What’s New in Skype for Business 2016 #1 Skype for Business vs Skype Skype for Business is used by organizations to enable their employees to collaborate, meet, and share. And, Skype for Business users can search and connect with both Skype and Skype for Business users (screen shot 1.1.1). The following features are only available in Skype for Business (not Skype):

Skype for Business meetings or conferencing services. Tip: Invited meeting guests who don't have Skype for Business can join the meeting by using the Skype for Business Web App. Group audio calls. Whiteboard (a collaboration tool used during Skype for Business

meetings). Desktop and program sharing, including presenting PowerPoint

slide shows. File transfer (such as Excel, Word, or PowerPoint files). Skype directory to find both Skype and Skype for Business

contacts. * Skype for Business introduced in Office 2013/Office 365, updated in Office 2016/Office 365.

#2 Microsoft Lync is now Skype for Business All of the essential Lync features are still there—like the Quick Actions buttons, which let you IM or call a contact (and more) with just one click or tap (screen shot 1.2.1). Skype for Business makes it easy to find and connect with co-workers with the Contacts list, presence indicators, buttons and icons, and even the app sounds should make you feel right at home. And you can use the devices you already have to reach businesses through an enterprise-grade, secure, IT-managed platform.

#3 Support for Office 365 Groups If your organization uses Office 365 Groups, you can now add those to your list. To add an Office 365 contact to your contacts list (screen shot 1.3.1):

Just search for the Group name, right-click the name when you see it in the list, and click Add to contacts list.

#4 Modern authentication Modern authentication takes advantage of the Active Directory Authentication Library (ADAL) to enable various sign-in scenarios for users of Office 365 and Skype for Business (screen shot 1.4.1).

These scenarios include multi-factor authentication, Security Assertion Markup Language (SAML) -based identity provider sign-in, and smart card and certificate-based authentication.

Note: Admins can learn more about ADAL by visiting MSDN, or contacting their Microsoft Partner. *New feature in Skype for Business 2016.

#5 Contextual tips Contextual tips are helpful suggestions that encourage you to try Skype for Business features that you might not have used before. The tips are relevant to the task at hand (screen shot 1.5.1).

For example: When searching for a contact, you might see a tip like the one in the screen shot. To dismiss -- Click the X at the top of the tip to dismiss it. Once dismissed, the tip will not display again.

Note: This feature is only available in Skype for Business 2016 (v16). Contextual Tips can only be disabled by your admin with PowerShell. *New feature in Skype for Business 2016.

#6 Smart contacts list The first time you use Skype for Business 2016, it checks your company's global address book and picks out those people who share your same manager. So, you'll see that your contacts list already includes your manager and the people on your team, and all are tagged for status updates (screen shot 1.6.1). You can make changes to this list by adding and removing contacts, creating groups, and sorting contacts into groups that make sense to you. If you don't want to see status updates from your team, you can untag a contact. Note: This feature is turned on by default for Office 365 users. However, on-premises customers will have the feature turned off by default, but admins can enable it through an in-band setting. Smart contacts lists are available to both Skype for Business 2015 (v15) and Skype for Business 2016 (v16) clients. *New feature in Skype for Business 2016.

#7 Co-author in a Skype for Business meeting Collaborate with others when creating documents, spreadsheets or presentations, using Office 365 and Skype for Business 2016 to co-author and edit while in a meeting or instant message (IM) conversation (screen shot 1.7.1).

Everyone who participates in the co-authoring session sees changes being made to the document in real time.

#8 Prompt to switch audio to newly connected device You are prompted to switch audio for an ongoing call or meeting to a newly connected device, without putting the ongoing call on hold.

For example, if you are on your mobile device in your car, then you return to the office, once you connect with your office desktop or laptop, you will be prompted to switch your call to that device (screen shot 1.8.1).

*New feature in Skype for Business 2016.

#9 Launch Skype for Business from Office 365 You can now launch and perform some basic Skype for Business tasks right from your navigation bar in Outlook on the web for business (Outlook Web App) in Office 365.

Just click the Skype icon on the Outlook Web App to launch (screen shot 1.9.1).

