CE Requirements Overview

Credits and Workshops


• 50 NCP-eligible CE Credits and 3 NCP Workshops over 5-year renewal period

• Maximums–# credits permitted to be filed in calendar year = 30

• Credits over max. of 30 per year – No carry over to next year

• Credits over max. required 50 credits – No carry over to next 5-year renewal period

–No need to file additional credits over maximums

What Is Required?


• What is a CE credit?–50 minutes of education = 1 credit

• Standard across the industry for CE credits tied to total minutes of education

–Fractional CE credits are common• Examples:

–1-hour session = 1.2 CE credits –90-min. session = 1.8 CE credits



• What is a Workshop?–ECCHO-hosted NCP session offered 3 times

annually• Typically 90-min. webinars • Targeted for May, August and November

–Maximum• 2 Workshops per calendar year recognized as

Workshops for renewal requirements • Other(s) may optionally be used for CE credits



• Workshop Participation–NCP must be the purchaser to be recognized for

Workshop requirement–Tracked by ECCHO

• If you are the purchaser of a Workshop, no need to enter the session when filing credits–Entry is made to your NCP record upon

purchase and confirmed participation



• Workshops for CE credits – “Piggy-backs”– One NCP purchases Workshop and other NCP(s) may sit in and

listen on that purchased Workshop line• Counts only for CE credits• Does not count as a Workshop requirement


• Credit filing for “piggybacks” – 3 steps:– Notify [email protected] within 10 days

of workshop– Get completion certificate

• ECCHO will provide; keep to confirm attendance for audits

– File the credits – Workshop(s) used for CE credits are entered by the NCP – same as any CE session

Free and “for fee”


Pre-Approved Sessions• Sessions submitted to ECCHO by NCP training partners and providers

– Sessions verified as eligible for NCP CE credits (include NCP Education topics)• Pre-Approved sessions posted as they are provided to & accepted by ECCHO• Session costs will vary depending on the provider

– Some offered at no charge

Other Sessions (not pre-approved)• Credit eligibility based on inclusion of approved/eligible topics

– Based on NCP Exam Blueprint: Outline of knowledge areas tested by exam• Educational Sessions may include:

– Conferences, industry group meetings, webinars, lunch-and-learn sessions, in-person meetings, others

• Maintain documentation – 2 years– NCP is responsible to maintain documentation for sessions submitted for CE credits

for 2 years after filing

Additional Credit Resources• Instructors/Speakers: May get double credits (max. of 15 Credits/year)• NCP Guides: 1 credit per 50 min. of guidance (max. 5 Credits/year)• Publications: 1 credit per 500 words published (max. 10 credits/year)

Navigating the NCP Portal


• Once you are in the portal, please verify and update your contact information as needed.– Probably can’t stress this enough– Very important to keep your contact information current – it is our

primary means of contact with you about your CE credit status and NCP events

– Keep this current if you should change organizations or name change (e.g.; getting married)

• To login:– Click the NCPConnect logo at top right of

ECCHO homepage– Enter your email and password

• If you have forgotten your password click forgot password at the top and one will be sent to you

Updating Contact Information


• Where you view all your personal information– To take the NCP exam, you had to include this information

to match your drivers license– Now that you are an NCP, you can update to name you

would normally go by• Note: this information feeds the NCP directory• Any changes made here update the online directory

• To update simply click Edit, make necessary changes, click Update at the bottom

CE Sessions” box)– Data entry box is displayed titled “ CE Activity”– Use drop-downs to find sessions that may be pre-

approved• Credits value will automatically populate• Note: Check box if you were the speaker for this session;

Speakers get double credits (system will auto-populate)– Click Save

• Entry for a Session Not Pre-Approved–Click “Enter CE Sessions” and then click

“Enter a new CE Session”–Click “Provider not Found”

• Even if the provider is listed in the drop-down, but you know the session is not pre-approved, click “Provider not Found” to get next data entry screen titled “Add CE Session”



Entering Credits – Not Pre-approved


• Entry for a Session Not Pre-Approved (continued)– Enter all required information including:

• Session date, session type and session description– Note: Description should tell us which parts of the NCP

educational topics were covered in this session– If audited you will need to provide documentation of the

content• Instructor/Speaker name• Minutes of Education: enter length of the session in

minutes, credits value is calculated– Click Save



• Credit filing window is Jan 1- March 31 every year (for credits earned in prior calendar year)– Sessions may be entered throughout the year (as just

described) and will show in the “Pending Sessions” box• Once filing window opens, see “Pay Now to Submit” box

– Credits may only be submitted with fee once per year– Once fee is paid, filed sessions move to processed

• Do NOT submit and pay if you have other sessions you plan to enter for the prior calendar year– Cannot submit sessions for prior year once you’ve

finalized your credit filing via this process

• Annual fees apply for all Credits filed– To be recognized by ECCHO, normal Credit filing process

with fee payment is due between Jan 1 and Mar 31st• Late Filing: May file late with additional fee

– Late fee assessed for Credits filed after March 31st and prior to April 30

– Late fees are in addition to the normal annual filing fee

CE Filing Extension (by April 15th) $75 Late filing fee filed after March 31 and prior to April 15th; this is in addition to normal CE credit filing fees shown above

Audit Process


• Each year ECCHO randomly selects 50 NCPs whose CE credits will be audited–Standard process for industry accreditation programs–Once each 5-year period

• “Random” is the key word• If you get a notice but were audited

in prior year in your current 5-yearcycle, please contact program admin at [email protected]

NCP Audits


• Any NCP chosen must participate in the audit and must complete the process within timeframe specified– See NCP program Policies and

Procedures guide for details• No documentation should be sent

unless requested• Issues, questions, not sure about what

documentation should be provided? – Contact the program administration

office at [email protected]

Audit Process


• Pre-Approved Sessions (pre-approved by ECCHO)– Required: Proof of attendance only

• Content of session has already been approved• Not Pre-Approved Sessions:

– ECCHO will need the content submitted as well as proof of attendance (see below)

Documentation & Audits

Any of the following that shows attendance or participation:• Email confirming registration and/or

payment• Travel Itinerary for conference• Conference tracker form or sign‐in

sheet• Completion Certificates
