The Administration module contains the following cloned application:

Organizations (Oil) Application

Purpose You use the Organizations (Oil) application to set up the organizations and sites to use with Maximo. You must define at least one organization and one site.

For each organization you specify a number of properties including the following:

! Base currency

! Item and company sets

! GL clearing account

! Address codes for organizational units, including sites, that you can use on Maximo records

By configuring Maximo with multiple organizations and sites, your company can run Maximo in multiple facilities all from the same database. Each site can access its own site-specific data and leverage data that is common across sites. Rather than installing multiple instances of Maximo, each with its own database, a company can install Maximo once, with different sites all accessing the same database via a Web Browser.

The Maximo architecture enables different organizations and sites to keep some parts of their operations separate, while sharing others. For example, different facilities can share purchase agreements and vendors, and share and transfer items, while keeping work order and job plan data separate.

Organizations and sites are logical divisions of a company determined by what types of operations are performed at different locations, and what data can be shared among them.

Organizations An organization is a major division of a company that contains one or more sites. Sites belonging to the same organization must use the same currency and share the same options for work orders, equipment, labor, and certain other types of data.

Sites A site is a subdivision of an organization that can track inventory and other data separately from other sites. Certain types of information are unique to a site and not visible to other sites within the organization.

Application Options Within the Organizations (Oil) application you set defaults for a wide variety of options relating to Maximo applications or groups of applications, such as work orders, inventory, purchasing, PMs, assets, and so forth. You access these options from the Select Action menu. The How Do I topics in the Organizations (Oil) help cover all these options. You can also access the help from the associated dialog boxes. Refer to the corresponding help topic for information on a particular action.

Oil & Gas options let you perform the following tasks:

! Specify oil and gas options for work orders! Load asset specification and failure code data

NOTE In the various dialog boxes you use to set application options, you sometimes have to select a site and sometimes you do not. If you have to select a site, then the setting applies at the site level. If you do not select a site, then the setting applies at the organization level, except for system and set level autonumbering, and for settings in the System Settings dialog box.

You can associate a regulation you created in the Regulatory Compliance (Oil) application with an asset using the Regulations tab. The asset hierarchy provides a convenient way to roll up maintenance costs so that you can check accumulated costs at any level, at any time. It also makes it easy to find a particular asset number.

Using hierarchies or systems of locations and specifying the location for assets on the asset record provides the groundwork for gathering and tracking valuable information on the history of an asset, including its performance at specific sites, as it is moved from location to location. With locations organized into systems, you can quickly find a location on the Drilldown page, and identify the asset at that location.

Condition for Work (Oil) Application

Purpose You use the Condition for Work (Oil) application to identify the condition or state an asset must be in for someone to work on it. The state might be as simple as running, stopped, or isolated. Or, it might be more complicated, such as being part of a group of plant assets that must be shut down for preventive maintenance.

Also, you can identify work that can be performed by someone on an reactive basis if the asset's status changes. After you create a condition for work, you can associate the condition for work with a job plan or work order. The Condition for Work application lets you identify work that must be performed by someone on an asset when it is scheduled to be in a particular operational status (for example, shutdown or operational).

Purpose You use the Prioritization Matrix (Oil) application to build priority matrices. Priority matrices help you to ensure that someone performs work with the highest priority on an asset before work with a lower priority. Maximo uses the reason for the work, the priority of the asset or location, and function (for example, maintenance, drilling, or inspection) to build priority matrices.

Purpose You use the Job Plans (Oil) application to create, modify, or delete job plan records. A job plan is a detailed description of work to be performed for a work order. You can copy job plans to PM records, routes, and directly to work orders. After a job plan becomes a work plan on a work order, you can modify the work plan without affecting the job plan.

Job plans generally contain tasks (procedures), along with lists of estimated labor, labor hours, materials, services, and tools required for the work. To ensure that work on an asset is performed in a safe manner, you can add work assets and associate safety plans that can be used when work is performed.

You can specify which organizations or organizations and sites can use the information on the plan and/or its tasks. If you do not specify this information, the job plan can be used in any site of any organization.

The Job Plans (Oil) application lets you perform the following industry-specific tasks:

! Associate a regulation that you created in the Regulatory Compliance (Oil) application with a job plan.

You can also group PMs into hierarchies that model your asset hierarchies and generate sequenced work order hierarchies.

Overview The Service Desk (Oil) module has three Oil & Gas-specific applications and two cloned applications. This chapter describes the industry-specific applications and provides an overview of new tabs and/or fields added to the cloned applications. For more information on any application, refer to the application help. You also can refer to the IBM Maximo User�s Guide for more information on any standard Maximo application.

The Service Desk (Oil) module contains the following industry-specific applications:

Solutions (Oil) To create and manage predefined responses to problems and lessons learned from an after action review.

