La Leche League of New York 2018 Area Conference: Breastfeeding in the Millennium October 27 - 28, 2018 Dear Friends, We cordially invite you and your organization to join Breastfeeding in the Millennium, the annual Breastfeeding and Parenting Conference of La Leche League of New York, to be held at the end of October. Established in 1956, La Leche League International is recognized worldwide as the foremost authority on breastfeeding. A non-profit, non-sectarian organization, La Leche League is dedicated to providing education, information, support, and encouragement to parents who choose to breastfeed. Each month, more than 3,000 families benefit from the support and information provided by La Leche League Leaders throughout New York state. Our annual Breastfeeding and Parenting Conference will be held October 27 - 28, 2018 with featured speaker Dr. Lawrence Kotlow. The conference will be held at the Embassy Suites by Hilton Syracuse in Syracuse, NY. We expect more than 150 attendees and their families for an inspiring weekend of education, relaxation, and enrichment. Attendees will include health care providers and advocates, lactation consultants, childbirth educators, breastfeeding counselors, business professionals, entrepreneurs, and families. Moreover, they are parents actively involved in the lives of their children, making carefully informed decisions about the products and services they choose. Rarely will you find such a highly targeted group in one place. We feel your business will enjoy excellent exposure and provide valuable information to a receptive audience. We invite your participation by: Exhibiting/vending during the conference in the exhibit area. The variety and quality of our exhibits make this an eagerly anticipated aspect of every conference. Guidelines for Exhibitors and Advertisers Agreements Your completed form and payment in full will serve as your authorization to La Leche League of New York (LLL NY) to arrange for an exhibit space and/or to publish your advertisement and/or contribution listing in the Area Conference Program Book. The exhibitor/advertiser agrees to comply with the terms, conditions, and decisions made by La Leche League International (LLLI) and LLL NY on matters not covered in this prospectus. General Policy All exhibits and ads must be compatible with LLLI principles and policies and in adherence with the WHO/UNICEF International Code of Marketing of Breast Milk Substitutes. Exhibits should not be obtrusive or detract from the primary purpose of the conference, which is to reflect good parenting through breastfeeding. Exhibits and ads accepted previously may become unacceptable due to changes in LLLI policies and/or philosophy. The Regional Conference Administrator will have final approval of all exhibitors and ads. All advertisements shall be attractive, factual, and dignified, and shall be calculated to provide useful product and service information. All advertisements are accepted and published entirely with the representation that the agency and/or advertiser are properly authorized to publish the entire contents and subject matter thereof. LLL will be held harmless from and against any claims arising from advertisement content. LLL does not guarantee sales to any exhibitor. Endorsements Acceptance of an exhibit or ad does not constitute an endorsement by LLLI, LLL Alliance or the LLLNY. A disclaimer to that effect will be printed in the Conference Program. An individual or organization which advocates a particular product, method, or system related, however vaguely, to health must have express, written permission from LLL in order to exhibit. Exhibit Items/Advertisements Not Permitted Neither the following products nor literature advertising, recommending, and/or suggesting their use are to be displayed, handed out, sold, or advertised: artificial breast milk substitutes; baby bottles and nipples/teats (except as used in connection with breast pumps or breastfeeding aid products); pacifiers and nipple shields (not rigid plastic breast shells or breast shields); tobacco products; alcoholic beverages; any foods or beverages that are not wholesome and nutritious (all foods must be commercially packaged); any product that has been documented as harmful to a breastfed baby; contraceptives and/or contraceptive devices; and any organization which promotes a cause or supports either or both sides of a controversial medical, religious, or political issue. Advance Approval Required for All Exhibit Materials Exhibitors are required to submit a detailed list of items to be exhibited and/or sold. Samples may be requested at a later date. A copy of all printed materials (e.g., brochures, catalogues, flyers, etc.) as well as any promotional audio or video recordings used in exhibit space must be submitted for approval.NOTE: All exhibitors must meet the deadline listed on the exhibit contract. An exhibitor’s products and/or literature may be rejected for lack of appropriate approval time. The exhibit fees will be returned if the exhibit is not approved. Privilege of Regulation and Refusal LLL reserves the right to regulate or prohibit any exhibit, exhibit material, product, advertisement, or literature deemed inappropriate or unacceptable. Contract Agreement The exhibitor and/or advertising contract must be signed and returned to LLL of NY and all fees must be paid in full prior to the opening of the conference. An official conference name tag will be required for all who enter the Exhibit Area and who wish to be in the conference areas of the facility. We ask that you limit the number of exhibit personnel to two persons. Exhibitors may attend any opening and closing sessions; however, a registration fee must be paid to attend conference sessions. Exhibitors shall not schedule private functions during conference hours. LLL reserves the right to limit or prohibit prize drawings, contests, distribution of

items, and any “extreme” promotion activities. The audio volume of video or audio programs may not disturb other exhibitors. Exhibit Location & Advertising Placement LLL will make every effort to assign table locations according to exhibitor preference. Priority is determined by the order in which applications with full payments are received. LLL will attempt to separate exhibits of similar products and/or services and will try to honor requests regarding proximity to other specific organizations or products. However, LLL cannot guarantee such spacing. Unless specific location is stipulated in advertising contract, the Program Coordinator and printer will determine placement of advertisements in the Conference Program Book.

