very high storage density.

The mobile racks are surrounded by safety light beams that

prevent racking movements unless the forklift aisles are

clear of people and machinery.

The 11,000m² extensions includes 2 new chambers and an

18 metre wide refrigerated loading dock along the full

length of the new construction. Vehicle unloading is through

10 fully enclosed hydraulic dock levellers fitted with

inflatable airbags. Access to the loading dock is through

airlocks with self-closing outside and inside doors.

Pedestrian safety is enhanced by pedestrian walkways along

all walls, flashing warning lights on all freezer and dock

doors. The high speed freezer doors rise and automatically

realign within the door tracks if they are hit by a forklift.

The store is designed to be extremely energy efficient.

Maximum energy efficiency is achieved by:

• The use of PIR sandwich panels and assisted attic

ventilation

• All internal and external lights are solid state LED fixtures

• Variable frequency drives on all evaporator and condenser

fans and screw compressors

The building was built in 7 months and was on budget and

on time. Management thank Oxford’s preferred builder

Vaughan Constructions and Oxford’s engineering and

maintenance staff. We also thank the international team

who delivered & installed the racking system, One Stop

Shelving from Melbourne, Dematic from Sydney, Barpro

from South Africa and Storax from the UK who designed,

supplied and installed the mobile racking system.

The mobile racking is officially moved by Oxford’s Chairman, Dezso Stern with the help of Gabor Hilton, Gabor Fleiszig & Luis Fleiszig

STAGING AREAS Maggie Montagnese

Oxford O H & S Manager

Another year passes and once again the holiday season is upon us. We have had a very eventful year with the construction of the new Freezer 13B with state of the art mobile racking which is awesome to watch in operation. Read all about it in Gabor Hilton’s article.

As the year passes people come and go, updating the OH&S reps photo is a challenge in itself. Six new OH&S reps join the team, all six staff completed the five day OH&S training and have absorbed the knowledge like a sponge.

We welcome on board from left to right – Mike Douglas 11 A/B am,

Roman Susi 12A pm, Fred Paotama 13 am, Rhonda Campbell (Trainer)

Sunny Gupta 12A am, Jonathon Newcombe 12B pm, and Vineshkumar

Patel 11A/B pm

Traffic Management is also an integral part of Oxford, keeping the flow of traffic in the store and ensuring our floor personnel are kept safe through all this manoeuvring, brain storming with the managers, supervisors and OH&S reps how we can improve the safety of the store, segregate mobile plants from people and yet continue to service our customers with minimal hiccups.

Freezer 11C came up with one way traffic around their staging area, this kept the flow of the traffic more consistent and relieved a lot of the congestion around the pallet wrap machines and pick face staging area.

Flags were also implemented for our Tally Clerks when working in staging areas along Armco railing. Not all the stores have the flags as this is a work in progress as we implement Traffic Management specific to each store.

Container labourers are a significant part of Oxford. Often staff work in containers with forklifts coming in and out of containers to either pick up or drop off pallets. We implemented a new procedure for container labourers where they need to vacate the container when the forklift is required to enter to either pick up or drop off a pallet. Just like Oxford employees our container labourer’s safety is important to us.

As usual the transport industry is in a state of flux. We

saw the exit of some small and large companies due to the

hard economic times exacerbated by the shortage of

drivers and other skilled road transport industry workers.

The RMS and NSW police, along with their counterparts in

Victoria and South Australia continued their crackdown on

trucking companies and drivers who are slow to

realise”the times they are a changin’, they have already

changed and the expectations under Chain of

Responsibility laws are here to stay and likely to get

tougher.

The authorities are totally focussed on making the good

companies better and the bad companies “GONE”. We

must ensure that we work with all the links in the chain so

that we meet both our moral obligations to the truck

drivers and others, and our legal obligations under the

Chain of Responsibility. To assist Oxford Cold Storage in

this endeavour, all near miss and any suspected breaches

must be reported so an investigation can take place and

preventative measures be implemented. The Chain of

Responsibility is undergoing a review and may become

tougher along the supply chain upon implementation.

Oxford Cold Storage, along with our customer, McCain

Foods have been the two first companies to be accredited

under the RWTA Chain of Responsibility Code of Practice

and to which they are the initial signatories. Training in

Chain of Responsibility will be ongoing as the laws change

and come under the jurisdiction of the National Heavy

Vehicle Regulator. In addition to this, the Code of Practice

to which we adhere is reviewed biennially and we will be

audited accordingly.

