1. How Do I Log Into MAXIMO?Double click on the Production icon on your desktop.

 Enter Your User ID name and the password in the dialog box.

2. What is my User Name & Password?

Your Use Name is your Gasco Employee NumberYour Password is your Network Login Password

3. How Do I Select An Application?

In your Start Center, click the Go To icon.MAXIMO displays a pop-up menu, showing all the modules. Clicking amodule displays all Applications for each module.

After signing in, the MAXIMO Main Screen is displayed (also called MAXIMO Start Center).

To Menu at the top center of the MAXIMO Screen.

4. How Do I Change The Filter?

Click on the “Advance Search” Sub Tab on top of Work Order List Tab. Choose your WO Range, Select your Date Range, Click Find or press Enter

Below the web browser’s menus and toolbars, is the MAXIMO Navigation Bar.

MAXIMO uses this Navigation Bar to identify the current Application,display messages and display links, which let you, maneuver amongMAXIMO Applications.It contains the following sections (from left to right):

6.  How Do I Use the Menu BarBelow the MAXIMO Navigation Bar, is the MAXIMO Toolbar.

The toolbar contains four sections (from left to right):

Current Query MenuQuick Key Search field and button (binoculars)Select Action MenuToolbar Buttons

7. How Do I Use Current Query Menu Bar?To select queries you have saved, Click on the Query menu bar and then select the desired saved queries.

 8. How Do I Use The Quick Key Search Bar?Use Quick Key Search to search the Application by the Application Key field.Enter a Work Order number in the Quick Key field.Click on (the Quick Key Search button) to execute the query.

9. How Do I Use Select Action Menu Bar?The Select Action Menu contains all application-specific actions available to you. Select an action from the menu to perform it.

 10. How Do I Use The Tool Bar?Place your cursor on the toolbar option and a “Tool Tip” will appear indicating what the button does. Click on the button to start the required action.

11. How Do I Navigate Between MAXIMO Tabs?To access information that may be held in other sections of the record, click on the corresponding Tab.

12. How Do I Linked and View attached Documents?

The second tab contains the main information for the specific application (e.g. Work Order).Subsequent tabs contain secondary, related information.

Click on the Attachment Icon and Select the document you wish to attached (the orange color sign means a document is available in the folder). Click on the attachments to view in the display area.

13. How Do I View A List Of Records? To view a list of records in MAXIMO, open the application desired then the default data table is the List Tab, put the cursor inside any of the rows then press ENTER to view the List

14. How Do I Search Using Standard Operators?Open the application you want to Query from. Go to Advance Search to select more fields to query. Put the cursor to the field you want to query. Enter the operator arithmetic operator (=, >, <, >=, <=,!=, <>) or the relational operator (and, or, between, like, in, is null, is not null) and the criterion. Click OK or press Enter to view the list of record.

Note: When using a standard operator with a value list, select the value first then use the standard operator.

11. How Do I Search Using Wild Card Operators?

Open the application you want to Query from. Go to Advance Search to select more fields to query. Put the cursor to the field you want to query. Enter the Wild Card operator (%) (both before and/or after a value) OR (_), (which replaces a letter or character) and the value. To view the result, Click OK or press Enter to View the List of record.

Note: Explanation of character replacements:%Plant - all instances where Plant is last in the string of characters.Plant% - all instances where Plant is first in the string of characters.%Plant% - all instances where Plant falls anywhere within the string of characters.

12. How Do I Search Using Value List?• Open the application you want to Query from. Go to Advance Search to

select more fields to query. Click on the field Select Value Icon a value list will appear, choose the value from the list then Click OK.

Note: You can also use a part of the value using (%) or ( _ )

 15. How do I Run Saved Query?Go to the application you want to open saved query. Click on the Query Menu Bar to View the result and select the desired Saved Queries. Click on the saved query you wish to open to view the list of record.

 16. How Do I Insert A New Record?

From the main menu of any MAXIMO application, Click on the “New Record Auto key” Icon located on the tool bar.

