    Understanding FolderSharing in Windows 8

    Windows 8 provides three basic methods forsharing the files and folders on thecomputer:

    o Homegroup sharing : Simple to set up and use forhome users.

    o Public folder sharing : Often the easiest method,one that users can easily maintain for themselveson a day-to-day basis for small business

    networkers.o Any folder sharing : Preferable for larger networks,

    Windows domain networks, or any network withmore elaborate security requirements.

    Sharing withHomegroups

    Using homegroups, Windows 8 users can sharetheir documents, printers, pictures, music, andvideos with other Windows 8 users connected tothe same home network.

    A home network has a single read-onlyhomegroup by default, with the individual usersselecting what they want to share.

    Homegroups are relatively limited, whencompared to any folder sharing, because youcan only share the contents of the libraries inthe users profile.

    Using Libraries When you open a File Explorer window in

    Windows 8, the most immediately identifiablenew feature in the default view is the ribbon-style control bar.

    The left pane retains the Favorites and Librariesfolders from earlier versions, as well as thetraditional Computer and Network folders.

    Libraries enable users to aggregate files inmultiple locations and even on multiplecomputers into a single folder that makesthem appear as though they are all on a localdrive.

    Creating a Homegroup When a Windows 8 computer uses the Private

    network location, the computer attempts todetect an existing homegroup on the network.

    If the system does not detect a homegroup, the

    Network and Sharing Center control panelcontains a link providing access to the Create aHomegroup Wizard.

    When a Windows 8 computer using the Privatenetwork location does detect a homegroup onthe network, the Network and Sharing Centercontrol panel appears with an Available to Joinlink.

    Working withHomegroups

    Once you have joined a computer to ahomegroup, the shared libraries of the othercomputers on the network appear in FileExplorer in the Homegroup container.

    To modify the default homegroup sharingconfiguration, select one of your shared librariesin File Explorer and click Share in the toolbar.

    Using the controls that appear in the ribbon,you can change other homegroup usersaccess to the library from Read to Read/Write.

    Sharing the Public Folder Sharing files and folders using the Public

    folder is the simplest way to give your clientsfile sharing capability.

    To activate Public folder sharing in Windows8, enable Network Discovery and select theTurn on sharing so anyone with networkaccess can read and write files in the Publicfolders option on the Advanced sharingsettings control panel.

    Combining Share andNTFS Permissions

    Share permissions provide only three levels ofaccess, compared to the far more complexsystem of NTFS permissions. Generally speaking,network administrators prefer to use either NTFS

    or share permissions, but not both. Share permissions provide limited protection,

    but this might be sufficient on some smallnetworks.

    On networks already possessing a well-plannedsystem of NTFS permissions, share permissionsare not really necessary.

    Understanding WindowsPrinting

    Before you can print documents in Windows,you must install at least one printer. To install aprinter in Windows:

    o Select a specific manufacturer and model of print

    device.o Specify the port (or other interface) the computer will

    use to access the print device.o Supply a printer driver specifically created for that

    print device. When you print a document in an application,

    you select the printer that will be the destinationfor the print job.

    Windows PrintingFlexibility

    The Windows print architecture offersflexibility in that the roles of thesecomponents can be performed by a singlecomputer or distributed around a network.

    When you connect a print device to astandalone Windows 8 computer, forexample, the computer supplies the printer,printer driver, and print server functions.

    You can also connect the computer to alocal area network (LAN) and share theprinter with other users.

    Adding a Local Printer The most common configuration for home,

    small business, or workgroup users is toconnect a print device directly to a

    computer running Windows 8 or anotherversion of Windows, and then add a printerand printer driver.

    Sharing a Printer To share a printer on a Windows 8 computer,

    enable the appropriate settings in the Networkand Sharing Center, just as you do to share filesand folders.

    To share printers, the following Sharing andDiscovery settings must be turned on:

    Managing Documents Managing documents refers to pausing,

    resuming, restarting, and cancellingdocuments that are currently waiting in a

    Printer > Pause Printing Causes the print server to stop sending jobs to the print device until youresume it by selecting the same menu item again. All pending jobs remainin the queue.

    Printer > Cancel AllDocuments

    Removes all pending jobs from the queue. Jobs that are in progresscomplete normally.

    Printer > Properties Opens the Properties sheet for the printer.

    Document > Pause Pauses the selected document, preventing the print server from sendingthe job to the print device.

    Document > Resume Causes the print server to resume processing a selected document thathas previously been paused.

    Document > Restart Causes the print server to discard the current job and restart printing theselected document from the beginning.

    Managing Printers Managing a printer refers to altering the

    operational parameters that affect all usersand controlling access to the printer.

    Most of the software-based tasks that fallunder the category of managing a printerare those you perform once, while settingup the printer for the first time.

    Day-to-day printer management is morelikely to involve clearing print jams, reloadingpaper, and changing toner or ribboncartridges.

    Setting Printer Priorities In some cases, you might want to give

    certain users in your organization priorityaccess to a print device so that when a print

    device is busy, their jobs are processedbefore those of other users. To do this, you create multiple printers,

    associate them with the same print device,

    and then modify their priorities.

    Scheduling Printer Access Sometimes, you might want to limit certain

    users access to a printer to specific times ofthe day or night.

    To do this, you associate multiple printerswith a single print device, much as you didto set different printer priorities.

    Creating a Printer Pool To create a printer pool, you must have at least

    two identical print devices, or at least printdevices that use the same printer driver.

    The print devices must be in the same location,

    because there is no way to tell which printdevice will process a given document. You must also connect all the print devices in

    the pool to the same print server.

    If the print server is a Windows 8 computer, youcan connect the print devices to any viableports.
