Hello Portage County 4-H members, volunteers, and supporters!
I just want to say once again how happy and excited I am to be here and I can’t wait to meet each and every one of you! Again, please be patient with me this first year as I learn all aspects of the organization.
Volunteer Trainings are starting next week. There is no RSVP for the mandatory hour of training you choose to attend. The first hour is mandatory for every 4-H volunteer. There will be another one later this spring, with a registration fee. If you are more than 10 minutes late, you will need to attend another training as we cover a lot of required information. Again, the times and dates are as follows with registration starting 15 minutes before the scheduled time in the Maplewood Conference Room:
Tuesday, Feb. 17th from 6-7pm Saturday, Feb. 21th from 10am-11pm Monday, Feb. 23rd from 6-7pm For the second hour of every training, we will have an optional 4-H Online training. This training will encompass renewing members, adding new members, pulling reports, sending emails and text messages, all with the 4-H online system. It is recommended but not required, that every 4-H club have a volunteer who is trained and able to log into the system. If there are new volunteers in your 4-H club, please invite them to the mandatory trainings. They are required to the same protocols and training but we will have other opportunities sent out to them.

4-H Newsletter At the last 4-H advisory committee meeting, we discussed the 4-H newsletter and how it fits into our 4-H program. The Committee wants to keep the newsletter the main avenue for information distribution. If there are any pressing events or information in between newsletters, it will then be sent out via e-mail. Some 4-H volunteers have already asked that we send everything to them via USPS. We are happy to oblige, we have a subscription fee of $10 per year to receive the 4-H newsletters and/or other required paperwork. We do welcome news and information from you that we can include in the newsletter. If your club has a fundraiser, fun night, clinic, or event that everyone can participate in please get us the information and we will get it sent out to the masses! The office plans to have 6 newsletters in 2015: January-February, March-April, May -June, July-August (Our fair newsletter will be mailed out to all 4-H participants), September-October, November-December.

Portage County 4-H Activity Fee
Update
Only one fee per member will be assessed through the
member’s primary club. Payment of fees will be made
through clubs based on their final enrollments. If you
have questions, or concerns, please don’t hesitate to

6432.
New 4-H Volunteers/Advisors
If your club is taking on new advisors for 2015, don’t for-
get about the application and approval process they must
complete before they can become advisors. New poten-
tial 4-H volunteers for 2015 must also undergo a web-
based fingerprint background check as part of the appli-
cation process. Application packets can be requested
from our office at any time.

Club Paperwork
SECRETARY & TREASURER BOOKS: It is the advisor’s responsibility to carry through on getting your clubs books turned into the office. It is MAN-DATORY that all clubs turn in their officer books no later than March 1st, 2015. There will be a separate evaluation sheet for scrap-books.

Club Insurance American Income Life Insurance Company is once
again offering Accident Insurance for 4-H club mem-
bers. Cost is only $1 per person for a full year’s cover-
age. Horse projects are insurable at $2 per member
per year. Special Activities Coverage for accident or
illness is also available and should be used anytime a
field trip or other activity is done outside the usual club
activity. Easy to complete forms are available at the
Extension Office or online at www.ailife.com.

We have many scholarships available through 4-H and
other programs. Please visit our website to find out more
information and how to apply. Deadlines are approaching
quickly, so make sure you don’t miss the chance for

2015 Plowboy Prom - March 14, 2015
This event, hosted by Collegiate 4-H at The Ohio State
University will be held at the Ohio 4-H Center (2201
Fred Taylor Drive, Columbus, OH 43210) March 14,
2015 from 6:00-10:00 p.m. Enjoy an evening filled
with line dancing, square dancing, raffles, cakewalks,
snacks, and wonderful friends! Admission is $5, and
includes a parking pass for the lot at the 4-H Cen-
ter. Invite family and friends! All ages are welcome.

Clubs of Distinction (Honor Clubs)
Honor Club application form has been included in your
club enrollment packet, and are currently available at
the Extension Office or online at: http://

All Clubs of Distinction will be honored at the annual 4-
H Member Recognition and Achievement Program in
April. Forms are easy to complete and qualifying clubs
can earn special awards form the National 4-H Source-
book!
Don’t delay and qualify your 4-H club and its members
today! All forms are due to the Extension Office by
March 1st, 2015!
2015 4-H Window Decorating Contest
ATTENTION ALL CLUBS - Show your support of youth development during Ohio 4-H Week March 7-14th by decorating a business/organization window in Portage County in the 4-H theme of your choice. Every club that participates will receive a cash award from the Life Skills Project Committee.
To qualify, you must electronically submit a picture of your window, club name, business name and address by midnight, March 7th, to Shannon Gallagher at 330-842 0015 or [email protected].
Please remember to remove your window decorations after 4-H Week ends!

Benefit Committee Requests All requests are due to the Extension Office by Friday,
April 15th . Requests are to be a minimum of $50 and are
open to all county 4-H members, volunteers, committees
and staff. Requests will be processed at the April
meeting. Forms are available at the Extension Office or

Benefit Committee Seeking Door Prizes
The Benefit Committee is currently seeking door prizes to
award at the Annual Portage County Youth Benefit
Dinner on Saturday, March 7th. Interested 4-H clubs
should contact the office at (330) 296-6432 with donated
items. The Committee would like to receive these items
no later than March 2nd. If you have any questions,
please contact Nancy Rodd at (330) 673-9915 or Nancy
Moss at (330) 297-6301. Please make sure a donor list
is submitted with items that includes a name and
address, so that a thank you can be sent!
Beef Expo
Beef Expo will be March 20th – 22nd, 2015. Livestock
Judging Contest will take place on Saturday, March
21st with registration starting at 8am. For more

County Gold Medal Award
Nominations
Don’t forget that now is the time of year to recognize
those youth members from your club and other clubs
who have excelled in their project area with a County
Gold Medal Award. Applications are available on-line

fice by March 3rd, 2015. A form is included in your
enrollment packet.

