(A) ISO 9001:2015 Quality Management System (QMS)

Certified with ISO 9001:2008 in 2012, all processes at Mumbai International Cargo Terminal (MICT) were documented as

per the standard’s requirements. However, we decided to upgrade our processes to new standards that are internationally accepted, which would make MICT a trusted partner for clients who want to work with a process-oriented business partner.

We determined the detailed activities, our current readiness and the changes required to attain the latest ISO standards.

ISO 28000:2007 Security Management System for a Supply Chain

MICT is the first ever CFS to have attained the ISO 28000:2007 standard, which specifies the requirements for a Security Management System (SMS), including those critical to the security of a supply chain. We saw a need to upgrade our security awareness for the entire supply chain associated with CFS activities. Our clients, thus, would feel that their cargoes would be protected at MICT.

Security management is linked to many other aspects of business management, including all activities controlled or influenced by organisations that impact on supply chain security.

MICT was earlier certified to ISO 9001:2008, which is a standard that sets out the requirements for a quality management system. It was time to upgrade to the next version to be more qualitative and be more competitive, thus we opted for QMS.

We conducted a risk assessment for all of our processes, which gave us an opportunity to further strengthen them so that we could qualify for the next standard ISO 9001:2015.

(B) ISO 14001:2015 Environmental Management System (EMS)

This standard is designed to address the delicate balance between maintaining profitability and reducing the environmental impact with the commitment of the entire organisation.

ISO 14001:2015 specifies the

most important requirements to identify, control and monitor the environmental aspects of any organisation, and how to manage and improve the whole system. We created an aspect/impact register, which identifies measures that can be adopted, such as:

• We changed the conventional lighting system in the yard, warehouse and administration building to LEDs

• The air conditioner temperature was programmed to a set temperature

• The air conditioners were turned off during lunch time and after 6.00 pm as a default activity

• A hazardous waste management system was introduced

• Installation of Sewage Treatment Plants - STP (operational by

17 February) with the latest Maharashtra Pollution Control Board standards of December 2015

(C) OHSAS 18001:2007 Occupational Health Safety & Management System (OHSAS)

We undertook a Hazard Identification and Risk Assessment (HIRA) for processes at MICT. Efforts were maximised to identify all potential hazards in our daily practices. We noted them and prepared an action plan to overcome these risks, including:

• Safety awareness programmes and training for all stakeholders

• Rewriting of safety booklet

• Storage of hazardous materials as per the International Maritime Dangerous Goods Code

• Live announcements of safety messages

Preparations for ISO 9001:2015, ISO 14001:2015 and OHSAS 18001:2007

We applied a combination of the three standards as an Integrated Management System (IMS):

• We approached our in-house audit team, headed by Mr R.S. Tiwari, to guide us during the entire course of achieving all three certifications

• We nominated members from various CFS departments to form a core team for the audit

• Manuals were prepared in consultation with the core team. These were circulated in all departments through the HODs

• Standard Operating Procedures (SOPs) were prepared for the three standards

• The core team was trained on how to participate and on the necessary measures to be taken for the audit

• We created as awareness among CFS staff and vendors through various presentations, one-on-one interactions, town hall meetings etc

• Staff were trained on first aid and fire fighting, and various mock drills were conducted

• A safety booklet was prepared and circulated to everyone at MICT

• Internal audits were conducted until we were satisfied with our readiness for the final audit
