1Introduction to InDesign CS3

Desktop Publishing is the process of combining text and graphics on a computer screen to produce publications. It is used to product newsletters, greeting cards, restaurant menus, advertisements, pamphlets, books or catalogues and you will produce these types of publications as you progress through these tutorials.

Programs such as Microsoft Word are useful programs when simple Desktop Publishing activities are required, however, when detailed publishing is desired, a specific page layout program is needed. The program you will use for this is called Adobe InDesign CS3 and it gives you total control over the appearance of pages. You will still use programs like Microsoft Word and graphics programs such as PhotoShop, but as support programs to the page layout program.

Starting an InDesign Document 1 Load Adobe InDesign and you should receive the InDesign Start Screen, which has

the four labelled sections shown.

3 When you start a new InDesign document the program needs to know the required page measurements.

Looking at the InDesign Screen 1 Look at the labelled diagram at the top of the next page and refer to regularly until

you are familiar the various sections of the InDesign screen.

2 At the moment you are looking at the FIT PAGE IN WINDOW screen. That is, the page has been reduced to fit the size of the screen.

2 Click on DOCUMENT under CREATE NEW to start a new document.

4 Set the PAPER SIZE box to A4, turn off FACING PAGES, the ORIENTATION should be set to PORTRAIT (or normal) and select OK.

4 InDesign has numerous screen sizes which can be selected from the VIEW menu or by holding down the CTRL key on the Windows system, or the COMMAND key on the Macintosh system, and pressing a number.

3 The double arrows at the top of the TOOLS PANEL can be used to display the tools in two columns. Click on the double arrows to set the tools to two columns.

6 Press CTRL- or COMMAND- a few times to zoom out.

7 Hold down the CTRL or COMMAND key and press 1. The screen view will be changed to show the page in ACTUAL (or 100%) size.

8 Use the CTRL or COMMAND key to try the following screen sizes:

CTRL+5 or COMMAND+5 50% view CTRL+1 or COMMAND+1 100% view CTRL+2 or COMMAND+2 200% view CTRL+4 or COMMAND+4 400% view CTRL+0 or COMMAND+0 Fit page in window

NOTE: The ZOOM TOOL in the Tools Panel can be used to drag a frame around sections of your document and the screen will zoom in on that section.

5 Press CTRL+ or COMMAND+ a few times to zoom in.

The Tools PanelLook at the TOOLS panel at the left of the screen. These tools allow you to create and control how objects are placed in a document.

The Panel GroupInDesign houses many of its functions in collapsed panels at the right of the screen. You can add or remove panels from the PANEL GROUP.

A Displaying Panels

1 Click in some of the tools and notice that sometimes the CONTROL panel at the top of the screen changes to show buttons associated with that tool.

2 Notice that some tools have a small arrow at their base. These tools have extra options associated with them. Try clicking and holding down the mouse button on the TYPE TOOL to see its options.

2 Click on the panel tab or panel label to collapse it.

4 Click on the DOUBLE ARROWS again to collapse all the panels in the PANEL GROUP.

2 The panel can then be closed using its CLOSE BOX (x).

NOTE: Panels that are not currently in the PANEL GROUP can be added to the screen by selecting them from the WINDOW menu.

3 Click on the DOUBLE ARROWS at the top of the PANEL GROUP to expand all the panels.

1 Drag one of the panel icons onto the work area. The panel becomes a floating palette.

3 Drag the panel by its label tab back into the PANEL GROUP and it should ‘dock’ into place.

Creating a FlyerTo illustrate how to create an InDesign document a simple flyer will be created. Flyers are advertisements or announcements. They can be very effective if you keep the design simple so that the message stands out. Flyers can announce, events, such as social outings, meetings and news, promotional events or special offers.

Flyers usually include more, or simply larger, graphics than other publications. In this exercise you will create the following flyer:

Winchester Manor

Open Week17 July to 24 July

Winchester Manor was built in the fifteenth century as a country retreat for the Duke of Winchester. Since then it has played host to numerous famous people including King Henry VIII and Sir Issac Newton. Now the 190 room manor has been painstakingly restored to its original glory and you can visit this exquisite English property, and its 10 hectare manicured gardens, during its annual open week.

