At the commencement of August of each year for one month the Junior Sub Committee will
call for nominations for the following positions;
Nominations for selectors of each age division
Nominations for Coaches of each age division Field & Indoor
Nominations for Managers of each age division Field & Indoor
Nominations for Players for each age division
Nomination forms for the above positions will be available in the club house during the
month of August of each year .The closing date for nominations for these positions will be
the last day in August of that year. Completed Nomination Forms must to be returned to the
Junior Divisions Management Box allocated within the club house.
The Association will publicise for an Expression of Interest for these above positions via the
club house noticeboard, annoucements over the clubhouse PA System & advertisements
placed in the Manning River Times paper, the Association Web Site and the Association
Facebook Page.
Selection for all positions will be made early in September and confirmation announced at
the Grand final day presentations for the relevant age division.
All players who have nominated for representative teams will be advised of trials days and
times immediately after end of the competition season, by the current Junior Sub-
Committee Secretary.
A team will consist of a minimum of Thirteen (13) and a maximum of sixteen (16) players.
Once a team has been selected, finalised, ratified & endorsed by Manning Valley Hockey
Association Junior Sub- Committee no further discussions will be entered into regarding the team
selections.
Players who have been selected in a Representative Team will be given notification of all costs
involved in competing at the Championship for which they have been selected a minimum of four
weeks prior to the Championship.

Note: Field Championships Team Selections-
A player that can be considered for selection for any age groups in which they are eligible. This
is to ensure MVHA will be sending to the championships its strongest team possible.
If a player wishes to play outside their age division they must sign a Hockey NSW State Championships Age Eligibility Waiver Form which is due to Hockey NSW one week prior to the Championships.

A player or Umpire wishing to compete at a NSW State Championship with another
Association MUST COMPLETE a Hockey NSW Umpire & Player Clearance Form.

Note : Indoor Championships
All teams that represent Manning Valley Hockey Association at Indoor Championship in
will be under the direct control of Manning Valley Hockey Association.
All Coaches & Managers for Indoor teams representing Manning Valley Hockey
Association will be appointed by MVHA.
At the completion of each field tournament the relvant coaches, in consultation with
selctors, will submita total of ten players for consideration for each of the relevant indoor
championships.
Selection of the Manning Valley Hockey Association Junior Representative Inddor
Teams will be the sole respnsibilty of the Junior Divison.

Selection Procedures “General”
It is the responsibility of the MVHA Junior Division to appoint Selectors, Coaches and Managers
for each Junior Representative Age Division Team. The selection committee for these positions
will consist of the following:
a. Chairperson of the MVHA Junior Division.
b. Secretary and Treasurer.
c. MVHA Junior Division Representative Team Coordinator.
d. MVHA Junior Division Match Committee Chairperson.
e. MVHA Coaching Director.
If a situation arises where a decision cannot be reached by the committee as to the most suitable
candidate for a position, the Chairperson has the casting vote.
This committee will appoint:
a. Three Selectors for each age divisions. This will be based on –
1. Qualifications.eg Previous experience in carrying out selection.
2. Request of preferred age group.
3. Formal qualifications.eg Accreditations.
b. Coaches of each aged divisions will be based on –
1. Qualifications.eg previous experience in carrying out selection.
2. Formal qualifications.eg Accreditations.
c. Managers of all aged divisions will be based on –
1. Experience.
2. Formal qualification.eg Accreditations.

It is the responsibility of the selectors appointed by Manning Valley Junior Sub-Committee to perform
the following duties:
1. Attend all team selection trials – (if you are unable to attend a scheduled trial date, due to unforeseen
circumstance, you must notify the Junior Sub Committee Chairperson or Ass Secretary in writing, as
soon as possible, stating your reasons.)
2. Demonstrate equitable and professional behavior during team selection duties.
3. The selection process will ensure selection of the best teams to represent MVHA at Championships.
4. Must ensure selections are based on skill, fitness, knowledge, attitude and teamwork abilities.
5. Demonstrate confidentiality in the team selection process.
6. Allow all players sufficient field time to demonstrate their capabilities to meet the selection guidelines
at team selection sessions.
7. Any selector who has a child a child or relative involved in that particular age group will be asked to
exercise professionalism.
8. Must demonstrate fairness in the selection procedure, with no bias or favoritism shown toward any
player (or players) during team selections.
9. Must use player profile / assessment sheets to justify player selections.
10. Before the commencement of the selection process must inform players / parents / any interested
persons the Manning Valley Association Inc’s Codes of Conduct
11. Once a team has been selected & finalised the Team Selection Sheet must be completed and signed by
all selectors and then forwarded to the Junior Sub Committee Secretary. The team list is to be kept
confidential until the selected team has been ratified & endorsed by the Junior Sub- Committee and
released to the players who trialed.
12. Provide verbal feedback to all players who trialed, highlighting areas of strength, and suggestions for
improvement.
13. Each Selector is to provide the Junior Sub- Committee with a completed NSW Working with Children
Check for Volunteer/Student Declaration Form.[see Support Documentation]

