MBSA Meeting Minutes

34 Team sponsorships and 27 Signs sponsored. 11 new Sponsors. Rich handed out a spreadsheet with last year sponsors asking for help reaching out.

Softball:

Coach I has scheduled the winter training for March 3-10th

Travel teams working out at College of St. Elizabeth. Great response thus far.

Rec training with @ Frozen Ropes 2/11 (hitting), 2/19 (fielding), 2/25 (pitching). $10.00 session. Very low enrollment to date. Need to promote.

71 girls registered for Softball. Final registration for 2011 was 220. Registration ends 3/15.

Michelle Fund – 54 teams in tourney. Need volunteers to help at the event, even from baseball since proceeds benefit MBSA in total.

Baseball:

Clinics set for 2/25, 3/5, & 3/10. $10.00 per session and will be capped at 50 boys.

HS head coach Joe addressed travel teams.

Travel teams to wear 60th anniversary patch. Larry Manfra suggested we reach out to Cal Ripken for approval. 12U team started fundraising efforts for Cooperstown.

Registration underway. Current registration 285. Final from 2011 season, 504. Registration ends 2/29. Registration lawn signs being made up for placement at schools and Rec Center. 7yr olds have the strongest number of registrants.

Steve Khalaf requested special attention/promotion target for upper league registration. Email blast?

Break. Practices encouraged over the break. Scott Holmes to determine feasibility of starting

softball games early as well.

Manchester Park – Available for lower level baseball. Infield leveled out. Drains need to be installed.

Michelle Fund – May 4th – May 6th; Web Site domain is www.michellefund.org. John Hill needs volunteers

Hilldale now available for softball and a temp mound available for base ball use.

Animal Shelter Update – Foundation has been set

MBSA Meeting Minutes

Attendance: 33+

Meeting called to order at 7:35pm

Treasurer:

$151,000 in General Account ($82,000 from registrations)

Sponsorship:

60 Team sponsorships and 73 Signs sponsored. $42,000 brought in thus far.

Softball:

Rec training at Frozen Ropes clinics poorly attended

Coach I clinic first attendance was better attended than the Frozen Ropes (38 girls).

Travel teams finishing up at College of St. Elizabeth. Success.

169 girls registered for Softball down from last year. Final registration for 2011 was 220. Registration ends 3/15. Meeting with Lincoln Park as their program is suffering. Merge with Montville? Send a team to our league? Kinnelon is also looking for a partner.

C-D coaching assignments complete. A Level should have 3 teams per Frank Prudente.

Practices to be set for last two weeks in March and first two in April.

Games to start 4/16 for B, C & D levels. 4/21 for A Level

We are seeking to create a focus group to look into why such a significant drop in softball

o Could requiring travel players to play in the Rec league be the answer?

Baseball:

2 of the 3 clinics at Frozen Ropes have been completed. Las session this Saturday March 10th. 50 boys participated at the younger age level and 30 boys at the higher age level.

Registration is closed. Coordinators are set and are as follows;

o 7 year olds – B. Hanzel – 9 teams

o 8 year olds – J. Howard

o 9 year olds – Edio Zampaglione– 6 teams (draft set for March 14th 6pm)

o Minors – J. Nuzzi – 9 teams (only 7 coaches). Draft set for March 14th 8pm

HS coach Joe C will be conducting a clinic for the boys at the High School March 17th & 24th

Montville will be hosting the 11U districts. 8 towns committed to play

Cooperstown team head coach Bill Regan addressed the group announcing a fundraiser for their trip. When? April 9th, Where? Monster Golf, Time? 6-9pm, Who? K-6th grade.

Tom Sylvester – Spring League Coordinator – Announced we have 134 teams committed to play in the league (14 more than last year). Schedules will be going out on March 7th

Manchester Park/Animal Shelter – New Animal shelter building is progressing. Town started drainage and expansion of the parking lot at Manchester

Michelle Fund – May 4th – May 6th; filled to capacity. We expect to generate $11-12M. John Hill still needs MBSA volunteers

FEMA Update – The township had picked up the cost of the clay and we absorbed the labor cost.

We have been told that FEMA will reimburse us for the $8-9M labor cost to MBSA.

official town organizations use the parking lot)

Travel coaches requesting practice times

Sound system installation to start March 8th

Meeting called to order at 7:40pm, held outside viewing Montville playing in Michelle Fund game

Sponsorship:

Total money raised $51,475. Great job!!

Softball:

Michelle Fund had great weather for entire tourney. Positive feedback thus far.

8U Summer Travel tryouts. May have enough girls tryout that cuts may have to be made. Good sign for the program.

Juan Fernandez stated that there will be rec pitching clinics to be held at Frozen Ropes for K – 2nd grade

Baseball:

Building Maintenance - Need to put together a punch list of things we need to do in order to get the Animal Shelter out and MBSA in its place.

