Introduction

The manual present is an adaptation of the Methodology LIS (Localizer of Health Information) prepared by BIREME, the National Center of Information on Medical Sciences (CNICM) and the Telematics Network of Health in Cuba (INFOMED). The manual for the information entry in the database on Localizer of Health and Environment Information (Lisa) offers the guidelines for the record of the different sources of information on the Internet, that is, the record of any document, sound recording, computer program, reference work or another material that provides information on some type and is stored in one // Web page. The SMOOTH database permits the record, both of the source of information, and the available information in this and the way of obtaining it. In the first part a small information selection guide is offered. In the second there are defined the SMOOTH database, the table of definition of fields and the access keys. In the third information for the data entry from the module on administration is provided. In the fourth all the fields of the sheet of income of Lisa are described. The manual has been prepared by the Lic Mónica Cárdenas, with the coordination of Ms. Marta Bryce, Adviser in Technical Information from CEPIS.

1.1. Information selection The navigation on the Internet offers us great deal of information; however, not all the information that we find is valuable. The person in charge of entering information the SMOOTH basis should evaluate its sources before entering it. In order to facilitate its task, five criteria for evaluation are presented, collected of the bibliography that is presented at the end of this section.

1.2 Criteria for evaluation 1.2.1 Veracity

It is necessary that the source of information and the origin of the data is mentioned. There should be reviewed the orthographic correction and the syntax within the site the Web, as well as the internal consistency of the content. It is preferable to review some links external and resources that offers the Web page to be able to carry out comparisons and have a most complete vision of the page to register.

1.2.2 Authority

The first one that should be determined is the type of Web page; for example, if it is a personal or corporate page, if its ends are educational, promotional, commercial, etc. If it is a personal page, verify if data appear of the author that they can be verified. If it is an institutional page, verify that these appear clearly and that they offer a means to communicate with them. Consult if the association appears in some institutional prestige directory.

1.2.3 Objectivity

Review the mission or the part where se detail the objective of the page, in order to know its potential audience; the links external or other sections of the Web that give you trails of the connection of the site the Web. Verify if there is mentioned clearly the one responsible of an opinion, current or given ideology, reviews the head, the URL and the foot of page.

Examine the edition and review dates and it verifies when it was created and reviewed for the last time. It is necessary again to visit the page and to verify the existence of new contents and/or of indicators that the page is being updated continually, as thanks, references and responses to visitors.

1.2.5 Coverage

Compare the information found in the Web page, with information produced by others webs that treat the same subject; consider if it provides of greater references, contacts, etc. Explore the geographical scope of the source, since sometimes offer valuable information but restricted to a country, or even more so, to a region. Delete sources with very specific and localista information.

2.1 Table of definition of fields The table of definition of fields presents all the fields utilized in the sheet of income of the SMOOTH database, the code that corresponds to you to each field and the relevant characteristics. The table is found structured by columns: Code It is the number that identifies each field in the sheet of income of the SMOOTH database. Name of the field Designation to identify each field. Replicable He indicates that the field can be registered more than once. Every occurrence should be transcribed, one on every line, separated by a <ENTER>. Compulsory He indicates the fields that should always be filled in the sheet with income; otherwise, the automatic control of the program will reject the record.

Type index He indicates that the income sheet has a table with the term relation for their selection. In order to select more than one term it is necessary to press the key [Ctrl] and the left button of the mouse.

Recoverable

He indicates if the field is available for search.

of Definitive Databases.

• The information entry sheet will appear. • Follow the income instructions for each field. • At the end the income of the record clicks in the "Accept" button. • A message will appear indicating you that the information was recorded.

3.1.4 In order to modify an already created record, first carry out the search for the record.

• There will appear the result that presents on the left side of each record the option to Modify.

• Modifying press click in the option. • Will appear the information entry sheet • Carry out the modifications and at the end click in the "Accept" button. • A message will appear indicating you that the information was modified.

Characteristics Compulsory. Replicable. Recoverable. Purpose Register the name assigned to the Web page by the institution or institutions responsible for their existence. Selection It only includes Web pages related to environmental health in Portuguese Spanish, English, and occasionally French and German. Instructions 1. Register the title or name of the Web page exactly as it appears, transcribing

each element. 2. If the Web page lacks title or name, provide a brief and simple, but

explanatory title in accordance with the content. 3. If the Web page was in more than one language, it enters the name of the

page in the different languages, separating every name with the key <ENTER>.

4. If it concerns a site the institutional Web, registers the full name of the

institution, followed by the acronym preceded by space, script, space.

Example The Web page of CEPIS is registered.

6. Use capital letters for the first letter of the first word of the title. Write all the others in very small, except for those words that–by grammatical rules of every language - they should go in capital letters.

7. Write in capital letters the first letter of the significant words of the

institutional names and conferences that appear in the name or title of the Web page.

8. Include subtitle when it is essential in order to give you sense or clarify the

title. The subtitle will be necessary to precede it by a space, two points and a space.

adding the country, preceded by comma.

Characteristics Replicable. Compulsory. Recoverable. Purpose Register the name of the institution or responsible institutions for the existence of the Web page. Selection If the institution responsible for the Web page is the same that the name or title (case of the sites the Web institutional) leaves blank this field. Instructions 1. The name of the institution enter, as it appears in the Web page. 2. Separate each responsible institution with the key <ENTER>. 3. If the name of the institution appears in different languages, use the official

language of the entity. 4. If the responsible institution is an international organization or organization

that operates at regional level, it enters the acronym in Spanish or its form most accepted in English, Portuguese, French or German, in this order of priority.

5. If the responsible institution is a governmental organization as the ministries

or another agency of the Central Government, it settles itself in the following order: name of the country followed by point and space and name of the ministry or of the greater agency.

