WHAT IS MAPI?

MAPI is a variation on the IMAP interface that is exclusive to the Communigate server

that promotes and enhances Collaboration in the office-place

WHAT IS MAPI USED FOR?

The MAPI mail protocol lets you have access to your information on the Communigate

server from anywhere using any client. Anything you do on your mobile phone, web mail, or

mail client (like Microsoft Outlook, Eudora, Thunderbird, etc.) will be reflected in real-time via

any other client that you use to access your email. The purpose of this protocol is to be able to

work from anywhere and have full access to your current calendar, outbox, contacts, and notes

from wherever you login to the server.

ABOUT OUR SERVER

The server is located in our state-of-the-art data center in San Francisco. We have a

Network Appliance redundant RAID disk array that we use to store your data safely. We also

have multiple front end machines for redundancy and load balancing. This keeps your email

and collaboration information safe and always at your fingertips.

Synchronization is an integral aspect of the Microsoft Outlook MAPI plug in, and is done

continuously while you are online. Sometimes when you select an email to read, Microsoft

Outlook will stop responding for a few seconds. This is a normal condition because MAPI

normally doesn’t download the entire message until you select that message. To resolve this

problem we will guide you through downloading the entire email as it is delivered to the

server. Having a local copy of your email will make MAPI an even more powerful tool - it will

have all the strengths of a POP and an IMAP account, without the weaknesses. MAPI will allow

you to continue to have all your mail folders synchronized, including the ones you create, and

access them even if you are not connected to the Internet.

A MAPI account will become slower to manipulate as it becomes larger. To speed up this

process we recommend that you make multiple folder under inbox, and move some of the older

messages into sub-folders. This way your inbox folder will perform faster, and all your older

messages are still available.

Completing these two steps is crucial for maintenance of a MAPI account that works properly

and has peak performance levels.

THE IMPORTANCE OF ARCHIVING

Archiving can sometimes be scary – especially when we do not fully understand what will

happen, and we want to make sure not to lose any information. When we do not know how to

use something, and we do not have the time to learn about it we simply do not use it in fear of

breaking something or causing problems.

Archiving is a very helpful tool for any type of account - POP, IMAP, or MAPI. It is best if

archiving is done automatically instead of trying to remember to do it periodically. In this guide,

we will show you how to archive your emails automatically, and make the most of your email

account.

The Archiving process is not mandatory, but it is crucial to maintain optimal speeds of your

account, because the bigger your account gets, the more it slows down performance. Many

users have found it helpful to archive when they have a very large account, and they have many

emails that are months, or in some cases, years old and that they no longer use.

It is very important to keep in mind that when you archive, you are removing the emails from

our server. Archiving creates a compressed file in your computer’s hard drive. For this reason,

it is STRONGLY recommended that you create a back up copy of these emails periodically. They

can be burned to a CD, placed on a flash stick, or any type of memory device that can

accommodate the size of the file.

PROCESS AND IT IS FOR THOSE EMAILS THAT HAD AN EXPIRATION DATE

ON IT, SOME COMPANIES WILL DO THIS TO SOME EMAILS THEY SEND, ONE

EXAMPLE THIS IS USED ON IS ON LIMITED TIME SPECIAL SALES, THIS

OPTION ONLY APPLYES TO EMAILS , IT DOES NOT APPLY TO ANY

CALENDAR ITEMS, NOTES, CONTACTS , ETC.

7. “ARCHIVE OR DELETE OLD ITEMS” HAVING THIS SELECTED WILL

ACTIVATE TWO OTHER OPTIONS, YOU CAN SELCT IF YOU WANT FOR THE

EMAILS TO BE ARCHIVED (SAVED) OR DELETED, IF YOU SELCT TO DELETE

THEM THEY WILL BE REMOVED FROM OUR SERVER AND FROM YOUR HARD

DRIVE AND PERMANANTLY DELETED.

8. “SHOW ARCHIVE FOLDER IN FOLDER LIST” THIS OPTION IS ONLY IF YOU

WISH TO BE ABLE TO SEE AND ACCES YOUR EMAILS EASILY FROM YOUR

MICROSOFT OUTLOOK , THEY WILL NOT BE AVAILABLE IN WEBMAIL, BUT

THEY WILL BE IN YOUR DIRECTORY TREE IN MICROSOFT OUTLOOK. YOU

CAN ALWAYS CLOSE THIS FOLDER AND RE-OPEN IT IF YOU CHANGE YOUR

WILL STORE YOUR ARCHIVED MAIL IN , MICROSOFT OUTLOOK WILL HAVE

SELECTED A FOLDER FOR YOU, BUT IF YOU WISH TO CHANGE THE

LOCATION YOU CAN BY CLICKING ON BROWSE.
