OCI RE-ISSUE NEW PASSPORT - APPLICATION GUIDE

It is very important that you follow the process defined on the CKGS website for OCI application at https://www.in.ckgs.us/

OCI card holders should apply for RE-ISSUE of their OCI card if a NEW PASSPORT is issued.

RULES

1. For an applicant who is 20 years of age or younger, OCI must be RE-ISSUED EACH TIME A NEW PASSPORT is

issued.

2. For an applicant who is 50 years of age or older, OCI must be RE-ISSUED ONCE after the issuance of a new

passport.

3. If the OCI card is issued for the first time after the age of 50 years, then there is no need for re-issuance of OCI.

4. For an applicant who is 21 to 49 years of age, there is NO need to re-issue OCI documents each time a new passport

is issued. However, if the applicant desires, he / she can request re-issue of the OCI document to update the new

passport number.

For USA applicants, the CKGS website has been customized through a widget so that the website, documents, forms and

letters requirements are as per the instructions of the Embassy/Consulates of India in USA.

The rules on our website will identify your OCI category, type, duration, fees and help avoid errors. Further to assist you, many

forms and letters that have repetitive information will get auto populated and you only have to fill in the missing fields.

at the appropriate step to the Government of India website to fill your online OCI forms.

Important Note on Shipping bought through CKGS DO's

Please send only 1 Application per package.

Weight of the package should be less than 0.5Lbs.

The shipping label provided by CKGS must be pasted on the envelope.

WRONG PACKAGING

Applications sent in the wrong packaging will not be processed until CKGS is reimbursed the difference in the amount

for shipping applications in the wrong packaging. You will have to log onto ‘My Account’ and make an online payment

for any reimbursement (if applicable).

Please note that the conditions of the Shipping provider are in addition to the Terms and Conditions of CKGS.

Note on Prepaid/Own Shipping Label

In case you use your own shipping label, ensure that you provide the AWB Number and Service provider’s details when you are prompted at the Shipping stage. This is Compulsory to avoid delays. If you have used your own label, we cannot take any responsibility of pick-up and delivery to you. The Shipping Service providers often do not acknowledge receipt of the envelopes. Nor will CKGS drop off your prepaid envelopes to your shipping service provider as you have not bought the shipping service from us. NOTE:

FedEx Prepaid Envelopes sent by you are NOT accepted.

USPS Pre-paid labels have an expiry date and hence they are NOT accepted by CKGS. For Prepaid envelopes, CKGS will not be responsible to contact you, and if you ignore this point for any delay

occurring will be your liability.

5(b) Walkin WALK-IN: If you had selected Walk-in as your submission option, you shall continue online to complete the ‘Appointment Process’.

Come in person at the designated appointment date and time and submit your application along with all documents at the CKGS Application Center.

Step 6 Payment Payments must be made by Credit Card online or at the CKGS Application Center.

Step 7 Government of India Online OCI Form

Photographs

You will have to leave the CKGS website and go to the Government Online OCI website https://passport.gov.in/oci/welcome to continue with the OCI application process.

On the Government Online OCI website, you must select OCI Miscellaneous Services to apply for OCI RE-ISSUE

NEW PASSPORT:

You must then select Change of Passport Particulars to proceed with your OCI RE-ISSUE NEW PASSPORT

On the Government of India website, please complete both forms A & B.

Remember to fill in the correct jurisdiction which was identified earlier at the Widget Stage.

For best results print on white, bond-quality, non glossy paper and use of a laser printer is recommended.

Affix your photo on the OCI form. Sign where indicated.

Signature

The photograph must be taken in a colored attire, for example, a medium blue shirt etc.

The attire should not be patterned / textured or pure white.

Photograph has to be an original and printed on GLOSSY PHOTO PAPER ONLY.

Uniforms should not be worn in photographs except religious attire that is worn daily.

If you normally wear prescription glasses, a hearing device, wig or similar articles, they should be worn for your picture.

Dark glasses or non-prescription glasses with tinted lenses are not acceptable unless you need them for medical reasons. A medical certificate may be required.

Glare on eyeglasses should be avoided with a slight upward or downward tilt of the head.

Do not wear a hat or headgear that obscures the hair or hairline. Head coverings are not permitted except for religious reasons, but the facial features from bottom of chin to top of forehead and both edges of the face must be clearly shown.

PHOTO UPLOAD

It should be in JPEG/JPG format only

Max size should 200kb

Height and width must be equal

The minimum dimensions are 200 pixels (width) x 200 pixels (height).

Square shape of size not less than 51mm x 51mm or 2 inches x 2 inches (with 80% coverage of face)

The maximum dimensions are 900 pixels (width) x 900 pixels (height).

SIGNATURE UPLOAD

It should be in JPEG/JPG format only

Max size should 200kb

The height and width of the Signature Photo must have aspect ratio 1:3

The minimum dimensions are 200 pixels (width) x 67 pixels (height)

The maximum dimensions are 900 pixels (width) x 300 pixels (height).

Step 8 Online Document Upload on the Government of India website

It is mandatory to upload the photo and signature images for OCI Registration on the Government website.

