Mr Funny’s Database Assessment

I created a database for Mr Funny’s Toy Store for the purpose of storing information about all stock that was ordered in December 2011 and the suppliers. Within this database I created two tables – Stock December 2011 and Suppliers - in order to generate four queries – Digital Master, Ordered after 13/12/2011, Stock Less than 50 and Supplier 20125 Sweetie Makers – one form – Stock December 2011 and four reports – Digital Master, Ordered after 13/12/2011, Stock Less than 50 and Supplier 20125 Sweetie Makers.

Tables

The tables were created first because they are the main storage unit in the database. By building the tables, I managed to organise the supplied data in rows and columns in design view by creating a field name, selecting a data type and setting a field size/format. Each column created within the tables contained a field name and each row that resulted, became a record of each stock item.

Queries

I created four queries - Digital Master, Ordered after 13/12/2011, and Stock Less than 50 and Supplier 20125 Sweetie Makers - to locate and extract information by means of specific criteria.

Forms

I generated a form named - Stock December 2011 – using all the data from the table – Stock December 2011 - as a main database object intended for recording, retaining and presenting stock data for December 2011. I used the tabular layout option so that my form would be printed on one page and entered a Jack in the box image at the footer of the report. The reason I chose the jack in the box, was because it is a toy that is included in the stock. The creation of this form will facilitate the recording of any future stock items or facilitate the removal of any stock items for some specific reason.

Reports

Finally I generated four reports - Digital Master, Ordered after 13/12/2011, Stock Less than 50 and Supplier 20125 Sweetie Makers. Each report was generated using the four queries, Digital Master, Ordered after 13/12/2011, Stock Less than 50 and Supplier 20125 Sweetie Makers. By creating these queries I managed to compile information in a convenient and handy format for printing. And finally I added an image of a jack in the box at the footer of each report.

Modifications

There are improvements that can be applied to the database in order to make it more functional. The first one is the creation of two more tables that would be more general in content and not so specific. The second improvement would be to have three more tables with information concerning stock, one for the beginning and one for the end of the fiscal year plus one mid-year so that more reports, queries and forms could be generated, thus providing a broader spectrum of the existing stock at different times of the year. The third improvement that could be applied would be the creation of two more forms relating to the suppliers because at present, the database only contains forms relating to the stock. By having forms for the suppliers, it would be possible at any future date to add more suppliers to the database.

Two different types of Query views

There are two different query views available on the ribbon. I used the query design option because it was the only option of the two that facilitated the use of the tables - Stock December 2011 and Suppliers – in order to generate the desired query result. In query design I had the option of selecting all, or specific fields of the tables or even select and hide fields prior to running the queries in order to obtain the specified results. The most valuable option of query design is that it provided me the option of printing separately each one.