If you have a member taking the following projects, re-
member we have assigned our own project numbers for
our county. These have all changed this year! Please
make sure you are using the new poultry project number
for the new books and then utilizing the following for the
rest and some have changed to state project numbers.

Portage County Junior Camp
Mark your calendars! Portage County Junior Camp will
be partnering with Mahoning County! Camp (for ages 8 -
14) is set for July 5 - 11, 2015 at Camp Whitewood. The
cost for the week will be $250 per camper. Help us

**Now through February 28, 2015 the 2014 camp
price will be in effect of $250. Then the cost of 4-H
camp will raise to $275 per camper.**

4-H Trips and Opportunities
The Ohio 4-H Teen Leadership Opportunities are
available to all 4-H teens and their families. The web
page describes all the potential 4-H leadership
opportunities available to members. Interested teens,
families and club advisors can print a copy from the 4-H

contact the Extension Office for a copy.
**The 4-H Trips and Opportunities application deadline has been extended until March 1st. This
will include trips like 4-H Leadership camp, etc.**
Membership Across County Youth are expected to affiliate only with the 4-H pro-gram in their county of residence. Requests to join 4-H in a county other than where a child lives may be made to the 4-H educator in the county where the child lives. 4-H Educators will grant requests when:
A positive educational experience will result.
Competition or sale advantage is not the motive.
An unresolved controversial issue is not
pending.
Please note the Randolph Fair has rules in place that allow only Portage County Residents to show & exhibit in the junior fair unless they had extenuating circumstance and have been ap-proved by the fair board.

Junior Fair Board Applications
Any 4-H member between the ages of 14 -19 are invited
to apply for the Junior Fair Board. Applications are due by
February 19th, 2015 to the Fair Board Office. You can find

The applications are due to Fair Board Office, PO Box
213, Randolph, OH 44265 no later than February 18th.

office or in the drop box by the main gate, if the office

Market Masters 4-H Club Spaghetti
Dinner Fundraiser
Join on March 1st from 11am to 4pm at the Randolph
Community Center; 1639 St. Rt. 44. Ticket prices are:
Adult - $7, Child 3 to 12 - $3, and Under 3 - Free. Meal
includes dinner, drink, roll and dessert. There will also be
a bake sale. They ask for donations only for the goods.
All proceeds from the event will help to fund the club with
supplies and other needs for the upcoming 2015 Randolph
Fair.
Market Poultry Mandatory Meetings
Meetings will be held at Maplewood Career Center:
Tuesday, Feb 24, 2015 @ 7:00 pm
Thursday, Mar 5, 2015 @ 7:00 pm
A parent/guardian must be with the child and you only need to attend one of the meetings. You will be plac-ing your order for the market poultry for the fair at this meeting. Please be prepared to pay that evening for
your order either by cash or check.
The prices will be as follows:
Turkey Hens - $5.00 each
Geese - $8.00 each
Pheasant - $2.00 each
(*please note you will be required to obtain a per-
mit for the pheasants which runs approx. $40*)
Ducks Drakes - $3.25 each
Chicks Cockerels - $1.75 each
Quail - $2.65 each

4-H Eligibility
Eligibility for 4-H membership (Cloverbuds) begins when a child has reached age 5 and is enrolled in kindergarten as of January 1 of the current year.
Membership to the 4-H club program begins when a child is at least age 8 and enrolled in third grade as of January 1 of the current year. Ohio 4-H membership ends December 31 of the year in which an individual attains the age of 19.
4-H Yearly Financial
This new form, similar to the End of Year Report found in the Club Treasurer’s Book, must be completed before the Extension office will accept your enrollment forms for 2015. Club financials will be reported based on each calendar year’s bank transactions, January 1st - December 31st of each year. Clubs must fill out the form that was included
in your 2015 club packet or the form attached to the newsletter.
Ordering 4-H Publications When requesting 4-H publications from the Extension Office, please use the new 2015 4-H publication order form. One form is enclosed with the organizational advisor packet. There is a $6.00 charge for all 4-H project books that you order, unless otherwise indicated by the Extension Office. All project books must be paid for at the time that they are picked up. Allow one to two weeks to have your project book order filled, especially if it is for more than 20 books.
The State 4-H web site has publications (including club officers’ handbooks) and lots of other helpful information at www.ohio4h.org.
NEW Club Constitution Requirements
There is a new constitution that is required for every 4-H club in the State of Ohio. This new constitution must be in place to comply with IRS standards and the Ohio State University Extension Policies. You can find a copy of the constitution in your club packet or online at: go.osu.edu/ClubConstitution (case sensitive)
Every 4-H club must use this new constitution as is, and it must be approved and signed by your club officers
every year. A copy of the annually approved and signed club constitution MUST be on file at the local county of-
fice by April 15 of each year. This should be accompanied by your club chartering checklist.
We recommend moving any club specific requirements that are in your current constitution into your club by-
laws. (i.e. attendance requirements, meeting dates, dues, etc). If your club has a set of by-laws they must ac-
company your new constitution when you turn it in to the office annually by April 15!

Below is a list of people who must have their BCI Fingerprinting
done by March 1st, 2015 in order to maintain their Portage County
4-H Volunteer Status. If this is not completed before March 1st, in
order to become a volunteer again, you must go through the entire
new volunteer screening process. Please inform those you know
on this list, the importance of this and remind them to get it done
as soon as possible!