Note: If you do not see the Skype for Business icon (screen shot #9) in the Outlook Web App, you will need to go to Office 365 software installation page, and choose one of the following:

Install Office 365 ProPlus with the new 2016 apps (Recommended). Install Skype for Business 2016 (v16). Search Bing (or https://support.office.com/) for “Download and install or reinstall Office 365 or Office

2016 on your PC or Mac” for detailed installation instructions. *New feature in Skype for Business 2016.

#10 Preload meeting attachments Get a quick start to meetings by preloading attachments when you set up your online meeting in Outlook so that you can get started as soon as the participants join (screen shot 1.10.1).

Your participants will receive the attachments with their invite (or a link to the OneDrive/SharePoint location), and they will also be notified of attachments in the Skype for Business meeting (screen shot 1.10.2).

#11 Offline messaging When you start to send a Skype for Business message to someone who is offline, you will receive a message confirming that even though the person is offline, they will get the message (screen shot 1.11.1).

There’s no need to wait until someone is online before sending them a message in Skype for Business

2016. You'll no longer receive those "this message can't be delivered" notifications when you send a message to someone who is offline.

#12 Video-based screen sharing (VbSS) Experience a faster, reliable, and more efficient screen-sharing experience in meetings and conference calls with the Video-based Screen Sharing (VbSS) capability added to Skype for Business 2016. This feature was previously available only in peer-to-peer video-based screen-sharing.

While you won't see any changes in the way you present on-screen content during your meetings, you will notice that the connection time is drastically reduced, and the screen presentation is always in sync between presenter and viewer.

Not only is VbSS faster, but it also more reliable and works better in case of low network bandwidth conditions.

Note: This feature requires all participants to be using Skype for Business Server 2016 (v16). For more information, see Video-based screen sharing for Skype for Business Server 2015 (https://technet.microsoft.com/EN-US/library/mt756736.aspx). *New feature in Skype for Business 2016.

12 Tips To Get Started Quickly #1 Signing in to Skype for Business Sign in and out of Skype for Business to choose how you want to be visible to your contacts. By signing in and out of Skype for Business, you can choose when and how you want to interact with others at your convenience. Here’s what you do: Sign in and choose visibility option for Skype for Business (screen shot 2.1.1):

If it's your first time signing in, type in the email given for your organization (from your work or school -- not a Skype Name or Microsoft account).

Choose how you want to appear to your contacts/colleagues (this can be changed later) – options are: o Available, Be Right Back, Off Work, Away/Appear Away, Busy, Do Not Disturb.

Click the Sign In button. Then you'll see a password box appear. Type in your password here, and make sure the Save my password box is checked:

o This will autosave your sign in info for next time. o If you don't want to be automatically signed in, leave this box unchecked.

Click the Sign in button again, and you should be signed in! Note: You can now “pin” Skype for Business to your task bar, for easy access.

Now you can interact with your colleagues or change your presence status if needed.

When you're done using Skype for Business, you can sign out or close the app, depending on how you want to be visible online.

To sign out, click the Show Menu arrow (on the right-hand side), select File, and choose Sign Out. o Your session has ended and others can't see your status or chat with you.

If you want to keep your session running but hide the app, simply Close your Skype for Business window:

o To Close the app, just click the X in the upper right corner.

Don't worry—you can still receive notifications, IM others, and share your status. Bring the main window back up at any time by searching for "Skype for Business" on your computer. Note: Or click the app icon if you've “pinned” it to your task bar.

#2 Shut your virtual office door with Presence Your presence information is a quick way for other people to see your availability status. Presence is automatically set based on your Outlook calendar, but you can change it manually if you want to. Automatic changes to your “presence”: As an example, if you have a meeting currently scheduled in Outlook, your status appears as “In a meeting” in Skype for Business. When you’re in a Skype for Business audio or video call, your presence indicator appears red, as Busy, and your status is updated to “In a call.” Manually set your “presence” (screen shot 2.2.1): You can also manually set your presence status to include details you want others to see. Your presence can also include a personal note that appears in your Contacts list and on your contact card. This gives people more information about what you’re up to.

Here’s what you do: Change your presence status (screen shot 2.2.2):

Click the status menu drop-down arrow below your name on the Skype for Business main window.

Then click the status you want to show other people. To revert from the status you set, and have Skype for Business

automatically update your status, click the status menu and then click Reset Status.

