Hotel Policies• Check-in time at the hotels is 3:00p.

• Please be patient with hotel employees as they attempt to get everyone into their room.

• Bring your own washcloths / towels to remove stage makeup so we don’t ruin the hotel towels.

Hotel AfterglowsThroughout the hotels on Saturday night, you’ll find opportunities to experience the music of the weekend one more time. Choruses, if you are planning a joint lobby event be sure to check with your hotel to make arrangements.

Remember all hotels have a noise restriction policy for hotel rooms after 10:00pm. Although hotels are generally lenient about noise, please be respectful of all hotel patrons. If asked to be quiet, please do so immediately.

NOTE: If you need to cancel a room, you can get a refund if you cancel 24 hours before the arrival date. ALL cancellations (or changes) should be made through the Region 11 Housing Manager (Colleen McCormick): [email protected].

If you paid with a credit card, the hotel will credit your card. If you paid your chorus directly, the refund will go to your chorus – your chorus is then responsible for refunding the money to you.

Withdrawing from ContestIn the event your chorus or quartet needs to withdraw from the competition prior to the weekend, you must contact Music Services at International Headquarters in writing (emails are acceptable). International Headquarters will notify the Region 11 CRC and CC of your withdrawal.

If you must withdraw once the weekend begins, please contact the Region 11 Competition Coordinator ASAP (Patti Goin).

Stage CurtainFor the first time in many years, we will be opening and closing the curtain between Chorus Contest contestants. The curtain separates in the middle (as opposed to going up/down).

Notes for OPEN DIVISION Competitors• Please plan to do your emcee work using the quartet mics at center stage. There will not be

microphones available on the outer edges of the stage.

• If you are planning to use props during your performance, you must bring them to the backstage area on FRIDAY morning between 9:00-10:00am. Props may not be dropped off on Saturday morning. Any props not delivered on Friday must be carried with you on the bus and through the pattern.

Chorus Riser ChairsIf you are planning to use a riser chair during your performance, you must bring it to the backstage area on FRIDAY morning between 9:00-10:00am. Chairs may not be dropped off on Saturday morning.

Chorus & Quartet BriefingThe Chorus and Quartet Briefing will be held in the DoubleTree Hotel Ballroom on Thursday evening, starting at 7:30pm. If you have not sent in the Contact Information Form prior to the Briefing, please bring it with you to the Briefing.

CHORUSES: All TC/Presidents and Directors are asked to attend this briefing. Please bring 2 copies of the cover page (with signatures) of the List of Competing Members Form, plus any changes since the initial submission.

QUARTETS: Please plan to have at least one member of your quartet – or a representative of your choice – attend the briefing.

General InformationQuartet Love GiftsThe Assisting Chorus will be providing decorated bags for Quartet Love Gifts at Thursday night’s Briefing. Quartets who would like to give cards or little gifts to their fellow competitors should arrive at least 15 minutes before the Briefing to put them in the bags. Please note that there will NOT be Love Gift bags for choruses.

Mass Sing – 2:00p on FridayLet’s kick off the weekend with a fun MASS SING on the steps in front of the Convention Center. Join your Region 11 friends to sing a few great songs together just before the Quartet Contest!

Winners’ Circle Reception for Competing QuartetsCheers! is thrilled to be hosting the 2015 Region 11 Winners’ Circle Quartet Reception in the DoubleTree Hotel Presidential Suite (Room 247) on Thursday evening from 8:30pm to 10:00pm. All competing quartets are encouraged to come, share a song, and enjoy the camaraderie, appetizers and drinks! Watch for your invitation directly from Winners’ Circle.

Registration ScheduleEach member of Region 11 who attends the convention must purchase an All-Events Ticket (AET). NO EXCEPTIONS! Proceeds from competition provide funding for our regional programs. Registration opens on Thursday night at 5:00p. Please refer to the Convention program when you arrive for Registration hours throughout the weekend.

Single-Event Tickets (SETs)If you have a family member or friend who wants to come to either the Quartet Contest or the Chorus Contest only, encourage them to purchase a Single-Event Ticket at the Registration table or at the Convention Center.

NOTE:ForFriday’sQuartetContest,seatingisopen,soSETholdersmaysitanywhereintheauditorium.DuringSaturday’sChorusContest,SETholdersmaysitonlyindesignatedaudienceseatsintheauditorium.TheymayNOTsitintheVIPsectionnorwithachorus/quartet.

