Benefit Administration Basics

The MSDN Subscriptions Administration System allows the capability for organizations to allow the MSDN Administrator to assign MSDN benefits to end users. This system is available from the Microsoft MVLS and eOpen web sites. This system allows organizations more control to the MSDN Administrator rather than relying on the end user to administer their benefits. This system also allows administrators to separate their benefits to suit their needs. With this new system, MSDN Administrators can transition their current MSDN Universal Subscriptions to one of the new Visual Studio 2005 roles available. This new tool also allows MSDN Administrators to:

� Be able to quickly add new users and grant immediate access to important benefits.

� Gain greater control and flexibility in distributing MSDN benefits amongst users

� Easily track and manage media kits � View consumption reports regarding the assignment of benefits

Signing In via MVLS MSDN Administrators signing into the MSDN Subscriptions Administration System via MVLS can access their agreement(s) by:

1. Enter https://licensing.microsoft.com. Click Sign In.

2. Enter Passport credentials and click Sign In.

3. Click MSDN Subscription Benefits. MSDN Administrators will only be able to see agreements that they have been granted access to.

Note: After clicking MSDN Subscription Benefits, organizations with only one agreement will be taken directly to their agreement. Organizations with multiple agreements will see a searchable page listing all of their agreements to choose from. _________________________________________________________________

Note: Only users who have already been granted MVLS Administration rights will be able to use the MSDN Subscriptions Administration System. Signing In via eOpen MSDN Administrators signing into the MSDN Subscriptions Administration System via eOpen can access their agreement by:

1. Enter https://eopen.microsoft.com. Click Sign In.

2. Enter Passport credentials and click Sign In.

3. Click Add Agreement.

4. Enter the Authorization Number and License Number and click Add to view.

5. Click the desired agreement from the list of available agreements.

6. From the License Detail page, click MSDN Subscription Benefits Administration Tool to administer benefits for this agreement. The MSDN Subscriptions Administration System will open in a separate window.

MVLS Administrators Adding MSDN Administrators MVLS Administrators may wish to share the responsibilities of MVLS administration. Only MVLS Administrators can add MSDN Administrators. In order to add another MSDN Administrator (or invitee), MVLS Administrators will:

1. Navigate and sign in to the MSDN Subscriptions Administration System via MVLS or eOpen. See the Signing In sections of this guide.

2. MVLS Administrators will click the fly-out menu of Manage User Access and select Invite New User.

Note: eOpen customers will have a different interface. The left navigation bar will not have as many options. To invite another user to function as an MSDN Administrator for eOpen, MSDN Administrators will give the invitee the license/authorization number. The invitee will follow normal eOpen Add Agreement workflow to gain access to their agreement as an Administrator. _________________________________________________________________

3. Fill out the email address field with the information of the invitee. Select Language, Country and optional note. The CC checkbox will also send the invitation mail to the MVLS Administrator. Click Send.

4. Confirmation screen appears indicating that an invitation email was sent to the invitee.

5. The invitee will receive the below email outlining the steps they will take to be log into MVLS and request access to an agreement (to become an MSDN Administrator).

6. Following the steps outlined in the email, the invitee will log into MVLS and complete their profile and click Save.

7. Once complete, the invitee will see the below screen with a field to enter the

Agreement Number or PIN (Personal Identification Number) Number which they received in their email. Click Submit.

8. The Confirmation screen appears.

9. The MVLS Administrator will receive an email indicating the next steps to grant the invitee access as an MSDN Administrator.

10. The MVLS Administrator logs back into the MSDN Subscriber Administration

System and clicks the fly-out menu Manage User Access and select Agreement View.

11. From the Manage User Access: Agreement View screen, select the Agreement Number to associate the invitee to.

12. The MVLS Administrator will select the desired Access Level for the invitee.

Access Levels Users of MVLS obtain privileges to certain functionality based on their assigned agreement access level. The below table defines what privileges a user will obtain based on the level of agreement access specified by the agreement administrator. MSDN Administrators will need Benefit Admin Only access.

13. The screen will return with all check boxes empty. Check the box for MSDN Subscription Benefits – Media subscriptions, Subscriber downloads, Technical incident report, Managed newsgroups, Online concierge. Click Save.

14. The invitee now has administrative rights to MSDN Subscription Benefits.

15. The invitee receives the below email informing them they now have MSDN Benefit Administration rights.

Adding a Single User to the Agreement

In this section, the MSDN Administrator adds a single user to the agreement. Individual users are added to the agreement and granted MSDN benefits. To add a single user to the agreement, an MSDN Administrator will:

Organizations with only one agreement will be taken directly to their agreement. Organizations with multiple agreements will see a searchable page listing all of their agreements to choose from. It’s important that MSDN Administrators with multiple agreements add users to the correct agreement(s).

3. Before adding a new user, search for existing users located at the bottom of the MSDN User List screen. If the user does not appear in this list, click Add Users.

4. Select the desired benefit level(s) for this new user and click Next to continue.

5. Select the desired benefit(s) for this new user and click Next to continue.

Note: In the above scenario, the user is being assigned media, Technical Support Incidents, Managed Newsgroups, Download access, and Online Concierge. _________________________________________________________________

6. Enter the required information denoted by an asterisk (*) and check the appropriate box for the Marketing Preference for how Microsoft may be in contact. Click Next to continue.

Note: Administrators can add optional reference information to the User Profile for their internal use only. Reference 1 and 2 can be used as tag data for the user (such as a project name, cost center number, regional designation, etc). 7. Since this new user was assigned media, fill out the required user information: � Organization � Phone number � Address � City/Town � State Province

8. From the drop down menus in the Add New Media Subscription section, select the appropriate MSDN Level, Language (Language Pack), Media type (CD or DVD), and Quantity. Click Next.

9. Review the information on the Add User –Summary page and click Finish to continue.

10. The user has been successfully added to the agreement.

12. Click View User List to view all users for this agreement.