The Heavy Vehicle Compliance Review Consultation Draft

has now been released and is available for public

comment. We were involved in the initial project of

information gathering for this review and have now

received the review for comment.

In May, I returned to the USA and Canada, mainly to

party but I did visit a cold store and a chilled produce

distribution centre in Maryland. These meetings were

organised for me by a colleague, John Conley from the

National Tank Truck Carriers Inc. On arrival in DC, we

travelled to a truck stop, then to the Giant Food Produce

facility in Jessup, Maryland where we were given a site

tour and a demonstration of the automatic picking

equipment. Next we were given an extremely warm

welcome and a guided tour of the MTC Cold Logistics

flagship site in Baltimore, Maryland. This is a 5th

generation business and we met with family member,

CEO Harry Halpert plus their President and the Senior

Vice President of Operations. I also met with the Global

Cold Chain Alliance to learn more about their projects

and committees.

Grant Keating Frank Vale Nominee 2013

Oxford Cold Storage was very proud to have Grant Keating,

Telecommunications & Security Systems Manager, representing both the

company and Victoria in the RWTA Frank Vale Award for 2013. This Award

is presented each year to the best professional under 35 years of age in the

Cold Chain industry.

Grant had to compete against other Victorian contenders and became the

State Finalist for Victoria. During the RWTA Conference in Sydney in

August the finalists from NSW, QLD and VIC had to deliver a speech to all

150 delegates attending the conference. Grant delivered an outstanding

speech which created a great amount of interest in the Oxford technology.

The candidates were then interviewed by a panel of judges from three Cold

Chain companies, this year being Rand, Montague and Auscold.

Training Report Adam Frankiewicz

The Training Department was created on 15th of July

2004. Adam Frankiewicz was the first trainer. At that time

we had approximately 180 employees on site, and only

20% of them could do all tasks.

Today we have 407 employees, including

supervisors and maintenance personnel. There are about

290 employees on the “floor” with 270 of them either fully

trained or in process of training. All are rotated between

pick face, tally receivables, tally despatch orders, loading

and reach over an 8 week period. As the company has

grown so has the training department.

Adam Frankiewicz has been the Training Manager

since 2005; Ken Penberthy became the second trainer in

2005. Ken is now Assistant Training Manager, and runs the

Training Department in Adam’s absence. Otherwise Ken is

one of the training crew with Larry Barbarich, Hue Tu,

Peter Gerard and Melchor Sayson.

Larry is a strong leader in the PM shift with Hue

Tu also becoming a leader on the AM shift and learning

more about the management role. Adam has developed a

strong leadership group with great input from all of his

team.

The Training Department today trains Oxford

personnel on Pick face, single and double trolley, manual

handling, changing battery procedures, tally receivables

and despatch orders, loading, air lock procedures, slip

sheeting, LPG refuelling, use of finger dock attachment on

forklift, tally clerk reach units, Crown and BT reach units

and many more small tasks required by our customers.

The trainers try to ensure all labour hire personnel using

our equipment are reassessed on all equipment wherever

required.

There are also many instructions, procedures and

techniques to be covered, especially where OH&S issues

need to be followed up.

Trainers investigate incident reports, collect shock

reports and follow up with any issues which arise. They do

regular reassessments on forklift and reaches, including all

supervisors and maintenance personnel. Trainers, together

with Adam, try to monitor “floor” employees to regularly

look for incident trends. Furthermore, trainers cooperate

on OH&S issues changes, developments and new ideas.

They are part of the OH&S safety committee and

have regular meetings with Site Managers and the OH&S

Manager.

The last 12 months were very challenging for the

Training Department. Seasonal workers were introduced

into the employment system. Therefore extra training

between July and Christmas was required. With the

decision to build a new freezer extension in November

2012, the Training Department expanded again and

Melchor came on board and has complemented the team.

Due to extra employees for F13B, training schedules got

behind. Also many seasonal workers became full time

casuals between January 2013 and March and needed to

be trained. This contributed to a backlog of training by

February 2013. However, with good planning, the addition

of Melchor to the team and excellent contribution from all

trainers, by the end of July the majority of training was

done, and all training schedules were up to date with no

personnel overdue for annual reach and forklift

reassessments. All incident reports were investigated

within 72 hours.

