GENERAL INFORMATION

What are the official dates of Nutrition 2018? Where will it be held? NUTRITION 2018 will be held June 9 – 12, 2018 at the Hynes Convention Center in Boston, MA. Who attends Nutrition 2018?NUTRITION 2018 will convene top scientific researchers, practitioners, global and public health professionals, policy makers and advocacy leaders, industry, media and other related professionals to advance nutrition science and its practical application.  How many attendees do you expect at Nutrition 2018? We are anticipating over 2,000 professional attendees. Are there any meetings or events to attend outside of the annual meeting education program? Yes. ASN hosts multiple events and committee meetings throughout the meeting, to learn more click HERE. What networking events are available to attend at NUTRITION 2018? Nutrition 2018 hosts its Opening Reception, Speed Mentoring Event, and events within ASN Live! Special activities for councils, interest groups, faculty, department heads, students and early professionals will also be featured.

Logan International Airport (BOS) – services Boston and is only 15 minutes from the Hynes Convention Center.

How much is taxi fare to/from the airport to ASN hotels? Average taxi fare to all ASN hotel properties to/from the Logan International (BOS) airport averages $30 - $35 each way. Are Travel Awards or Funding Available to attend Nutrition 2018?Yes. Please visit our Awards Page for a complete list of opportunities and instructions on how to apply.

Does ASN offer any transportation discounts? Yes. Nutrition 2018 attendees are eligible for discounted airfare on Delta Airline and United Airlines. Please visit our Travel Resources page for information on how to book and for additional information on transportation to and around Boston.

Will there be shuttle bus service? No. ASN’s official hotels are conveniently located within a mile of the Hynes Convention Center. All properties are within walking distance of the convention center OR easily accessible via the T-Stop on the Green line. How do attendees and/or exhibitors obtain meeting space to hold an event at the annual meeting?For meeting space at the annual meeting, they need to submit a meeting application form online HERE.

EMERITUS Emeritus Members of the American Society for Nutrition

Full Registration to Nutrition 2018 with access to the Exhibit Hall Opening Reception, all education sessions, oral presentations, posters, professional development workshops, and access to all days of Exhibits and Lunch in the Exhibit Hall.

EARLY CAREER* Registration for any individual within five years of receiving a doctorate or terminal degree or any young professional who has completed a nutrition or related degree within the past five years.

*Early Career Non- Members will be required to upload a valid Transcript, Medical ID or Faculty letter for verification.

Full Registration to Nutrition 2018 with access to the Exhibit Hall Opening Reception, all education sessions, oral presentations, posters, professional development workshops, and access to all days of Exhibits and Lunch in the Exhibit Hall.

STUDENT* Registration for any individual who is a candidate for an undergraduate, graduate or medical degree at an accredited institution.

*Student Non-Members will be required to upload a valid Student ID for verification.

Full Registration to Nutrition 2018 with access to the Exhibit Hall Opening Reception, all education sessions, oral presentations, posters, professional development workshops, and access to all days of Exhibits and Lunch in the Exhibit Hall.

1-DAY Daily Registration for ASN Members & Non-Members

Daily registration for Saturday, Sunday, Monday or Tuesday, entitles the registrant access to the education sessions offered that day, as well as the exhibit hall (Sunday, Monday and Tuesday only).

HOTELS & REGISTRATIONAre reduced registration rates available?Yes. Reduced registration rates are available on a sliding scale. The earlier an attendee registers, the more affordable the registration rate! Register by March 9th to get the early registration discount rate.

ASN has three registration tiers (Early, Advance & Full). Rates vary depending on when you register. Learn More

Do emeritus members receive a discount? Yes. emeritus members receive a discounted rate. Please refer to the rates online for specific rates. The emeritus rate will automatically generate for members who enter their username and member ID within the registration site.

Can attendees register for a one-day pass? Yes. A Daily Pass may be purchased through registration for Saturday, Sunday, Monday or Tuesday. Daily Registration is only available for ONE day. Multi-day registrants will save money by paying the full registration.

Can attendees register for Exhibits only? Yes. Exhibit Hall passes can be purchased for show floor access Saturday thru Monday.