Tip: The presence statuses are pre-set in Skype for Business, which means you can’t create a custom status, but you can give your contacts more details about where you are or what you’re doing by adding a personal note. See the next section for details. For more information, see “Choose the appropriate status” in Skype for Business Help for a table that describes each presence status that other people may see for you, what each status means, and which ones you can set yourself. *Feature available since Skype for Business 2015.

#3 Find and Add contacts quickly with Search You can locate anyone with a Skype Name, whether or not they're in your organization, then add them to your contacts list, view their presence information (e.g., online, away, offline), send and receive instant messages, and make audio and video calls. Note: Feature must be enabled. Here’s what you do: Search for people in the Skype directory (screen shot 2.3.1):

Find the search box on the main Skype for Business contacts page, just below the Contacts tab. Click in the search box and type information about the person you want to search:

o This can include Skype Name, full name, location, email address, or Microsoft account (the email address used to sign in to services like Outlook.com, OneDrive, Windows Phone, or Xbox LIVE). See "Ways to search the Skype directory“ in Skype for Business Help for examples.

Once you start typing (screen shot 2.3.2), the “My Contacts” and “Skype Directory” tabs will appear below the search box, just click the “Skype Directory” tab to search the directory.

o Add more information in the search box if you need to narrow down the results. When you see the listing for the person you want to add, point at their picture or avatar to see your

options (such as message, voice call, video call or add to contacts). If you want to add them to one of your groups, click the Add to contacts button. If this is a new

contact, you can add them to a group, but they have to accept your contact request before you can send them an instant message, call them, or see their presence information.

Notes:

Searching the Skype directory works only with the Skype for Business user interface, not the Skype for Business (Lync) interface. Your IT department decides which user interface you will use (see “Why do I see Skype for Business when I'm using Lync?” in Skype for Business Help for more information).

Version 16 of Skype for Business only includes the Skype for Business experience.

#4 Keep it brief with an Instant Message (IM) Skype for Business instant messaging (IM) is an efficient way to connect with your contacts in real time and on a moment’s notice. Less formal than email, faster than a phone call—IM is tough to beat for speed and ease of use. You can send an instant message from anywhere in Skype for Business where you see a contact. If that person's presence indicator is green, this indicates that they are available. Here’s what you do: Screen Shot #1 (upper) – Starting an IM conversation:

To find the person you want to send an instant message to, do one of the following: o Hover over their picture in the Contacts list, and click the IM button. o Double-click anywhere on their contact listing. o Right-click their listing, and select Send an IM.

Note: If a Skype user is not in your Contacts list, you will need to add them as a contact. The Skype

user will then have to accept your request before you can send them an IM. For more information, see Add a contact in Skype for Business.

Type your message at bottom of the conversation window. (Optional) To send a file or an image, do one of the following:

o Drag and drop a saved file into the text input area. o Copy and paste a saved file or any image from an Office program into the text input area. o Press PrtScn on your keyboard to capture an image directly from your screen, and then paste it

into the text input area. (Optional) To add an emoticon, change the font, or mark the message as Important, do any of the

following: o Add an emoticon by clicking the Emoticon icon and then clicking the emoticon you want to add. o Change the font or font size by clicking the More options (ellipsis) button. o Mark your message as high-priority by clicking the Importance icon. o Send a file by clicking the paperclip and browsing to the file you want to send.

Press Enter on your keyboard to send the message. (Optional) Screen Shot #2 (lower) -- Add other people to the conversation by dragging their contact listing

from your Contacts list into the conversation window.

#5 Give them a Call using the Call button Skype for Business automatically detects your devices, such as a headset, mic, speakers and cameras, which makes calling your contacts fast and easy. Here’s what you do: To call a contact using Skype for Business (screen shot 2.5.1): Select the contact and select the phone button. Then choose one of the following options for the call:

Work: to call the contact at a work number. New Number...: to enter a different number to call that person. Skype call: to call the contact in Skype for Business. Voice mail: to call the contact’s voice mail.

After the call connects, use the mic button at the bottom of the window to mute/unmute yourself, and the handset button to end the call.

Access to the dial pad and call controls is much improved. For public switched telephone network (PSTN) calls, the dial-pad and call controls remain visible throughout the call. For non-PSTN calls, the dial-pad and call controls are accessible with one click.

