Dear Owners:When I was elected President of the Board in October, my primary goal was to steer the resort into a long-term plan to assure our continued success.

In March, the Board developed a plan to charge an Amenities Fee to guests who make timeshare exchanges into our resort. The proceeds from the fee will go to increase the amount we can spend to improve and add amenities for our guests and owners to enjoy.

However, you all know the saying “Life is what happens when you were making other plans”. Due to the COVID-19 shut-down, we have not been able to host any guests since Mid-March, so no new revenue from Timeshare Exchanges has been collected yet. However, this did give us time to update all of our exchange company partners to update our listings so this fee will be implemented as soon as we are able to welcome back our exchange guests.

When the resort shut down, we needed to suspend our housekeeping and some of our maintenance staff. In mid-June, we will be able to start hosting owners and guests from within Vermont, and possibly others based on the Governor’s guidelines. As we reopen, we will be initiating intense cleaning procedures before and after each guest.

Our next step is to analyze the overall Timeshare program and look to a way forward with fewer timeshare owners as the average age of our current owners goes up. The Board is very engaged in finding some resolution to this issue and we are taking action.

We invite you to get involved in the conversations by attending our Board meetings or running for an open seat in October.

R E P O R TFor this report I would like to highlight the following activities:First and foremost, I would like to speak to the challenges our country, and industry, have seen in response to the COVID-19 pandemic. While our resort has been closed since March 21st, we are happy to announce that we are accepting rental reservations as of June 15th. Please note, we are working with the guidelines as they are released by the Governor so may need to inflict restrictions and requirements on these reservations. We are working closely with our state legislators and neighboring lodging properties to advocate our needs and give our owners a voice.

We have put in place new guidelines regarding check-in and check-out procedures, cleaning protocols and virtual assistance to our guests. Please refer to the COVID-19 section of this newsletter for details.

We sincerely hope that you, our owners, and your families, are safe and well during these challenging times. If there is anything we can do to assist you, please do not hesitate to reach out. We miss our wonderful owners and look forward to welcoming you back!

Capital ProjectsThe following capital projects are completed or scheduled to take place this year:

Generator system installed for pump house at H, J and K Buildings

Construction of Building for the water system at A&B Building.

Dead tree removal has been completed.

Replacement of rubber roof/decks at various units.

Replacement of some windows.

Painting of the window trim, beams and building trim around the property.

Security camera system installed at the office and pool building.

Interior pool building upgrades

In-House Systems and ProcessesWe have recently shifted from using a system called V12 (by HomeAway) into a new system called Resort Data Processing. This new system is much more robust regarding our timeshare program and the functions we need to run both a condo association and a rental program. In the coming months, you will be updated as to how to access your owners’ portal, what information will be available to you and other information pertaining to your personal account.

I would like to take a moment and recognize the growing pains we have had in our financial department since moving our processes in-house. While there has been some frustration amongst both owners and staff, I am happy to report we have finalized a resolution. We recently contracted with a local agency specializing in association finances. This company will be handling our accounting needs moving forward and will be working directly with myself and the Board of Directors. We are excited to make the financial portion of our business more streamlined and accurate moving forward.

Other Information and UpdatesBoard meetings have been changed to be held via teleconference in June. If you would like to join in on the meeting, please see the Owners’ page of our website for the date and time. The agenda will be posted with the call-in information prior to the meeting.

For the foreseeable future, our office staff will be working remotely as much as possible. We will have staggered on-site shifts to take care of in-office matters. If you need to get in touch with our staff, you can do so via email or by contacting the front desk phone number. Our calls are being routed to cell phones and an office staff person will contact you during regular business hours.

Stan, our Property & Grounds Manager, and team have been hard at work getting the grounds ready for spring, monitoring condos during the temporary closure, and fixing many things that have been brought to our attention by our owners. The General Manager’s Report covered a few goals/completions; please see below for additional current projects:

staining (rebuilding some) of all F building, some of G and E building decks

spring clean-up

laying stone by the back exit

stucco-ing, priming, and painting K building exterior

fixing and staining of the upper K walkway

tennis court maintenance such as fixing cracks in the court and the surrounding fence

C building steps

pressure washing the office and E building

digging a fresh structure and adding sand for horse shoes

reservoir clean-up

watershed clean-up

overseeing the installation of new hot tub steps

everyone’s health and cleanliness in our community.

Our housekeeping procedures have been updated to reflect the maximum amount of cleanliness we can provide to keep you and your family safe.

Our staff may be in contact to potentially change your condo location to ensure there is enough downtime between guests for housekeeping to clean the condo to the best of their ability.

Please be patient and open-minded as we all work together to see this association succeed!

Attention whole owners!Have you considered hosting what we call a “long-term” renter due to the drastic change in the rental market since COVID-19? Mountainside defines a long-term renter as someone that stays

in your condo for 30 days or more.

Lindsay or Rebecca would love to discuss and explore this option with any of our whole owners! A huge perk to allowing the office handle the rental is having maintenance, office staff,

and housekeeping readily available to your tentant as needed.
