Licensing Eaglesoft for multiple locations The Eaglesoft practice management software has several different modules available for purchase. The
6 basic modules are: Practice Management, Tooth and Perio Charting, Digital X-ray, Video Capture,
Cosmetic Imaging and nSite.
When a customer has more than one office and these offices will all be accessing a single shared
database all of their offices must be licensed for the same modules of Eaglesoft as is the office whose
database they are accessing and they will all have to make the same twelve month commitment to
service club if applicable.
For example, if a practice has three offices that will be practicing dentistry and a fourth, Corporate office
that will doing centralized scheduling, billing and reporting for the three dentistry sites and all four of
these sites will be accessing a single Eaglesoft database or each of the other offices databases, then all
four locations must be licensed for the same Eaglesoft modules and all four sites should be on service
club.
nSite Solution
Single Database for multiple locations with the Eaglesoft nSite module This is the best solution for offices that intend to open two – eight locations that they intend to manage
through a single database. The nSite module allows the office to set up and treat each location as a
separate entity within a single database. By utilizing this configuration all of the locations will share a
single patient database, thereby eliminating the inconvenience of duplicate patient records. It also
allows for a single storage location for data, images and documents for all sites. It allows up to date
scheduling, patient records, documents and imaging for all sites in real time. It also allows for
centralized reporting, scheduling, billing and insurance claim processing. This solution can be utilized
over a LAN or a WAN. If utilizing this over a WAN then the use of terminal services is required. Our
hardware requirements for a WAN are included later in this document.

Wide area network (WAN) configuration recommendations
Connection and Configuration Patterson requires a connection that offers dedicated bandwidth and Point to Point connectivity at each
location that will be accessing the database. By dedicated we mean that it is used exclusively by the
practice (not a shared line). Patterson does not recommend the use of a VPN to connect the locations. A
point to point connection would eliminate the need for a VPN.
The minimum connection that meets these parameters is a T1 line and 10 years ago it may have been
the best option. Today our recommendation is at least a 10Mbps x 10 Mbps Fiber Optic connection with
true point to point capability.
Patterson would also recommend that Eaglesoft be the only software running on this connection. If the
office utilizes VoIP or any other software that needs to be networked between the locations then
Patterson would recommend a separate line for those items.
If a connection meeting the description above is not available then Patterson would not recommend
utilizing a single database solution.
If the connection described above is available but the customer chooses to utilize a shared connection
instead then Patterson would not recommend utilizing a single database solution.

If a customer chooses a connection other than the connection described above and chooses to proceed
with a single database solution against the recommendation of Patterson then the customer will be
asked to sign a waiver releasing Patterson of liability over any previously discussed or otherwise
unstated expected performance levels at the remote sites.
Terminal Services Configuration
Database Server The specs for the Database Server can be found on the last page of this document. Patterson
recommends separate computers for the Database Server and terminal Servers. Patterson does not
recommend or support the use of Virtualized Servers for the database server.
Terminal Server The specs for the Terminal Server can be found on the last page of this document. Patterson
recommends a 1:1 Terminal Server to Remote Site ratio. It is recommended that separate computers for
each Terminal Server be used. It is recommended that the office have no more than 25 concurrent
connections per Terminal Server. Patterson does not recommend or support the use of Virtualized
Servers for the Terminal Servers.
Workstations The last page of this document outlines the recommended workstations for both your main site and
remote sites. Patterson does not recommend or support the use of Thin Clients or PC’s utilizing an Atom
Processor.

Recommended WAN Environment Patterson Eaglesoft is a robust practice management software program that will function through terminal services over a wide area network (WAN). All users accessing Eaglesoft across the WAN will have access to all features and functionality of the software. In regard to networking multiple locations for accessing Eaglesoft, there are some guidelines that need to be adhered to in order to gain the best performance possible of Eaglesoft across the wide area network. They are: - Bandwidth requirements
o Each LAN connection requires 100Mbps of dedicated bandwidth. o Each WAN THIN client connection requires 50kbps of dedicated bandwidth.
All references to thin clients throughout this document is in reference to a full service workstation not an actual thin client type of box.
o Each WAN FAT client (for image capture only) requires 250 – 350kbps of dedicated bandwidth.
- Server Operating Systems(Domain) o v15 of Eaglesoft – Windows Server 2003
Not supported on Windows Server 2008 R2 or 2012 R2 o v16 of Eaglesoft – Windows Server 2008 R2
Not supported on Windows Server 2012 R2 o v17 of Eaglesoft – Windows Server 2012 R2
- Network cabling o Proper cabling is paramount
Patterson recommends having a hardware technician with MCSE and MSDBA certification install your hardware.
Network cabling should be installed by a Certified Network Installer. 8-conductor, twisted pair, Category 5/6 wire with RJ45 connectors needs to be used
X-ray equipment and fluorescent lights can adversely affect your network performance.
All cable needs to be certified for use with at least 100 Mbps network cards (instead of 10 Mbps cards).
The cabling is as important as the connection in a WAN environment - Connection
o Patterson recommends a connection with dedicated bandwidth and point to point connectivity at all sites
Preferably at least a 10 x 10 Private Network
This type of connection will eliminate the need for a vpn to be created - Power supply
o For added protection, you may want to consider an uninterruptible power supply (UPS) if an inspection of the buildings power supplies indicates a need for it.

