• Computer Computer access is arranged by the Information Technology (IT). It is important to "password protect" your computer even if you are in a single office environment. If you have computer problems or concerns, you may contact IT at Ext. 4332.

• Email –(Attachment 5) Vincennes University email system is Google Gmail. To set up your Gmail account you must have a Banner “A” number. Click on G-mail account request form (see attachment #5). You will need to complete the form and have your supervisor sign for approval. • E-Text Alert System

Vincennes University has partnered with Rave Mobile Safety to provide an emergency alert system, capable of delivering messages to your preferred email address and your mobile phone on file with the university. This service is available to you at no additional expense. (Note that your cellular phone provider may charge a per-text message fee for the delivery of emergency notifications to your phone). All currently registered students and actively employed employees are automatically enrolled and you will receive an email with your username and password within 24 hours. Upon receipt of this email, we encourage you to login to E-alert (aka. Rave) and confirm your notification preferences. If you cannot locate this email, simply click on the 'forgot username and password' and the system will provide it to you electronically. Additionally, you can opt-out of the mobile text messaging anytime by simply responding with 'STOP', you cannot opt-out of email notifications at this time. https://www.getrave.com/login/vinu If you have any questions, please email https://www.vinu.edu/web/mic/help-desk

• Phone System Here are some basics about your voicemail system.

1. To access your personal voicemail from your phone, press the button with the envelope symbol on it. 2. Your initial password will be " 1 2 3 4 5 ". The system will prompt you to enter in a new

password. If you ever find that you've been locked out of your voicemail, you can contact the Telecomm department at 4332.

3. To access your personal voicemail from off-campus or from another phone on campus, you will need to dial 888- 2000. This is the extension for retrieving your voicemail.

4. For more options/extra information, you can review the voicemail manual named the Unity Connection Phone Interface. You will need the model number that is located at the top right on the front of your phone. As always, if you have any questions, you can contact the Telecomm department at 4332.

• Office Key (Attachment 4)

A key request must be submitted by the college office. You will then be notified when the key is ready for you to pick up from the Physical Plant Office. You must sign for the key when you pick it up. When you leave the University, you must return your key to the Physical Plant Office. Parking Faculty may obtain a parking permit form at the Campus Police Station. Faculty must have a parking permit to park on campus. Faculty may park in any lot on campus. Parking spaces reserved only for faculty and other employees are marked with Blue lines. The link below will take you to the VU Campus Police web site where you will find information on parking permits, parking regulations, and other police/security information. • Places to Eat on Campus Sodexo provides dining services for VU. Please visit the Sodexo web site for information about the Tecumseh Dining Center (TDC) and the Jefferson Union Café at the Student Union Center. FACULTY INSTRUCTION

• Faculty Office Hours (From the University Manual)

The purpose of office hours is to encourage students to seek counsel. To make the counseling of students more effective, the following guidelines have been set forth:

• All full-time faculty members will hold at least five office hours a week on campus (one office hour per day for five days per week), meeting for at least fifty-minutes each time with some periods in the mornings and some in the afternoons as teaching schedule permits.

• Faculty members are required to inform students within each syllabus of regular office hours, including when and where faculty are available.

• Those full-time faculty members whose schedules do not permit one office hour per day, per week, must submit a schedule showing the times and days of the week when they can best hold office hours, subject to approval of the College Dean.

• The faculty office hour schedule is submitted to the College Dean no later than the end of the second week of classes and forwarded to the Assistant Provost for Curriculum and Instruction and to the Provost and Vice President for Instructional Services.

• Submitting the Schedule Use the attached form to enter your course schedule and office hours. You may choose your own office hours in accordance with the University policy.

• Schedule Changes If a situation arises that requires a change in your schedule, you must get approval from your College Dean.