This could not have happened if the trainers were

not willing to adjust their private lives and change shifts to

balance training needs. All trainers from March till

September had limited time off; they did not take major

annual leave, RDOs and in some circumstances even

worked under sickness clouds to ensure that all personnel

would be trained and ready for the new store.

Adam himself didn’t have a single day off

between March and September.

And yes, most importantly – Trainers also look

after milk allocation to each store….

The “Fix Dohertys Road Campaign” was officially launched

on February 27th

this year, it was held on the corner

adjacent to the hazardous Hume Road intersection.

Attended by Heather Marcus - Wyndham City Council

Mayor, Anton Mayer - Lead West CEO, Bill Forrest –

Director/Advocacy Wyndham, Wyndham City Councillors -

Glenn Goodfellow and Bob Fairclough, WILD committee

Chairman – Mick O’Donnell and representatives from

most local businesses in the Dohertys Road area. It was

covered by local and transport media to highlight the

urgent need of the upgrade and duplication of Dohertys

Road from Fitzgerald Road to Grieve Parade with

particular attention to upgrading of the Hume Road,

Cyanamid Street and Cherry Lane intersections.

The WILD committee and Wyndham City Council have kept

the pressure on VicRoads and the State Government for

the badly needed duplication of Dohertys Roads and an

upgrade of the intersection at Hume Road. Oxford has

installed a camera to monitor the intersection and we

NEED your assistance in documenting any near misses,

incidents and accidents to support our application to the

Minister. To do this they need to be reported BY YOU. You

can contact Mark Fleiszig or Jacquelene Brotherton with

the date and time of the incident. To assist in this

campaign, please visit www.fixdohertysrd.com.au website

and sign the petition, contact the WILD committee to

assist in the ongoing campaign, or download form letters

to send to Government Representatives to support this

campaign.

PALLET Team by Trevor Gobbi

Trevor Gobbi, (Left) Oxford Pallet Manager & Stock Controller,

Charlie Dingli (Centre) Oxford Pallet Controller, and

David Rice (Right), Oxford Pallet Transport Contractor, standing

outside David’s newly acquired trailer with Load Restraint Curtains.

This new trailer (pictured above) will alleviate the need to

restrain each individual stack of pallets with ropes, saving

David significant time in loading and unloading.

David has been delivering and dehiring CHEP & Loscam

Pallets into and out of Oxford for over 10 years and

remarkably, has had a grand total of one (1) day off in all

that time.

This achievement is all the more remarkable when you

consider that the journey has not been without incidents

and dramas over the years. The stories that David can

relate to you on a weekly basis would be enough to fill a

book of its own.

David’s day starts in the early evening when he drives in

from his home in Croydon and he starts sorting and

loading pallets to be dehired back to CHEP and/or Loscam

where he is unloaded and then reloaded with

reconditioned pallets. This will be the first of several such

loads that will occur well into the small hours of the next

morning. When not loading and unloading pallets, David

also assists Oxford by moving miscellaneous pieces of

equipment around the site and to and from the Pipe Road

site.

Although pallets are just bits of wood and nails cobbled

together, it can be a gruelling task sorting and moving them

around, sometimes in the searing heat, and other times in

icy cold temperatures and suffice to say , it is a service that

is essential to the efficient operation of Oxford Cold Stores

and one that we cannot do without.

Well done David.

Driving back to Oxford

Cold Storage on the

Geelong Freeway on

May 13, GEC driver Esad

Zilic noticed a young

swan in the middle of

the freeway fighting for

his life and trying to fly.

Realising that the poor

swan is injured and his

chances of survival will

vanish soon, with no

hesitation the brave

driver put his hazard

lights on and stopped

to assist the helpless

swan in the peak hour

traffic. The swan was

taken to Pier Street VET

in Altona for further

medical treatment.

On August 25, 2013

Julie Toro and her

family participated in A Walk in the Park to

raise funds and awareness for Parkinson’s

disease. They walked with heavy hearts in

memory of Julie’s father- in- law who sadly

lost his battle with Parkinson disease last

December, after a 20 year fight with the

disease.

The Toro Family would like to thank

everyone for their generous donations and

kind words of support. Julie is pleased to

say that as a family they raised $2,372.00.

A paintball tournament in which all stores

were invited to participate was recently

organised by Freezer 12A. This took place at

Little River on November 9th

. All who took

part had a great time and another

tournament is being organized for early

2014. Anyone wishing to take part should

contact Paul Motoska (Freezer 12A PM

shift).