In order to apply for a position of Coach of a Manning Valley Hockey Association Junior
Representative Team, the applicant must:
1. Hold Hockey Australia Community Coach Qualification. Accreditation can be obtained
via Hockey Australia Web Site – http://www.hockey.org.au/index.php?id=204
2. Demonstrate that their coaching credentials meet the requirements for the team they will coach.
3. Demonstrate an understanding of the current rules, as set out by the International Hockey
Federation.
4. Provide the Junior Sub- Committee with a completed NSW Working with Children Check for
Volunteer/Student Declaration Form.
Coaches must be able to demonstrate fairness during the selection procedure, with no bias or favoritism
shown towards any player (or players) during team selections.
All coaches must be available to attend the Hunter Power Conference Carnival & the Hockey NSW
State Aged Championship in the age groups for which they have been appointed.
All Coaches must demonstrate equitable and professional behaviour in assisting in team selection duties.
All Coaches must ensure all selections are based on skill, fitness, knowledge, attitude and teamwork
abilities.
All Coaches must be able to demonstrate confidentiality during the team formulation process.

Any player nominating for selection in a Manning Valley Hockey Association Junior Representative Team
must:
1. Be a financial member of the Manning Valley Hockey Association. If there is insufficient numbers of
players for a team in an age division, players may be selected from other associations. These players can
be sourced from the Hockey NSW’s Player” Pick Up Roster”.

2. Be able to attend all team selection trials (if unable to attend, a letter must be submitted to the Junior
Sub-committee Assistant Secretary prior to a selection date stating reason/s why they are unable to
attend. A copy of this i.e./ letter/ email will be given to the selector’s chairpersons for their information)
3. Demonstrate the required level of fitness.
4. Demonstrate a positive attitude towards the game of hockey in all aspects.
5. Sign a Manning Valley Hockey Association’s ‘Code of Conduct’ form.
6. Provide on request their preferred positions on the field and highlight their areas of strengths and
weaknesses.

Web Site in “Forms”.

Being selected to represent Manning Valley Hockey Association is an honour. With this comes
certain responsibilities and expectations.
Once a player’s selection in a representative team is confirmed the player is responsible for carrying out
the following:
1. Demonstrate a positive attitude in all aspects related to the Representative Team.
2. Demonstrate commitment to the Representative Team, it’s Coach & its Manager.
3. Attend all team training sessions as set by Coach (if you are unable to attend a scheduled training date,
due to unforeseen circumstance, you must notify coach / manager, as early as possible, stating your
reasons.)
4. Abide by the Manning Valley Hockey Association Inc’s ‘Code of Conduct’.
5. Take direction from Coach / Manager / Umpire, as required.
6. Wear appropriate uniform, when required.
7. Wear protective equipment (such as shin guards, mouth guards etc) at all selections, games training
sessions and at the State Championships.
8. Notify Team Managers of any injury or illness.
9. Pay all monies associated with the Championship by the required time.
10. Complete the “Hockey NSW Code of Behaviour – State Championships Players Form” issued by
the Team Manager. This must be returned to the team manager prior to championship.
11. Abide by the “Hockey NSW Code of Behaviour – State Championships.

Player Commitment Criteria

Once appointment to the position of Coach of a Manning Valley Hockey Association Junior
representative team is confirmed by the selection committee, it is the responsibility of that person to
carry out the duties as listed below:
1. Attend team selections and liaise with selectors with team selection duties.
2. Liase with Team Manager to organise training dates and times.
3. Provide the Team Manager with selection times and dates so that players and their families can be
contacted with the information.
4. Submit a copy of their training program to the Selection Committee, prior to first team selection
day.
5. Provide players with feedback during training sessions, and assign activities for individual skill
development.
6. Ensure a safe environment during training and the tournament.
7. Address players and officials in an appropriate manner.
8. Dress appropriately for training sessions and the tournament.
9. Lead the team by example.
10. Liaise with the Team Manager, Association Committee representatives, and Parents, as required.
11. Provide each of the team members with the Manning Valley Inc “Code of Conduct”.
12. Plan game strategy, inform players of expectations during the tournament, and provide feedback at
conclusion of each tournament game.
13. Provide the team members with the substitution procedure for tournament.
14. Ensure Hockey NSW Tournament Rules and Procedures are followed by all players.
15. In consultation, with the relevant MVHA Junior Division Age Selectors, decide upon the six
nominated players to be placed on the Hockey NSW Coach Selection Sheet.
16. Advise the Manager and Selection Committee of any team changes (drop out, injury etc).
17. Abide by the Association’s Player Code of Conduct at all times.

