The Maryland Association of Osteopathic Physicians invites you to join our
team of exhibitors at our Annual Meeting at the beautiful Gaithersburg Mar-
riott Washingtonian Center this September 14-16, 2018. Your participation as

the state and beyond.

RULES AND REGULATIONS
Application Application for exhibit space should be made immediately but no later than May 1, 2018 and must be submitted with a deposit of 50 percent of the total space rental. Sales & Order-Taking The purpose of the exhibit is to further the edu-cation of meeting attendees through product and service displays and demonstrations. Sales and order taking are permitted provided all transac-tions are conducted in a manner consistent with the professional nature of the meeting. No sign-age or advertising of products pricing will be allowed without prior approval of MAOP. Prod-ucts for sale must be the exhibitors’ own unal-tered, marketed products and the products or services must be pertinent to the attendees’ professional interest. The Maryland Association of Osteopathic Physicians reserves the right to restrict sales activities that it deems inappropri-ate or unprofessional. Exhibitors conducting sales and order taking are required to obtain city and/or county occupational licenses and shall be responsible for collecting and remitting all city, county and state sales taxes. Regulations Governing Payment A deposit of 50 percent of the total space rental must accompany your application. The balance is due no later than September 1, 2018. Applica-tions received after September 1 must be accom-panied by full payment. No company will be allowed to exhibit unless full payment for exhibit space has been received. Failure to comply with the above request constitutes cancellation of the contract and the space will be subject to resale without full refund. Cancellations MAOP’s receipt of an exhibitor’s notice of cancella-tion from June 5 through June 10, 2018, subjects the exhibitor to liquidated damages equal to 50 percent of the total cost of space assigned. Receipt of a notice of cancellation after September 5, 2016 sub-jects the exhibitor to liquidated damages equal to 100 percent of the total cost of space assigned. In the event the canceled space is resold, the liquidated damages will revert to 50 percent. All cancellations must be received in writing at the MAOP. Character of Exhibit MAOP reserves the right to decline or prohibit any exhibit or any part of any exhibit or proposed exhibit, which in its sole discretion is not suitable to or in keeping with the character of the exhibi-tion. This reservation is all-inclusive and pertains to any person, company, products or printed material. Noise in Exhibit Hall All sound equipment must be regulated so that it does not disturb neighboring exhibits. Man-agement reserves the right to determine at what point sound constitutes interference with
others and must be discontinued. Subletting of Space No exhibitor may assign or sublet the whole or any portion of space allotted, or exhibit therein any product other than those manufactured or sold by the exhibitor in the regular course of business, nor permit any representation of any firm not exhibiting to solicit business or take orders in the space. Violation of the above will risk cancellation. Floor Plan Revisions In the event of conflicts regarding space requests, or conditions beyond its control, the MAOP re-serves the right to revise the floor plan. Publicity A list of exhibitors is published in the official program, which is supplied to all physicians and physicians-in-training attending the meeting. In addition, a concentrated attend-ance promotion is under way at both national and regional levels to ensure a record attend-ance. Fire Department Regulations No combustible decorations, such as crepe paper, tissue paper, cardboard corrugated paper, shall be used at any time. All packing containers are to be removed from the floor and must be stored under tables or behind displays. Excelsior or shredded paper is not to be used in crating merchandise. Installation, Opening & Closing Time Space will be available for setting up exhibits at the Kimpton Hotel beginning Friday, September 14 at 6:30am. Exhibit hours will be Friday, September 14 from 7:30 a.m. – 6:00 p.m., Saturday, September 15 from 7:30 a.m. – 6:00 p.m., Sunday, Septem-ber 16 from 7:30 a.m. – 10:30 a.m.. Dismantling CANNOT be initiated until 10:00 am on Sunday, October 22. All exhibits must be removed by 3:00 pm on Sunday, September 16. Liability It is mutually agreed that it is the duty and re-sponsibility of each exhibitor to install and put into place the exhibit before the opening of the exhibition and to dismantle and remove the exhibit immediately after the close of the exhibi-tion; that all property shipped to or shipped by the exhibitor for installation or display at the exhibition is at the sole risk of the exhibitor. It is mutually agreed that the MAOP and the Hyatt shall not be liable to an exhibitor for any damage to or for loss or destruction of an exhibit; or the property of an exhibitor or injuries to his person resulting from any cause; all claims for any such loss, damage or injury being expressly waived by the exhibitor.

SHIPPING AND STORAGE OF MATERIALS
Packages for MAOP may be delivered to Gaithersburg Marriott three (3) days prior
to September 14, 2018. Incoming packages will not be charged. There is a $7.00 per
box charge to move boxes from the Marriott loading dock to the meeting space.
There is a $75.00 per pallet charge to move boxes from the loading dock to the
meeting space. Clients are responsible for return shipping of packages. The following

HOTEL ROOM ACCOMMODATIONS
MAOP and Gaithersburg Marriott Washingtonian Center have allocated a block
of rooms for the MAOP Annual Meeting at a rate of $99.00 per night for reserva-
tions made by August 10, 2018.

In accordance with the rules and regulations governing the exposition to be held September 14-16, 2018 in connection with the Maryland Association of Osteopathic Physicians Annual Meeting at the Gaithersburg Marriott Washingtonian Center the undersigned hereby makes application for exhibit space and agrees, upon application, to remit a deposit of 50 percent of the total space rental and further agrees to remit the balance in full no later than May 1, 2018. Applica-tions received after May 1 , 2018 must be accompanied by full payment. Applications are evaluated by the MAOP on a first-come, first-served basis. MAOP shall be the sole judge as to whether to accept an application and has the right to accept or deny application regardless of cause. No company will be allowed to exhibit until full payment for exhibit space has been received. Failure to comply shall be interpreted as rejection of contract and the space will be released.
In making this application, the undersigned agrees to comply with all rules and regulations set forth in the enclosed Ex-
hibitor Prospectus and all policies, rules, terms and regulations adopted after publication of the original Prospectus. The
undersigned agrees to hold harmless and indemnify the MAOP against any and all liability (including reasonable attor-
neys’ fees and costs) incurred as a result of applicant’s violation of any application procedures or the rules, terms and
regulations in the Exhibitor Prospectus.