Laying out the PageYou should have a blank page on the screen. If you don’t, follow the steps on page 1-1 to start a NEW DOCUMENT.

A Setting the Ruler Units

You will be using the RULER at the top of the work area when laying out this publication so we will check that the units are in millimetres.

NOTE: You can control most of InDesign’s settings from the PREFERENCES dialogue box.

3 The page margins can now be adjusted. Display the LAYOUT menu and select MARGINS AND COLUMNS.

B Setting the Ruler Guides

This publication is going to be a one-column document and we can set RULER GUIDES to assist with the placement of the text and graphics.

1 Set the screen view to FIT PAGE IN WINDOW by pressing CTRL+0 or COMMAND+0. This allows you to see the whole page.

2 Select the TYPE TOOL from the TOOLS panel.

NOTE: i A light blue line should be added to the document. This is where the first text block will be placed. We are leaving 10 mm from the top margin so that a border can be added.

ii RULER GUIDES can be moved at any time using the SELECTION TOOL and they will not print when the document is printed.

4 Set the MARGINS to 20 mm. You only need to set one if the MAKE ALL SETTINGS THE SAME icon is turned on.

3 Move the I-Beam into the top Ruler until it changes to a pointer. Hold down the mouse button and drag a RULER GUIDE down to be in line with 30 mm in the left Ruler.

C Saving the Document

Once you have completed a page layout, it is a good idea to save it.

1 Display the FILE menu and select SAVE AS.

2 Access your STORAGE folder and create a NEW FOLDER called DTP.

3 Open the folder and enter the name:

then click on SAVE to save your document.

Entering the HeadingThe heading of the flyer will be placed at the top of the document. In this case we will place a rectangle over a text frame to enhance it.

1 The TYPE TOOL from the TOOLS panel should be selected.

4 Repeat steps 3 to drag ruler guides in line with 70 mm and 160 mm in the left Ruler. This is where the graphic and second text blocks will be placed.

4 When you release the mouse button the text cursor (or insertion point) is placed at the top left corner of the frame.

5 Press CTRL+1 on the Windows system or COMMAND+1 on the Macintosh system to set the screen to ACTUAL SIZE.

2 Move the I-Beam to the intersection of the left margin guide and the first Ruler guide at 30 mm. The small bar at the bottom of the I-Beam should be on the RULER GUIDE.

3 Hold down the mouse button and drag a text frame across to the right margin guide then down to 70 mm in the left Ruler.

6 Press <enter> or <return> to leave a blank line then enter:

7 Highlight the line of text and in the CONTROL panel at the top of the screen click on the CHARACTER FORMATTING CONTROLS button (the button with an A in it).

NOTE: When the TYPE TOOL is selected the CONTROL PANEL has two sections. The CHARACTER FORMATTING CONTROLS for formatting the letters and the PARAGRAPH FORMATTING CONTROLS for formatting the paragraphs.

B Adding a Rectangle

The text frame could be filled with a colour and set to have a border. However, to show you how to use the RECTANGLE tool we will had a rectangle over the text frame.

8 Set the FONT box to ARIAL or HELVETICA, the FONT SIZE box to 36 pt and the STYLE box to BOLD

9 Click on the PARAGRAPH FORMATTING CONTROLS button at the left of the CONTROL panel.

10 Select the ALIGN CENTRE button and the text should be centred across the page.

1 Click and hold the mouse button on the SHAPES tool in the TOOLS panel and select the RECTANGLE TOOL.

NOTE: i The values are displayed at the top left of the CONTROL PANEL.

ii There are dotted lines in the rulers to help you position objects.

iii Your rectangle may be filled with a colour or have a coloured border.

C Formatting the Rectangle

1 The rectangle should have its ‘handles’ displayed, if not, select the SELECTION TOOL and click on it.

2 Expand the SWATCHES panel in the PANEL GROUP.

2 Move the cursor (now a cross hair) in line with 40 mm in the top Ruler and 30 mm in the left Ruler (this is on the first RULER GUIDE). This co-ordinate is read as (40,30).

3 Drag the cursor across to 170 mm in the top Ruler then down to 60 mm in the left Ruler. This co-ordinate is read at (170,60).