7. If the responsible institution is an independent governmental or autonomous

agency it registers directly by the name of the agency and not by its acronym.

8. If the responsible institution is at state level in countries of federal

organization as Brazil, the United States, Mexico and of autonomous provinces as the case of Argentina, there are registered in the following order: the name of the state followed by point and space and the name of the agency.

9. If the responsible institution is a university, register directly by the name of

the university. The sections are allocated below, after point and space.

University of Texas. Center for Research in Water Resources 10. If the responsible institution is a company, company, or private industry, it

registers in the same form that appears in the Web page, including the abbreviations that determine the type of company.

Selection Information enter in this field, only if the author is different from the responsible institution entered to field 311. Instructions 1. If there was more than one author, separate them with the key <ENTER>.

2. For the personal authors, first enters the surnames, followed by comma and below the names. In case it cannot ascertain the full name, only allocates the initial; separate each initial with a point and without space among them.

3. Do not include the range or title indicators as: priest jesuit, general professor,

engineer, doctor, etc. 4. When they appear authors with two surnames, it is recommended following

the specifications that are detailed below:

Spanish, French, or Italians: They are cited by the first surname followed by the the second and then the name.

Terminologic database–

Set of terms, expressions, designations, or symbols used in a given science, discipline, or an area of specialized matter, organized in fields of data and standardized formats, that is stored in computer.

Database–full text

Set of works, monographs, or comprehensive tests, organized in fields of data and standardized formats, that is stored in computer.

Bibliography

List of works, documents and/or bibliographic parts that usually bear a relation among them; for example, a given author, a given subject or that have been published in the same place. They differ from a catalog in which its content is not limited to the funds of a single collection, library, or groups of these.

Virtual library

Base distributed of the scientific and technical knowledge, organized and stored in electronic formats, accessible universally by the Internet,

compatibly with the international bases. The virtual library is a library that is satisfied in a virtual space and that permits the production and operation decentralized of sources of information and operates in quality control and evaluation of the sources.

Information centers

Independent organization or administrative unit of this that normally, compiles, organizes, stores, retrieves, and distributes documents and offers information services, such as searches in databases, access to documents in role or in electronic format, selective dissemination of information by computer, etc.

Congresses, seminars, meetings

Set of information on those events, such as address, dates, registration, subjects, prices, etc.

Graduate courses

Set of information on courses directed to university graduates who want to intensify its knowledge of a given matter.

Courses in college

Set of information on courses directed to university students who have not obtained any academic grade.

Data and epidemiological maps

Set of information concerning causes, incidence, and frequency of diseases, endemic and epidemic manifestations and concerning morbidity, mortality and other aspects of epidemiology.

Directory–sources of information

List of documents, people, organizations, institutions, sites the Web, databases, journals, newspapers, books, organized in fields of data with complete information of mail, address on the Internet and responsible people.

Institutional directory–

List of institutions systematically ordered and organized in fields of data with complete information from address of mail, address of Internet and responsible people.

Personal directory–

List of people systematically ordered and organized in fields of data with complete information from address of mail, address on the Internet and institutional connection.

Directory–projects List of projects ordered systematically, organized in fields of data with

complete information and appearing titles, responsible people, institutions, and/or involved countries (in case of technical cooperation), general and specific objectives, involved technical body and dates established with respect to the related projects.

Distance learning

Utilization of the technologies of communication and of computation to unite professor and student and to transmit contents that permit the professional or specialist to maintain, to develop or to increase its technical knowledge, abilities and professional performance.

Economic indicators

Measures of financial resources utilized or available for the programs for support for the decision of health.

Health indicators

Measures of the level of health of a given population, using several data that include morbidity, mortality and resources (humans, financial and material) health available.

Legislation

Official documents that there contain the texts of laws, decrees, standards, rules, provisions, resolutions, determinations and others of regulation character.

Lists of discussion

Environment of discussion comprehensively developed on the Internet, on a matter or specialty that requires previous registration, existence of mediator and/or responsible institution.

News

Documents that have the function to communicate and inform a given event or of one given new development.

Questions frequently made - FAQ

(frequently Asked Questions) Documents that contain a list with the questions and most frequent answers made the people on a given matter and that have the objective of clarifying on some subject, complementing a training or to support in the use of a system or information service.

University Doctoral Programs Information on the different programs that offer the universities, so that the graduate can obtain a doctorate.

Articles published in digital means or in the Internet in one of the miscellaneous available formats (doc, pdf, htm, html or others) that appear in periodicals.

Electronic publications–diaries and newspapers Electronic publications that appear every day in digital means or in the Internet in one of the miscellaneous available formats (doc, pdf, htm, html or others) whose objective is to maintain reported to its readers on the events of every day throughout the world.

Electronic publications–hypertexts

Documents published in digital means or in the Internet in one of the miscellaneous available formats (doc, pdf, htm, html or others), that contain hiperlinks that permit the query to the information on a non-sequential form.

Electronic publications–educational materials

Material of dissemination in the Internet in one of the miscellaneous available formats (doc, pdf, html or others) that offer guidelines and essential instructions, usually of methodical character with respect to a given subject and directed to different audiences.

Electronic publications–monograph

Documents, bibliographic parts or treated systematic and complete concerning a given subject, published in digital means (diskette and CD-ROM) or in the Internet in one of the several available formats (doc, pdf, htm, html or others).

Electronic publications–multimedia

Documents published in digital means or in the Internet in one of the miscellaneous available formats (doc, pdf, htm, html or others) that contain the combination of text, images, sounds, and animations.

2. Before preparing the summary, the Web page should be reviewed carefully. 3. Describe the content of the Web page briefly and generally not only with
