MINUTES of a quorate meeting of The Silhouette Board of Publication, held on October 29, 2015 at the hourof 10:35 am local time, Boardroom, Room 201/E, McMaster University Student Centre.

3. MONTHLY ONLINE DATA REPORT

■ Madill provided a comparison of the four issues of 2014-2015 to the four issues of 2015-2016. Page views are up 28% over last year. There are some issues with bounce-back rates, but links have been put on the bottom of each page to encourage visitors to stay on the site.

■ D'Angela asked if there had been an increase in social media engagement.■ Madill stated that Facebook engagement is up 4.5%. Twitter is harder to determine due to the way data

exports, but engagement is up 2-3%.■ D'Angela asked if there had been a change in how visitors are getting to the site; direct, from Facebook,

or Twitter.■ Madill stated that the social media channels are up a bit more with direct links and referrals.■ D'Angela asked if there were specific reasons for why those rates are higher.■ Madill stated that having an Online Editor, Online Reporter, and Social Media Coordinator has helped.

Madill noted that he learned a lot from the challenges of last year. The Sil's social media presence wasstill developing last year, and it has become much more established this year.

■ D'Angela asked how successful it had been to repost articles throughout the week.■ Madill noted that was something he learned from last year's CUP conference, and it has been very

successful. The stories do not receive as many views as the initial posting, but having authors putting articles out from their own channels and using The Sil account to retweet has helped drive traffic to the site.

■ Nadarajah asked how often The Sil uses student contributors for articles.■ Watkins stated that most of the articles are volunteer submissions. Each section has one dedicated

volunteer, but there are always additional volunteers to write articles.■ D'Angela asked if volunteers come in with an article pre-written or if they ask for an assignment.

■ Watkins explained that at the section meetings, ideas are pitched and articles assigned from there. With Opinions, volunteers usually come in with a specific topic or opinion they would like to write about.

4. LIVE STREAMING

■ Watkins explained that the Sil had previously purchased a live stream subscription, and had sent the Video Editor to SRA meetings. The meetings would then be uploaded to The Sil's live stream account. Watkins stated that they were averaging 19 people per stream, and it was not worth the money for the subscription or for The Sil to send their Video Editor to the meetings. The Sil has decided to stream the meetings when they are interested. Watkins stated she has had a number of people contacting her about live streaming the SRA meetings, but it is not a valuable use of time or resources.

■ Nadarajah asked if the Video Editor was paid to do live streaming or if it was in their job description.■ Watkins stated it was not in their contract. The Video Editor position was created three years ago and it

was paid 8 hours per week. The Video Editor has begun to create more original content, and the hours were increased to reflect that change. Watkins stated that live streaming is a social media strategy, and it is not in the Social Media Coordinator's job description or contract.

■ D'Angela asked if live streaming was in the job description and then taken out.■ Watkins stated it was in the initial proposal to increase the hours.■ Gillis asked if there were statistics on how many people watch the live stream after the meeting has

ended.■ Watkins stated they judge based on when the link is put out on social media, and it is not being well

received.■ Gillis stated he had watched the live streams afterwards as a method of fact checking, and thought they

were useful.■ Watkins stated that it is not The Sil's intent to stop all live streaming, but they cannot commit to doing it

every week. It is not The Sil's responsibility to archive the information or to make that information available to people.

■ Nadarajah asked if live streaming was a consideration when the Video Editor's hours were increased, and if there is merit in having the hours remain the same if they are no longer live streaming.

■ Gallagher stated that the Video Editor films over five hours of footage per week, plus travel time, editing, and coming up with video ideas. Most videos take a minimum of 10 hours to create. The Sil has a goal of having one video a week, and if they cannot meet that goal, there would be no consistency.

■ Watkins stated that video is an important part of the paper. Not everyone is going to pick up the print product, and video is another way to engage students.

■ D'Angela stated that live streaming SRA meetings was a major driver of changing the hours last year, and that is why additional equipment was purchased.

■ Watkins noted that The Sil absorbed MacTV assets and did not pay for the equipment. The Sil loans the equipment out. Watkins did not think that the hours should be reduced for the Video Editor. The responsibilities were extended, not just to include live streaming. Watkins stated that the Social Media Coordinator this year has added Reddit and Snapchat, and if those are not worth it next year, the hours would not be reduced. It is the same situation with the Video Editor.

■ D'Angela reiterated that the hours were increased to include live streaming as a responsibility, and if that responsibility is no longer being done, the hours should be reviewed.

■ Watkins stated this was her staff now and she has editorial autonomy. Watkins chooses what to report on, and she is choosing not to do live streaming. The discussion did not include her, and she did not want her staff to have to deal with this next year. Watkins stated now was the time reo rethink these decisions.