3 There are two boxes at the top left of the panel, the left box for FILL and the right box for STROKE. Click on the FILL box.

6 Expand the STROKE panel.

4 Click on CYAN (or aqua) and set the TINT to 25% to lighten the shading.

7 Set the WEIGHT box to 5 pt and the TYPE box to THICK THIN. This is a double line with the outside line thicker than the inside line.

8 Display the OBJECT menu, highlight ARRANGE and select SEND TO BACK to send the rectangle behind the text frame.

5 Click on the STROKE box at the top left of the SWATCHES panel.

D Changing the Text Colour

The colour of the text in the heading can be altered.

1 Select the TYPE TOOL from the TOOLS panel.

4 Close or collapse the SWATCHES panel and resave the publication.

Inserting the GraphicA graphic will be placed at the second RULER GUIDE.

A Aligning the Graphic

We want this graphic to be in line with the main heading. To assist with this, VERTICAL RULER GUIDES can be added to the screen.

3 Open the SWATCHES panel, check that the TEXT icon is selected at the top of the SWATCHES panel then set the SWATCHES panel to DARK BLUE.

B Placing the Graphic

When a graphic is inserted into InDesign the PLACE command is used.

NOTE: i If you place a graphic with a frame selected the new graphic replaces the current content in the frame.

ii If you place a graphic with the TYPE TOOL selected, the graphic will be placed as text and not be able to be moved around the page.

2 Display the FILE menu and select PLACE (or press CTRL+D or COMMAND+D).

2 Drag a RULER GUIDE to the right so that it is in line with 40 mm in the top Ruler. This will allow us to align objects with the left edge of the rectangle.

3 Repeat steps 1 and 2 to add a VERTICAL RULER GUIDE in line with 170 mm in the top Ruler so that objects can be aligned with the right edge of the rectangle.

1 Select the SELECTION TOOL from the TOOLS panel and click outside the text frame and rectangle so that neither is selected.

8 The right edge of the graphic is in line with the right edge of the rectangle, but

graphic does not fit in the frame now that the frame is reduced in size.

3 Access the IDcs3 SUPPORT FILES, open the CHAPTER 1 folder and select the MANOR image.

4 Click on OPEN or OK to insert the file.

5 Move the PLACE GRAPHIC marker to the intersection of the second HORIZONTAL RULER GUIDE and the first VERTICAL RULER GUIDE, that is, at (40,70).

6 Click the mouse button to place the graphic on the screen.

7 Drag the bottom right ‘handle’ of the graphic to the intersection of the VERTICAL RULER GUIDE at 170 mm and the HORIZONTAL RULER GUIDE at 160 mm, that is to (170,160).

4 Enter the text at the top of the next page, pressing the <enter> or <return> key only when indicated.

2 Select the TYPE TOOL from the TOOLS panel and position the small bar at the base of the I-Beam at the intersection of the fourth HORIZONTAL RULER GUIDE and the first VERTICAL RULER GUIDE, that is, at (40,170).

3 Hold down the mouse button and drag a text frame across to the second VERTICAL RULER GUIDE at 170 mm then down to the bottom of the page at 277 mm in the left Ruler. That is, to the co-ordinate (170,277).

5 Resave the publication.

B Formatting the Text

1 Triple click on the first line ‘Open Week’ to highlight it.

NOTE: You may need to adjust the FONT SIZE depending on the font you select. Some fonts do not have a BOLD style available.

2 Use the CHARACTER FORMATTING CONTROLS section of the CONTROL panel to set the FONT to a cursive font such as SCRIPT MT BOLD, EDWARDIAN SCRIPT ITC or ZAPF CHANCERY, the FONT SIZE to 48 pt and the STYLE to BOLD.

3 Hold down the SHIFT key and click at the end of the second line ‘17 July to 24 July’ to add the second line if text to the highlight then click on the PARAGRAPH FORMATTING CONTROL button in the CONTROL panel and click on the ALIGN CENTRE button to centre the text.

