1.Introduction

INCOIS Library & Information Center plays a vital role in acquisition, organization, and

dissemination of knowledge in frontier areas of Ocean Sciences, geophysics, and allied

sciences. It has an impressive mixed collection of both print and electronic resources

including books, journals, technical reports, standards, theses and other material. It has

adequate infrastructure to meet its requirements. The main thrust of the library continues

to be the improvement of the quality of services and facilities, achieving higher degree of

user’s satisfaction and modernization of its activities and operations. Print holdings

include books, dictionaries, handbooks, encyclopedias, reference book series and back

volumes of journals. Online databases and E-Journals are made available at Scientist’s

desktops. Library subscribes to around 40 National and International journals.

2. Library and Seminar Committee

The Library & Seminar Committee reviews the requisition from the staff members duly

scrutinized by the library and accord sanction for procurement of documents based on the

merit of the case. The committee meets to review the suggestions of the members and

library with to accord better facilities for the users of the library.

3. Services

The following services are providing by INCOIS Library to INCOIS Staffs.

(a) Borrowing and circulation services

Document lending (Issue/Return/Renewal/Reservation), clearance of dues and related

activities are included in this service.

(b) Journal Content Alert service

In order to save the time spent by scientists in consulting about new issues of journals in

the library, the new articles list and their links are made available through email. Also a

Current Awareness Bulletin (NICMAS, NIO Goa) with the content pages of new issues

of journals is maintained in our library.

(c) CAS and SDI Services

The Current Awareness Service provides the users with a list of latest documents and

new issues of journals on specific subjects available in the library. Thus the user comes to

know about the new collection of library. Library announces about the forthcoming

conferences and also displays the subjects and areas of conferences. (Library Notice

Board) display of photocopy copies of articles published by the INCOIS scientists/staffs

in various periodicals, being received in the library. Selective Dissemination of

Information service is provided by INCOIS Library. This service facilitates that the user

is getting the latest information regarding our core subject by filling up the SDI form

available in the library site and sending it to the library.

(d) CD ROM Database Service;

Users can search the CD-ROM databases (Marine Literature Review and IndOcean)

themselves or request the librarian for a comprehensive search. The results can be

verified and if necessary key word, search strategy etc can be altered till required results

are obtained. Search negotiation is possible. Library has also collection of 350 Cds/DVD

related to oceanography subject.

(e) Reference and bibliographic services

Staff available in the library to suggest sources of information and to assist in locating the

required material. the staff present at the Library main desk may be approached for any

help in location of the required documents

(f) Inter-library loan service.

Books/Journals which are not available with us may be obtained from other libraries on

request through Inter Library Loan (ILL).

(g) Photocopying service

A fully equipped reprographic facility with a copier caters to the copying requirements of

users. Library continues to extend photocopy service to visitors also.

(h) Newspaper Clipping

In newspaper clipping services, library provides oceanographic and institution related

news to their users.

(i) Seminar/Lectures

Lectures of eminent personalities are arranged under the aegis of Library and Seminar

Committee.

4. Organisation of the Collection

The resources are organised into seven major collections, viz., Reference Collection,

Book Collection, Current Periodicals & Immediate back issues, Bound Journal

Collection, CD-ROM Collection, Reports/Thesis Collection, and Hindi Book Collection.

Reference collection and general collection are organised according to Universal

Decimal Classification (UDC).

4. 1 Reference Collection

Books in this collection are normally not issued on loan. Based on essentiality reference

books are issued for one day or overnight against proper approval from Director or Group

Head.

4. 2 Book Collection

This open access collection is available for consultation within the library and for

borrowing for a month. This actively used collection is arranged according to UDC

numbers.

4. 3 Reports/Thesis

These are relatively less used collection like student project reports (Thesis/Dissertation),

reports embodying the information generated in the Centre etc.

4. 4 Bound periodicals

Periodicals of archival value are bound and organised as a separate collection. Volumes

are arranged title-wise in periodicals.

4. 5 Current periodicals & Immediate back issues

Current periodicals are displayed according to broad subject areas prominently.

Immediate back files are also available in the cubicles behind the display panel. The

content pages of latest issues of periodicals are also available in our library.

5. Library Operations

Routine work in the library includes following operations.

5. 1 Circulation Operations

• Document lending (Issue/Return/Renewal/Reservation) and related activities.

• Initiation, induction and orientation of users and the clearance of dues, on

demand.

• Management of Reprographic Facility of library and providing reprographic

services.

• Collection development activities, including assistance to the Library Committee

on document selection, screening and obtaining approval.

• Obtaining approval & Expenditure sanction from Director, INCOIS.

• Ordering, follow up and acquisition of documents, including accessioning, bill

processing and settlement of payment with ESS, INCOIS.

5. 3 Indexing and Information Services Operations

• Indexing and processing of documents

• Maintenance of mailing list for information products (Contents page services of

new issues, press clippings, news translations etc).

• Information Services of generic/specific type assigned/sought by the library users.

5. 4 Periodicals & Bound Volumes Operations

• Subscriptions and acquisition of periodicals, databases, and inventory activity.

• Managing the Institutional Membership of the Centre, availing and monitoring the

services.

• Maintenance of back volumes, binding activities and inventory.

5. 5 Reference & Collection Management Operations

• Providing ready reference assistance to the users on demand.

• Maintenance of the collection

• Physical verification of stock and follow up.

• Overall housekeeping functions of Library.

• Maintenance of databases/ CD-ROM, Software and hardware related aspects.

5. 6 Institutional Membership

• INCOIS Library has Institutional Membership with NICMAS, NIO, Goa.

• We are getting research articles which have no subscription/not available in our

library and research information related to our field of research, projects, etc

which is not available in our library.

• Resource sharing among MoES institutions.
