Business Challenge 1

Dina is a busy offi ce administrator, who was fi nding herself spending too much of her week managing the printed stationery requirements of all of her company’s branch locations. She found the company’s process for

ordering business cards especially

time-consuming. People would fax

or email their business card orders to

Dina and when she had collected 8

names, she would place the order with

her printer. Once the names had been

typeset, Dina needed to get approval

from her colleagues before the cards

could be printed and then ensure that

the invoice was allocated to the right

cost centres.

Often the printer she used to typeset

the details would get the name or

phone number wrong for at least

one of the people ordering and this

had sometimes been missed in the

proofi ng process.

Another issue was that sometimes

people in the branch offi ces

complained that the process was

taking too long – especially when

they needed business cards at the

last minute for trips and conferences.

Some of Dina’s colleagues tried to

shortcut the business card ordering

system by ordering locally or skipping

the proofi ng process and this

sometimes led to mistakes, inaccurate

branding and costly reprints.

THE OPM2 SOLUTION

Dina has set up OPM2 with individual branch log-ins and passwords for each user. This

gives the branch locations the ability

to set up, proof, approve and order

their own items online - 24/7. Ordering

business cards is no longer an issue

because people can complete their

individual details in the correct

position on the template without

changing the company’s branding.

orders in just a few working days,

instead of waiting for 7 other people

“Our marketing materials aren’t consistent across all of our locations.”

Barbara is a busy advertising agency executive who is responsible for managing marketing material for four different brands. Each of the

brands she manages has multiple

outlets that order, and need to adapt the

materials that the advertising agency

provides for them. One of the greatest

challenges in her role was balancing

and maintaining brand integrity through

local area marketing efforts throughout

all outlets.

For each of the brands she manages,

Barbara likes to provide the ability for

outlets to create their own promotional

materials to match the unique customer

groups in their own local areas. The

problem Barbara had was that the

Sam manages a large sales force. Business growth had slowed and pressure from upper management meant he needed to fi nd ways to reduce costs. Sam introduced a

greater level of scrutiny, requiring his

team to get approval before making

purchases. However, this proved to

be time consuming for Sam and was

creating some delays in the production

of necessary sales collateral.

Sam’s team members all use the

same stationery and sales collateral

and attend expos and industry events

regularly. Sam noticed that each sales

person was ordering what they need,

when they needed it, without checking

on existing stock.

There wasn’t a lot of space in their sales

offi ce, and Sam needed to squeeze past

a stack of boxes to get to his desk each

morning, because a batch of brochures

was accidentally ordered twice. As

the content in the brochures became

outdated within a few weeks, the ones

that weren’t used were thrown away.

Sam needed a way to give approval

for print orders quickly and effi ciently,

as well as a way to control his team’s

printing spend, and keep track of stock

to avoid wastage.

Keith and Jill own a franchising group with several restaurants in central and suburban locations in Sydney, Melbourne and Brisbane. Each franchise needs to

stand out from other restaurants in their

local area, so franchisees like to create

material featuring their own special

offers, themes and menu features as well

as basing promotions around shows and

events in their local area.

Keith, Jill and their franchisees fi nd

it takes too long to organise themed

idea together through to printing and

Rob works for a registered training organisation that has a national network of trainers who run accredited training programs and supply training materials to other training organisations. Rob is responsible for production

and distribution of training material to

trainers around the country.

The supply of materials to other

training organisations is becoming a

growth area of their business however

many customers wanted to adapt

or customise materials to suit the

training needs of their participants.

Customisation is time consuming, so

Rob needed to refuse some orders

when he was unable to meet their

turnaround requirements.

Training resources are continually being

updated so Rob needs to ensure that

the correct version and quantity of

materials are supplied to his trainers

and customers on the date required. He

needed to fi nd a faster way to do this,

as sometimes trainers get last minute

bookings for their courses and need to

order additional materials. Many of the

trainers also like to provide additional

handouts which either get copied at the

training venue or a local copy shop.