Notes: - Patterson does not recommend and in fact discourages FAT clients in a WAN environment.
o Except when necessary for image capture. In these cases once images are captured via the FAT client, users should switch to a
THIN client session for all other work.- WiFi or wireless networks may not provide sufficient performance or security and are not
recommended. - Your network is the backbone of your practice management system. This is why it is vital that all
cabling and/or hardware is installed or inspected by a certified technician. o Your local Patterson representative can help you decide what you need to get started and
may be able to recommend a reputable service provider to get your network up and running.- Give all users on all workstations no less than Power User rights - It is also important to know that UNC paths are not recommended for linking workstations to the data
folder for Eaglesoft.

Training
New Eaglesoft Customers with nSite
A total of four - five days of training are recommended. Training would be done without patients being
seen. A 1:10 Trainer to trainee ratio is preferred
Existing Eaglesoft customers adding nSite
Patterson recommends one day of training per location. This day would be broken down to include four
hours without patients and four hours with patients.
Conversions, merge & data import
Database Conversion
A database conversion is the process of converting as much data as possible from the existing software’s
database into an Eaglesoft Database. Patterson converts literally hundreds of different softwares with
varying amounts of data converting depending on the software being converted. Patterson’s
conversions team can detail what will and will not convert from these softwares.
Image Conversion
An image conversion is separate from a database conversion and therefore carries a separate charge. An
image conversion is available but not required for offices doing a Database Conversion. Quite often
when Images are involved an office will start new with imaging in Eaglesoft and simply keep a copy of
their old imaging around to reference until it is no longer needed.
Merge
A merge is the process of turning two separate databases into one. With a merge nearly all data is kept
from both databases but a lot of cleanup is required by the office to remove items that were duplicated
during the merge. We are able to merge two Eaglesoft databases into one so long as they are both on
version fifteen or older of Eaglesoft. Two version sixteen Eaglesoft databases cannot be merged into
one, for this we would need to use a Data Import
Data Import
A data import is much like a merge except it garners much less data from the second database. With a
data import all of the data from the first database is kept intact. However that is not true for the second
database. All that is kept from the second database is the Patient Demographic Information and a
Balance forward on each account. Such things as the Employer List, the Insurance Company list, Patient
Service History and Patient Account History are not moved to the final database. Images can be brought
over in a Data Import.

Trial Conversion and Final Conversion
Trial Conversion
For Customers that would be converting to Eaglesoft from different software Patterson does a free Trial
Conversion. This requires almost no down time for the office. It only takes about twenty – thirty minutes
to connect to the server via Webex to grab a current copy of the data. Patterson then runs that
Database through the conversion process and then contacts the office to review the results of the trial
conversion via a webex session. The trial conversion is beneficial to both the office and Patterson. It
allows the office to see what will and will not convert and it allows Patterson to project a very accurate
turnaround time on the final conversion should the office decide to proceed. A trial conversion normally
takes five - seven business days to complete.
Final Conversion
Once the office has made the decision to move forward and convert to Eaglesoft, Patterson will start the
final conversion process by scheduling training dates for the office. These are the dates that a Patterson
Level three Technology Advisor (Trainer) will be on-site at the office to conduct training. Patterson will
then build the schedule backwards from there to determine the dates on which the current database
will be needed for the final conversion as well as the date on which the new Eaglesoft Database will be
returned.
In the time that passes from when Patterson obtains the Database until the final conversion database is
returned, anything entered into the old software will have to be manually re-entered into Eaglesoft once
the final conversion database is being utilized. Time for entering this information is built into the training
agenda.
