b. Acceptance Procedures

1) Supply analysis: look for suitable EPs in the platform.

To do so, take into account:

- Use properly the Exchange Menu.

- Use files like DAAL, Available Forms Tracker, etc.

- Use tools like Statistics, Google Maps, etc.

- Use the current International Cooperations.

- Find a LC supplier if it’s needed.

2) Write an e-mail to the EPs you found as suitable, with this information:

- The TN ID and general info about the TN.

- Link of AIESEC Manizales wiki (which has info about the city and LC) and any information of the city and the country.

- Link of ICX Manizales wiki (which has info about the TNs, and the team).

- Link of Manizales Trainees wiki (which has info about current and past trainees, contact details and testimonials).

- Ask them to send their CVs, Motivation Letters, and EP ANs (Acceptance Notes).

* Support on Intermediate Communications Coordination.

Criteria to find high quality EPs:

- First of all, ensure they have a good academic background and work experience. Then look if they have a long @ experience (that’s added value).

- Make the ones, who showed interest, have two brief interviews: first with the account manager, and second with the TN Taker.

- Be aware that EP ANs have an expiration time of 10 days. After this, they may desist.

Take at least 3 EP profiles for the TN Taker. Once the TN Taker has accepted an EP, you must fill a TN Acceptance Note, and make him/her

sign 4 copies of it. When filling the TN AN, take into account:

- The date of signature of the TN AN: ensure it’s going to be signed on that date, or before it.

- The name of the EP must be EXACTLY as it is on his/her passport. - The role of the EP must be ALWAYS as an Assistant, not anything else. - The date of start of the internship must be at least one month and a half

after the date of signature of the TN AN. That’s what it takes the visa procedure.

- Ensure the address of the TN AN corresponds to a CONSULATE, not ad-honorem ones.

- Only the LCP can sign the TN AN copies.

c. Matching

Once the 4 copies of TN AN are signed, give them to Delivery Coordinator.

He/she is going to keep one copy, and the others will be sent to MC.

Delivery Coordinator must ask the trainee for the next information:

- Scanned copy of main page of passport.

- Scanned copy of International Health Insurance.

- Certification letter from bank stating that the trainee has at least 500 USD to maintain for the first month.

- Scanned copy of letter signed by trainee, certifying he/she approves the visa procedure.

Delivery Coordinator sends this info to VP ICX, who sends it to MCVP ICX. Remember to clarify the trainee NOT to but the tickets until visa is ready.

Also, Delivery Coordinator collects the next documents physically, and send them to the MC office in Bogota:

- 3 signed copies of TN AN. - Copy of passport.

- Letter to ICETEX explaining the details of the internship.

Once the MC has received all the previous docs (virtual and physic ones), they pass

the form to Status: MATCHED .