■ D'Angela stated that The Sil was not being told what to report, and did not think that live streaming infringes on editorial autonomy. D'Angela stated that decisions needed to be made as a team and to identify long term priorities.

■ Watkins stated that D'Angela was telling The Sil they have to report on the SRA meetings. Unless they are doing something illegal, D'Angela cannot tell The Sil what to do.

■ D'Angela stated that if the SRA or EB thought that hours should be reduced or that duties include live stream, then that is their decision.

■ Watkins did not see value in continuing to use outdated platforms.■ Qarri added that live streaming takes a lot of time and it is too much for the Video Editor to handle.■ Gallagher noted that four hours is not enough time to make a quality video. The Sil wants to be able to

keep up with the content produced by other papers, and if only four to six hours can be dedicated to producing original video content, the video would not be very good.

■ D'Angela stated that a wage review could be done to increase the hours to accommodate any additional responsibilities that have been put in place. It does not need to be live streaming OR video content; it could be both.

■ Watkins stated she did not want her Video Editor working on the weekend. It is not The Sil's responsibility to record these meetings.

■ Gillis asked if it was an issue of unpaid labour, would more hours enable the Video Editor to both create new content and live stream the meetings, or is live streaming not something The Sil is interested in continuing.

■ Qarri noted the issue is that The Sil does not want to live stream meetings because it infringes on their editorial autonomy.

■ Nadarajah asked if the Video Editor had been consulted and what their thoughts were on live streaming.■ Watkins stated the Video Editor was comfortable doing whatever the Editor-in-Chief tasks. Watkins

noted a solution would be for someone on the SRA to borrow the equipment and live stream the meetings themselves. The MSU could purchase a subscription and host the videos on their website, instead of having an underpaid Sil editor do it.

■ Nadarajah stated that she did not want to see anyone unpaid for their work. Nadarajah asked if the Video Editor would be interested in live streaming if there were additional hours allocated.

■ Qarri stated that everyone was missing the point that The Sil does not want to live stream SRA meetings.■ Watkins stated that The Sil was offering their equipment if the SRA wanted to have their meetings live

streamed.■ Gallagher stated that The Sil was separate from the MSU and that they can report on what they want to.■ D'Angela was concerned with stability. For the past two years, live streaming was a priority of the

Executive Editors. This year, no one wants to do it. D'Angela asked what would happen if next year's team wanted to live stream. It is difficult to change job descriptions every year.

■ Qarri noted it was an allocation of resources. If next year's team wanted to live stream and not have good video content, they can do that.

■ Gallagher stated if that was a problem, it was separate from this decision. Gallagher stated that the equipment was not difficult to use.

■ D'Angela stated the issue was that additional hours were dedicated for live streaming.■ Watkins wanted to see the documentation in print. If responsibilities for live streaming were added, she

would move to change those responsibilities.■ Stegmaier was uncomfortable with these conversations happening without the Video Editor present.■ Qarri stated if every staff member talked about needed to be at these meetings, it would be too many

people.■ Gallagher stated the Video Editor has told them that creating videos takes a lot of time. This is the most

effective use of resources and is an educated decision.■ Watkins to invite the Video Editor to the next meeting.■ Next meeting: Watkins and D'Angela to bring documentation about live streaming.

■ Watkins noted that staff are sometimes in the office alone and do not feel comfortable answering the door. Watkins thought it would be beneficial to have a panic button in the office.

■ Watkins to ask V. Scott for a quote for a panic button.

6. DISTRIBUTION

■ Watkins explained that they tried three weeks at 8000 copies to see if they could clear the racks, and if so, circulation would increase back to 10,000. Watkins stated that they were starting a promotion with Pizza Pizza, and have dropped the circulation back down to 8,000 to see if they can drive up the demand.

■ D'Angela asked for the pick up rate of papers.■ Watkins stated that Underground was clearing the racks and she did not have a number. Watkins stated

that MUSC, DBAC, and BSB have always had good pick up rates, and there were usually troubles with pick up rates in ITB and the Psych building.

■ D'Angela stated he would like to see firm numbers for the next meeting, as well as how distribution goeswith the Pizza Pizza promotion.

■ Watkins to provide pick up rates for next meeting and a review of how the Pizza Pizza promotion haschanged pick up rates.

7. STAFF STRUCTURE

■ Watkins asked at what point would she need to bring forward changes to the staff structure for next year, and what documentation would be needed.

■ D'Angela recommended the changes be done soon to ensure any changes would be implemented before the new Editor-in-Chief was hired. D'Angela noted that substantial changes were made last year, and would not recommend massive changes.