The Selection Committee’s recommendation for the position of Manager of a Manning Valley Hockey
Association Junior Representative Team will be confirmed at a Junior Sub-committee meeting. It is the
responsibility of that manager to carry out the duties as listed below:
1. Down load Hockey NSW Championship Pack and complete all requirements as set out in Hockey
NSW Field State Championship Pack.

2. Provide their contact details to the Manning Valley Hockey Association Junior Division Secretary.
3. After consultation with the team coach, book training venues and times with the Association’s Turf
Director. Inform all concerned, via newsletter this information.
4. Obtain quotes for accommodation, transport and meals for team members, coach, umpire and
manager.
5. Prepare, in consultation with the MVHA Junior Representative Team Coordinator, a budget for
tournament costs (accommodation, travel, food, team nomination fee, playing fee, training fee, costs
for coach, manager and umpire). This budget must be presented to the Junior Sub Committee for its
ratification. Costs must be evenly distributed across all players. After ratification by Representative
Team Coordinator, confirm all bookings.
6. The Assistant Treasurer of the Junior Sub-committee must be informed before sponsorship
/fundraising is sought for the teams Representing MVHA. Permission must be obtained from the
MVHA Promotions Director before organizing of sponsorship /fundraising activities take place.
7. Attend all team training sessions to build relationships with the coach, players and their parents..
8. Ensure that the Manning Valley Inc “Child Protection Form” is complete by all adults who are
associated with the team eg. Coach, Manager, Transport drivers, physiotherapist etc . These must be
then given to the Junior Subcommittee Secretary.
9. Compile and distribute to players (or parents);
b) travel and accommodation information.
c) Tournament costs and fees
d) Medical forms [See Support Documentation]

e) Permission notes, where required (Under 18 years of age)
f) NSW state team non selection forms.
g) Tournament Draw.
i) Hockey NSW Code of Behaviour – State Championships Players Form.
10. Complete the Championship Team Details Form which can be downloaded from the Hockey NSW
Web Site. (This form may require player’s name, playing number, their date of birth and association
registration number). It must then be forwarded to nominated NSW Hockey Tournament Director
(prior to the due date).
11. Complete the Championship Umpires Nomination Form which can be downloaded from the Hockey
NSW Web Site. (This form will require name, address, phone number, email address, date of birth of
umpire and current level of umpire badge) and forward to nominated NSW Hockey Umpire Convener
(prior to due date) appointment
12. Complete NSW Hockey Coach Selection Sheet which can be downloaded from the Hockey NSW
Web Site. This must be handed in at managers meeting held on the first day of the Championships.
13. Complete Player and Umpire Clearance Form if required (which can be downloaded from the
Hockey NSW Web Site) two weeks prior to Championships.
14. Complete the Hockey NSW Participation Declaration Form (which can be downloaded from the
Hockey NSW Web Site) and send to Hockey NSW one week prior to the Championships. When it is
signed the Association declares that all necessary forms and waivers have been completed, signed and
submitted to Hockey NSW.
15. Collect from players payments for tournament costs prior to the tournament, and pay outstanding
amounts for accommodation, travel and food (all receipts must be kept and forwarded to the Junior
Sub Division Assistant Treasurer).
16. Obtain uniforms from the Association Uniform Coordinator and distribute them to team members
prior to the tournament. A record of who in the team is allocated what uniform will be kept ensuring
that all uniforms will be returned to the association. Uniforms will be collected at the conclusion of the
tournament and laundered prior to returning to Association Uniform Coordinator. [A suggested form
for registering uniforms can be found in Support Documentation].
17. Obtain a medical kit from the Association Equipment Officer prior to tournament, and return it at the
completion of the Championships. The medical kit should be checked to make sure all items are
included.
18. Purchase any food which may be required for the team and pack it for transport.
19. Attend Managers meetings at the commencement of the Championship. Relay relevant information to
coach and players.
20. Ensure all players have drink bottles (with their identifying marks) filled with water, prior to
commencement of each game during tournament.
21. Assist the coach and players during the tournament, as required