Dugouts must be cleaned up prior to leaving

Blind draft needs to be implemented for older softball levels.

Bathrooms continue to be vandalized. Keep out a watchful eye and report any suspicious activity

Rules need to be enforced. Playoffs about to start and sportsmanship is paramount

Coached evaluation forms being sent out via email this week for Rec & Travel teams

CPR Training – working with Rec department to set up (Defibrillator)

Call Ups – How often used at each level. Uppers were a big problem this year. (More players per team next year?)

Game cancellations – better communication required. Discussion to possibly pass on cost of umpires to coaches for failure to follow protocol

Mt. Olive Tourney – Congrats to 11U team for winning!!

Scholarships to be awarded at the Senior Awards Ceremony this Thursday. Executive board voted (5 -1 in favor)to award 2 baseball scholarships because there were no Softball senior players on team this year. Winners to be posted on the web site.

4th of July Parking. Every team must have one representative man 1 two hour shift. Sign up list available on MSBA web site.

50/50 Raffle is currently $11,300. o Discussion as to manning a booth to sell tickets at the town celebration o June 6th deadline to return tix sold or unsold.

All bills are paid. $18,700 in GA account. Waiting for multiple summer coaches to pay their fees. Collected $1000.00 from Cooperstown team for next season.

Sponsorship:

Plan to get the sponsor plaques out by September 10th

Softball:

Fall travel tryouts scheduled for September 10th. Spring tryouts in October.

Baseball:

Congratulations to 8U, 11U & 13U for winning their summer league championships. And to the 10U A & 10U B teams for making to the championship games.

Some equipment bags outstanding. Names of coaches were made public.

Fall program starts Sept 15. Jim Bush will schedule travel teams as Montville will be playing host Budget for umpires is $63/umpire for a 6 inning game and $74/umpire for a 7 inning game.

Tim Holmes stated that Tom Sylvester is looking for some help with the Spring and Fall travel league. Seeking a person to step up to be his replacement.

Fall baseball had no tryouts. Every boy that wanted to play is playing.

Coach’s evaluations have returned with consistent feedback. Need to address repeat offenders.

4th of July parking a success. $5500.00 was donated back from the town to MBSA for our support.

CPR training of coaches continues to be discussed with Rec department. Defibrillator to be ordered this week.

End of year observations: o Blind drafts appeared to have worked in baseball. Will institute at all levels o Upper league baseball had many issues fielding teams. Need to address. o Draft for softball to be revised and talent evenly distributed. o Need to access the validity to bring back the travel players into the rec program. Taken

to vote for in October meeting.

We need to change how we all view the muni fields and what we all can do to help

Meeting called to order at 7:35pm

Treasurer:

Closing out with accountant end of September. Balance stands at $20,000. No known bills outstanding.

Paid fence company $1300.00 to repair fence on Muni 3

Tom Sylvester to submit invoice for summer travel trophies

Animal Shelter needs volunteers to move the dogs to the new location

Sponsorship:

Plaques are in. We have brought in $7,000.00 in sponsorship for 2013. Request for team sponsors for 2013 season will be given based upon receipt of money.

Softball:

Fall tryouts held and season in underway. Targeting Spring Travel tryouts for October 27-28th

Baseball:

Fall baseball season is at the halfway point. Tryouts for spring season start this Saturday.

Base pegs are missing on Muni 3

Thanks to Tom Sylvester for putting together the fall baseball season which Montville is hosting. All kids that wanted to play baseball have been placed on a team.

Defibrillator has been purchased at a cost of $1400.00. It will be mounted on a wall on 5th base and we all need to keep a watchful eye on it.

Michelle Fund in need of volunteers and John Hill wants to train his apprentice. Someone needs to step up

Animal shelter and parking lot re-surfacing meeting with Board of Ed end of the week. Lot will be reconfigured and the job size will need to be reduced in size. Animal shelter anticipated move – Nov 1st

CPR training of coaches to be conducted. One coach per team must be trained. A vote via show of hands was held and passed that training be conducted on 2 nights @ 3hrs each night.

Tim Holmes – Background checks and finger printing for coaches to be held by Dec 31st. If a coach has already been finger printed they do not have to repeat the process. Rec dept to compile a list of coaches that have completed the process and background checks to be conducted by 3rd party

Muni field clean up to be held November 3rd at 9am

President brought a motion that Softball Travel players will be required to play in the recreation season. Vote conducted and the motion passed.

Voting conducted for 2013 Board and Director positions.

Date: November 10, 2012

Attendance: 21+ (Executive Board: 7; Directors: 14+)

Meeting called to Order: 9:05 a.m.

Reports

Treasurer (Tim Holmes):

Currently $29,000.00 in main Bank Account.

