NIHR HTA INTERVAL Trial Update to Practices July 2013

Welcome to the INTERVAL Dental Recalls Trial Update to Practices for July 2013. Earlier this month we were thrilled to

watch Andy Murray become the Men’s Singles Champion at Wimbledon and to hear the news of the safe arrival of a new Royal baby. The Trial Office Dundee (TOD) has news of its own to celebrate. Our recruitment target is 2244 participants in total and we have now passed the half-way mark (see below)!

Practice and Participant Recruitment Update: As of today’s date (31 July), 1148 participants have been recruited to the Trial. This is fantastic and we are proud of each practice and the effort made to achieve this number. The table on page 4 of this update shows the recruitment status of each practice.

Practice of the Month: This month’s worthy recipients of the award and the delicious Dundee Cake that accompanies it are Anita Belbin, Dentist and Lucy McCulloch, Dental Nurse from Thornliebank in Glasgow. Anita and Lucy (see photo) are a fantastic example of

how a smaller staffed practice can be instrumental in the success of the INTERVAL Trial. Congratulations and enjoy the cake!!

Model Practice: Amblecote Dental Care in Birmingham (see photo) have been involved since Phase 1 (Phase 1 was conducted to ascertain if practices and patients could be recruited and retained). All the staff have worked on the Trial but Julie Southall, Clinical Practice Manager; Paul Worskett, Dentist and Rebecca Partridge, Receptionist deserve a special mention. Their Patient Attendance Data forms (more on PAD forms on page 2) are completed fully and accurately and returned regularly. They contact the TOD whenever they have a query or want to discuss procedures and their friendly and willing attitude, engagement and high quality work is exemplary.

International Interest in the Trial: The Trial has recently been mentioned in a publication “How often should you visit

the dentist?”, from the Deeble Institute, Australia. The paper is an example of the growing interest in the INTERVAL

Dental Recalls Trial and the results. If you would like a paper copy of the article, please contact us and we will send one

your way. Alternatively, you can access a copy at the following web page:

Good Clinical Practice Training: We encourage all members of the dental team to complete Good Clinical Practice

Training. The GCP course provides an overview of research and a practical guide to ethical and scientific standards in

clinical research. The aim is that course participants know what to do to provide excellent GCP when they return to

their workplace to ensure that the rights, safety and well-being of patients are always protected.

NIHR offer free on-line GCP training to dental practices working on INTERVAL. When registering for an account you must quote the INTERVAL UKCRN Portfolio number which is 11395 and supply a valid work email address and postal address. The course takes 4 hours in total and a certificate is issued when completed. Please note, however, that there is a penalty payment if you register but do not complete the course.

You may prefer to attend a GCP training course in person and to this end, the TOD will be sourcing information about courses throughout the UK and providing dates and details in August’s Update to Practices.

The TOD is able to compensate for some of the time spent on GCP training on production of proof of completion of the course (for example a photocopy of your course certificate).

IN FOCUS - This month: Patient Attendance Data (PAD) Forms: When an INTERVAL patient attends a check-up, a PAD

form should be completed. Dates of check-ups should be scheduled in accordance with the patient’s Trial-allocated

recall interval. PAD forms should also be filled in for check-ups conducted if patients attend unexpectedly for treatment

(i.e. out-with the scheduled recall interval). The data captured on PAD forms is crucial to informing the TOD of

attendance patterns and enables us to monitor that practices are adhering with patient recalls. Once a month, practices

should collate any PAD forms completed during that month and return them to us in a freepost envelope.

Completing the PAD Form - Please see below examples of completed sections of the PAD form for patient 35020 who

has been allocated to the 6-month arm (the details are fictitious):

The ‘Intended Check-up Appointment Date’ should be the date of the appointment that was made prior to the

patient leaving the practice after the previous check-up appointment.

Patient 35020 rescheduled his ‘Intended Check-Up Appointment Date’ due to a family holiday.

Patient 35020 actually attended on 16/07/2013 for a 15 minute check-up. He requires a course of treatment which

will last approximately 8 weeks.

The date of his next check-up is scheduled following the end of the course of treatment - for 16/03/2014.

The patient has to attend unexpectedly for more treatment on 30/01/2014. A check-up is conducted at the visit

and a new PAD form completed accordingly showing that the ’Intended Check-up Appointment Date’ had been

16/03/2014 but was changed to 30/01/2014. The next appointment should be timed 6 months from 30/01/2014.

From the Trial Office Dundee - Good Clinical Practice: On occasion a Patient Case Report Form, Patient Screening Log or Patient Attendance Data form is returned to the TOD with an error or omission of data. Darienne and Hazel thoroughly check each form for completion before entering the data into the Trial database. If there are errors or omissions, they will contact the practice. To minimise errors or omissions, please remember the following:

1. Consent Form: Dentist and patient should both sign and date. Boxes also need to be initialled by the patient.

2. Patient Screening Log (reverse of Patient Case Report Form): The answers to section 2 are a way of ensuring/checking that the patient is eligible for the Trial. If any are circled as “no” the patient cannot be included in the Trial.

3. Patient Case Report Form:

The dentist must sign the Patient Case Report Form after the randomisation phone call has taken place and if the patient has been randomised to ‘risk-based recall’ they must decide on the recall interval.

Note the next recall appointment in the following format: day/month/year.

NOCLOR Research Support Services Event, 26 June 2013: Noclor represents a group of

NHS Trusts across north, central and east London.

Their aim is to promote and support high quality research in primary care,

community health and mental health and to provide research management and

governance within their area. Noclor staff organised a fantastic event for London

dental practices at the BDA Headquarters in London on the evening of 26 June,

entitled: ‘Improve Your Practice by Doing

Research’. The thought provoking programme

was introduced by Prof John Galloway, head of

the Dental Team Studies Unit at the Eastman

Dental Hospital, London. Prof Nigel Pitts, Director of the Dental Innovation &

Translation Centre at King’s College London and Joint Chief Investigator for INTERVAL

gave an update on progress with the INTERVAL Trial. Our own INTERVAL dentist, Dr

Marc Marcou, also spoke about his experience as a GDP involved in research and the impact on his practice.

Dr Dominic Hurst from Barts and The London School of Medicine and Dentistry

described how dental professionals are being taught the benefits of, and how best

to fit, evidence-based practice in their day-to-day work. Prof Ferranti Wong gave an

update on the FiCTION Trial (Filling Children’s Teeth: Indicated Or Not?). FiCTION,

along with INTERVAL, is being conducted by the Dental Health Services Research

Unit and other UK collaborators. To conclude the presentations, Dr John Parkinson

Director of the Clinical Practice Research Datalink, spoke about the enormous

opportunities for research in the future and the vast stores of data that are

accumulating and being held, not only by public organisations like the NHS but also

commercial companies such as Tesco and Boots. In his presentation, he also sought

to answer the questions: What is the future for health services research? What data should be made available and how

can research best be focussed to serve our interests and produce reliable evidence for practitioners to benefit all?

Philip and Corina Wee (INTERVAL Practice of the Month for June) also attended and

during the evening their valuable input to the INTERVAL Trial was acknowledged.

They were presented with a Dundee cake by Trial Manager, Ruth Floate as an

expression of appreciation from all members of

the INTERVAL Team.

Stephanie Butler is Noclor’s key point of contact

for dental practices taking part in research

projects and for researchers conducting oral and

dental projects locally. If you would like to contact Stephanie, her email address is:
