I want to start with the important stuff – here it is: CCAC election sea- son is upon us. You will get a ballot, you may vote from the convenience of your com- puter, it takes less than 5 minutes. VOTE. In all seriously I cannot urge you strongly enough to VOTE! Voting would seem to be an obvious thing for us to do as we are often our jurisdictions election official. However, each year we know voter turnout could be better. I think we owe it to the people who have thrown their name in the ring to take this serious- ly and truly the people you elect make important decisions on your behalf. The elected board makes recommendations and have obliga- tions that directly relate to the train- ing that is provided to the member- ship, among other important tasks. Seriously – like 5 minutes, open a Fresca, take a well-deserved break, and vote. I have been wanting to share a couple interesting things that have happened to me in the past few weeks. These are my no-one-believes-this- happens-to-me-at-work-day-in-the-life sort of story. The first was a reporter who said he had called “a couple city clerks” but that they couldn’t really tell him what their job was and would I as president of CCAC be able to assist him. I stifled back a laugh and said, my guess is that they all told you exactly what they did but what you heard was all different and that he couldn’t have possibly believed it. There was a long pause, and he said “well, yeah, sort of.” We had a very nice conversation, I shared the CCAC elevator speech with him, assured him everything he was told sounded like some clerk did that somewhere. Our conversation ended with him saying that this “profile on city clerks” would be too complicated to put into print. I am not sure if that is good or bad. Then I received an email from a woman who is working towards a degree in records manage- ment that asked me “what month is national rec- ords management month” and does the City of Sacramento celebrate said month. My reply of course was every month is records management month, and yes, we celebrate records manage- ment here every single day. Both of those things might have been an overstatement, and she hasn’t written me back. That said there is certainly some truth to both statements. While April is the na- tionally recognized month of records manage- ment; records management is an on-going and could be a couple full-time employee job. June was a big month for us as we gear up for the July records purge, and I assure you that our City’s Records Manager celebrates records each and every day. (She is amazing, you can’t have her.) Finally, one of my colleagues sent their college aged intern, my guess is that she is in her late teens early 20’s, to ask me a question about the City code. The intern is doing a research project and was in the simplest terms doing a mapping project to show the evolution of some of our zoning codes. This eager beaver showed up in my office with a stack of old codes she had printed. She started our meeting by saying how great it is to meet with me in person. She said that she thought reading the council meeting minutes was a good resource but that she would get a better understanding by talking to someone who was here when the ordinances passed. That is when I looked down and realized the first ordinance she wanted to discuss passed in 1952. Membership Update

CCAC President’s Message Cont. you who haven’t met me in person I was born in 1973. I may not look exactly like I was born in 1973, but on good days I like to think I don’t look like I was born in 1952. All of these things are standard run of the mill odd questions that I am sure each and everyone one of you get in some form or another every month. Traditionally clerks every-where – have been, are, and hopefully will always be the way our constituents access the city. For the most part, at least most of the clerks I know, answer their phones and email personally. Either the clerk themselves or someone in their office “have been there forever” and therefore are the keep-

er of facts of the weird. (Apparently, I am that person here in Sacramento.) Since we have this knowledge and we answer our phones the people come – what is that quote “if you build it they will come?” To me, my colleagues and the fact that the people come are the very best part of this career. Being part of the clerk profession affords me the opportunity to work on very interesting projects, direct access to resi-dents and customers, and be part of the legislative process. So, as you get ready to either do your July records purge, or get to steal a few days away from the office on summer re-cess – know that you are in an amazing career, among amaz-ing people, doing (I am going to say it) amazing things.

Membership in CCAC occurs annually with all members on the same timeline. Member-ship expires on January 1st of each year. So, if you have paid your dues for 2018, your membership is good through January 1, 2019. At the half-way point in the year, we have 868 active members (Primaries and Associates), 143 members who have not renewed or responded to my many annoying emails about renewing, 1 affiliate member, as well as 501 retired and guest profiles (known as basic contact in our system). A guest profile is someone who signed up for a class (like Nuts & Bolts) – these are potential members. All in, our database contains over 1,500 profiles. My plea to you is – if you haven’t responded to an email from me about membership yet, please do. Or, if you aren’t sure about your membership status, please write to [email protected] so we can make sure you are active and able to take advantage of all the benefits of membership, which include: Access to the membership database to connect with clerks in your area Notification of educational opportunities Support for education programs Access to scholarships for education Discounted rate for the annual conference Support for the clerk’s voice at the table in legislative matters and at the League Consistent and strategic promotion of the clerk’s role throughout the state Ability to vote in the Association’s election to elect your representatives on the

Region 2 has been busy for the month of June. We recently held two events in the City of Galt hosting the Region 2 Edu-cation Workshop and the City’s first Athenian Dia-logue. On June 15, the education workshop focused on records management and had twenty-two students in attendance. Bruce Mei-er, our instructor, made

the otherwise “dull subject” fun, lively and interesting! Bruce is never boring. I want to give a shout out to the four sponsors, three in attendance, that added an element of entertainment dur-ing various breaks throughout the day. Always remember to include the sponsors when organizing your next education work-

shop. The next day, we enjoyed Kathy Flamson and Patrice Olds as they lead the twenty-three participants through the book, “The Petticoat Affair”. Their style of sharing and teaching made the dialogue truly enjoyable. The participants enjoyed sharing their stories as it related to the book and we even left with an art project for our offices.

Happy July to everyone from Region 14! I can’t believe summer is upon us. On May 25th, Region 14 hosted an educational work-shop in San Jose to help prepare us for up-coming elections, and for a few clerks, how to handle upcoming initiatives and referen-dums on their ballots. At our “Elections Clin-ic: A Hands-on Tutorial for Nominations, Initiatives, Referendums, and Recalls,” San Jose City Clerk Toni Taber guided us through issuing and accepting nomination papers, and we shared our experiences and a few stories about interesting candi-dates, ballot designations, and decided whether we would allow Dwayne “The Rock” Johnson to be listed with his nick-name on the ballot. (We said yes.) Toni led us through the procedures she uses to evaluate initiative and referendum petitions and based on her years of expe-rience, Toni shared best practices for staying on top of all of the deadlines and regulations that govern the various elec-tive processes. Toni also provided at-tendees with flash drives containing numer-ous samples and checklists that we could utilize in our own offices.

Participants also discussed current topics that will continue to affect our elections the up-coming years, including cities switching to District-based elections, increasing election costs due to the motor voter law, and a growing number of vote-by-mail voters that leads to a different campaign style to reach voters that submit ballots almost a month prior to the election date.

The overwhelming response from attendees was this was an extremely timely and worth-while class with tips and techniques to pre-

pare for all of our up-coming elections, and everyone loved being able to take home new resources to be used in our upcoming elections. Region 14 will be hosting another educational workshop in October. Please feel free to send me any program ideas you’d like to see at an upcoming workshop.