• Faculty Email Policy (From the University Manual)

The purpose of email is to communicate with students in order to help them stay on tract. To make the communications more effective, the following guidelines have been set forth:

A full-time faculty member should respond to student emails within 2 business days of receipt. The 48 hour response time excludes days the University is not in session and/or days that faculty are not on contract (weekends, holidays, spring break, summer break, etc.) For example, if a student contacts a faculty member on Friday at 3:00 pm, the faculty member has until Tuesday at 3:00 pm to respond. If a faculty member is unable to immediately address concerns within an email, an acceptable response is, “I have received your email and I’ll get back to you as soon as possible.” If the full-time faculty member will not have email access for more than 48 hours when the University is in session and the faculty member is on contract, the faculty member must inform students, in advance if possible, that he or she will not be accessible.

• Basic Faculty Responsibilities Vincennes University faculty have responsibilities in and out of the classroom, including instruction, advising, assessment, and being an active member of the VU community.

• Mentor

New faculty will be assigned a mentor that will assist him or her throughout the first year at VU. You will be able to meet your mentor at the New Faculty Orientation session. You should arrange a regular meeting time with your mentor, but feel free to ask questions as needed. Weekly mentor meetings are suggested at least through midterm of the faculty member’s first semester.

• Lateness, Absence and Attendance Reporting (From University Manual)

All employees are expected to report to work regularly and on time. If illness, inclement weather, or other unexpected situations cause tardiness or absence, all employees are required to contact their immediate supervisor prior to the start of the workday, or at least within the first hour of the workday.

Faculty are required to report their absence from class in writing to their department chair (or College dean if no chair exists) to confirm that appropriate arrangements may be made for the disposition of the respective classes involved.

• Inclement Weather In the case of inclement weather and the possible altering of the University schedule or closing of the University, employees are to listen to any radio station in Knox County, in those counties adjacent to Knox County, in Evansville, in Bloomington, or in Bedford. Information is also available on WVUT (Channel 22, Cable 12) and television stations in Terre Haute and Evansville. In addition, employees may obtain pertinent information through voice mail messages by calling one of the following numbers: 888-7979 or 888-8888. For the Jasper Campus, contact the office of the Dean for information regarding changes in schedule; for the ATC, contact the department chair.

• Student Conduct

• Student Feedback Students have the opportunity to provide feedback to faculty through the "SurveyDig" system. Shortly before the end of the course, students have access to a survey link for anonymous feedback. Faculty can view student feedback summaries on MyVU. Simply go to MyVU and select under Faculty the University Systems tab and then click on Survey Dig link. User name and password is the same as your MyVU user name and password.

• Using the "Smart Classroom" Equipment

Talk to your mentor for assistance with classroom equipment or contact the CTL at 5611. Each “SMART” classroom contains a multimedia podium/cabinet, high-end multimedia computer with a DVD drive, videocassette player, speakers, amplifiers, Internet access, visual presenter (graphics camera), and a remote or portable mouse/pointing device. Recent installations also include an interactive

monitor/panel attached to the computer, wireless projector control, interactive graphics tablet, and a switching control box and administrative software.

• Professional Development Opportunities

The CTL (Center for Teaching and Learning) provides a number of faculty resources and professional development opportunities. CTL staff sends emails announcing professional development offerings. You may also check the CTL web site for resources. VU Professional Development programs are open to both full time and adjunct faculty. Professional Development funds are also available through your college. To request use of these funds, see the college secretary for the appropriate forms. VU generally offers two designated Professional Development Weeks: January, prior to the start of the Spring Semester, and May, following the end of the Spring Semester.

STUDENT ATTENDANCE POLICIES

• Attendance Policy https://catalog.vinu.edu/content.php?catoid=39&navoid=3060#Attendance_Policy • Philosophy of Attendance. The Vincennes University policy is premised upon the notion that students will

attend all sessions of the classes in which they are enrolled. This policy supports Vincennes University’s philosophy that students benefit most from the people and facilities provided by the citizens of Indiana

through proper and adequate class attendance. Consequently, missing class for any reason will be regarded as an absence. When absences result from an approved and required university activity, they will not be counted against a student, and the work missed may be made up. Vincennes University believes that students who participate in university-sponsored activities and faculty-developed field trips must develop habits of attendance consistent with such participation, or voluntarily refrain from such participation. For whatever reason an absence occurs, the student is responsible for the work missed.