22. Team Photo: organise a time for a team photo to be taken, collect money from the players, order the
required number of photos from photographer, then distribute the photos to players, when supplied.
23. Record and report any off field misbehaviour which has occurred whilst the team is on tour. This
report is to be forwarded to the Junior Sub-committee Secretary within one week of return. Any
misdemeanors will be dealt with by the Junior Sub Committee in the appropriate manner.
24. In the event of a player being injured whilst on tour, the Manager must accompany the injured
player to the nearest medical centre (or hospital) for treatment. Managers are required to have the
injured player’s current medical form for reference, for the medical attendant to view. The Manager
is required to notify next of kin as soon as possible, of the players condition. On return from the
tournament, the Manager is required to return to the players their Confidential Medical Forms
[Support Documentation].
25. Supply a team photo and write a full report on the team’s achievements at the tournament. This
report is to be submitted to the Records Director within 14 days of the tournament.

Representative Teams
The Manning Valley Hockey Association Junior Representative Team Coordinator will be responsible
for the following:
1. Nominate all Association Field and Indoor Representative Teams for the tournaments in which the
MVHA Junior Division Committee has endorsed.
2. Arrange for payment by the Associations Treasurer of all monies due for payment to the
Championship Organisers before due date.
3. Provide to the Associations Registrar the Representative Team Lists with all information that is
required by Hockey NSW for their action.
4. Ensure that all equipment/ player attire is provided to each Team Manager one week prior to the
team competing.
5. Down load and complete all requirements as set out in Hockey NSW Field/ Indoor State
Championship Pack.

6. Complete Hockey NSW Association Uniform Design Form [due early March and send to Hockey
NSW].
7. Supply to the Team Managers an Association Equipment Order Form for its completion so numbers
of approved team attire can be ordered.
8. Set remunerations for Coaches, Managers & Umpires to cover their expenses when attending Aged
State Championships.

Manning Valley Hockey Association Junior Parents Responsibilities to the
Representative Teams
A parent who experiences a delay when picking up their child from a coaching session or
match will contact the manager or coach to inform them as to the reason why they will be
late and what time they will pick up their child. They will inform the coach/manager if
other arrangements have been put in place for their child to be picked up.
The second last collected child together with their parent will wait with the coach and the
child who has not been picked up (this also enables the coach to concentrate on making
contact with the parent if they have not rung to say they will be late).
Parents Code of Conduct
I will always conduct myself in such a manner that will not discredit Manning
Valley Hockey Association.
I won’t pressure my child in anyway. I know that this is their game, not mine.
I will not use bad language, nor will I harass players, coaches, officials or other
spectators.
I will not cause disharmony within the team by my actions or words.
I will encourage my child to play within the rules and respect officials and
coach’s decisions.
I will teach my child not to hate their competitors but to admire and respect their
skill.
I will remember that children learn best by example so I will applaud good plays /
performances by both my child’s team and their opponents.
I will give positive comments that motivate and encourage continued effort.
I will teach my child that doing ones best is as important as winning, so that my
child will never feel defeated by the outcome of a game / event.
I will focus on my child’s efforts and performance, not the score.
I will thank the coaches, officials and other volunteers who give their time to
conduct the event for my child.
I will help when asked by a coach or official.
I will not criticise or ridicule my own or any other child’s performance during or
after the game.
I realise that good fun is more important than a good win.
I will not drink alcohol or smoke any drug at junior matches or arrive at the field
intoxicated.

I will not use ‘ social media’ including “Facebook” to make derogative or
inflammatory comments about the team/team members or their families/ or
Manning Valley Hockey Association officials.
I understand that if I breach any of the above it may well jeopardise my child’s
position in their team.

THE FOLLOWING CODE OF CONDUCT HAS BEEN SET BY THE AUSTRALIAN SPORTS COMMISSION. EVERY PLAYER REPRESENTING THE MANNING VALLEY HOCKEY ASSOCIATION MUST ABIDE BY THIS CODE.
As a member of a Manning Valley Hockey Association Representative Team I will observe
the following code of conduct:
Play by the rules.
Never argue with an official. If I disagree, have your captain, coach or manager approach
the official during a break or after the competition.
Control my temper. Verbal abuse of officials and sledging of other players, deliberately
distracting or provoking an opponent are not acceptable or permitted behaviours in any
sports.
Work equally hard for myself and my team. My team’s performance will benefit, and so
will I.
Be a good sport. Applaud all good plays whether they are made by my team or the
opposition.
Treat all participants in my sport as I like to be treated. Do not bully or take unfair
advantage of another competitor.
Cooperate with my Coach, Manager, team-mates and opponents. Without them there
would be no competition.
Participate for my own enjoyment and benefit, not just to please parents and coaches
Respect the rights, dignity and worth of all participants regardless of their gender, ability,
cultural background or religion
Not keep hours which will detract from my own and team performance.
Not take part in social activities not organised or approved by my Team Manager.
Be responsibly aware that you are representing your family, your club, your association,
your home town or city.
I am aware that serious breaches of this Code of Conduct will result in my being prohibited
from participation in the Championships. I understand I will be liable for any costs
associated with damage caused, (for example, to other people’s property).