What are the key dates for registration? Registration opens: January 16,

What is the IFT Food Science for the Non-Food Scientist Workshop?A one-day workshop and one of IFT’s most popular courses will be held on Friday, June 8, 2018, 8am – 5pm. This workshop will help you better understand and communicate with your technical teams and customers.  Learn the basic principles of food science and equip yourself with an enhanced understanding of the role of food science in the development of food products. Gain a better understanding of the importance of food safety, basic regulatory issues and food science trends.

What is the registration fee for the IFT Food Science for the Non-Food Scientist Workshop? The registration fee for the IFT Workshop is $85 per person and includes the full day conference, course materials, continental breakfast and lunch.

Is continuing education credit provided for the IFT Food Science for the Non-Food Scientist Workshop?Yes. Continuing education credit will be provided through IFT for certified food scientists, registered dietitians, dietetic technicians, certified research chefs and certified culinary scientists.

Are you required to register for Nutrition 2018 to attend the IFT Food Science Workshop?Yes. Only Nutrition 2018 attendees may register to attend the IFT Workshop.

How do members of the Press register for the meeting? They must complete a press registration request online at and be approved by Media Relations in order for their registration to be completed. To review our press guidelines and register, please visit our Newsroom Page.   When will attendees receive their registration confirmation? Registration confirmations will be sent via e-mail immediately after registering via the website. Where is the registration area Boston, MA? What are the hours of operation?The registration area will be located Outside Hall C in the Hynes Convention Center.  Onsite registration dates and hours are:

HOTELS & REGISTRATIONWhat do attendees need to bring to register onsite? A photo I.D. is required for all onsite registrants. If applicable, attendees should bring a student or medical I.D., transcript or faculty letter for rate verification. What do attendees do if they forgot their name badge? Go to the registration area of the Hynes Convention Center. The name badge may be replaced onsite for a fee of $25. A photo I.D. is required at time of payment.  If an attendee needs to cancel their registration, what is the ASN cancellation/refund policy?

All cancellation and refund requests must be submitted in writing via email to [email protected] or faxed to 972-349-7715.

Refund requests must be received in writing by April 27, 2018. No refund requests will be granted after this date. No refunds will be given for no-shows.

All attempts will be made to process refunds within 30 days of cancellation. All refunds will be issued back to the original payment type. Cash and money order payments will be refunded by check.

Are registration substitutions allowed? Name changes and substitutions are expressly prohibited. Registrants will be asked to provide photo identification when picking up registration materials on site.

Can attendees pay for a registration by purchase order?No. ASN accepts only credit card payments, checks or international money orders, payable to ASN using a U.S. Bank and in U.S. dollars.

What method of payment is acceptable to register online?ASN accepts checks, credit card (Visa, MasterCard, Discover, Diner’s Club or American Express) or international money orders payable to ASN; using a U.S. Bank and in U.S. dollars.

Exhibitor regular registration allows booth personnel to showcase and work at their exhibit booth. Exhibitor full conference registration includes the same benefits as an exhibitor regular registration and also includes full conference registration permitting access to all education sessions, oral presentations, posters and career and professional development workshops and receptions. Who should attendees contact if they have accessibility needs?All of the official ASN hotels, as well as the Hynes Convention Center, comply with the Americans with Disabilities Act. If you require special assistance, please enter it in the accessibility field within registration or contact [email protected] What is the headquarters hotel for Nutrition 2018?The Sheraton Boston is ASN’s designated headquarter hotel.

What is the deadline for making hotel reservations? The housing deadline is April 27, 2018.

Can an attendee book more than one reservation at a time for colleagues? Yes. The housing site allows for multiple reservations at once.

HOTELS & REGISTRATION

Can attendees/exhibitors contact the hotels directly to make hotel reservations?No. Attendees/exhibitors must make their reservation through the ASN’s Official Housing Provider to take advantage of contracted discounted rates.  If the nights attendees/exhibitors need are not available at any of the ASN blocked hotels, what should they do? Send an email to [email protected] with the dates that you are requesting and every effort will be made to try and accommodate your request.  Attendees/exhibitors are requesting a hospitality suite, are there any available? ASN does not have suites contracted in the room blocks. Attendees/exhibitors should submit a meeting request form online at https://meeting.nutrition.org/exhibits/affiliate-exhibitor-events-meeting/.