You need to upload all the required documents on the Government website post form filling. You may return to the site later and upload documents if not ready with the scanned copies to be uploaded.

Step 9 NEW Web Reference Number from Government Website

You will get a NEW Web Reference Number from the Government website which will now be the number to be used on the CKGS website to track the status of your OCI application.

Step 10

Return to CKGS website

Once you complete and print the Government OCI forms, return to the CKGS website on https://www.in.ckgs.us/

You will come to the home page of CKGS. Click on the box which states ‘Already filled in government form’.

EXISTING APPLICANT If you are an existing applicant, you need to fill in the following details:

New Web Reference Number (received from the Government site)

CKGS Web Reference Number

Date of Birth

Current USA Passport number.

Step 11 Submit Your Physical Application to CKGS

Once you have completed the online process, you will now have to submit your physical application along with the required supporting documents via shipping or walk-in option selected by you to the CKGS Application Center as per the Jurisdiction of your application.

Place all the filled and signed completed forms, documents and letters in the same order as mentioned in the document checklist.

Check that the number of documents have been collated and are correct as per your document checklist.

Tick off the boxes on both the checklists, as you put the documents into your envelope for submission of your ‘Complete’ Application.

Enclose 1 copy of the document checklist in your envelope and keep one for your reference.

Remember that the processing of your application will ONLY commence once your physical application package is received by us at the CKGS Application Center, failing which the application cannot be processed.

If you have used the CKGS shipping option, you will get an email acknowledgement once CKGS receives the actual application package at the CKGS Application Center stating ‘Received, but Not Verified’. Later, you will receive an e-mail advising you of the outcome of the verification process.

POST SUBMISSION

Note: Track your Application - CKGS has devised a multi-stage Tracking system to update you on the status of your application. Please visit https://www.in.ckgs.us/trackandtrace/ and use your Web Reference Number to get the updated status of your application.

Step 1 Submission of OCI application form with physical supporting documents at the Mission

CKGS will submit your OCI RE-ISSUE NEW PASSPORT application form along with the supporting documents as per the document checklist post verification of all the required documents to the respective Mission for your jurisdiction.

Processing Time

Please refer to the processing time (which was part of the result page) for the Mission. This does not include Transit Time / Shipping Duration.

Please note that a Business day / Working day means official working day of the week (Monday to Friday except public holidays and weekends).

The Missions have the right to ask for further documentation beyond the checklist.

There is no need to call the call center unless the average processing time is exceeded.

Step 2 ‘On Hold’ Application

During the processing of your application, if it is noticed that there are any documents or forms or payments missing or any deficiency in your application, you will be notified via email for re-submission of the necessary documents.

In the meantime, your application will be ‘On Hold’ and CKGS will not be responsible for delays in completing your application process.

Please ensure you provide the missing / correct documents to make your application ‘Complete’ to the CKGS Application Center within 7 working days.

CALL FOR ORIGINAL DOCUMENT

The second part of the OCI process commences when the Embassy/Consulate informs CKGS that they have your NEW OCI card in their possession. Then, CKGS will notify the applicant to send their Current OCI card (original).

Step 1

Call For Original Document

CKGS will advise the applicant by email to log onto: http://www.in.ckgs.us/ocisubmissionoforiginals/ to start the Submission of Original Document for OCI RE-ISSUE NEW PASSPORT application process. You will be required to submit your Current Original OCI Card along with your Current Original US/NONUS Passport with U-sticker (if applicable) and Submission of Original Document form Enter the following details and fill in the SUBMISSION of ORIGINAL DOCUMENT Form:

Step 3

Submit Your Original Documents to CKGS

You will now have to submit your package via shipping option to the CKGS Application Center as per the Jurisdiction of your application.

Arrange the Current Original OCI Card along with your Original documents and Submission of Original Document form in the envelope.

Tick off the boxes on the Submission of Original Document form confirming the documents that are enclosed in the envelope for submission.

Remember that the processing of your application will continue ONLY once your physical package is received by us at the CKGS Application Center, failing which the application cannot be processed further. Later you will receive an e-mail from CKGS advising you of the progress made on your application.

Step 5

‘On Hold’ Application

During the processing of your application, if there is/are any deficiency in your application, such as the OCI Card not being sent, an email will be sent to you for re-submission of the requirements.

In the meantime, your application will be ‘On Hold’ and CKGS will not be responsible for delays in completing your application process.

Please ensure you provide the missing / correct documents to make your application ‘Complete’ to the CKGS Application Center within 7 working days.

Dispatch of Documents

Once your Documents are ready, they will be sent to CKGS from the Mission, where it will be sorted and dispatched within 24 hours.

Postal bought through CKGS

If you have paid for return courier service through CKGS, we will dispatch your documents according to the plan you have chosen.

Note on Prepaid/Own Shipping Label

Collection in Person If you have opted for collection of your Documents in person or through an authorized representative, you will receive an email notification advising you to collect your Documents from the CKGS Application Center, the next business day after the documents have returned from the Mission.