Extra responsibilities when working with children
Coaches who work with or have contact with children have some extra responsibilities and requirements to ensure that the children they work with are kept safe and protected from harm. Child abuse is illegal in all states and territories of Australia, with each having their own laws that cover reporting and investigation of cases of child abuse. Coaches should use good teaching practices to avoid child abuse, behave appropriately and create an environment where children feel safe and protected. Coaches should have an understanding of child abuse, child protection and what to do if child abuse is suspected. About child abuse
Child abuse includes physical (non-accidental injury and/or harm to a child), emotional (behaviours that can psychologically harm a child, eg. severe verbal abuse) and sexual abuse/misconduct (any sexual act or threat imposed on a child), as well as neglect.
Evidence shows that the future wellbeing of a child who has been abused depends to a large degree on the quality and timing of help given to the child and their family.
Abuse affects everyone — children, parents and the community. It has no age, gender, cultural, economic or occupational boundaries.
Parents will be more confident if the coach is interacting with children in an appropriate manner.
What is child protection?
Child protection includes policies and practices put in place to keep children safe from harm — from physical, sexual, or emotional abuse or neglect
Child-protection legislation sets out how child abuse should be reported and investigated, and imposes obligations on people dealing with children. This includes a requirement in most states and territories for people working with children, such as coaches, to undergo a national criminal history check (in other words, be screened) to determine their suitability for working with children.
Reporting requirements - Most state and territory legislation also requires specific persons to report reasonable suspicions of children being abused or neglected. Individuals working with children including teachers — and in some states and territories, coaches — are required by law to report any suspicions of child abuse or maltreatment, including neglect.
Coaches need to:

CHILD PROTECTION (PROHIBITED EMPLOYMENT) ACT 1998
The Child Protection (Prohibited Employment) Act 1998 makes it an offence for a person convicted of s serious sex offence (a prohibited
person) or a Registrable Person under the Child Protection (Offenders Registration) Act 2000, to apply for, undertake or remain in,
child related employment. It does not apply if an order, from the Industrial Relations Commission or the
Administrative Decision’s Tribunal, declares that the Act does not apply to a particular person.
Section 5 of the Child Protection (Prohibited Employment) Act 1998 defines a serious sex offence, as an offence involving sexual
activity or acts of indecency that was committed in NSW and that was punishable by penal servitude or imprisonment for 12
months or more even if the sentence was not served, or, an offence involving sexual activity or acts of indecency that was
committed elsewhere and that would have been punishable by penal servitude or imprisonment for 12 months or more it had been
committed in NSW.
Child -related employment means any employment where at least one of the essential duties of the position, involves direct contact with
children where the contact is not directly supervised. Section 3 of the Child Protection (Prohibited Employment) Act 1998 specifies that
child-related employment:
Involving the provision of child protection services
In pre-schools, kindergartens and child care centres (including residential child
care centres) In schools or other education institutions (not including universities)
In detention centres (within the meaning of the Children’s (Detention Centres) Act 1987
In refuges used by children
In wards of public hospitals in which children are patients
In clubs, associations or movements (including cultural, recreational or of a sporting nature) having a significant
child membership
In any religious organisation
In any entertainment venues where the clientele is primarily children
As a baby sitter or child minder that is arranged by a commercial agency
Involving fostering or other child care
Involving regular provision of taxi services for the transport of children with a disability
Involving the private tuition of children
Involving the direct provision of health services
Involving the provision of counselling or other support services for children
On school buses
At overnight camps for children
Under the Act:
It is an offence for a prohibited person to apply for, or remain in child related employment.
Employers must ask existing employees, both paid and unpaid, and preferred applicants for
employments to declare if they are a prohibited person or not.
All child related employees must inform their employers if they are a “Prohibited Person” or
remove themselves from child-related employment. A prohibited person is someone who
has been convicted in court, even if a conviction was not recorded.
Penalties are imposed for non compliance.