$5.00 is still the current sum for contribution for the lights for each player. Needs to be paid bytravel team coaches as it is past due. Our contribution is $4,400.00 to the town for this service.

Sponsorship (Richard Prager):

Currently has collected $12,000.00 from sponsors for next season.

Softball (Nick Sisco):

Volunteers for the Michele Fund are still needed for this summer. Dates will be May 3 to 5,2012. All money collected goes to benefit the MBSA. Last year we made $14,000.00.

John Hill the director for the last three years no longer wants to be the director of Michele Fund,but he will help the new director for next year.

A committee needs to be put together to address the planning of the tournament. Scott VanKoppen and Tim Holmes have volunteered to be on the committee.

Baseball Mandatory Coaching Clinics will be held on March 16, 18 and 20, 2013.

Softball Mandatory Coaching Clinics are to be scheduled.

All tryouts for the Spring have been completed except for the 10's, 11's, 13's and 14's. Teamswill be announced once these tryouts have been completed. Tryouts for the 13's will be heldtomorrow morning at Frozen Ropes.

The Defibrillator has been purchased and needs to be mounted. We will do so after the winter.

Animal shelter will be there at least another month because of a problem with the floors in thenew building.

Parking Lot Re-paving: the town does not want to participate with the costs so it will not bepaved near their building. We are considering a new dedicated entrance and exit to the lot, and anew layout for parking vehicles to get more cars into the lot.

Registration for this year will be from 1/1/13 - 1/31/13 only. We are trying to get teams set upsooner than in years past.

New Business:

Director of Scheduling for Baseball is still Open for anyone who wants to do this. Jim Bush willstay on and train until someone steps up.

Scholarships will be continued for 2013.

Thanks to Tom Sylvester for running the Fall Travel League.

We will be hosting the 2013 12U State Tournament on 7/12 - 7/19. Great job by our league fordoing such a good job at the districts to get this opportunity.

Punch list is needed for the maintenance and repairs of the Muni fields, e.g. painting, fencerepairs, windscreens, mounds built up, clay on fields. Muni #3 netting,

MBSA Meeting Minutes

Reports

Treasurer (Tim Holmes):

Currently $26,148.30 in general Bank Account. This money comes from the sponsorship andMichelle Fund.

All bills are paid to date.

Sponsorship (Richard Prager):

Currently has collected $15,900.00 from sponsors for next season. Currently we have 23 signs, 3new sponsors and 20 renewed sponsors. A total of 26 team sponsors. Last year we had 61 teamsso if anyone wants to sponsor a team do so soon before all are taken.

Softball (Nick Sisco) not present:

A meeting was held this week with softball players during which they were advised of theMBSA’s approval making it mandatory that all travel players must also play Rec softball. It wasreported that several travel players expressed dissatisfaction with the new rule.

Baseball (Jim Bush) not present:

Discussion was had about considering combining our Uppers Rec baseball program with WaynePAL, and possibly Kinnelon, to bring more excitement to the league. Another benefit is thatgames can be played at the Wayne PAL complex where they have a snack stand, bathrooms, etc.

Still do not have a date on the move to the new Animal Shelter. The Shelter is now having adispute with their architect who as a result, will not sign off on the final plans.

The Montville Board of Education has decided to joint venture with the MBSA on re-paving theMuni baseball field parking lot. They will contribute $30,000.00.

Baseball and softball registration for this year will be from 1/1/13 - 1/31/13 only. We are tryingto get teams set up sooner than in years past.

New Business:

Open positions: Director of Scheduling for Baseball and 7 year old Coordinator. If anyone isinterested in either position please contact Jim Bush.

Several executive board members met with Troy Fence over the last several weeks to obtainestimates for necessary repairs to the fences as well as install 2 new gates. The repairs have beenapproved at the cost of $6,000.00 and will be completed before the start of the fall season.

Several options are also being considered for improvements to the Mini 1 fences: Option #1 is toinstall new eight foot fences all the way around the outfield to prevent fans from hanging on thefences which will necessitate more future repairs. Option #2 is to install the all new outfieldfences but in some areas 8 feet high and other areas 5 feet high. The final decision will requireDirector approval.

Lisa Stickland, Juan Fernandez and Scott Holmes met with Bob at frozen ropes to discuss plansand dates for player and coach clinics. It was suggested that the softball hold its clinics this yearat Frozen Ropes instead of St. Elizabeth where it had been held in past years to reduce travel andcosts.

Scholarships will be continued for 2013.

Thanks to Tom Sylvester for running the Fall Travel League. Tom will be working with BrianHanzel to assist him with taking over the Director of Travel Baseball for this year.

We will be hosting the 2013 12U State Tournament on 7/12 - 7/19. Great job by Montville forgetting this honor.