• University Sanctioned Absences. University sanctioned absences include military obligation, COVID-19

related absences, mandatory court appearances, and participation in university activities at the request of university authorities. Quarantined students are not to be penalized for physical absence, but may be expected to complete class work and activities as assigned. Instructors are expected to be flexible in allowing students to make up work missed due to a university sanctioned absence. Instructors and students may consult with the Dean of Students Office on events that constitute official university sanctioned events.

• Procedures for Verification of Absences by Students. In most cases, absences which occur as the result of

participation in a university-sponsored event–for example, intercollegiate sporting events–need no verification provided by the student. Usually, professors who develop field trips that require students to miss the classes of other faculty members will inform the Dean of Students of that event and the names of students involved. The Dean of Students will send an official notice to all faculty; however, it is always to the students’ benefit to make certain that their professors are aware of their participation in university-sponsored events or course-related field trips. When a student misses class for some reason other than a university-sponsored or course-related event, the responsibility to provide verification to the Dean of Students’ Office falls directly and solely upon the student.

1. Upon his/her return to classes, the student must complete an Absence Verification Form, available on MyVU. The student must provide verification of the reason for absences such as illness treated by an off-campus physician, a court appearance, a death in the family, among other possible situations by emailing documentation to [email protected]. (Verification means to document that the reason is true by providing evidence.)

2. Any student who visits the Vincennes University Primary Care Clinic (VUPCC) as part of a limited illness must fill out an Absence Verification Form as part of that visit if an absence is advised by the nurse. The VUPCC personnel are the only university staff authorized to offer verification of a student’s illness.

3. Students who wish to make up work (tests, quizzes, laboratory sessions, paper submissions, among others) missed as the consequence of a non-university caused absence must complete a Request for Make-up Privilege form at the Office of the Dean of Students. The final decision in this matter is made by the faculty person.

• Faculty-Initiated Withdrawal of Students from Class

Students who miss class hours totaling twice the number of credit hours awarded for the course, or the equivalent of two weeks of class instruction, are eligible to be dropped from class. Faculty will be using the “TAPS” program–Tracking Attendance and Performance of Students–to issue warnings for non-attendance and to drop students for non-attendance with the following final grades:

• WN: Withdrawal for non-attendance, Not failing • WF: Withdrawal for non-attendance, Failing

Only the student may appeal such a drop for non-attendance, and the student has two possible avenues for appeal.

1. The student may appeal directly to the faculty person for readmission to the course and must provide evidence of extenuating circumstances that caused the absences. The faculty person has the option to readmit the student at his/her own discretion.

2. The student may appeal the drop for non-attendance through the Dean of Students Office by completing an online Drop Petition Appeal submitted within five business days from the date of the notification. The Dean of Students will review the appeal, consult with the faculty member and then

render a decision to grant or deny readmission into the class. If there is extenuating information/evidence unknown to the faculty person or Dean of Students, the student is responsible to provide that information/evidence prior to the review. The review is conducted by the Dean of Students or a designee.

• Student-Initiated Withdrawal from Class

A student initiating a course drop should check the program requirements with his/her academic advisor and the potential impact to financial aid status with the financial aid staff before making any schedule changes. Students must be aware that dropping any corequisite course will initiate the drop of the corresponding corequisite course. Additionally, students should be very cautious about dropping developmental classes, especially developmental corequisites, as this can hinder degree progress and financial aid eligibility. A student dropping a developmental course will be placed on academic probation or might be academically disqualified. Class withdrawals from some required courses are not permitted.

