Introduction

Thank you for agreeing to take on the responsibility of being an AED Site Coordinator! The Office of Safety and Emergency Preparedness (OSEP) relies on the site coordinator to be our “eyes and ears” on the ground, and to help maintain one of the most robust collegiate public access defibrillation programs in the United States. This short guide will help you orient to the position of site coordinator. It outlines the basics of the AED program here at the University, as well as serving as an instructional manual/tutorial on how to use AccuTrack to check your AED.

Program Overview

U.V.a.’s AED program encompasses over 170 (September 2015) Automated External Defibrillators across over 90 separate sites

The program is overseen and administered by the Office of Safety and Emergency Preparedness (OSEP), and falls under the purview of the office of the Executive Vice President and Chief Operating Officer (EVP-COO) of the University.

The program is currently undergoing a quarter million dollar update and expansion, scheduled for completion by Spring 2016. This project includes two phases:• Phase 1 – Update and standardization

• Replace all devices at end of (or within one year) of recommended life span. • Standardize all devices across grounds to one model (Philips FRx).• 98% complete as of September 2015

• Phase 2 – Expansion• Add 65-75 new AEDs to the system• 20% complete as of September 2015

The People

In Virginia, an AED program is required to have both a prescribing physician, who serves as the program medical director, as well as an individual who locally coordinates the program.

Medical Director: Dr. William Brady, M.D.Medical direction for UVA's AED program is provided by Dr. Bill Brady, Professor of Emergency and Internal Medicine at the University of Virginia. A world renowned expert in his field, Dr. Brady has nearly 400 scholarly articles to his credit and has authored or edited 14 textbooks, mostly on resuscitation science, emergency medical services, and large scale disaster/special events medicine. Besides his roles as a professor, attending emergency room physician, chair of the University's resuscitation committee, and emergency preparedness and response medical director, Dr. Brady also serves as the medical director for several local Fire/EMS agencies and is known for showing up on emergency scenes to assist local EMTs and paramedics. The 2013 recipient of the David A. Harrison Distinguished Educator Award, Dr. Brady is a favorite among graduate medical students and residents alike, and is known for his openness, active approach to learning, and focus on physician mentorship.

Program Coordinator: Lucian MirraLucian is the AED and safety programs coordinator in the Office of Safety and Emergency Preparedness. His background includes over 10 years in the fire and emergency medical services field. He is a certified critical care and flight paramedic, as well as both an EMT and fire instructor. He completed his Master of Education from Curry in 2014 and has worked in the OSEP office since. He still works part-time and volunteers as a paramedic, and is an adjunct faculty member in the University’s prehospital education program.

Site Coordinator Overview

Each individual site equipped with an AED has a designated site coordinator who oversees that specific device.

A site coordinator is usually responsible for all AEDs in a physical facility, but this responsibility may be split depending on how a building is utilized.

Site coordinators may be tasked with overseeing several different sites, depending on their job responsibilities.

Roles and ExpectationsOSEP Program Coordinator Overall coordination of the

program Replace all tangible supplies

during the month of expiration

Detailed inspection/test of device every 6 months

Provide CPR/AED courses as available

Respond to all uses of AED to facilitate getting device back in service/assisting users

Be responsive to questions, comments, or concerns from facility coordinators or others across grounds

Site Coordinator Preform basic monthly

inspection of device and log results in AccuTrack

Encourage others in the work area to become familiar with the device and its use

Serve as point of contact/liaison with OSEP

Report any problems to OSEP as soon as possible

Inform OSEP if role changes hands

This page gives details about expiration dates of the tangible items. (OSEP will monitor and update these dates). The “inspections” tab gives you the ability to look back at all past inspections. “Activities” and “usage” should not be used.

Device Inspection When you click “inspect

now” the program will bring up a dialog box.

Enter the inspection date. If you leave it blank, it defaults to that day.

Click the radio buttons corresponding to the questions.

Make sure to click the checkbox at the bottom verifying that you preformed an inspection.

Click save to record the information

You do not need to open the cabinet to do an inspection!

For detailed instructions on preforming an inspection, see the attached inspection

document.
