ONLINE SERVICES - ADVISER GUIDE TO BULK TRANSACTIONS
Bulk transacting is an efficient way for you to make multiple payments from your clients’ at-call cash accounts, saving you time by streamlining your administration processes.
1. CREATING A CSV FILE
Prepare your excel spreadsheet during the day. The file must be uploaded in csv format.
Column A Transaction Types:
1 ETF (must be uploaded & validated prior to 3.30pm AEST for processing same day) 3 BPay (must be uploaded & validated prior to 2.30pm AEST for processing same day) 4 Internal Transfer (to another BOQ Money Market Deposit Account)
Column B Date format dd/mm/yyyy
Column C BOQ/DDH Account #, please enter the at-call account number (998XXXXXX) to be debited
Column D BOQ/DDH Statement Reference, the narration you want to appear on the clients BOQ Money Market Deposit Account statement
Column E External Transaction Description / BPay Reference the receiving institutions’ reference
Column F Amount, including 2 decimal places
Column G BSB/BPay Biller Code details. The BSB format is XXX-XXX
Column H External / Internal Acc No is the receiving bank account number
Column I External Acc Name is the receiving bank account name (not applicable for BPay)

TIPS
1. Create your spreadsheet in excel, convert it to a CSV file via the ‘Save As’ functionality.
2. Remember to delete the header row prior to uploading the file.
3. All BPay requests must be uploaded, validated and authorised prior to 2.30pm AEST for processing the same business day.
4. All ETF requests must be uploaded, validated and authorised prior to 3.30pm AEST.

2. UPLOADING BULK TRANSACTIONS
Under the Bank Accounts menu, select Load Transactions File.
Browse to navigate to the file location, and once located, select and upload the file.
Once uploaded the transactions will appear in the Current Transactions Queue for processing.

3. VIEW CURRENT TRANSACTION QUEUE
Once uploaded your transaction list will be populated.
Transactions appearing in this list should be double-checked for accuracy. They have not yet been processed.
You can change or delete any single payment from this menu by selecting Modify. Amend and save any changes and return to transactions queue.

4. VALIDATE AND AUTHORISE TRANSACTIONS
Once your transactions have been checked navigate to the Validate and Authorise Transactions menu.
When this menu item is selected the system will automatically validate each individual transaction (verify sufficient funds/correct authority held etc.).
Once verified each transaction will appear with a status of ‘CHECKED OK…’
If the transaction has returned an error see Transaction Errors section below.
To authorise (i.e. process) the transactions, enter your Username and Password. If a second authorisation is required the status will show as ‘Authorisation 1 completed’ and a second person is required to enter their Username and Password.
To enter this second authorisation the second user will need to login.
On entering the authorising Username and Password, all transactions will be authorised.

5. TRANSACTION ERRORS
If there is an issue with the validation of a transaction this information will be displayed in the Validate and Authorise transactions queue.
You can modify or delete the transaction as required through the Current Transactions Queue.
If you are unable to determine why a transaction has an error status please contact DDH on 1800 006 133.

6. VIEWING PROCESSED TRANSACTIONS
To view all transactions recently processed via Online Services, select View All Recent Transaction Requests.
The information column indicates these items have been processed, and cannot be amended or cancelled.
