Volunteer Coordinator Cub Day Camp provides Cub Scouts and their leaders FUN and ADVENTURE in the outdoors! 1-day camps are for all Cub Scouts and Webelos. 2-day Twilight (afternoon-evening) camps are for Webelos only with the first day the same as the 1-day camp and the second day concentrated on Webelos adventures. Camps are offered in Boise, Nampa, Caldwell, Ontario-OR, Mountain Home, and Emmett. Day Camp supports the purposes of the Boy Scouts of America (BSA): character development, citizenship training, and personal fitness. While achievements are earned at these camps, the primary focus is having FUN in the outdoors. Highlights include BB guns and archery as well as wood and leather projects.

Volunteer Coordinator: You are the WONDERFUL person who recruits and coordinates the volunteers that staff your zone’s assigned day at camp. As the Volunteer Coordinator, you are the first contact person for all your volunteers. THANK YOU for all your efforts to make day camp run smoothly. You are the reason that day camp works!

Camp Directors are listed on the Day Camp Schedule. Your Camp Director is your main resource and link to the Council Day Camp Committee. You will be contacted by email, phone, and/or text throughout the next few months with important information and reminders. Please add your camp director’s contact info to your contact list to insure you receive important emails/texts. Resources include this Volunteer Coordinator Guide, the Ore-Ida Council website (see link), Day Camp Registration Packet, Leader’s Guide, and Day Camp Orientation/T-Shirt Distribution Meeting (info below). We want to hear from you and answer any questions you might have. We work together to provide a great day for our Cub Scouts!

Number of Volunteers: Your magic number is 30! Prepared, enthusiastic people are the key to a fun, effective, and organized day camp. The chart (see attached) lists positions to be filled. Extra volunteers are useful, please feel free to invite more people.

Finding Volunteers: Volunteers can be found almost anywhere! Start spreading the word NOW that you are looking for fun people who love kids. Each unit within the zone should provide 3-4 volunteers. Start by asking last year’s volunteers to return. Ask for the support of your Chartered Organization Representatives, both zones and units. Parents, grandparents, church members (use church bulletins), retirees, teachers off for the summer, former scout leaders, community service groups, and responsible youth can volunteer! Adult volunteers are priceless! Youth age 14 and older may volunteer as station assistants and earn service hours. Two people can split the day, morning/afternoon, to fill one position. Start recruiting now before families have summer plans and dates set. Sign-up Genius (www.signupgenius.com) can be a great tool to send out a link with positions that need to be filled to each unit.

Scout Leaders as Volunteers: Using scout leaders helps provide trained personnel at camp. Scout Leaders can also be a resource to find other volunteers. Remember that packs and dens can attend camp any day. Your station leaders might serve on a different day than their pack attends camp.

Documentation for Volunteers: All volunteers, including the Volunteer Coordinator, need their completed Health & Medical Record at camp (2014, parts A and B only, see link). Doctor’s physical and copies of insurance cards are not required. All adults (18+) need to complete Youth Protection Training (YPT, see link) before day camp and have the printed certificate at camp. Youth do not need to complete YPT. Collecting the copy of each person’s YPT certificate and Health & Medical Forms before camp will make checking in your volunteers at camp easier.

Range Officers Each BB Gun and Archery range needs at least four people – two adult certified Range Officers (age 18+) and two assistants. Range Officers need to complete Shooting Sports Certification. Two shooting sports trainings will be offered before day camp, April 27th and May 18th, see attached flyer. BB Gun and Archery assistants (age 16+) are highly encouraged to complete the “Shooting Sports Certification” but it is not required. Certification is good for two years. This is the hardest position to fill, start early!!

Health Officer (age 18+) needs American Red Cross Standard First Aid and CPR/AED for Professional Rescuers, Health Care Providers training or equivalents, as well as their YPT and Health and Medical Form. Professionals who should have this training include CNA, First Responder, EMT, Paramedic, Nurse, Physician, and Day Care Workers. We appreciate your efforts to find volunteers who meet these minimum standards.

Volunteer Training will be through written instructions and videos for each station. Your Day Camp Director will email station instructions to you a few weeks before camp starts. You then forward those instructions to the volunteers who will be teaching each station. They will want to prepare ahead of time to make day camp rewarding and fun for themselves and the scouts. All instructions and materials will be provided at camp. However, volunteers may bring additional displays or materials that pertain to their station, especially if they have special knowledge that complements their station activity. We are not holding a formal instruction meeting for Day Camp 2019.

