ALLSTATE SUGAR BOWL/LHSAA SOFTBALL STATE TOURNAMENTFOR ALL TEAMS WINNING IN THE REGIONAL ROUND OF PLAY
Representing Sulphur Parks and Recreation is Mark David, Office (337) 721-3040, Cell (337) 304-2515, Fax (337) 721-3041, and representing Sulphur High School is Julie Mancuso, Office (337) 217-4430 x 2355.
Sulphur Parks and Recreation and Sulphur High School will be responsible for furnishing administrative personnel for the tournament such as score keepers, scoreboard operator, P.A. announcer, ticket sellers and takers, grounds-keeping crews and other workers necessary for administering the tournament as well as the official game softballs.
The Tournament Host will retain all monies received from fast food concessions sales and official tournament program sales. Sixty (60) percent of the net gate receipts shall be pro-rated among the participating schools based on the number of games played and the Tournament Host shall retain five percent of the net gate receipts. The LHSAA shall receive thirty-five percent of the net gate receipts.
The umpires will be assigned from a neutral association and will be paid by Sulphur Parks and Recreation
The LHSAA will reserve the exclusive right to sell tournament T-Shirts, Caps and other souvenir items.
The tournament will be played at North Frasch Park in Sulphur, a well-kept and maintained softball complex, one of the nicest in Louisiana. No team will be allowed to practice on the game fields during the entire week or until the tournament is completed. Violation of this rule will result in the removal of the team from the tournament.
The Tournament Host will provide each team one (1) complimentary meal ticket per each player to use at the tournament for Friday only. In addition, each traveling team shall receive a reimbursement check that will be mailed to the school. The reimbursement shall be equal to the cost of four (4) hotel rooms for one (1) night’s stay. NOTE: Teams that go outside of the booking procedure and procure rooms independently shall forfeit the hotel reimbursement.
In conducting the State Softball Tournament, no constitutional provisions of the LHSAA may be violated. Protests will not be allowed in this tournament. Protests are not allowed in any LHSAA sport.
The responsibility of all district representatives is to notify the LHSAA office and B.J. Guzzardo by fax at (225)300-4244 or email [email protected] as soon as representatives are named (please use the district final standing form).
Email to Sulphur Parks and Recreation a complete TYPED roster for the program. Include in this roster: number; position; name; height; and class. This form is attached to this bulletin. The Roster form shall be emailed to the address below. Note: Rosters must be received by April 18, 2016 in order to insure inclusion in the State Championship Program. NOTE: Any and all decisions of fields and times will be left to the discretion of the LHSAA and Sulphur Parks and Recreation. Should conflicts arise, decision of the LHSAA and SPAR will be final. If rained out, games may be moved to Sunday and/or Monday and the site may be changed to other available parks.
HOSPITALITY: SPAR will again provide coaches’ hospitality room. Only the LHSAA/LHSCA cardholder will be admitted in the room (must have card and photo ID). Hours of operation will be posted. No food or drink will be allowed to be taken out.

LHSAA SOFTBALL TOURNAMENTSPROCEDURES AND PROTOCOLS
PICTURES – (Quarterfinal Games) Musemeche Photography will be in attendance 2 hours prior to the first game of the first session on Friday. Each team must take team and individual pictures upon entering the park and before warming up for their game.
USE OF PRACTICE FIELDS - Contact SPAR’s office for availability and the day and time to schedule (337-721-3040).
HOME TEAM - The Higher Seeded team shall be the home team.
DUGOUTS - The home team shall occupy the third base dugout and the visiting team shall occupy the first base dugout.
INFIELD - Each team will be allowed 10 minutes of infield prior to the game. The home team shall take infield first followed by the visiting team.
PRE-GAME CONFERENCE - Conducted at home plate before each game with umpires, both head coaches and the tournament director who shall go over the ground rules.
INTRODUCTION OF TEAMS –
Prior to each game, the PA Announcer shall introduce each player, coach, trainer, manager, etc. of each team.
The non-starters shall be announced first then the starters, then coaches, then any others.
The player/coach shall line up along the foul line nearest their dugout and remain there for the prayer and National Anthem.
The visiting team is announced first then the home team followed by the introduction of the umpires.
INVOCATION – (Optional) Shall be said prior to the first game of the session each day.
NATIONAL ANTHEM - Shall be played prior to the first game of the session each day.
FIRST PITCH – Quarterfinals & FINALS (Optional)
The host may have a dignitary throw out the first pitch prior to the first game of quarterfinals & finals. Field #14, report to 3rd base dugout.
END OF GAME -
Teams shall not pour any liquids on the field as a celebration. Both teams should shake hands and exit the dugouts as quickly as possible so the next games teams may enter.
WALK-UP MUSIC - Shall not be allowed during the tournament.

AWARDS PRESENTATION - Following the completion of the Championship game, team and individual awards are presented near home plate.

ALLSTATE SUGAR BOWL REPRESENTATIVES
The Allstate Sugar Bowl will assign representatives to present the State Champion and Runners-Up Trophies and Medals.
Note: If no Allstate Sugar Bowl representatives are available to make the presentations, the LHSAA will secure individuals to make the presentations.
GAME BALL PRESENTATION –(Post-Game Ceremonies of the Championship Game Only)
The head coach of the winning team shall be presented a Baden ball during the post-game award ceremonies.
RAIN DELAYS/POSTPONEMENTS The tournament director has jurisdiction to postpone or cancel the start of a game. Once the umpire’s jurisdiction begins, then they have the sole authority to suspend the game because of weather. Games are rescheduled on a day-to-day basis including Sunday if necessary.
REPORTING SCORES - The LHSAA shall post the scores of each game during the tournament.