Select the Call Controls button for the following options:

Hold Transfer to another number or person. Devices to switch to a different device. Dial pad to interact with an automated phone system, such as entering a code, when you call your

voicemail, or make a selection when you call an office reception desk. Speaker volume to adjust the sound. Slide the pointer up and down for volume, or select the speaker

icon at the top of the volume control to mute your speaker. Select the Video button to add video to a Skype for Business call. Select the IM button to add instant messaging to a Skype for Business call. Select the Participants button to invite other contacts to join the call.

Receive a call: When a contact calls you, a notification displays on your screen. To answer the call, select the notification. If you don’t want to accept the call, select Decline to dismiss the call and send it to voice mail, if available. Important: By default, you can communicate with other Skype for Business users in your business. But, depending on your setup, you may not be able to use Skype for Business to communicate with people in another business, or other Skype users. Some features may only be available with Office 365 Enterprise Voice plans. Ask your admin if you have questions. *Feature available since Skype for Business 2015.

#6 Transfer a Skype for Business call You can transfer a Skype for Business call to another person or number. For example, if you need someone else to handle the call, you can transfer to them. Or if you need to leave your

office, but want to continue your conversation, you can transfer the call to your cell phone. Here’s what you do: Transferring a Skype for Business call (screen shot 2.6.1):

Click the Call Controls button in the call window. Click Transfer, type the number, or enter the number in the text box. The Transfer Call window appears. Click one of your numbers, such as your mobile phone, (these are the numbers that were added to

your Skype for Business account). Click Transfer.

#7 Make and receive a Video Call With Skype for Business, you can make face-to-face video calls with your contacts. All you need is a camera and your computer’s speakers and microphone. You can also use a headset if your computer doesn’t have a built-in audio device. Note: Your account must be enabled for video calls. Here’s what you do:

Starting a video call (screen shot 2.7.1):

Open Skype for Business and find a contact in your Contacts list (or type a name in the search box to find the person you’re looking for).

Point to the contact’s picture, and click the Video icon.

A toast alert then pops up on your contact’s screen, which they can use to accept or ignore your request:

If the video call is accepted, the conversation window expands to display the video. Use the views and controls, such as mute/unmute, as needed (see Skype for Business Help for more information on views and controls).

At any time, you can do any of the following: o To end the call, close the window, or click the hang up button. o To stop showing your video, point to the camera icon, and click End Video. The audio will

continue. Answer a video call: When someone calls you, a toast alert pops up on your screen. Do one of the following:

To answer the call, click anywhere on the picture area. To reject the call, click Ignore. Click Options, and then select the appropriate selection to do any of the following:

o Reply with an instant message instead of with audio or video o Answer the call with audio only o Set your status to Do Not Disturb to reject the call and avoid other calls

#8 Add Video while in IM With Skype for Business, you can easily add face-to-face video in your Instant Message. Note: Your account must be enabled for video calls. Here’s what you do: You can also add video to an existing instant messaging (IM) conversation (screen shot 2.8.1):

Simply click the camera icon in the window to start your video.

#9 Schedule a Skype Meeting from Outlook You can use Outlook or Outlook Web App to schedule a Skype meeting--the same way you schedule meetings normally but with one or two extra clicks. Note: If your account is configured for dial-in conferencing, the Skype meeting request will automatically include call-in information (phone number and conference ID). If you don’t use an Outlook program (or Windows), you can set up new meetings using Skype for Business Web Scheduler. Access it at https://sched.lync.com, or learn more at Lync Web Scheduler. Here’s what you do: Schedule a Skype Meeting using Outlook: To schedule a Skype meeting, you need a sign-in address and password from an organization that uses Skype for Business Server.

Open Outlook, and go to your calendar. On the Home tab ribbon, in the Skype Meeting section, click New

Skype Meeting (screen shot 2.9.1). Set up the meeting as you typically would:

o In the To box, type the email address of each person you’re inviting, separated by semicolons.

o In the Subject box, type a name for the meeting. o If you’ll have in-person attendees, either click Room Finder,

in the Options section of the Meeting tab, and then find a room or, in the Location box, type a meeting location, such as a conference room.

o Select a start time and end time. o Notes: To look for a time that works for everyone, click

Scheduling Assistant, in the Show section of the Meeting tab ribbon.