Convention Center SeatingThe first few rows of the center section of the auditorium will be marked as reserved for VIPs and their one guest. Please do not sit in this area unless VIP is indicated on your badge.

For Friday’s Quartet Contest, audience seating will be OPEN – choruses do not have an assigned section of the auditorium. If you have purchased an All-Events Ticket (AET), you may sit wherever you chose.

On Saturday’s Chorus Contest, seating is ASSIGNED in the auditorium. Please sit in your chorus’ designated seating area.

General InformationMic Testing Chorus – 80+ Singers Needed!If you are interested in experiencing the stage before competition, please join us on Friday morning at 10:00am at the Convention Center to be a part of the mic testing chorus.

Personal HostessesHostesses will be assigned to the lobby and loading areas of each hotel to assist competitors to vans/buses as they begin the traffic pattern. At the Convention Center, competitors will be met by another hostess who will guide them through the backstage areas.

If your Chorus or Quartet wishes to have a “Personal Hostess” to accompany you through the entire traffic pattern, you must provide one of your own (it could be a member of your chorus, a sister, a mother, a coach, etc.). If you choose this option, please complete the appropriate Needs Assessment Form and return it by March 10. It is imperative that your “Personal Hostess” be notified of the time/place of the Hostess Briefing, which he/she MUST attend.

Audience Choice AwardFor the 2nd year, the new Internationally-sanctioned “Audience Choice” Award will again be awarded to one chorus competing in the “Open Division” competition. The award winner will be announced just prior to the placement announcements for each contest. The chorus winning the Audience Choice Award will be asked to perform during our Parade of Champions on Saturday night after the Chorus Contest.

Audience Transportation InformationReminder that there are no longer audience buses available during contest weekend.

The Rabobank Convention Center (RCC) is approximately three miles from the DoubleTree. Click here for directions to the RCC: http://g.co/maps/q4nkv

Plan to make your own arrangements for transportation to and from the Rabobank Arena. A Rabobank Event Parking Guide is included with this e-Packet, and will also be displayed in the lobby of each Hotel during the weekend.

Purses in the PatternChoruses and Quartets: All personal items MUST fit in a small purse (the size of a quart size zip lock bag). NO LARGE PURSES, BACKPACKS, DUFFEL BAGS, etc. Choruses will no longer receive shopping bags ahead of time, as all purses will be placed in bins before your chorus takes the stage on Saturday.

Concession Stand at the Convention CenterThe concession stand will have salads, sandwiches, hotdogs and snacks. The Concession Stand will close at the end of intermission both Friday and Saturday. Cash and Visa/MC accepted.

Convention CharmsIf you didn’t order a charm on your chorus Registration Form, Santa Monica will have them available at the Registration table. Price is $10.

Sunday BrunchIf you weren’t at the Sunday Brunch last year, you really missed out! This is a very special way to end a fabulous weekend with 300+ of your closest friends! Music, awards, and fun are the order of the day!

If you did not sign up and pay for the Brunch with your AET, you can still buy a Brunch ticket ($30) at the Registration table at the DoubleTree until Saturday at 10:30a.

Rose Ceremony at BrunchAt our annual Sunday Brunch during Convention weekend, we take time to honor those Region 11 members who have passed during the previous year (March 1, 2013 – February 28, 2014).

If your chorus has lost any current or former members whom you would like to honor during this year’s Rose Ceremony, please complete the Rose Ceremony Participation Form. One rose per chorus. Please also provide the name of the person who will make the presentation of your chorus’ rose.

During the ceremony, we’d like to show a photo of each member being honored. Please provide a close-up, clear photo (JPG format) along with this Participation Form.

During the ceremony, your chorus member’s name will be announced and her photo shown as your chorus’ rose presenter walks across the stage to place a rose in the vase.

PhotographyE.R. Lilley Photography will again be taking our Competition photos this year. Order forms and instructions for the Photo Order Chair are available for download from the Region 11 website – see Page 7 for the link.

Complete the order form and turn it in to the photographer when the official photograph of your Quartet or Chorus is taken following your performance. For the Champion Chorus/Quartet – you can change your “regular” order to a “trophy” order if you advise the photographer when your trophy photo is taken, or within two weeks of contest, for no additional cost.

NOTE: Region 11 receives a commission on photos ordered in advance of competition weekend. These funds help support our regional programs. We do not receive a commission on photos ordered through the E. R. Lilley Photography website after competition weekend. PLEASE order photos in advance and support your region!

General Information