Exhibitor Contract Exhibit Registration Please return this completed contract and appropriate exhibit fee by September 1, 2018. Make checks payable to: La Leche League of New York. After September 15, 2018, fees will not be refunded for canceled exhibits. Exhibit fees are determined by the exhibit category-see next page of this form for category definitions. Exhibit space will not be reserved unless full payment has been received. Please return this contract and address all inquiries to: Cara Banks Ads, Exhibits & Vendors Coordinator 38 Meadows Drive Melrose, NY 12121 Phone: (925)989-9748 Email: [email protected] Exhibit Hours, Set up and Take Down Details Exhibit hours on Saturday, October 27, 2018: 8:00 am to 4:00/6:00 pm Set up 7:30 am to 8:30 am Exhibitors must set up and take down their own exhibits. Exhibit fee covers participation for the above-mentioned times. Exhibits must be taken down within one hour of the close of the exhibit day, but may not be taken down before the official closing hour. Exhibit space not occupied by the close of the set-up period will be forfeited by the Exhibitor. LLL of NY reserves the right to resell, reassign, or use any forfeited space. Exhibit Space The exhibit space will include one 6’ rectangular table and two chairs. The exhibitor must provide a sign displaying the full name (or accepted, well-known abbreviation) of the company, organization, or individual exhibiting. Exhibitor will provide UL-approved extension cords, electrical, lighting and A/V equipment, etc. as needed by the Exhibitor if agreed upon in advance. Exhibit Content The Exhibitor agrees not to assign, sublet, or apportion any part of the allotted space assigned, inside or outside the exhibit area. All exhibits must be in the Exhibit Area. Undignified methods of attracting attention-including, but not limited to, loudspeakers, annoying or loud noise or music, flashing lights-are prohibited. The Exhibitor agrees to exhibit only those items or services normally supplied or manufactured by said exhibitor in the normal course of business. Exhibitor agrees to comply with the conditions and policies set forth in the "Guidelines for Exhibitors" and "Exhibitor Contract" documents. La Leche League reserves the right to make any changes it deems necessary and retains the right to control, remove, prohibit, and/or refuse any exhibit material or item it considers inappropriate or otherwise unacceptable. Contracted Services The Exhibitor agrees to accept the terms and conditions contained in the agreements between the Embassy Suites of Hilton Syracuse, and La Leche League of NY on matters and questions not covered in this contract. The Exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend, and save La Leche League of NY, LLLI, and the Comfort Inn and Suites, their offices, members, and employees, against all claims to persons or property, governmental charges or fines, and attorneys' fees arising out of or caused by Exhibitor's installation, removal, maintenance, occupancy, or use of the exhibition premises or any part thereof. La Leche League is not responsible for theft or damage to exhibit or materials. Exhibitors are responsible for the security of their own exhibits, products and materials. The Exhibitor assumes the entire cost of insurance. LLL is not liable for any injury or damages resulting from the use of any product or information sold by or provided by any advertisers or exhibitors.

Exhibitor Categories The exhibitor category is determined by the status of the Exhibitor's company or organization, not the nature of the exhibit itself.

● Exhibitor: Advertising without items being purchased at the table. ● Vendor: Advertising and items can be purchased at the table. ● Non-Leader: An exhibitor/vendor which is not a La Leche League Leader. ● Leader: An exhibitor/vendor which is a La Leche League Leader. ● Main Hallway: Exhibitors/Vendors may remain stationed until 6:00pm ● Restaurant: Exhibitors/Vendors may remain stationed until 4:00pm

Special Needs Requests In the event extra space is needed for a display rack or audio-visual cart, Exhibitors need to contact the Ads & Exhibits Chair to determine any additional fees that may be added. Special Needs Requests must be submitted by September 1, 2018 and will be considered in the order received. LLL will make every effort to accommodate Special Needs Requests, but cannot guarantee that all requests will be fulfilled.

Other General Information Peak interest times will be the morning before the sessions, lunchtime, and after the closing session. Generous time will be specifically allotted for exhibit viewing before and after the luncheon. Food and meals are available within walking distance of the hotel grounds. See contract for prices. If you wish to purchase meals, please indicate this on the contract in the space provided. Please include this payment with your conference fee.

Hotel Accommodations

A limited number of rooms have been reserved at the Embassy Suites by Hilton Syracuse, in Syracuse, NY, at a special discounted overnight rate for attendees of LLL of New York Conference. King rooms with king bed and a pull out couch is available for $109.00/ night, there is also a double twin with pull out couch options for $129.00/ night. Room Arrangements can be made via telephone at (315)446-3200. You must identify yourself as being with the group, La Leche League of New York. Please book as soon as possible. Rooms not yet booked in our block will be released on October 5, 2018.