Approved withdrawals, initiated by the student, may be made up to and including Friday of the tenth calendar week of each fall or spring semester. (This date may be adjusted for terms less than fifteen weeks in length. See Academic Calendar for exact dates.) Students are to be aware of their responsibility for making withdrawal decisions in time to meet calendar deadlines. Students should also be aware that withdrawals requested after these deadlines to avoid lower than desired course grades will not be considered. Student-initiated withdrawals will not be permitted after these dates except in the case of extended illness, family emergency, or other such unavoidable causes, and then only with the consent of the class instructor, the student’s academic advisor, and the college dean of the student’s major.

The approved Drop and Add form is filed with the Registrar. Unless the student is failing the class, the student-initiated withdrawal will be recorded on the transcript as a W. Drop and Add forms may be obtained from the student’s academic advisor.

• Withdrawal from School

A student who voluntarily withdraws from the University must, in order to receive an honorable dismissal, notify the Dean of Students of his/her intention by emailing the Dean of Students’ Office. Failure to conform to this regulation will result in the loss of credit in all subjects. The Dean of Students’ Office will notify instructors when withdrawal procedures are complete. The University withdrawal refund policy is outlined in the Institutional Refund Policy in this catalog.

A student may be withdrawn from the University for medical reasons if he/she cannot psychologically function in the educational environment or has a contagious illness which cannot adequately be isolated in the educational environment.

The University reserves the right to deny continued enrollment if the student is failing to make academic progress. Also, the University may deny admission or continued enrollment if the University does not have the resources to meet the academic needs of the student.

TAPS SYSTEM (TRACKING ATTENDANCE AND PERFORMANCE OF STUDENTS)

• The TAPS (Tracking Attendance and Performance of Students) system may be used to send campus

individualized notifications to students regarding attendance, behavior, concern about academic performance or violations of academic dishonesty or classroom disruption. When information is entered in TAPS, notifications are sent to the student, the student’s advisor, and the Student Success Team. In addition, the Dean of Students, or a designated official at each campus, is notified of violations of academic dishonesty or classroom disruption.

The TAPS (Tracking Attendance and Performance of Students) system may be used to send notifications to students regarding attendance, behavior, or concern about academic performance. When information is entered in TAPS, notifications are sent to the student, the student’s advisor, and the Student Success Team. For behavior warnings, notification is also sent to the Dean of Students.

examples that were discussed of when to use: • student is sleeping • student is texting • student is not paying attention • student is talking during class • student is refusing to participate during class/group discussions • student often gets up and “steps out of class”

d. Excessive Tardiness e. Low Test Scores – Use this warning when a student has submitted any type of work for a grade

and it is noticed they may need additional support. f. Great Job

5. Select the appropriate Attendance Warning: “Warn 1” if this is the student’s first attendance warning

and “Warn 2” if it is the second warning. 6. When dropping a student for nonattendance, “WN” indicates “Withdrawn Not Failing” and “WF”

indicates “Withdrawn Failing.” It is important to enter the last date of attendance. 7. If the student did not attend at all, faculty should use the first day of class as the last date of

attendance. 8. Enter the information as desired for each student on the roster. 9. Be sure to click the “Submit” button at the bottom of the roster. If you do not click “submit” your

notifications will not be saved or sent. 10. If you have TAPS questions, contact your mentor or your supervisor. 11. Violations Notices: Check the appropriate boxes and provide a small narrative of the incident, this will

go to the Dean of Students. It is also a good idea to email yourself, department dean, and college Dean.

You must enter the last date of attendance for Title IV compliance.

Warning 1 = 2 absences in a 50 or 90-minute course

• Justified absences should not count against the students. • Faculty are allowed latitude in determining if students should be dropped. • Faculty are not required to drop students with absences equaling twice the credit hours of the course

• The Student Success Team supplements the work of the advisor. The supplemental help does not replace the need for advisors to work with students on TAPS-related issues.
