BANQUET HALL POLICY AND PROCEDURES
Welcome to the Manoa Grand Ballroom Facilities. The Ballroom is conveniently located at the Japanese Cultural Center of Hawaii and is only ten (10) minutes from Downtown Honolulu and is easily accessible from the freeway and surface streets with ample parking.
The following represents the policy and procedures for the use of the ballroom, which is open to the public. Please review the following and feel free to call us at (808) 946-6758 if you have any questions or need additional information.

The Manoa Grand Ballroom seats up to 500 guests comfortably and can be divided into three (3) smaller rooms or two (2) larger rooms. Early reservation is recommended to ensure the proper accommodations for your function as reservations are taken on first come first serve basis
Any function which requires additional room over the recommended seating capacity will be subject to additional charges depending on how much additional room is required for your function.
Any function starting or extending beyond the above times must be arranged sixty (60) days prior to the function. Any function starting or extending beyond the above time may be subject to an additional charge. All functions should end one-half (1/2) hour before the ending time as the room must be cleared by the time as indicated.
DECORATIONS The earliest time to come in to decorate is 9:00am (Luncheon) and 4:00pm (Evening). Earlier decorating time may be available depending on previous functions. Decorations will be coordinated with our Banquet Manager and will consist of items that will not result in any damage to the banquet hall ceiling, wall, floors or furnishings.

MENUS Please select your menu from the enclosed basic menus. If you decide to substitute or add entrees to these menus, please contact us for assistance for respective prices. We also offer customized menus and welcome the opportunity to consult with you on a menu that will fit your event and accommodate the taste of you and your guests. All foods are to be purchased from the Manoa Grand Ballroom and must be consumed on ballroom premises. For any outside food or beverage brought in without prior permission, we reserve the right to remove such food or beverage items until the conclusion of the event.
HEADCOUNT Client agrees to notify the Manoa Grand Ballroom (by noon, excluding weekends) at least one (1) week prior to the event of the Guaranteed Minimum number of persons that will attend. If the banquet office is not notified, the number of persons noted as a tentative count on the Banquet Event Order will be considered the Guaranteed Minimum. Manoa Grand Ballroom shall not be responsible for accommodations of more than 5% over the guaranteed minimum. Decreases will not be accepted after the guaranteed count is turned in, however we can accept additions 72 hours prior to the function date up to 10% of the guaranteed count. A 20% price increase on menu will be assessed for any increases made less than 72 hours of notice. At the time of the event, any additional guests beyond the guaranteed count will be charged. Management reserves the right to make room changes in accordance with the Guaranteed Count.
DEPOSITS AND PAYMENTS A non-refundable security deposit of $500.00 with a completed signed BANQUET HALL AGREEMENT (Page 4) is
required to reserve your room at the MANOA GRAND BALLROOM. The deposit will serve as a security deposit during your event and will be returned provided all policies and procedures are followed. Security deposits will be refunded by mail fifteen (15) working days after your function.
For Cancellation of Reservations, a written letter stating request to cancel is required and results in a forfeiture of your Security Deposit. Any cancellation of an event or guest count reduction of more than 25% is subject to an Additional Cancellation Fee based on the number of days prior to and estimated charges of the event: 30 days at 100%, 60 days at 75%, 90 days at 50%, 120 days or more at 25%.
An additional deposit of 50% of the total estimated cost must be paid sixty (60) days prior to your function date. Balance is due two weeks (14) days prior to your function date. A Service Fee (18%) and Hawaii State Tax (4.712%) will be applied to the total cost of each function. Any additional charges due to changes up to your functions date will be due on or before your function.
Personal checks will be accepted only if it is received at least two (2) weeks prior to the event. Any unpaid balance after the function is subject to a finance charge of one percent (1.0%) per month until paid. A fee of $30.00 will be assessed on any check returned from the bank.
BAR AND BEVERAGE SERVICE Any function with alcoholic beverages will be arranged with our Banquet Manager and comply with our Policy and Procedures. We offer a complete liquor and beverage service, however, clients may bring in their own liquor with a corkage fee.
INTERNET ACCESS All of our banquet rooms have Wireless Internet capabilities and is available at an additional cost per day. Please inquire with catering staff for details.
SECURITY
HPD Special Duty Officers may be required for certain events. The Manoa Grand Ballroom reserves the right to require security at any function it deemed necessary. Special Duty Officers will be coordinated through our Banquet Manager and the cost will be added to your total bill.
PARKING Guest Parking is available in the parking structure of the Cultural Center. A flat rate will be charged to guests
with validation. Alternate accommodations may be arranged if deemed necessary.

Menu package and pricing is based on a 50 person minimum number of guests but functions for less than the minimum is accepted at a slightly higher price

BANQUET HALL & INDEMNITY AGREEMENT
We (I) the undersigned have received and read the MANOA GRAND BALLROOM BANQUET HALL POLICIES AND PROCEDURES and we (I) hereby acknowledge and understand the rules, policies and requirements outlined above. I agree to abide by these rules and assume responsibility for my guests actions. We (I) are aware that management reserves the right, to terminate the function at any time that these policies are not followed and for the safety of the guests and employees. I am also aware that I am responsible for any damages that may occur during the use of the facilities.

A cocktail bar will be set up only upon request from the client. Last call will be at 1:00pm for lunch functions and at 10:00pm for evening functions. For all bar service, a minimum guarantee of $200.00 in beverage sales by the drink is required within the first two hours. If sales total less than the $200.00, there will be a bartenders fee of $175.00 for that first two hours plus $100.00 each additional hour. All unauthorized bottles of liquor will be subject to a corkage fee of $35.00 or more plus service fee and tax. A minimum of one bartender is required for each increment of 150 guests.
CORKAGE
Liquor can be provided by the client. The corkage fee will cover the use of glassware, garnishes, napkins, etc.

Liquor provided by the client must be delivered to the banquet room with their seal intact. An inventory list of all items and quantities of each should accompany the items when delivered. All leftover liquor at the end of the party must be removed from the premises in one lot. We prohibit liquor to be passed out or given away to anyone on the premises. A minimum of one bartender required for each increment of 100 guests.
STATE LAWS
Hawaii Revised Statutes make it illegal to serve liquor to a person under the influence of liquor and under the age of twenty-one (21). We reserve the right to deny any person that may appear intoxicated. The bartender will have the right to examine identification cards before any liquor is served.