4 Highlight the paragraph and turn off the HYPHENATE button in the CONTROL panel to ensure that no words are hyphenated.

5 Click on the JUSTIFY WITH LAST LINE ALIGNED LEFT button in the CONTROL panel to set both the left and right sides of the paragraph to be straight, except for the last line.

6 Highlight the last two lines of text and use the ALIGN CENTRE button in the CONTROL panel to centre the text.

Adding a Page BorderA border can be added around the publication.

1 Set the screen to FIT PAGE IN WINDOW (CTRL+0 or COMMAND+0) and select the RECTANGLE TOOL from the SHAPES TOOL in the TOOLS panel.

2 Move the cursor (cross hair) to (30,20). That is, 30 mm in the top Ruler and 20 mm in the left Ruler.

3 Drag a rectangle to (180,260).

4 Expand the SWATCHES panel, click on the STROKE box at the top of the panel and set the stroke colour to DARK BLUE.

5 Display the OBJECT menu, highlight ARRANGE and select SEND TO BACK to place the rectangle behind the other elements of the publication.

Adjusting Objects Set Behind OthersYou can adjust objects that are set behind other objects. The CTRL or COMMAND key is used to select the required object. Let’s reduce the height of the rectangle around the main heading.

Spell Checking 1 Set the screen to ACTUAL SIZE (CTRL+1 or COMMAND+1).

3 Display the EDIT menu, highlight SPELLING and select CHECK SPELLING.

1 Select the SELECTION TOOL from the TOOLS panel, hold down the CTRL or COMMAND key and click on the rectangle behind the main heading.

2 Use the top and bottom size ‘handles’ to adjust to reduce the height of the rectangle a little.

2 Select the TYPE TOOL from the TOOLS panel and click the I-Beam at the start of the second text block. That is, just before the ‘O’ in ‘Open Week’.

5 Click on DONE to close the SPELLING dialogue box once all the text has been checked.

Previewing the DocumentBefore printing the document we can preview it on screen so that any obvious errors can be repaired.

1 Set the screen to FIT PAGE IN WINDOW (CTRL+0 or COMMAND+0).

4 Check the spelling of the whole story. SKIP any words that are spelt correctly and CHANGE any words that are spelt incorrectly with the correctly spelt word.

2 Click on the PREVIEW button at the base of the TOOLS panel and all margin and guide lines will be turned of so that just the document is displayed.

3 Fix any part of the flyer that is not correct.

Printing the Document 1 Display the FILE menu and select PRINT.

4 Check the printout, make any necessary adjustments and reprint if you made any changes.

5 Ask your teacher to check your final printout.

4 Click on the NORMAL VIEW MODE button at the base of the TOOLS panel to turn the margins and ruler guides back on.

2 In the PRINT dialogue box click on SETUP at the left frame and check that the PAPER SIZE is set to A4 for the printer you are using.

Planning PagesWith any form of Desktop Publishing, careful preparation can save you hours of work. Basically, four steps should ALWAYS be followed in any publishing process:

1 Create a sketch of the page layout on paper. This is called the THUMBNAIL SKETCH and it simply shows the rough positions of the text and graphics blocks. It’s convenient to use horizontal lines for the text blocks and crossed (or hatched) shading for the graphics. You can also estimate where to place ruler guides, what formats to apply to the text and the type of graphic that is required.

2 Create the page layout within InDesign.

3 Enter the text and graphics and format them.

4 Print a copy, make any necessary changes, reprint and re-check before final printing.

The following thumbnail sketch could be drawn for the Assignment publication on the next page. Remember that it is a planning diagram and the final product does not have to be exactly like it. As you produce the publication changes and improvement can be made to the initial design.

Desktop Publishing Assignment 1

Your task for this Assignment is to produce the following flyer. It should only cover half a page.

1 Refer to the thumbnail sketch on the previous page before laying out the page and use it as a guide.

2 Create the page layout on a new InDesign page

3 You can use fonts of your choice, but remember to have no more than two different types. The graphics can be found in the CHAPTER 1 folder of the IDcs3 SUPPORT FILES under the names COMPUTER and HAMBURGER. You may have better quality graphics than the ones shown, if so, they can be inserted instead of the sample ones.

4 Once the flyer is complete and checked, print it and ask your teacher to check it.
