A 2-day showcase of what Aber has to offer is taking place in a marquee just outside the Students’ Union. You can join us for both days or pick one.

Around 40% of the Fair attendees are freshers.

Say hello. Offer a freebie / give a voucher. Make an impression. If students engage with you once, they are likely to do so again…therefore make the most of Freshers.

Don’t forget about second and third years - they account for around 60% of the Fair’s visitors!

This is the very first website link incoming students receive from the Union.

All UK-based freshers (around 2,000) as well as 300 international students get a postcard from AberSU welcoming them to Aber with a link to the Union Guide. It is a comprehensive webpage about who we are, what we do and what we offer Aber students, and this is your chance to be a part of it.

Terms and Conditions

DEFINITIONS FOR 2020 MEDIA PACK

In these conditions: “AberSU” means “Aberystwyth University Students’ Union”

“the Client” means the person placing the order with AberSU for the insertion of promotional tool

1. Unforeseen Circumstances: 1.1 If due to unforeseen circumstances the event is unable to go

ahead you will be offered a full refund.

2. General2.1 Artwork and printed materials must be provided by the client in

compliance with the specification provided by AberSU, unless otherwise agreed.

2.2 Photos of your ad and/or your stall may be taken and used in publicity and/or promotional materials.

2.3 The client cannot combine various discounts, unless otherwise specified. An exception is an Early Bird discount, which can be combined with any other discount.

2.4 No advertising activity will take place unless accompanied by a completed booking form. AberSU has the right the change the booking form at any time. Bookings will not be guaranteed until a booking form has been received.

2.5 The booking form (paper or email) is a binding agreement and the booking is chargeable. An exception can be made only at AberSU’s discretion, after receiving a notification in writing.

2.6 AberSU reserves the right to refuse any booking. One organisation per booking.

2.7 AberSU cannot accept responsibility for damage to, or loss of, advertising mediums.

3. Policy and law3.1 All advertising must adhere to AberSU bilingual policy.

3.2 AberSU takes no responsibility for the content of any advertisements or promotions, and will not be held liable for any transactions that may be completed as a result of the promotion or advertisement at AberSU.

3.3 If for any reason AberSU shall cancel all or any part of a publication, or be unable to perform their obligation under this agreement, the liability of AberSU shall be limited to the refund of any payments made by the exhibitor to the Students’ Union under this agreement.

3.4 Where a signatory does not have the necessary authority to make purchase orders and has signed this order, AberSU reserves the right to pursue any claim for outstanding monies from the signatory themselves.

3.5 The client will fully and completely indemnify and keep indemnified AberSU against all claims, demands, proceedings, losses, damages, costs, expenses and liability arising out of any breach or non-performance of any representations, warranties or other terms contains in these conditions or implied by law.

3.6 All advertising must comply with the British Code of Advertising Practice (2010) and the Trade Descriptions Act (1968), and any other acts or regulations that ensure advertising standards.

3.7 Advertising supplied must not infringe any copyright or intellectual property, and must not be deemed defamatory, fraudulent, misleading, or false.

3.8 AberSU reserves the right to remove any client and/or their advertising that is deemed to oppose the policies and ethical practices upheld by the Union. AberSU Chief Executive will have the final decision.

3.9 The client will fully and completely indemnify and keep indemnified AberSU against all claims, demands, proceedings, losses, damages, costs, expenses and liability arising out of any breach or non-performance of any representations, warranties or other terms contains in these conditions or implied by law. If, for any reason, AberSU cancels all or any part of the advertising activity, AberSU liability shall be limited to the refund of any payments made by the client to AberSU.

3.10 This contract shall be subject to English law and the jurisdiction of the English Courts.

4. Safety4.1 If you plan to distribute food, you must get in touch immediately

– we will need additional documentation.

4.2 You must ensure your electrical equipment is PAT-tested or less than 2 years old and maintained properly.

4.3 Exhibitors are responsible for the security and safety of their property. AberSU cannot be held responsible for damage or theft unless caused by gross negligence on AberSU part.

4.4 The client must have their own Liability Insurance; AberSU shall not be liable for client’s actions during the activity.

4.5 The client must supply a risk assessment and method statement at least 7 days prior to the booking for any activity taking place on the promotion table.

4.6 The client accepts full responsibility for the quality and safety of advertising materials and products.

5. Stalls5.1 Sales are permitted.

5.2 If you look for volunteers you must complete the Service Level Agreement and email it back.

5.3 Letting agents must follow the same code of conduct as the one for the 2019 Housing Fair.

5.4 The client may only promote their own products or services.

5.5 The client must only promote products and services from the immediate vicinity of their stall.

5.6 There are no standard term-time promotional stalls being offered during Freshers’ Week (21 - 27.9.2020).

5.7 AberSU shall accept no liability with regards to attendance figures to any event.

5.8 Any damage caused by the client will be recharged.

5.9 If client breaches the terms and conditions AberSU might remove them without a refund.