Note: A number of fields get defaulted by the system based on your Group set up by the IT department.

Quick Reference Guide 17. How Do I Run A Report?

From the Select Action Menu Bar of any MAXIMO application, Choose the “Run Report” option.

The system will display a list of available reports belonging to the application you open.

Click on the ICF Integrity Compliance Report. The system will display the Request Page of the requested report. The Query section allows you to specify input parameters to filter the data to be extracted.

 18. How Do I Select A Location Tag?

Open any application that has a Location field. Location hierarchy drilldown

facility can be used to search the required asset. Click on the Detail Menu Icon then select Open Drill Down dialogue box appears

Double Click on the location Icon with a sign and drill down till you find the desired location tag. Click on the blue box to return to Location/Asset and MAXIMO will populate the Location field with your selection. OR the easiest way is to select a Location by using the Select Value Icon choose Select Value and a Dynamic Value List will be displayed for your selection.

19. How do I Use the GL Account Navigator?

 From any application that has a GL account field, Click on the Select Value Icon When the GL Account Navigator appears, Select the correct account codes from the values displayed on the screen. Build your GL Account by selecting values for each component from the below table and click OK to return the GL Account. MAXIMO will automatically populate the GL account field with your selection.

Note: The new GASCO GL account code has 8 Segments (Entity, Cost Center, Natural Account, Production Unit , Project, Spare 1 to 3 for future account). Click OK to return to GL Account field.

Note: For most applications the GL Account code is defaulted from the Operating Location, Inventory, Labor and Work Order applications.

21. How do I use the HELP facilities?

From any application in MAXIMO you can access the HELP facilities. There are several ways to get (HELP!!) from MAXIMO.

First is to get help from MAXIMO from the field itself. Press ALT + F1 on the field choose the question?

MAXIMO will display specific information related to that particular field, (if the help text has been populated by GASCO.)

From any application in MAXIMO, Click the Detail Menu Icon on the field that has a KEY record from another application and choose Go To or Move To options.

Second is the general Help Icon from the Navigation Bar (? Help). This Link is always available in all Maximo Application

If you select MAXIMO Help it will display a menu list of Topics that will assist you in performing any number of tasks.

Third is the help facility on the Maximo Application that you are working. Display Help Menu Link is always available in any of the application.

When you choose this option MAXIMO will display a drop down menu box.

Help Topics are available for each standard application in MAXIMO. By clicking the “Work Order Tracking Help” option you can launch a Help Topic dialog box.

22. How Do I Identify field value Data Base Codes?

Different fields require or accept different types of field data. Here are the different types of field data, and the field icons associated with them.

Type of Field Description

Add to Bookmarks

Marks a document or record for later viewing, for your own reference. You can access marked records from theBookmarks Sub Tab on the Search Tab.NOTE: The record will only be added to your own Bookmarks.

Undelete Row Restores a row you marked for deletion. This buttonindicates that you have marked the row for deletion. You cannot undelete a row once the record has been saved and the row has already been deleted.

View Details

Help Icon Click to display Table Window Help. Application Help isavailable via the Help link in the Navigation Bar.

Click to open the Row Details form, displaying all fieldsin a record so that you can enter, view, or modify data.

When the Row Details form is open, the View Detailsbutton changes to the Close Details button. Click to close the Row Details form.

Mark Row for Deletion:

Marks a record for deletion. MAXIMO doesnot delete the record until you click Save.

23. How Do I Identify field and status bar Icons?

Here is a list of different characteristics fields can have in MAXIMO, and the field icons associated with them.

Detail Menu Displays a menu of actions available for the field. Specificchoices vary by field.

After a long description entry is created, the button changes color to indicate more information is available.

Select Value

Select Date Displays the Select Date screen. Click a date to return the value to the Date field.

Long Description

Provides room for entering more data than can fit ina field.

Displays a screen showing available values for the fields.Select Value screens are often lists of records created in other Applications.
