Legacy Systems Hindered Evergreen Solar's Rapid Growth Rate

Interest in renewable energy in recent years produced tremendous growth opportunities for the solar industry. As a result, Evergreen Solar was rapidly expanding and wanted to increase its production capacity in order to sustain their competitive advantage. Their existing legacy systems used for accounting purposes made it difficult to gather, manage, and report on data.

As the company prepared for its global expansion, it was in need of a solution that could provide basic support for multiple languages, multiple plants and multiple business areas including finance and sales. They also required a solution to be able to scale with them as they grew and provide the functionality needed to run their business as efficiently as possible. Most importantly, Evergreen Solar only had 12 weeks to allow for implementation time, in order to meet its Sarbanes-Oxley Act compliance requirements.

After evaluating several companies, Evergreen Solar selected YASH Technologies as their strategic partner for this initiative. Evergreen Solar was in need of an enterprise-wide solution that could be implemented quickly under stringent timelines, and could be tailored for their specific business processes. YASH proposed the mySAP Business suite of applications to serve as the basic building block that could accommodate Evergreen Solar's global growth, as it was built upon SAP Best Practices for the high-tech industry. SAP Best Practices provided predefined business processes, industry best practices and a tool to help configure the software that allowed YASH to streamline the implementation process and ensure Evergreen Solar met its tight deadline. In addition, YASH provided its own set of controls, testing, and documentation to successfully finish the integration ahead of schedule, and to finish the overall implementation to meet the 12-week deadline.

With the implementation complete, Evergreen Solar realized immediate benefits. They were able to conduct business processes more efficiently, and its employees could focus on more strategic aspects of their positions. Employees who once had to extract and fix data in the legacy system could now spend more time interpreting data to support strategic decisions for the company.

Evergreen Solar eliminated time-consuming manual processes with the use of automated processes to manage activities, such as built-in security features and system process controls. The company can now automatically match when it received goods, when it was invoiced for those goods, and when it paid for them. They can utilize the necessary visibility into financials, production, and inventory data globally. This allowed the company to report accurately in a timely manner, and to ensure compliance for Sarbanes-Oxley.

Integration with the company's manufacturing execution system (MES) made it possible to collect inventory data that it uses to update the inventory system at 15-minute intervals. With a single, integrated system, Evergreen Solar can now prioritize orders, ensure that inventory levels are accurate and maintained appropriately, and provide its suppliers and customers with timely information. This has resulted in a significant reduction of cycle time across all aspects of its business, including inventory management, monthly financial closings, and order processing. Evergreen Solar has been able to realize a 50% decrease in monthly closing time and anticipates further improvements.

In the future, Evergreen Solar plans to bring other factories online and will plug them into its SAP software landscape by providing them with a template for configuring their business processes and SAP applications. Other examples of functionality that would enhance the efficiency of managing their warehouse operations would be plant maintenance, radio frequency identification (RFID) and bar-code scanning, as well as a self-service portal to allow partners to view orders, shipping and tracking information, and invoices.
