The above rate is subject to 19% VAT and a daily service fee of US$ 4. Breakfast is included. Foreign visitors paying with a personal credit card are currently VAT exempt (subject to change).

If you do not require a visa, you might still be asked to show documentation regarding the purpose of your visit to Colombia. Please let us know, should you need an informal letter of invitation for this purpose.

There are 5 direct flights operating daily between Mexico City and Bogotá. ICEF will provide a complimentary group transfer for the below listed flight on March 8:

Forwarding of Promotional Material

Delivery DateYour materials for the ICEF Mexico - Colombia Roadshow 2018 should arrive on Wednesday, February 28, 2018 in Mexico City and Wednesday, March 7, 2018 in Bogotá (but not before) to allow you sufficient time to check if your packages have arrived and been delivered correctly.

Package PreparationWhen calculating the amount of promotional materials to send to Mexico City and Bogotá, please bear in mind that you will have a maximum of 30 pre-scheduled meetings (15 per location) of 30 minutes each plus other meetings during breaks or outside workshop hours that may be arranged.

Please refer to the ►Shipping Instructions & Delivery Label for detailed information, customs requirements and a delivery label template. If you are shipping materials to both locations please ensure to use the correct delivery label for each city.

Some agencies may prefer to receive your information either prior to or after the event (see also the paragraph “Follow Up” at ►ICEF Workshop Procedures: Guidelines for first-time Participants). You can also upload documents into Marcom eSchedule PRO and make them available to agents prior to the event. You can upload up to five files with a maximum size of 5MB for all files; accepted formats are pdf, doc, docx, xls, xlsx, ppt, pptx, pps, ppsx.

Scheduling Meetings

Scheduling Meetings Prior to the Event Approximately 6 weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling system. Marcom eSchedule PRO (►www.marcom-education.com) allows you to select potential partners according to geographical origin, programmes, or date of inclusion in the system, as well as to send personalised meeting requests.

Please note that the deadline for confirming / requesting meetings is March 4, 9:00 am Mexico City time. If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the ►Getting Started Information as well as ►Scheduling Meetings – Useful Hints & Tips or have a look at our ►video tutorials.

Scheduling Meetings During the EventIn case your meeting schedule is not full at the beginning of the roadshow, you will still have the possibility to maximise the number of your meetings in the morning of each workshop day (March 6 and March 9) between 8:30 and 9:30 when additional meetings may be scheduled through personal contacts between participants.

Onsite Registration

Onsite registration will take place on Monday, March 5 from 18:30 to 20:00 and on Tuesday, March 6, from 8:30 onwards at the ICEF Hospitality and Registration Desk located in front of the Don Alberto 1 / 2 room on the fourth floor of the Hilton Mexico City Reforma Hotel. There you will receive your registration package including your badge, a print-out of your meeting schedule as well as the workshop catalogues.

You will receive one set of materials for the duration of the roadshow. Please ensure to bring your badge with you to Bogotá. The ICEF Hospitality and Information Desk in Bogotá will be located in front of the Platinum Ballroom on level -2 and will open at 8:30 on March 9.

As the event is a protected trading environment, anyone not wearing a badge may not be admitted. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall.

Coffee, tea and water will be available throughout the event.

Refreshment breaks are scheduled on Tuesday, March 6 and Friday, March 9 from 8:30 to 9:30, 11:00 to 11:30 and 16:00 to 16:30.

A buffet lunch will be provided from 13:00 to 14:00 on Tuesday, March 6 in the Don Alberto 3 room and on Friday, March 9 in the Levels Restaurant and on the Pool Terrace.