When will attendees/exhibitors receive a hotel confirmation?Housing confirmations will be sent via e-mail, immediately after receipt of your housing request via web.  

Do attendees/exhibitors need to provide a credit card for incidentals upon checking in at the hotel?Yes. A credit card is required upon check-in at the hotel for incidentals.  What is the ASN hotel cancellation policy? All hotel reservations require a credit card guarantee or one night’s deposit. All hotel reservations must be processed through ASN Housing. Reservations must be cancelled 72 hours prior to arrival date to avoid cancellation fees equivalent to one night’s room and tax.

What is the ASN hotel deposit policy: All hotel reservations must be guaranteed by a major credit card or by a check deposit for one night’s room and tax drawn on a U.S bank, in U.S. dollars, made payable to “NUTRITION Housing/Wyndham Jade”. Visa, MasterCard, Discover, Diner’s Club or American Express are accepted as forms of credit card guarantee. All guests will be required to provide a valid credit card to the hotel upon check-in

Dismantle Times: Monday, June 11 3:00 pm – 8:00 pm  Does the exhibitor regular registration badge allow access to all of the sessions?No. Exhibitor regular registration badges only allow individuals on the exhibit floor. If exhibitors would like to attend the Scientific Program, they MUST register for an Exhibitor Full Conference badge.

 Do exhibitors receive a drink ticket for the Opening Reception along with attendees? Only Exhibitor Full Conference registrants will receive a drink ticket.  How much does it cost to register additional exhibit personnel above the complimentary exhibit staff allotment?Exhibit personnel who are above the number of complimentary exhibit hall only staff registrations will be charged $250 for each additional badge. 

What is the deadline to register Exhibitor personnel?Exhibit personnel must register by May 25, 2018.

Do additional charges apply if exhibitor personnel are registered after the May 25, 2018 deadline?Yes, exhibit personnel registered after May 25, 2018 must pay the $250 per additional badge fee.

Are substitutions allowed for Exhibitor personnel registrations?Yes. Substitutions are allowed up to May 25, 2018. No substitutions will be allowed after May 25th.  When will the Exhibitor Service Manual be available?Exhibitor service manuals will be available online beginning the first week of April to all exhibitors who have submitted an application and paid for their space in full.

What are Exhibit VIP Passes?Exhibit Hall VIP Passes are allotted to each exhibitor (10 each) to distribute to their clients, prospects and/or contacts to access the Exhibit Hall at Nutrition 2018.

What does the Exhibit VIP Pass include? The Exhibit VIP Pass allows access to the Exhibit Hall and exhibit hall events Saturday, June 9 thru Monday, June 11th.

What are the Abstract Submission Key Dates?

Abstract submission opens: October 31, 2017 Abstract submission closes: January 18, 2018 Abstract acceptance letters sent: March 23, 2018

When and how will speakers be notified of acceptance of their Scientific Program submission? Submitters will be notified by email. Notifications will be sent on or before March 23, 3018.

Who may speakers contact for assistance with a presentation?

Contact Michelle Crispino, Manager, Education and Development via email at [email protected]. Are presenters required to register? Yes. All presenters are REQUIRED to register for the annual meeting.

Can presenters register on the day of their presentation?Yes. Presenters can register solely for the day of their presentation by registering as a daily registrant type.

How do attendees select sessions they want to attend? All scientific sessions are on a first come first serve basis unless identified as a “ticketed event or invitation only”. Are their recordings available of any the sessions that may have been missed during Nutrition 2018? Yes. Nutrition 2018 session recordings are accessible via ASN on Demand. Access to the recordings can be purchased in advance within registration. They are $100.00 if they are purchased in advance or $350.00 if purchased post show.

Is Continuing Education Credit (CE/CME) available?Yes. Continuing education credits will be available for physicians, nurses, registered dietitians, dietetic technicians, and certified health educators attending Nutrition 2018.

How many continuing education credits are designated for the Scientific Program?A minimum of 20 credits will be available. Select sponsored satellite programs will offer additional credits for registered dietitians and dietetic technicians.

What is a Certificate of Attendance?A certificate of attendance verifies attendance/participation in the conference but does not indicate any continuing education available for the activity. Who receives a Certificate of Attendance?All attendees may print a Certificate of Attendance from the annual meeting website.