In the meeting area, type an agenda. Be careful not to change any of the Skype meeting information.

o Important: Scheduling a meeting with the default options, like we just did, is suitable for small, internal meetings, such as casual meetings with a few coworkers. If you have a meeting with people outside your company, or you’re scheduling a large event, change the meeting options before sending the invites to better fit your meeting requirements. In the meeting request, on the Skype Meeting section of the Meeting ribbon, click Meeting Options, and then select the appropriate options.

(Optional) Preload your meeting attachments. That way, when participants join the meeting, everything is ready to go.

o See Preload attachments for a Skype for Business meeting. (Optional) In the Show section of the Meeting ribbon, click Scheduling Assistant to make sure you have

the best time for the meeting. You're almost done. Just double-check the information and click Send.

You can also set up an online meeting using Outlook Web App (with a Business or Enterprise subscription to Office 365):

These can include information such as: Call-in details, like a Join online meeting link appear in the message area. If your account is configured for dial-in conferencing, you’ll also see a Find a local number link. Notes: If you don't see the Online Meeting link, it could be for one of the following reasons:

o You’re not using a browser that supports the full version of Outlook Web App. o Your Office 365 subscription does not include Skype for Business. o You’re logged in as a user who hasn’t been granted a license for Skype for Business.

#10 Share your desktop or presentation with Present You can show your entire desktop or just a program to everyone in a Skype for Business meeting, call, or instant messaging (IM) conversation. Keep in mind that you need to be a presenter in a Skype for Business meeting to share your screen. If the option is grayed out, ask one of the presenters to give you presenter access.

Present Desktop when you need to switch between multiple programs, or work on files from different programs.

Present Programs when you need to present specific programs or files and don’t want people to see anything else on your computer.

In a Skype Call or Skype Meeting (or Meet Now from menu bar), at the bottom of the conversation window, click the Present (monitor) button.

Choose one of the following: o To share the content on your desktop, click Present Desktop. o Important: When sharing your desktop, everyone in the meeting can

see your programs, files, and notifications. If you have confidential information or files that you don’t want people to see, close them or use Present Programs instead.

o To share one or more programs or files, click Present Programs, and then select the specific program or file.

On the sharing toolbar, on top of the screen, use any of these options (screen shot 2.10.2):

Click Stop Presenting when you are done sharing your screen. Click Give Control to share control of your desktop or program with the participants. Click the pin to hide the toolbar and have more space. To un-hide the toolbar, move your mouse to the

top of the screen. When the sharing toolbar appears, use any of the controls you need or click the pin

again to keep the toolbar visible. Note: While you are presenting, your Skype for Business status changes to Presenting, and you won’t receive instant messages or calls. You can change this setting in the Status options window (see Skype for Business Help). If you want a meeting attendee to share their screen, give them presenter access, so they can use the controls. If they don’t use Skype for Business, they can still use Skype for Business Web App to present. *Feature available since Skype for Business 2015.

#11 Add or Change your picture You can use a picture from your computer or an external drive, or a photo from any public website, such as Yammer, OneDrive, Facebook, LinkedIn, etc., as your Skype for Business photo.

Here’s what you do: Here's how to access the My Picture options window (screen shot 2.11.1):

In the Skype for Business main window, click the Options button and select My Picture, or click the arrow next to the Options button and select Tools > Options. If you've selected Show Menu Bar, you can open the options menu from the Skype for Business main window by clicking Tools > Options and then selecting My Picture.

On the Options page, select My Picture. Click Save/OK.

Notes:

If your organization has set up Skype for Business so it shows people’s pictures with their other contact information, your corporate directory picture is automatically displayed. If you’re satisfied with the picture, you don’t need to make any changes to the settings in this window.

After you’ve changed your picture, it may take a little while before the new picture appears.

For your contacts to see a photo from a web site, they too will need to have access to the site where the photo has been uploaded.

Important: If the Edit or Remove Picture button on the My Picture options window is dimmed (not available), your organization has turned off the option that allows users to change their picture settings. See your technical support staff if you have questions about this policy. *Feature available since Skype for Business 2015.
