New Features of Spine Payroll Version9.8.0

1. Form 16 Certificate Information setting is shifted to CompanyInformation.

Earlier Certifier Details and Authority Details of Form 16 & Form 12 BA were available in“Utilities-->Payroll Standard Setting” which is now shifted to “CC-->Company Information-->Form 16 Information” as shown in below Figure 1.

2. CIN Number is provided in Company Information.

CIN Number is added in “CC-->Company Information-->Other Details”, as shown in belowFigure 2.

In payslip,Company Address will display including CIN Number .

3. Corp ID is provided in Company Information.

“Corp ID’ is added in “CC-->Company Information”, as shown in below Figure 3.

Maximum length of Corp ID is 50 character.

Note: Corp ID is provided for Bank text file generation for Default Format of Finacle Application .


4. Default Format of Finacle Application is provided in Bank Text File.

To generate Bank Text File using default format of Finacle Application to transfer salaryamount of employee in Employee account.

Procedure to generate bank default file format is as follows:

i. Login to Payroll with Super user.

ii. Go to CC --> Company information --> Enter Bank account number and corp ID --> click onsave.Note : Enter Company Bank Account no and Corp ID in this field.


iii. Go to Monthly process --> Generate text file --> Select Format as : Default Format --> Clickon OK

Message will get pop up with file generated path i.e. C:\Spinepayroll\text\BankTextFile.txt


iv. Generated Text File.

Below is the screen shot of generated text file i.e. BankTextFile.txt

NOTE: This will work for AXIS BANK, BANK OF BARODA, UNION BANK and other those bank using FinacleApplication.


5. UAN Number is provided in Employee Master Report.

UAN Number will be printed in Employee Master report from “Employee --> Employee Master -->Print Button”, as shown in below Figure 5.

6. New Standard Reports are provided in Employee Report Writer

57 New Standard Reports Setting are provided in “Employee-->Reports-->Report Writer” forease of employee reports generation.

To update those standard setting "Create Default Report for Employee Report Writer" option isprovided in “Utilities-->MISC Utilities”, as shown in below Figure 6.

Report List Tab is added in below Reports which will display saved report setting for selection :

I. Employee-->Reports-->Report Writer

II.Utilities-->Report Writer-->Detailed

Note : New 57 Standard Report settings along with saved report settings will now display inReport List Tab of Employee report Writer.


7. Some tabs are renamed in Employee Master.

Below tabs are renamed in “Employee-->Employee Master”, as shown in below Figure 7 :

I)“Details” Tab has renamed with “General” Tab.

ii) “Personal” Tab has renamed with “Contact” Tab.

iii)”Other” Tab has renamed with “Statutory” Tab.

iv)“Custom Field” Tab has renamed with “ Check list” Tab.

8. Validation of length and numeric format is provided for AadharNumber

Validation of length and numeric format is provided for Aadhar Number in belowmentioned modules where size of Aadhar Number should be 12 digits numeric formatonly, as shown in below Figure 8.

I. Employee → Employee Master

II. Employee → Employee Master →Multi Option → Update Multiple Employees

III. Utilities →Import → Update Employee

9. "Resign Dt." and “Left Dt.” are renamed in Employee Master.

"Resign Dt." is renamed with “Last Work Date” and "Left Dt." is renamed with "F & F Date" in“Employee-->Employee Master” , as shown in below figure 9.

10.Percentage for Employee Count is provided in Employee Count report.

“Print Percentage” Option is provided in “Employee-->Reports-->Employee Count Report”, asshown in below figure 10.

By Selecting Print Percentage option percentage will be printed as per master selection done forhorizontal and vertical.

Note:- If Group By selection is done by user then “Print Percentage”option will be disable.


11.Loan Given Date” and “Loan Sanction Date” is provided in LoanMaster Report.

Loan Given Date and Loan Sanction Date will be printed in “Loan Manager-->Loan Master-->Print Button (near Loan Transaction Entry), as shown in below figure 11.

12.Authority Details are provided in Bank Statement format 3 and 5.

Authority Details of Bank Statement for Format 3 and Format 5 were available inUtilities-->Payroll Standard Setting which is now shifted to “CC-->Company Information-->Form16 Information” as shown in below Figure 12.

13.New Option is provided in Generate Bank text file.

