1.1 Confirmation of the Minutes of the 14th Meeting of the Board of Governors held on 19-

03-2016 at GCE Kannur

The Minutes ofthe14th Meeting of Board of Governors of TEQIP Phase II of GCE

Kannur held on 19-03-16 was sent to the Chairman for his approval and upon his

approval copies were circulated among the other members of the BoG. A copy of

the Minutes is appended as Annexure 1 for confirmation.

Action sought: BoG may consider the Minutes for approval.

1.2 Report on the action taken/action pending on the pertinent decisions in the Minutes of

the 14th Meeting of the Board of Governors held on 19-03-2016 at GCE Kannur.

The decisions taken by the Board as recorded in the Minutes of the 14 th Meeting of

the Board of Governors of the TEQIP Phase II held on 19-03-2016 have been

noted and actions have been initiated. A report on the action taken and actions

pending is presented in the Table 1.2.1 given below

2.3 Ratification/Approval of Reimbursement of fee for Ph.D.

Mr. Sunil Alphonse, Assistant Professor in Physical Education has requested to

reimburse the expenditure incurred for Registration fee for PhD programme at

Kannur University for an amount of Rs.7050. The Finance committee

recommended to pay the amount to Mr. Sunil Alphonsesubject to ratification by

BOG and accordingly the amount was paid to him.

Mr. Jose M J, Assistant Professor in Mechanical Engineering has requested to

reimburse the expenditure incurred for Course fee for PhD programme for an

amount of Rs.1,14,500.TheFinance committee recommended to pay the amount to

Mr. Jose M J subject to ratification by BOG and accordingly the amount was paid

to him.

Action sought: The BOG may ratify the payment.

2.7 Expenditure incurred under IOC-Ratification

The expenditure incurred under IOC after 14thBOG meeting is Rs.16,98,437/-. This

amount is due to Salaries of TEQIP staff, Consumables purchased for TEQIP cell

and other departments, and Operation and Maintenance charges. All the amounts

have been paid as per TEQIP II norms. The details are given in the tables below.

2.9 Appointment of Institutional BOG member in place of Dr V I Beena,

who got promotion as Senior Joint director

Dr V I Beena who was an institutional member of BOG got promotion as Senior

Joint director, DTE Office , Thiruvananthapuram. Prof DayaKrihnankutty, Civil

Engineering Department may be appointed as Institutional member in place of Dr

V I Beena.

3.2 Statutory Auditor Report – 2015-16- Main Points

3.3 Performance Auditor report – Key Points

KEY POINTS FED BACK BY THE PERFORMANCE AUDITOR TO THE INSTITUTION AT THE END OF THE VISIT - AGAINST THE SEVEN ASPECTSOF EVALUATION

1. Teaching learning facilities has improved by way of two new labs, modernization of almost all labs with the addition of new equipment, civil works etc.

2. Seminar halls and some of the class rooms of all departments has been modernised with the latest equipment and furniture

3. Transition rate has been improved4. Placement rate has improved5. Intake has increased by the way of starting 4 new PG programmes and with

the provision of assistantship to non GATE PG students6. Remedial classes are conducted in all departments.7. With the help of Govt fund a new 1200 seated capacity auditorium, 700

square meter PG block , 2488 square meter workshop with a total amount of Rs 12 crores

8. Very good networking facility with 1GBps capacity and wificonnectivity in the entire campus

9. Online examination facility for 400 candidates available in the campus10.Online journals are available through IET online and science direct and

online courses through NPTEL

KEY IMPROVEMENTS NOTICED ON SHORTCOMINGS REPORTED DURING EARLIER PERFORMANCE AUDITS

1. Sanctioned faculty strength has improved from 68 to 106

2. Faculty members had improved their qualifications. Teachers with P.hD qualification gone up from 8 to 23

3. Research journal publications has improved from 5/year to 12/year4. Most of the faculty had benefitted by attending conferences, pedagogy

training, workshops, seminars both in house and outstation

BRIEF STATEMENTS ON CONTINUING SHORTCOMINGS, AND REASONS:

1. Central library space is too small, does not have much space for reading hall, digital download and automization

2. College infrastructure is less by way of number of labs in each department including space

3. Class rooms need improvements for a better look by way of furniture, black boards, faculty platform etc

4. Though college has 106 sanctioned posts but only 2/3 posts were filled (70) and the college is managing its requirement with the help of contract faculty which has an impact on the quality of teaching

5. Overall maintenance of the campus is poor6. Placement needs to be improved