Day Camp Orientation/T-Shirt Distribution Meeting will be held May 11, 2019 at 10-11 am at the LDS Church at 6111 Birch Lane, Nampa, ID. We need your help! Volunteer Coordinators should plan on arriving at 9:15 am to help set up the building and distribute T-shirts for your assigned camp. Each pack attending camp needs to send at least one adult to obtain T-shirts and training before camp. T-shirts for packs registering after April 3rd will be available at their day of camp. Pack leaders can contact their director to make other arrangements.

Volunteer Coordinator Duties at Camp: You should plan on helping with registration at the beginning of camp. You will support your staff throughout the day and substitute for any volunteer who does not show up. You will work with your Camp Director to help all scouts and leaders have a great day at camp!

What Volunteers bring to camp: 1. Filled out Health & Medical forms (2014, parts A&B only) OR give to YOU ahead of time

2. Proof of completion for Youth Protection Training OR give to YOU ahead of time

3. Lunch, snacks, water, camp chair (opt)

4. Sunscreen, hat, rain gear, personal items- be prepared for all weather!

5. Enthusiasm, Positive Attitude, and Patience :)

What to wear to camp: All volunteers are encouraged to wear a scout uniform or scouting T-shirt and sturdy, close-toed shoes (no open toes or flip-flops). Day camp T-shirts are available for purchase for $10 at Day Camp Orientation/T-shirt Pick-Up, and the Trading Post at camp (while supplies last). Costumes to match the station/theme are encouraged but not required. Please dress appropriately for the weather and location.

Arrival Time: You and your volunteers should come at 7am for 1-day camp, and 12 noon for Webelos Twilight camp. The volunteers check in with you, help set up camp and prepare their stations. We really appreciate and need all the help setting up camp! You need to check their Health Forms and YPT certificates that morning. Scouts begin arriving at 8am (Webelos Twilight 1pm). It is most helpful to have the staff checked in and stations set up with time to answer questions before the scouts and their leaders arrive.

Departure Time: Camp ends around 3:30pm (Webelos Twilight 8:30pm) for the Scouts. Volunteers pack up their stations and bring supplies to the trailer. Please arrange for at least 5 volunteers to stay an extra 30-45 minutes to help load the trailer and pack up the Trading Post. Volunteers need to check out with you and the camp director if they leave earlier in the day.

Volunteer Appreciation: Many volunteer coordinators want to give a token of appreciation to their volunteers. Feel free to do something simple to show your appreciation, but there is no obligation or expectation.

Camp Locations: Our council holds Cub Day Camps in many locations, all of which are close to some units. However, many units drive up to 45 min (or more) to staff or attend camp. Many cities won’t allow shooting sports within city limits. We also look for lots of shade, the use of a pavilion, and electricity and water availability.

Trading Post: Proceeds from the Trading Post helps pay the cost of providing day camp. Spending money at the Trading Post allows Cub Scouts to budget, make decisions, manage their time, be responsible for their money and their purchases, practice integrity, honesty and math! Those who volunteer at the Trading Post help the scouts with purchasing decisions, learn how to create paracord survival bracelets, and have fun together. We work hard to provide an excellent Trading Post for our camps with the help of the adult and youth volunteers.

Daily Activities Morning Gathering Activity – As packs arrive, our program director will gather scouts and leaders for a fun activity

while an adult leader checks in the group. Opening Ceremony – Promptly at 9am (2pm for Webelos camps) all scouts and leaders gather in their color groups to

honor our American Flag and provide short directions for the day. Lunch Time Activity – After lunch, but before returning to stations, we have a special lunch time (dinner time for the

Webelos) activity. In the past, special guests such as Policeman, Fireman, and Scientists have visited as their schedules allow.

The Trading Post – The Day Camp Store is open from pack arrival to the end of camp. Scouts can shop with the permission of their leaders and with their “buddy” in the morning, after completing a station, during lunch, or after the closing ceremony.

Closing Ceremony – At the end of the day, we’ll gather to provide recognition and say good-bye to the scouts.

Possible Achievements Note for Parents and Leaders: The following is a list of POSSIBLE achievements for day camp. This list is a reference only and is not necessarily set in stone nor is it complete. There may be many more possible achievements completed at camp, and leaders should be looking for those opportunities. Since each camp has different station leaders, some of the items may or may not be covered at camp.

Each scout who participates in the Shooting Sports at camp is eligible for the first level award, and Webelos that attend (Two Day) Webelos Camps are eligible for Level 1 & 2.

Please remember that the purpose of Cub Scout Day Camp is to provide an outdoor experience that the scouts might not otherwise have. As a committee, we are excited for this year’s camp theme and look forward to seeing your scouts at camp!