"Do not include FNF employee" Option is provided in “Monthly Process-->Generate Text File”, asshown in below figure 13.

By selecting this option, left employees will be excluded from generation of Bank Text File.

For Example: If Employee is Left in November Month and generating text file forNovember Month then employee will be excluded from text file.


14.Leave Type CO+ and CO- are included in Upload from leave Summaryoption.

Earlier PL, SL, CL leave types were included in Upload From leave Summary option.

Now, Summary count for leave type CO+ and CO- are also included in ”Monthly Process-->Monthly Payslip -->Generation --> Upload From Leave Summary” to upload leaves fromgenerated attendance summary , as shown in below figure 14.

Note: Summary count for ABS and LWP will be excluded from Upload Leave From Summaryoption.


15. Reconciliation option is provided in Attendance SummaryGeneration (For HRMS Clients who have opted leave Module).

New option is provided as “Reconciliation” in Spine Payroll --> Monthly Process --> AttendanceSummary --> Generation to update leave in HRMS.

This option is provided to update corrections of leave balance in Spine Payroll and Spine HRMS.

Any leave adjustment for increment or used leaves done in Spine Payroll were notreflecting in Spine HRMS and vice verse. To correct the same reconciliation option can be used.

There are 4 options provided in Reconciliation :

I. Update Increment Leaves :

Leaves which are credited while processing salary for particular leave type in Incrementcolumn (PL Increment, CL Increment etc.) can be updated in Spine HRMS using thisoption.

Here, auto adjustment entry will be passed in Spine HRMS and based on same leaveswill be corrected accordingly


For Example, While processing salary for Nov-17, 2 PL Increment is added but same hasnot reflected in Spine HRMS. To update those increment leaves, Update IncrementLeaves option can be used from Reconciliation.

II. Update Encashment Leaves :

Leaves which are encashed while processing salary for particular leave type in Encashcolumn (I.e. plench, skench etc) can be updated in Spine HRMS using this option.

Here, auto adjustment entry for encashed leave will be passed in Spine HRMS.

III. Update Late-Mark Leaves :

Latemark leaves which are calculated for selected month as per Attendance Summarywill be transferred to Adjustment Entry in Spine HRMS.

Note :

a) Latemark count will be calculated as per setup done for Latemark calculation inShift Defination (Spine HRMS).

b) Latemark Leaves will be calculated based on setting done in Spine Payroll -->Payroll Standard Setting (Default) -->For LateMark, Consider CL / PL.

IV. Update Used Leaves :

Difference between Attendance Summary and Leave Utilized while salary processing willbe transferred to Leave Adjustment in Spine HRMS using this option.

For Example,

4 PL applied &approved for Dec-17 (which are calculated in Attendance Summary) But 6PL entered while processing salary.

Here, leave adjustment for used leaves will be done for 2 PL.

By running this option, adjustment for 2 PL will be passed in Spine HRMS --> LeaveAdjustment .


16. New Option for Days present is provided in Bonus Generation.

“Print Days Present instead of Days Paid”option is provided in “Events-->Bonus Generation”, asshown in below figure 15.

By Selecting this option, Days present will be printed instead of Days Paid in all Bonus Formats.

17. Holiday Type is provided for importing Holiday Master(For HRMSClients only).

“Mandatory /Optional” holiday type is provided for importing Holiday Master in “Utilities-->Import-->Holiday Master”, as shown in below figure 16.

18. New Fields are added in Import for Personal Details

New fields are added to update below mentioned details for multiple employees in “Utilities →Import→ Employee’s Personal Details”, as shown in below Figure 17.

II. Name as per Pan

III. Name As Per Aadhaar

19. New option is provided in MISC Utilities to update Sandwich LeaveColumn.

“Update Default GradeWise Leave Setting - Sandwich”is provided in Utilities-->MISC Utilities, asshown in below Figure 18.

By running this utility Blank Sandwich Column will be updated with leave Type.

For example: If Sandwich column for PL is blank then by running this utility Sandwich LeaveColumn is updated as PL.


20. In Composite Claim Form, claim details will display from NomineeEntry.In Composite Claim Form (DEATH CASES), Claimant Details For Provident Fund, Pension andInsurance (EDLI) will be displayed from “PF-->Nominee Entry”, as shown in below figure 19

Note:- Maximum 5 records from Nominee Entry will be printed in Composite Claim Form (DeathCases)