Defects (Oil) Application

Purpose You use the Defects (Oil) application to create and track defects. A defect is something that causes an asset to deviate from perfect operation, for example:

! The motor for the pump on a heat generator is running at a higher-than-normal temperature.

! You need to replace a blocked HVAC filter six times more often than usual.

Defects do not necessarily have a health, safety, or environmental impact and they do not necessarily require intervention or maintenance. To record information about events with a health, safety, or environmental impact, use the Incidents (Oil) application.

After you create a defect record, you can investigate potential solutions. When you have identified a solution, you can record it on the defect. If resolving the defect involves creating another ticket or a work order, you can create it directly from the defect record.

Enter such information as reported by user, owner or owner group, details about the defect, and affected assets and locations. You can also classify the defect to enhance solution searching and reporting.

You use the Related Records tab of the Defects (Oil) application to associate related tickets and work orders with a defect record.

Solution Details Tab

You use the Solution Details tab to search for and attach solution information, view applied solution information, or add solution information to the record. You can search the solution catalog either with or without information from the record.

The Solution Details tab contains three large free-form data entry fields to hold solution information. The fields can hold data from a solution record you attach or solution information you add to the record.

Purpose You use the Improvements (Oil) application to plan, review, and report the actual costs and benefits of implementing improvements to an existing business process or plant configuration. You also can create improvements in other applications.

Plans Tab

You use the Plans tab to enter, view and modify an improvement plan. An improvement plan describes the estimated child improvements, improvement tasks, costs, and benefits of an improvement.

An easy way to add an improvement plan to an improvement is to use the Job Plan field on the Improvement tab to associate an existing plan with the record. The application copies the improvement plan to the improvement record. Changes you make to the improvement plan do not affect the original job plan.

Investigations (Oil) Application

Purpose You use the Investigations (Oil) application to create and modify investigation records.You create an investigation record to address an unresolved incident or defect, to record lessons learned from an After Action Review, or to record the results of Root Cause Failure Analysis. You resolve an investigation when you identify one or more causes, so that similar future incidents and defects are prevented or have a lesser business impact.

You use the Activities tab in the Investigations (Oil) application to create, delegate, and track activity work orders for the investigation and to report actual labor time spent resolving the investigation and its activities.

The Activities tab displays all activity work orders added to the investigation. To see more detail for an activity, select it and view the record in the Activities application.

Related Records Tab

You use the Related Records tab of the Investigations (Oil) application to associate related tickets and work orders with an investigation record.

Solution Details Tab

You use the Solution Details tab to search for and attach solution information, view applied solution information, or create solution information for the record.

You also use the Solution Details tab to document lessons learned. A lesson learned is a type of solution normally associated with an After Action Review. The solution catalog contains both solutions and lessons learned.

You can search the solution catalog either with information from the record or without information from the record.

You use the Log tab to create, view, edit, and delete work log entries, and to view communication log entries.

Failure Reporting Tab

You use the Failure Reporting tab in the Investigations (Oil) application to view and record failure information for assets and locations. Failure information is always organized in a hierarchy of data. The top level of the failure hierarchy is a type of failure code called the failure class. After selecting a failure class for the asset or location on the record, you can select one or more failure codes to describe the problem, cause, and remedy. Recording this information enables users to identify trends and isolate probable causes of breakdowns.

IBM Maximo for Oil and Gas provides failure data that is based on International Standard ISO14224. Your system administrator can load this data through the Organizations (Oil) application.

After Action Review Tab

You use the After Action Review tab in the Investigations (Oil) application to document the results of an After Action Review that arose from a successful or unsuccessful event. If the action review leads to lessons learned, you document those lessons on the Solution Details tab.

! Names of the people leading, facilitating, and attending the investigation ! Details of what happened and what should have happened ! Dates associated with the review

Purpose You create an incident record to document a deviation from an expected standard of operation. Following are two examples of the use of incident reporting:

! To provide general incident reporting about a major or minor event.

! To record information about an event that has a health, safety, or environmental impact, for example:

! A fire extinguisher is missing from its designated location.

! The removal of a defective drain valve results in a substantial oil leak and requires activation of the environmental response team.

The second example is an example of a high-context incident. The Incidents (Oil) application contains a tab for high-context information.

HIgh Context Tab

High context incidents are narrative descriptions of important events that occur and the behavior of people in those situations. The documented behavior might be effective or ineffective and, in general, is considered by the users to be critical. High-context incidents typically require more detail than you can enter on the Incident tab. Analysis of high context incidents can help to prevent future reoccurrence of the events or encourage behavior which will reinforce effective behavior.

You can associate a regulation you created in the Regulatory Compliance (Oil) application with an asset using the Regulations tab. You can create work orders in several Maximo applications.