LHSAA will provide one (1) dozen Baden Softballs for each game. It is the Tournament Host’s responsibility to provide additional balls in case they’re needed. The Baden Softball will be theBaden Perfection® 2BSFPY (Optic Yellow)
Fields 13-18: Infield is turf including the pitcher’s mound and home plate - outfield is natural grass.Fields 19-20: All natural grass.
ALL-ACADEMIC AWARD PRESENTATIONS
Will be presented for all classes at 10:00 AM, Saturday, April 30. Recipients may enter any gate at 9:45 AM and report to Field #14. Report to 3rd base dugout.

Media / School Yearbook
School Yearbook/ Newspaper Personnel: Request media credentials online by visiting the Media Credential link on the LHSAA
website On school letterhead, submit a signed letter from the principal acknowledging,
approving and requesting one tournament pass for a yearbook or newspaper staff member. This needs to be submitted at least three calendar days prior to the beginning of the tournament. No exceptions! The attending school yearbook or staff member will need to have proper school identification.
The purpose of the “School Yearbook/ Newspaper” credential is to permit a complimentary entrance into the event for which the person is gathering information.
The media credential may not be used by parents or friends nor is the credentialed person allowed to take pictures for parents and/or friends with the parent’s and/or friend’s camera.

Photos shall be limited only to the school’s team members while in competition and/or presentation of awards. Photos taken during an event may not be sold or used in any capacity outside of the purpose(s) of their school’s yearbook and/or newspaper. The LHSAA has an exclusive photography contract with Musemeche Photography.
Radio / Internet Broadcasting Fee Per Game: $200 If station agrees to do a LHSAA sponsor spot, fee reduced to: $150 Stations broadcasting will be responsible for charge to originating point The internet broadcast fee per game is $200 and an additional $50 fee per game if still

Game Video and Policy All games may be videotaped by spectators except the Championship games of
Class 4A and Class 5A on field 14.

Semi-Final Game Players shall return to their respective dugouts. Players and coaches shall form a single line to shake opponent’s hand. Teams shall immediately return to their dugout, gather their equipment
and exit the area for the next game. TEAM PERSONNEL SHALL NOT CLIMB THE FENCES OR BACKSTOP
There is a $500 fine to the school for this violation. A TEAMS FANS SHALL NOT ENTER THE FIELD AT ANYTIME

Championship Game Losing team shall return to their dugout. Winning team may have a celebration on the field ONLY. Immediately after, the team
shall return to their dugout as directed by the LHSAA representative. Players and coaches from both teams shall then form a single line to shake opponent’s
hand. Both teams shall return to their dugout area for the award presentation.
Players shall remain dressed and be respectful while awards are being presented. Following the presentation of the team Trophy, players and coaches shall pose for a team
picture. This includes both Runners-Up and Championship presentations. Upon completion of the awards ceremonies, both teams shall return to their dugouts,
gather their equipment and exit the area for the next game. NO TEAM PERSONNEL SHALL CLIMB THE FENCES OR LEAVE THE FIELD

Qualifying Check list for Softball Playoff Coaches Submit Roster (due as soon as Team appears on bracket. Absolute deadline Monday, April 18 th.) Compile number of rooms needed & rooming list (10 rooms max, of max no more than 6
doubles. Include Coach, Players, Bus Driver, Staff. Rooms are for team accommodations only; NO SPECTATORS)

Contact SPAR upon qualifying for state tournament to book accommodations.
SPAR Booking Procedures - Accommodation requests are due immediately upon qualifying for the state tournament
1) Contact SPAR at 337-721-3040 to provide your accommodation request. SPAR will not issue accommodation information to teams until all teams qualify. However, you are welcome to provide your rooming needs in advance to accelerate the process of placing all teams.

Please call Sulphur Parks (SPAR) 337-721-3040 to request your team accommodations immediately upon qualifying for the state tournament. You are welcome to provide SPAR with your request prior to qualifying in an effort to accelerate the process of placing all teams. It is each school’s responsibility to secure their team reservations through Sulphur Parks and Recreation.
We would like to have all team accommodation requests no later than Saturday, April 23rd by 6:00 p.m.
Each team will only be allowed to reserve 10 rooms or less. (of 10 total, only 6 may be doubles)
Reservation is for team rooms only. (i.e. Coach/es, Players, Bus Driver)
Spectators may not be included in team accommodations and must secure rooms independently.
Sulphur Parks and Recreation is providing each traveling team a reimbursement check for four (4) rooms for the first night’s stay for the tournament.
Teams that do not follow the booking procedures will forfeit the travel reimbursement.
Reimbursement check will be mailed to each school.
Required Information to process accommodation request: School name, Coach name, Date of arrival, Number of days stay, Number of rooms required for your team, Credit card type/number/expiration, Phone number, Email address.
Note: A rooming list must be provided to the hotel/motel before arrival to speed up the check-in process.
Team hotel confirmations will be returned either by phone or email to the team contact.
In an attempt to avoid problems with cancellations and duplicate bookings, area hotels have been instructed by the Southwest Louisiana Convention and Visitors Bureau to only release blocked rooms to Sulphur Parks and Recreation.
Once all teams have been placed, SPAR will release the block and hotels will be able to make the remaining rooms available to spectators.
Parents and spectators can visit SPAR’s website @ www.sulphurparks.com for accommodations available in the area.

IMPORTANT-MUST READ
Due to the recent flooding in the area, FEMA has many workers in the area and may be taking up many hotel rooms. For this reason, it is extremely important that schools follow the instructions for booking rooms to insure your team has rooms.
